Narrative of the Proposed System’s DFD

PROCESS 1 – FILL OUT GREEN FORM


Upon admission, patient will fill out the green form, otherwise known as the notice of
admission, at the Accounting department. It will then be stored in a brown envelope
where it will be retrieved when the patient is ready for discharge.

PROCESS 2 – FILL OUT PHILHEALTH FORM


If upon admission the patient is a dependent, he is then required to fill out Philhealth
form and it will then be processed so that the patient becomes Philhealth member.

PROCESS 3 – ENCODE PATIENT DATA


The filled out green forms and Philhealth forms, if any, and other data or
documentation needed will be encoded in the system. The patient data will go
straight to the Soft Clinic upon encoding where the patient’s information will be
processed and updated. The encoded data will also be sent to the Billing
department.
PROCESS 4 – PROCESS BILLING STATEMENT
When the patient is ready for discharge, the Soft Clinic system will send the patient
charges to the Billing department. These will be processed and the end product will
be the Billing statement which will be given to the patient or the relative of the patient.

Related Costs

1. SoftClinic Software
 It has an estimated overall cost of ₱8,000,000. The estimated selling price includes
installation.
Disclosure: The cost of the system is based on a system that TMC is trying to acquire due to
the miscommunication with the seller as we have tried to quote for price but the seller did not
respond accordingly.
2. IT Department Training and Seminar
 The IT department training and seminar would cost around ₱15,000 to ₱20,000.

Benefits

1. The excessive consumption of a patient’s time—time spent waiting for a chart to be


processed undergoing into different revenue centers where the concerned part is
not directly related and time spent that could have been faster if processed
individually—will no longer arise as a problem.
2. There will be an improvement in the efficiency of Tondo Medical Center’s billing
system which will increase satisfaction of patients and reduce their waiting time
throughout the hospital system. As a result, it will contribute more income to TMC
as customers are satisfied and as their employees will no longer do extra-workloads.
TMC will now be able to fulfill its mission statement.
3. The increasing demand from patients for data and information accessibility will be
deemed fulfilled through the computerized system solution—SoftClinic. The
database management of patient information will be centralized as all of the
processes will updated from to time.
4. This project is said to be most beneficial to Tondo Medical Center as they serve their
customers with satisfaction and lessens the job of their medical employees.
