SAP stands for Systems Applications and Products in Data Processing. SAP also known as ERP (Enterprise Resource Planning) software, In SAP structure there is different departments involved into completing process flow from sales to dispatch the product which is manufactured in the organization.

Below is the process flow that is followed into organization through SAP software.

Process flow

  • Customer New Inquiry generates throught SAP software.
  • Generate inquiry code into SAP.
  • From inquiry if customer need sample then sample WorkOrder generates from development input sheet and after that Sample Job Card filled up.
  • Make design for that product and art-work in case printing requirement for the product.
  • After making sample it sends to customers for their approval of that sample.
  • If sample approved on that basis quotation send to customer.
  • After quotation rate negotiate then customer sends their PO through customer portal which is connected by SAP software.
  • After receiving the customer’s PO We create customer and FG(Finish good) code in database of SAP.
  • Generate work order for that product by sales team.
  • Generate job card by Planning team and check raw material is available or not .
  • Raw material orders by purchase department through supplier.
  • Stores department involved for storing the raw material and supply to production department vice versa.
  • Production department using sales job card making production.
  • In process quality check has been done in relevance by quality dept.
  • After completion of all operations of that product finally Dispatch done through dispatch department by the help of sales team and customer receives the product.
  • Customer then do payment to Accounts department of the product which received.

Above departments continuously communicates with each other and exchange documents with each other through SAP/ERP.

Organizations can be divided into two types which is defined as below.

1) Centralized org System

2) Decentralized org System

1)Centralized System

a)Centralized System is systematically managed by SAP/ERP software.

b)All departments can access needfull process data on time

c)Maintaining data centrally can be accessed by various departments.

2) Decentralized System

a)In Decentralized system data is maintained into Excel, word format which is not secured and will be editable by anyone.

b)Many departments dont have access the other department’s data for better communication of process flow.

c)The major issue is if customer wants any product on urgent basis then process flow will stuck because of lack of communication and decentralization of organization.
