TASK-1

COLLECT REQUIREMENTS:
Collect Requirements is the process of determining, documenting, and managing
stakeholder needs and requirements to meet project objectives. It helps to define
project scope during scope management. some set of tools and techniques is used to
gather project requirements. It seems practical to collect all requirements at the start
using a requirement-gathering tool. The techniques of gather requirements are
Brainstorming, Interviews, Focus group, Questionnaires and survey and so on.
In this project interviews technique is more preferable to collect requirements from
stakeholders of BD Wonder Tour (BWDT) Ltd company.

The way of collect requirements by using this technique named


interviews are given bellow:
It is a formal or informal approach to collect information from stakeholders by talking to
them directly. In technique project manager interviews the stakeholders to get their
requirements.as a project manager I may have a list of question and ask the
stakeholders of BD Wonder Tour (BWDT) Ltd company to express their expectations
from the project in a free form. the requirements received from the project stakeholders
should be note down and store.

SCOPE DEFINE:
Define scope is very important parts of project planning that involves determining and
documenting a list of specific goals, tasks, costs and deadlines of a project. The
documentation establishes responsibilities for each team member and sets up
procedures for how completed work will be verified and approved and it explains the
boundaries of the project. During the project, it helps the project team remain focused
and on task and provides the project team with guidelines for making decisions about
change requests during the project.
As a project manager how I define the scope for this project that are
given bellow:
Defining project scope requires input from the project stakeholders. To determine
scope, at first have to focus the collected requirements from the stakeholders of BD
Wonder Tour (BWDT) Ltd company need from the project this includes the project's
objective or the project's deliverables, when the project needs to be completed. And the
second step is to confirm the goals and objects that follows a SMART guideline.  That
is, to be Specific, Measurable and Achievable.  It should also be Realistic and
completed within a specific Timeframe. Thirdly, need to be clear about the features and
functioning required for service. what certain qualities will increase achieving the
project’s success. Successful projects are ones that take into account the satisfaction of
the end-user.  Whether they meet the end user expectations. All those step are defined
by expert judgement and data analysis.

Create WBS
The process of dividing complex projects to simpler and manageable tasks is called
Work Breakdown Structure (WBS). the manager of a project is usually use this method
for simplifying the project execution. In this step much larger tasks are broken down to
manageable chunks of work. WBS is a very helpful tool that defines a detailed cost or
time estimate and provides guidance for schedule development and control. The
effective WBS should contain the following components:
Project vision statement
Project phases, depending on the project size
Tasks with deliverables.

The step of creating WBS which I shall follow as a project manager


those are given bellow:
Describing project statement
This statement will describe a project’s vision in the final stage. This is a basement of
any project.
Outlining all necessary phases
after the completing the first step this phase will be start. In this phase I shall divide the
scope into multiple phases, depending on the nature of my project. It will depend on the
budget opportunities of my project, project’s requirements and also time frames.
Creating deliverables
At this stage, I shall define the deliverables that must be completed in every phase. The
phases should have end-results and I shall achieve them before moving on to the next
phase.
Dividing deliverables into manageable tasks
It is the time to add another level of the hierarchy to count details. I shall design project
tasks as sections to give one team member or a small team opportunity to easily
manage them.
Assigning every section
The last stage is manageable part. I shall assign team for every phase for proper
maintain and reach the goal. I build the WBS with the help of convenient services and
tools for project management. With convenient graphs, roadmaps and other features, all
team members will understand my WBS.

DEFINE ACTIIVITIES
Define activities is the process of identifying and documenting the specific actions or
works to be performed to produce the project deliverables. The key benefits of this
process is that it decomposes work package into schedule activities that provide a basis
for estimating, scheduling, executing, and controlling the project work. Some tools and
techniques are used to define activities. Logical relationship should be designed to
create a realistic project schedule.

To plan and schedule project activities and tasks I need to take these step as a
project manager:
As a project manager first have to define what amount of actions and tasks are
necessary for producing project deliverables in a timely manner. Project deliverables
statement will be the input for this process. I can use this document to define high-level
activities that will be used later in creating the project implementation schedule. I should
also work on developing project activities templates.
In cooperation with experts and the project team, as a manager I should make project
activities lists that will be the output of the process for project activities planning and
scheduling. For each of the listed activities accurate milestones should be identified and
approved. All the identified milestones should be gathered into a single milestones list.
SEQUENCE ACTIVITIES
In this section the main purpose to sequencing the activities which are defined in the
previous step. The main purpose to sequence activities for proper maintain.

The step and technique which are taken to sequence are given bellow:
By using precedence diagraming method I shall make a sequence of all the activities
identified at the previous step. project activities list, the milestones list is used to define
relationships among the activities. With help of project management software that can
be set up priorities for each of the project activities and make task sequences organized
and sorted by importance and urgency.
There is also a need to define dependencies between the activities. Dependencies can
be internal and external. Activities with internal dependencies refer to any actions that
the project team will take to produce the deliverables within the existing working
environment. Activities with external dependencies refer to non-project factors that
define success of project-related activities.

Both types of activity dependencies should be identified and added to sequenced and
prioritized activity lists.

ESTIMATE RESOURCE
The function of this step is to estimate a probable resource which are require to perform
project activities.

The action of a project manager for this step are given bellow:

At this step of planning I as a project manager review stakeholder requirements and the
product scope statement to estimate an amount of resources required for performing
project activities and tasks. I also try to use expert judgments and alternatives
analysis for this purpose. The constraint of time needs to must be considered when
estimating activity resources. As a project manager I cooperate with experts and the
team to develop resource calendars and define types of required resources. When all
this information is collected and analyzed, I shall use it to make a decomposition of
activity resources categorized by types, priorities and time.
ESTIMATE DURATIONS
In this step the project manager to define and estimate an amount of working time
required for accomplishing each identified activity. This is about setting up durations for
project activities and tasks. Durations will depend on 1) the amount of work effort and 2)
available of activity resources.

As a project manager how I estimate duration that is given bellow:

At first I should review the resource decomposition and project activities templates to
estimate the number of work periods required for completing the identified activities and
producing the deliverables. The output of this process is activity estimates that are
linked to resource calendars. This information will be used later in developing the
implementation schedule.

ESTIMATE COST
Project cost estimations forecast the resources and financial investment needed to
execute a project successfully. The goal of estimation is to identify all the costs
associated with the project in order to create an accurate budget and timeline. There
are many techniques to estimate the cost of a project such as expert judgement,
analogous estimation, parametric estimation, cost of quality, vendor analysis, cost
estimation software, group decision making technique

As a project manager I prefer to use bottom up estimation technique to estimate


cost of this project. It discusses details in bellow:

Bottom-up estimating uses the estimates of individual work packages which are


then summarized or "rolled up" to determine an overall cost estimate for the project.
This is generally more accurate than other methods since it is looking at costs from
a more granular perspective. Bottom-up estimation technique starts with the estimation
from the lower level.
SCHEDULE DEVELOPMENT

Develop a Schedule of a project is the process of analyzing activity sequences,


durations, resource requirements, and schedule constraints to create the project
schedule model. At the end of develop schedule process, one will have a finalized
project schedule which includes the start and end dates of each activity project, the
relationship between activities, the resource of activities, the total duration of the
project etc. developing an efficient schedule is very important for a project. A good
schedule will let the stakeholders of the project to use their time wisely to deliver
results.

There are many different project management tools and techniques involved in
developing a schedule and these include the schedule network analysis, critical path
method, critical chain method, modeling techniques, leads and lags, schedule
compression and scheduling tools. But most like to use critical path analysis method to
develop schedule,

The way and reason to use this technique are given bellow :

I shall use CPM to develop the schedule. This process of looking at all of the activities
that must be completed, and calculating the "best line" to take so that I will be able to
complete the project in the minimum amount of time. This method calculates the
earliest and latest possible start and finish times for project activities, and it also
estimates the dependencies among them to create a schedule of critical activities and
dates.

DETERMINE BUDGET

The Project Budget is a tool which is used by a project manager to estimate the total
cost of a project. this includes a detailed estimate of all costs that are likely to be
incurred before the project is completed. Mainly, the project budget allows the manager
to determine how much the project is likely to cost. The main process of determining
budget for a project is an activity of aggregating the cost estimates of individual
activities, to develop the total cost estimate that allows setting a formal cost baseline.
The budget may differ from the formal cost baseline. The purpose of this process is to
authorize and allocate the monetary resources necessary to complete all project
activities and deliver the project on exact time.
Reviewing Historical Data and Lessons Learned. Budgeting activities from previous
projects can bring more benefits to current project than it might have been expected.
As being a planner, I need to review records and historical data of the previous
successful projects and look for tools, methods and techniques that have made these
projects succeeding. Cost estimates, WBS examples, resource allocation, estimating
methods, members of the estimating team, budget control tools, etc. obtained from
successfully completed projects – I shall collect all this valuable information and
examine, then I shall store and filter it and finally I shall generate specific solutions and
ideas for managing budgeting activities.

TASK-2

PLAN QUALITY
The Plan Quality Management is a project management process. It identifies the quality
of the requirements and standards of the project as well as the deliverable. The benefit
of plan quality management process is that it guides and directs how the quality should
be managed and validated all throughout the implementation of the project. Quality
planning should be performed in parallel with the other planning process. There are
many tools and technique are used in this step of a project.

As a project manager I use some techniques to plan quality management.

Benchmarking means using the results of quality planning on other projects to set goals
for this project. i might find that the last project in my company had 20% fewer defects
than the one before it. i should want to learn from a project like that and put in practice
any of the ideas they used to make such a great improvement. Benchmarks can give
me some reference points for judging my own project before I even start the work.

HUMAN RESOURCE PLAN


The human resource management plan, a very important part of the project
management plan, describes how I shall select, acquire, manage, and release human
resources. The most important resource to a project is its people. Like all project
management plans, I am thinking ahead about how I shall approach certain aspects of
the project, in this case, the most important element of our project is human resources.

The plan of my about human resource is given bellow:

In this step I shall select, acquire, manage, and release human resources. I shall decide
when and how I shall add team member, how I shall manage them and how I shall
control them. I shall create a responsibility matrix (RAM) that shows resources
assigned for each work package. I shall complete a team evaluation to determine the
strengths and weaknesses and where training can improve the team’s performance.
The success of a project is depend on human resource so I will be more conscious
about to manage them.

PLAN COMMUNICATION

project management communication plan defines mainly how critical information will be
delivered throughout the project, by who, and at what frequency. Communication is
critical to keeping a good relationship with the client, and a project communication plan
can help a manager to plan upfront in keeping up that shared understanding of what’s
happening and what should be happening throughout the project. A communication plan
that begins with the project communication goals can really help a project manager to
understand how make decisions on communication based on what he is trying to
achieve.

How I handle this step to plan for communication that r given bellow:

Now, it’s time to actually make a plan. Define my approach to the communications I
shall have throughout my project. according the goals of my project, I shall consider
how frequently I shall communicate with my client stakeholders, how I shall do so, and
what those communications will include. I shall d use multiple approaches, like weekly
phone check-ins to update on timeline and budget progress, along with daily emails for
on-the-fly questions and less frequent in-person meetings to present major project
milestones.
I will keep parameters and goals in mind—these should really help me identify what
types of communication will be most beneficial to bringing my project to success, and
how detailed or thorough certain parts of my communications will need to be.

RISK MANAGEMENT PLAN

Risk management plan for a project is a formal document which describes how to deal
with specific risks and what risk managing actions can be taken in order to remove
threats to the project activities and outcomes. It gives the team members a sense of the
risk managing actions which can be taken to identify, analyze and respond to threats
about project. This plan is a subsidiary plan in the hierarchy of the project management
plan. The purpose of this plan is in providing the team with a clear understanding of the
necessary actions to be taken in order to protect the project from hidden and identified
threats and to utilize existing opportunities for improving project performance.

There is some process of risk management. As a project manager how I handle


this step that are given bellow:

At first have to identify the risk of a project. I shall may arrange risk brainstorming
sessions to discover various risk which could show up in the project in future. It is good
to use risk identification method and discuss with team member to find the risk. After
this I shall get a lot of potential risks listed in my risk register. second step is to
determine how likely each of those risks are to happen. Analysis the risk. All risks are
not created equally. I need to evaluate the risk to know what resources I shall be going
to assemble towards resolving the risk if and when it occurs. Maybe Some risks are
going to be acceptable. I would grind the project to a halt and possibly not even be able
to finish it without first prioritizing the risks.

Then I shall assign an owner to observe the risk. After finishing those steps I shall
response the risk to identify the risk is positive or negative. I shall need to stay updated
to have an accurate picture of the project’s overall progress to identify and monitor new
risks.
PLAN PROCUREMENT

Procurement planning of a project is the process of deciding what to buy. When and
from what source to buy. The main purpose of project procurement management is to
establish and maintain relationships with vendors of goods and services during the
project life cycle. This function is very essential part of project management.

Plan about procurement management plan of a project manager is given bellow:

The plan of procurement management plan is usually divided into four major processes:
planning, selection, administering and closing procurements. The first part, I have to
create the official procurement management plan. And the time of taking decision which
items will be internally procured and which items will be externally outsourced. The
information will heavily impact the project's budget and also financial scope. I have to
prepare the Sample procurement documents and have to develop criteria frameworks to
create a selection of potential vendors.

TASK-3

A description about what I understood from task 1 and task 2


The planning phase is important, as it establishes the tasks, deliverables, schedule and
budget for carrying out the project. The main output of the planning phase is a detailed
work plan. It establishes the blueprint for conducting the project. It helps the project
manager and also the project team to know better about how can handle a project and
gain success. in this scenario I have described about planning phases of this project as
a project manager. I have learned how a project starts its journey and meet its goal. As
planning phase described about working plan so I have learned how should work step
by step to make a project success.it was more difficult to select the right tools and
techniques for every step of planning phase. I have studied more the book named
PMBOK GUIDE and have gained the knowledge about project plan and have tried to
implement in this project plan management of BD Wonder Tour (BWDT) Ltd company. I
tried my best and also learned many things and I hopeful that it will help me later to
work for any project easily.
