Roles & Responsibilities of Administrators
Principal Investigator – The primary person responsible for the technical and financial
aspects of a research grant, cooperative agreement, training or service project, clinical study,
contract, other sponsored project or material transfer agreement.
Administrator/Faculty Service Representative (FSR) – An employee
responsible for providing administrative support for one or more sponsored projects.
Unit Head/Unit Approver – A University official with managerial and fiscal
responsibilities for a designated area, such as department chair, center director, institute
director.
Dean – A University official with managerial and fiscal responsibilities. Each school, division,
or college is administered by a dean under the supervision of the Provost of the University.
The specific duties and responsibilities of administrative positions are
assigned by the president in accordance with law and college policy. The general duties and
responsibilities of each administrator will include:
1. To plan, organize, and administer the activities of his/her department, office, or division
efficiently.
2. To keep informed of new developments relating to his/her function and to maintain a
creative and experimental attitude toward change, in order to continuously improve the
operation of his/her area of responsibility.
3. To recommend the organizational structure and staffing that complement his/her area of
responsibility.
4. To interview and recommend to the president personnel for hire.
5. To establish and maintain an organizational climate that encourages the development,
retention, and a high level of morale among personnel.
6. Keep his/her immediate supervisor informed of activities of the unit, particularly of major or
unusual developments, and seeking his/her advice and counsel.
7. To promote an integrated effort in the administration of the college by cooperating with
other administrators and staff and coordinating his/her activities with theirs when such
action is indicated.
8. To maintain effective relations with faculty, students, and community, and other educational
institutions and to interpret college policies and programs accurately and constructively.
9. To recommend the budget for his/her department, office, or division and, within limitations
established by the board or President, to administer his/her budget.
10. To serve on committees and councils as directed by board policies and procedures or by
his/her immediate supervisor or the President.
11. To represent Kirtland and attend professional meetings as authorized by his/her immediate
supervisor.
12. To provide information and reports to the board at the request of the President.
13. To implement a plan to supervise students attending courses during the day, in the evening
or weekend, and at clinical internship dates.
14. To perform any other duties assigned or delegated by his/her immediate supervisor.
Role of Administration
Administration department is backbone of an organization. An effective administrator is an
asset to an organization. He or she is the link between an organization's various
departments and ensures the smooth flow of information from one part to the other. Thus
without an effective administration, an organization would not run professionally and
smoothly.
An effective administrator should have the ability:
To understand general concepts of Administration
To enhance the office staff’s ability to manage and organize office effectively and
professionally
File in the proper way and filing standard
Develop an appropriate office management strategy
Develop an appropriate assets management strategy
Able to develop administrative procedures
Able to plan and control administrative budget
The duty of an administrator depends on the company that the administrator works for.
The main job responsibility of an administrator is to ensure the efficient performance of
all departments in an organization. They act as a connecting link between the senior
management and the employees. They provide motivation to the work force and make
them realize the goals of the organization.
Office administration is one of the key elements associated with a high level of
workplace productivity and efficiency. It is very difficult to run an organization without a
good administration faculty. It is administrator, who makes the rules & regulations and
applies these rules in an organization.
Sometimes, it is thought that the role of an administrator is not important in the company
and neglects their presence. But without presence of an administrator an organization
can never work in a sound way. All the tasks & all the departments are relates to the
administration.
