Top 3 mistakes that ministries get wrong with Salesforce licensing and user accounts for integrations -- and how to avoid them. 1. Not Using Free Integration Licenses: Since 2023, Salesforce has granted 5 free integration user licenses per Salesforce instance. These are system to system licenses. Often, I see clients using standard license accounts with system administrator privileges to run these connections. The best practice is to use one integration user per integration connection. This way you can more easily track what is happening in Salesforce and save on standard licensing costs. 2. Using Staff User Accounts for handling Integrations: Sharing a user account that is handling a system to system integration with a real person. This can make it very difficult to track what is happening with records. Was it the automation or the person that made a particular change? 3. Keeping Old Staff Accounts Active Having former staff users, often with System Administrator permissions, still as active users in Salesforce for the fear of breaking a process or integration. Key Takeaway: Properly managing Salesforce user accounts for integrations helps enhance security, reduce costs, and ensure a more efficient system.
