S&C Utilities - Laptop Module


The following section details how to install and update the Laptop Module
for S&C Version 6.10 and higher, for both Local and Remote User Login.
In addition, it includes solutions to some common troubleshooting questions.

Laptop Specifications
The following are guidelines for reference when purchasing a Laptop to use
with the Fidelio S&C Laptop Module. Please contact your nearest Fidelio
office or dealer, or refer to Micros-Fidelio’s standard recommendations
document written by M. Wehrle of Micros-Fidelio Software.

Recommended Specifications

a. Pentium with at least 75 Mhz, 16 MB total RAM and 510 MB disk


(810 MB if MS-Office is also used)
b. VGA color monitor
c. Must have a floppy drive - we recommend an internal floppy drive.
d. PCMCIA card, Xircom or other network adaptor and modem
e. spare Battery (or lasting long enough)

Depending on the additional software programs to be installed and the


average number of records to be downloaded from S&C, we recommend at
least 50 MB total free diskspace before the download is performed. There
should be at least 20 MB free after a download has been performed by S&C.
If there is less than 10 MB free on the Laptop before a download is
performed, the User will not be able to download records at all.

Software a. MS-DOS 6.2 as the operating system.


b. QEMM 8.x for Expanded Memory Management
c. PcAnywhere for remote support purposes
d. The same External Wordprocessor as used in the office, if the User
will be sending letters while "on the road"
e. If desired Windows: recommended Windows for Workgroups 3.11. If
Windows is installed, the laptop must have 8 MB total RAM, we
recommend 16 MB.
f. Anti-virus software
g. cc:Mail (recommended for Regional Sales Office Remote Users)

Configuration We require that the Laptop is set up with the Fidelio Standard Simulated
Drives as outlined in M. Wehrle’s Installation Recommendations document.
This will make any future support questions easier and quicker to solve,
especially if the Laptop User is "on the Road" when they need support.

Recommended Brands
For further details on the above, including recommended brand names, please
refer to Fidelio’s documentation regarding Standard Hardware and Software
Installation Recommendations or contact your nearest Fidelio systems expert
for up to the minute information.

If you do not have information regarding this setup, please contact your
nearest Fidelio S&C Support Desk.

License Codes
In order to run the SC.exe on the Laptop you will need the following Laptop
License Code in addition to the License Codes for the home system
(depending on the S&C Module on your home system):

The following table explains the possible combinations:

If you would like to print from Lists and Reports on the laptop, you will
need an additional license code for the laptop module (Laptop Report
printing).

There is no S&C GEM Laptop module. If the Home System is S&C


GEM then the SalesReps will probably be working with S&C HOTEL
Laptop module. Catering information entered on the Laptop will be
stored in the Notes fields until it can be actioned back on the Home
System

If Multi-Hotel is installed on the home system, only the Laptop LITE


License Code can be used.

Installing the Laptop Module Version 6.10

1. Laptop Setup

1.1. General
We require that the Laptop is set up with the Fidelio Standard Simulated
Drives as outlined in M. Wehrle’s Installation Recommendations document.
This will make any future support questions easier and quicker to solve,
especially if the Laptop Users are "on the Road" when they need support.

If you do not have information regarding this setup, please contact your
nearest Fidelio S&C Support Desk.

Step 1 In the CONFIG.sys you need the line files = 254 (or at least = 190).
Otherwise you may receive an error "Cannot find field in database ...".

Step 2 The Sales & Catering system requires Expanded Memory (using
Quarterdeck’s Expanded Memory Manager : QEMM) or Himem/EMM386.
Memory at DOS should be around 620 KB free ! - check this with the DOS
chkdsk command or the QEMM MM command. Please do not use the
Stealth parameter, when optimizing the memory in your workstation !

Step 3 DOS 6.2 recommended. (Minimum DOS 5.0): 620 KB RAM free (or more)
is easily possible with DOS 5.0 (and higher) and QEMM when network
drivers (such as ipx and netx or emsnetx), files and other drivers and/or TSR
programs are loaded high.

Step 4 Laptop should have a licensed copy of the Wordprocessor you use in the
office loaded if this Sales Rep is to send Mailings, Single letters or faxes
while using their Laptop.

Step 5 If the user has WinWord 6.0, make sure they are running Windows for
WorkGroups, and that they load VSHARE.exe when running this.

If they are using an older version of Windows 3.11, and running WinWord
6.0, then in AUTOEXEC.bat add the line

LOADHI ... share.exe /L:254 /F:6000

Step 6 Make sure that the Fidelio standard utilities are installed in the
UTILITY\DIVERSES directory on the Laptop (including FCLIP.exe, Norton
Commander and Norton Change Directory).

Step 7 On the Laptop, edit AUTOEXEC.bat and add following lines. Note: Make
Sure you do this so that it is valid when booting locally and onto the
network:

a. SET LAPDRIVE=C: (no last backslash necessary)

b. SET LOGIN_NAME=xxx (where xxx is a valid User name for your


S&C System i.e the same User Name as this SalesRep would normally
use to enter the Network and S&C).

Step 8 On the laptop, create a directory called SCLAPTOP under the directory
FIDELIO i.e. C:\FIDELIO\SCLAPTOP.

Step 9 Set up Laptop Menus & Batch Files. Set up the appropriate Menus and
Batch files for the User when booting locally. For extra security, we
recommend that :

a. You set up a keyboard password for the Laptop. It should be


something that is easy to remember! Make a list for the hotel System
Supervisor and for Fidelio S&C Support.

b. In the batch file that calls Sales & Catering, you set the parameter
login i.e. SC LOGIN so that only valid Users can work with the
downloaded data. This way, when the SalesRep is for example at a
Trade Show, while working in S&C, they can use the Hot Key
[Alt]+[F2] at any time to protect their data from the overly curious!

Step 10 PcAnywhere must be installed on each laptop for remote support purposes.

Step 11 We also strongly advise that a Fidelio recommended anti-virus software be


installed on the Laptop to protect the integrity of the data both on the laptop
and on the home system. Depending on available memory, do not load this
memory resident, but rather add an option to the Laptop Menu and train
users how often to run the check.

1.2. Additional Steps for Remote Laptop Installations


Step 12 a HAYES COMPATIBLE modem must be installed on each Laptop

Step 13 AUTOEXEC.bat to include the lines:


SET CCMAIL=first name, last name
SET CCPASSWORD=password (optional)
SHARE.exe /L:254 /F:6000 (if SC_LEAD.exe will be set up
under DOS)

If you have to add these lines into the AUTOEXEC.bat and


CONFIG.sys, change to the QEMM directory run an OPTIMIZE both
for local and network booting.

Step 14 On the laptop, create 3 directories under the laptop directory, i.e. under
C:\FIDELIO\SCLAPTOP:

C:\FIDELIO\SCLAPTOP\DOWNLOAD
C:\FIDELIO\SCLAPTOP\UPLOAD
C:\FIDELIO\SCLAPTOP\LEADS

Step 15 PKZIP.exe and PKUNZIP.exe (version 2.04 or higher) must be in the path
on the laptop

The PKZIP and PKUNZIP versions must be the same on each Laptop
and on the Server. This is because records are zipped, transferred as
a zip file and then unzipped on the home system and the Laptop.

2. Home System Setup

2.1. General
Step 1 Enter Laptop License Code. Call S&C Utilities on the home system and go
to -> Misc -> License Codes, fill in the Laptop License codes in the
following three fields:

Laptop License and for [0] Laptops: If the hotel has the Laptop
Module, enter the Serial Number provided for the number of licensed
Laptops. Note: the number of licensed laptops is linked internally to the
Laptop License number entered.

If the entry in the number of Laptops field is incorrect in relation to


the number in the Laptop License field, an error message will be
displayed when the user tries to start the program: Unauthorized S&C
Laptop License, Contact your Fidelio dealer.

Laptop Reports Enter the license code here if you wish to run reports on
the laptops. This license code is optional; it gives the laptop users access to
Lists and Reports, but it’s absence will not affect the installation. Contact
your Fidelio Dealer for more information.

Step 2 Assign unique Hotel IDs.


a. Make a list of all laptops which will be used for the S&C Laptop
Module (Remote and/or Local Users) and assign each laptop a unique
2-digit-Code, which is called the Hotel ID. (Each laptop is
considered being a "hotel").

Important: To ensure that sites are prepared for future features


such as S&C Lead Sending: if you are installing a hotel or RSO
which is part of a chain or group, please note that each laptop
within the group must have it’s own Hotel ID (HOTEL_NR) -
and of course the Hotel ID for the laptops must not be same as
any Hotel’s Hotel ID (HOTEL_NR) i.e. no duplications of the
code can exist within the chain.

Therefore, we recommend :

i. Use 2 digit letters (A-Z) for the Hotel’s Hotel ID


(HOTEL_NR).

ii. Use 2 digit numbers (0-9) for the Laptop’s Hotel ID


(HOTEL_NR).

iii. Make a list with groups of numbers or codes for each


installation’s current and future use (see example below).

b. Once you have the list ready, call up S&C Utilities and go to Tables
-> Hotel Data enter each Laptop as a hotel (yes, really) and enter their
Hotel Code and the unique Hotel Id from the list you made (above).

d. Only if you had to enter the Hotel ID in the Sales Office Defaults,
make sure you are in S&C Maintenance and go to File -> Database
Maintenance -> Replace Corp. ID and run this utility.

Once the Replace Corp. ID is complete, run a reindex with no pack on


all databases (use the share parameter on several computers to make
it quicker).

Step 3 Setup Sales Reps. Still in S&C Utilities on the home system, go to Edit ->
Sales Reps.

Ownership of records: The principles of the Laptop Module are based on


Ownership of records. This is determined in the main Sales & Catering
program by the SalesReps whose initials are entered in the SalesRep field on
each appropriate Edit screen.

Therefore, when setting up and working with the Laptop Module, it is


important to realize that you are working with the SalesRep as Owner - this
may not be the same person as the User who originally entered the record.

Your screen will look something like this:

a. Laptop Hotel ID enter the unique Hotel ID (which you have just
setup in Step 2).

b. enter the Max CheckOut days that this SalesRep is allowed to check
out records from the home system.

There are two purposes of this field:


* this is to remind SalesReps to upload information back to the
home system.
* to ensure that records are not "locked" on the home system for
longer than necessary.

For example, if one Sales Rep has the West of the Country as a
Territory, they will be on the road (and therefore have a longer number
of days in this Max Checkout for Laptop field) than a SalesRep who
only makes sales visits on clients in the local area.

If you leave a [0] in this field, then when this Sales Rep starts
to download the desired records, a message will appear warning
them that their CheckOut days are [0]. They will be able to
CheckOut records for the day, but like Cinderella, they have to
have them back by midnight!!

If they try to enter a date other than today’s date, they will be
stopped with a warning message and then asked to enter a valid
date.

c. enter [L] for Local downloads in the Download Type field or


enter [R] for Remote downloads. The option [W] is available for use
with ISDN or other Wide Area Networks. This option works in a
similar way to the Remote, except no modem is needed to transfer
files.

If you leave this field blank and the user will be asked
what type of download (Local or Remote) each time they
press [F12] to check out the records from S&C - which
may confuse the Laptop users right now.

d. Repeat this process for each appropriate SalesRep.

Step 4 Set up Catering Information. Only if the hotel’s home system is S&C GEM,
you will also need to set up pickbox codes for the F&B Agenda records:

The pickbox codes are copied from the Home System to the Laptop each time
a download is performed. Therefore, these codes should be set up on the
Home System (network). However, as you have S&C GEM, you will not be
able to access the F&B Agenda screens through the user side of the program.

The following is a picture of the F&B Agenda Edit screen. This will give
you an idea of what the entry screen looks like.

2.2. Additional Steps for Remote Laptop Installations

Step 5 PKZIP.exe and PKUNZIP.exe (version 2.04 or higher) must be in the path
on the network.

The PKZIP and PKUNZIP versions must be the same on the


Laptop(s) and on the Server. This is because records are zipped,
transferred as a zip file and then unzipped on the home system and the
Laptop.

Step 6 Add an option on the main Fidelio menu for S&C users to "Start S&C Host".
This option should call the batch file that starts [sc host]. Make sure the
batch file R_SCHOST.bat is in X:\BATCH (i.e. if necessary, move from
SM_DATA).

Step 7 Set up the MODEM.ini for the appropriate workstations on the home system
(see page 29 for more details).

2.3. Additional Setup for Lead Sending through cc:Remote or cc:Mobile


(for Remote Laptop Installations only)
There are two ways that Leads can be sent from the Laptop. After the User
has created the Booking and Leads and pressed [F2] or [F3] to send, the
Leads are ready to be processed:

a. with the next upload, the Leads will be sent to the home system. The
Communications Server should be running on the home system, and
the leads from the Laptop are processed with the other leads created
on the home system.
This option a. is available for Local and Remote Laptop installations.

b. the Remote User calls the Communications Server from their


Laptop and the leads are processed and ready to be sent. A copy of
the booking and lead is sent to the home system (marked as Sent=Y).
This option b. is only available for Remote Laptop installations.

Depending on the Communication Method entered for each requested


hotel (in SM_HOTEL or overwritten in SM_LEAD), the Remote User
will need to call up their cc:Mail or cc:Remote and the lead will be
processed accordingly.

If the Communication Method is PRN, then the Remote User


should also have access to a printer.

Leads sent via Communication Method FAX on the home


systems should be sent after the Communications Server has
been run.

Leads that are sent via cc:Mail fax method i.e. the faxing will
be done via cc:Mail.

The following Steps 8 and 9 must only be completed if Lead Sending is to


be done directly from the Laptop (method b. above):

Step 8 Check ID numbers: check that you have entered the correct HOTEL
CODE and HOTEL ID for each remote user SalesRep, both in the home
system and on the appropriate Laptop.

Step 9 Install cc:Remote or cc:Mobile on the laptop for the Remote User.

Step 10 Sending Leads via FAX can be done one of two ways:

a. If the Home Post Office has the cc:Fax installed, then Leads can be
sent via the new Communication Method CCF (cc:Mail FAX).

i. In the cc:Mail directory at the Home Post Office an entry should


be made for FAX as a Post Office.

ii. in cc:Mobile or cc:Remote, the directory should have an entry


FAX P Home.Postoffice.

iii. in SM_HOTEL on the Laptop, the Communication Method


should be CCF and Communication Address should read:

FIRSTNAME LASTNAME FAX#faxnumber at FAX

e.g. Marcel Dickers FAX#0W08992092118 at FAX

b. If the Home Post Office does not have the cc:Fax installed, then Leads
can be sent via Communication Method FAX. For leads to be sent
this way, the Laptop must have the CAS software and fax card
installed. If necessary, install this software.

Step 11 add an additional menu option for the user to call the S&C Communication
Server (SC_LEAD.exe).

Step 12 Copy the IMPORT and EXPORT exes to the CCREMOTE or CCMOBILE
directory on the Laptop and make sure that they a located on a search path.

Step 13 On the Laptop, create the IMPORT and EXPORT batch files.

PRINTER=LPT1 Which printer port should the leads be printed out


on i.e. for parallel printer ports LPT1, LPT2 etc. and for serial printer ports

SLEEPFROM, SLEEPTO Used to stop and restart the SC_COMM at a

Step 1 From the Laptop, login to the Network. (You need access to
"I:\FIDELIO\SM_DATA" and to "U:\FIDELIO\PROGRAM", so login into
the network as SUPERVISOR or FIDELIO or another user with Supervisor
rights).

Step 2 Make sure that everybody has quit Sales & Catering on the Network (home
system) before you start.

Step 3 Only if you don’t have a subdirectory \FO_DATA under


"I:\FIDELIO\SM_DATA", i.e. only if you work with an active S&C/FO
interface:

a. On I:\FIDELIO\SM_DATA on the home system, type


[sc_updat dbfcheck] to create the subdirectory temporarily (see page

The information displayed on this screen is taken from your License Code
database, i.e. in S&C Utilities -> Misc -> License Codes.

The first line displays the Hotel Name.

Laptop will be installed as: There are two choices in this line:

a. Sales & Marketing LITE. If the hotel has S&C Lite or S&C GEM
Express on the home system (or if Multi-Hotel is installed)
Lite is the only possible Laptop License.

b. Sales & Catering HOTEL. If the hotel has S&C Hotel or S&C GEM,

to the Fidelio Standard Laptop Installation guidelines this is where any laptop
installation should be located.

Using Front Office Data located in. Indicates the path of Front Office data
directory, taken from the License Code database. There are two choices at
this point:

a. the hotel has an active S&C/Front Office interface. In this case the
path will be something like \FIDELIO\FO_DATA or simply G:

b. the hotel doesn’t have an active S&C/Front Office interface. In this


case, the path will be something like
\FIDELIO\SM_DATA\FO_DATA where the "dummy" FO files are
located.

Enter the EXE-Path. Indicates the path where the S&C program files are
located. Normally, this is U:\FIDELIO\PROGRAM. (Enter another path
here, if your executable files are located somewhere else), then press [Enter]
to confirm.

Hotel specific R&R Reports Enter the name of the hotel.rp1 file (without the
extension *.rp1) which contains the hotel specific contracts, confirmations
etc. Example: enter IHCLON here, if the name of the hotel.rp1 is
IHCLON.rp1 for Inter*Continental London. Then press [Enter].
(If the hotel has more than one hotel.rp1, the other ones must be copied to
the laptop directory manually after the laptop installation).

The laptop must have at least 10 MB free or records will not be


downloaded from the network (home system) to the laptop. A message
will be displayed warning the user (see page 40).

Updating an existing Laptop Installation to Version 6.10

Updating an existing Laptop Installation to Version 6.10 is pretty much the


same as a new Laptop Installation. The SC_UPDAT.exe will delete all files
in the SCLAPTOP directory, but will keep the ID numbers stored in the old
sm_comp.dbf.

Step 1 Make sure that no pending downloads exist.

Step 2 If your hotel wishes to start using the option of printing from Lists and
Reports on the laptop, you must fill in the additional license in Utilities
Misc -> License Codes. This new license code should be typed in the field
LAPTOP REPORTS. Now when you update the version the files for report
printing will also be installed on your laptop.

Step 3 L_UNZIP.bat this file is used to unzip laptop downloads. It only has to be
located on the laptop in the sclaptop directory (not on the home system).
L_UNZIP.bat is created automatically if not existing. Therefore, delete
L_UNZIP.bat on the laptops.

Step 4 Follow all appropriate steps outlined under Installing the Laptop Module.

When a SalesRep downloads files to the Laptop, the Salesname is entered in


SY_DOWN.dbf as an encrypted entry - this is not a corruption in the
database!!!

The SY_DOWN.dbf is the database which is displayed when :


a. The Users press [Alt]+[U] inside S&C
b. You select Laptop Cleanup Download from the MISC menu in S&C
Utilities.

When the records are uploaded again, SY_DOWN.dbf is cleared.

1.2. SC_UPDAT.exe
The SC_UPDAT.exe with the new parameter LAPTOP was designed to
automate the laptop installation and update procedure.

Any Laptop installation (Laptop LITE, HOTEL and RSO) requires a


"dummy" front office directory \FO_DATA, which is stored under the laptop
directory on the laptop (C:\FIDELIO\SCLAPTOP). In this sub-directory, any
event and room block related databases are stored.

The sc_updat.exe requires that a "dummy" front office directory \FO_DATA


exists as well on the home system under the S&C data directory (usually:
I:\FIDELIO\SM_DATA) to copy the structures of the front office related
databases to the laptop. Therefore, there are two possibilities:

i. The hotel has an active S&C/FO interface. The front office files are
then stored in the "real" front office data directory, usually
G:\FIDELIO\FO_DATA. In that case, the "dummy" front office
subdirectory has to be created temporarily before the sc_updat laptop
is run and can be deleted afterwards.

ii. The hotel doesn’t have an active S&C/FO interface. In this case, the
"dummy" front office subdirectory already exists and therefore does
not have to be created.

2. Additional Information for Remote Laptop Installations

2.1. New Parameters, Databases, Files, Batches & Directories


New Parameters There are two new parameters on the SC.exe : HOST and DOWNLOAD.
These have been designed for use with the SC Laptop Remote User login.

These parameters take the place of a third-party communications software in


achieving the communication and transfer of S&C data between home system
and Remote User.

* Calling [sc download] on the Laptop will create the MODEM.ini in


the SCLAPTOP directory if necessary.

* Calling [sc host] on the home system will create the MODEM.ini in
the SM_DATA directory if necessary.

SC HOST can be run from different workstations at the same


time. Each workstation’s information, together with that
workstation’s modem telephone number, is written into the
MODEM.ini file in SM_DATA.

New Databases/Indexes/Fields
* A new database, SY_LAPTP.dbf has been created for use with the
Remote User feature. This database keeps a record of all Accounts
controlled by Remote Users; or tagged to be sent to Remote Users
with their next Dial In. This database should only be on the Host
system (SM_DATA) i.e. not on the laptop (SCLAPTOP directory).

* Two new Index files have been added:

SY_LAPTP.ntx - index on Sales Rep and ACCID


SY_LAPTP2.ntx - index on ACCID

* A new field, LAP_TYPE has been created in SM_SREP.dbf. This


field records whether the user is a Remote or Local User, or whether
they can be either (see page 12 for details).

* Change the field length for SM_LEAD->TO_ADDRESS. Should now


be Character 40. This now corresponds to the length of the
SM_HOTEL->EMAIL field.

FODATA files because the reindex must be run as soon as the
files have been downloaded and unzipped i.e. the user should
not be able to abort this function.

New Directories On the Laptop: three new sub-directories (in addition to FO_DATA,
described above:

* DOWNLOAD - stores the zip file transferred from the Host to the
Laptop during the download

* UPLOAD - stores the zip file transferred from the Laptop to the Host
during the upload

* LEADS - this directory is used either:

i. to store leads which are then sent via cc:Remote/cc:Mobile or

ii. to store leads which are then sent to the Host i.e. if they have
not already been sent via cc:Remote/cc:Mobile (see page 15 for
more details).

Another directory is created on both Remote and Local laptops called


SAVE. This directory stores a copy of the last upload file.

2.2. MODEM.ini - Host System & Laptop

or [sc download] (from the laptop).

On the Host System


The first time a user calls [sc host] (on the home system): if the MODEM.ini
file does not exist, then a screen will appear, prompting them to enter the

necessary. The workstation must have a modem attached and the
modem should have a connection to a telephone/ modem line).

Each time a new workstation is used, this screen will appear and the
MODEM.ini will be updated with the new workstation’s modem
configuration. Therefore, in SM_DATA, the MODEM.ini may have
five or six entries, depending on how many different workstations have
been used to call [sc host].

If desired, change the Host Name. All other settings should be left as they
are. The modem settings are defaulted to the HAYES COMPATIBLE
modem type.

On the Laptop
The first time a user calls [sc download] from the laptop: if the MODEM.ini
file does not exist, then a screen will appear, prompting them to enter the
necessary information. The screen looks something like Fig.17 above.

At this point, Remote Users should:

* if desired, change the Host Name.

* enter the Phone Number (including a dial-out prefix if necessary). If


adding a dial-out prefix, then enter [W] after the prefix and before the
rest of the number. The [W] (wait) acts as a pause while the outside
line is obtained.

Make sure that the string "X3" is set in line INIT (see picture below).

* if necessary, change the Communications Port (COM1, COM2, COM3.


Typically on your laptop there will only be COM1 or COM2 - sc
download will automatically pickup which COM port has the modem
attached.

* If desired, change the retry Dial Time in seconds.

All other settings should be left as they are. The modem settings are
defaulted to the HAYES COMPATIBLE modem type. Once the user presses
[Pg Dn], the MODEM.ini is created in the SCLAPTOP directory.

defaults depending on the workstation.

a Host. This is shown in the first line of the MODEM.ini e.g.

PREFIX_x the modem initialization.

a. on the Host, there should only be one prefix per potential Host
workstation.

b. on the Laptop, there should be one entry corresponding to each of the


available modem numbers i.e. PREFIX_1, PREFIX_2 etc. Maximum
of five entries possible.

PHONE_x telephone number from the Laptop to the Host modem.

a. on the Host: enter the telephone number for the modem attached to
the appropriate workstation.

b. on the Laptop: there should be one entry for each of the available
modem numbers available through the dialing selection pickbox.
Maximum of five entries possible (see page 33 below).

INIT Initialization string for the modem. Please note the following:

a. String "ATS0= ":

on the Host: The string "ATS0=1" means "do answer" - this should
be used for each entry in the server’s MODEM.ini (in SM_DATA on
the home system). The number "1" indicates after how many rings;
other valid values are 2, 3 and 4.

on the Laptop: The string "ATS0=0" means "do not answer" - this
should be used in the laptop’s MODEM.ini.

b. String "X3": The string "X3" means "ignore dial tone". "X3" should
always be entered if modem is connected to a telephone system.

RESET Reset command for the modem.

ANSWER Answer modem command, used for the Host.

a. on the Host: ATS0=n i.e. pickup after n number of rings.


n can be 1 - 5.

In some countries, with certain modems, some values may not


be valid (e.g. 1 is not a valid option for the Smarty modem
when used in Switzerland!). Check the modem’s manual if you
are experiencing problems.

b. On the laptop, enter ATS0=0 which means don’t pickup.

BAUD_x The Baud rate or optimum speed of data transmission.

a. on the Host: enter the maximum baud rate for the modem attached to
the appropriate workstation.

b. on the Laptop: There should be one entry corresponding to each of


the available modem numbers i.e. BAUD_1, BAUD_2, BAUD_3 etc.
Maximum of five entries possible.

DATABIT The value here should always be [8]

PARITY The value here should always be [N].

STOPBIT The value here should always be [1]

RETRY Indicates how many times the modem should automatically retry
the modem number it is calling.

DIALTIME How long (in seconds) to pause between retries.

As described above, when the MODEM.ini is first created the user is


prompted for the number to dial for the HOST computer. The MODEM.ini
can be modified so that a total of 5 numbers can be selected. These
(maximum) five numbers will be displayed as a pickbox for the user to select
from each time they call the HOST.

Use this option if different prefixes are needed to obtain an outside


line, depending on where the Remote Sales Manager is when they call
home.

Currently, modifying the MODEM.ini should be done using an ASCII text


editor such as EDIT.com. The modification can either be completed as a
one-time action at installation time or ad hoc by the Remote Sales Manager.

If the Remote Sales Manager will be changing the MODEM.ini, then


an additional option should be added to Laptop’s main Fidelio menu.

Edit the MODEM.ini and change/add the following lines:

* NAME_1 -> NAME_x i.e. NAME_1, NAME_2 etc. Each NAME_x


entry should be on a separate line (see below for example)

* PREFIX_1 -> PREFIX_x i.e. PREFIX_1, PREFIX_2 etc. Each


PREFIX_x entry should be on a separate line (see below). Enter a
PREFIX_x line for each NAME_x and PHONE_x - even if the
prefixes commands are all the same.

2.3. If a Remote User Leaves the Hotel/RSO


If a Remote User leaves the Hotel or RSO, please make certain that the
Systems Supervisor completes all the following steps (in this order):

Step 1 Remote User performs final upload from Laptop to Home System.

Step 2 The System Supervisor at the Home System checks that the upload is
complete (use the Hot Key [Alt]+[U] in S&C to check the last Out and In
dates).

Start S&C Utilities and go to Misc -> Laptop Maintenance -> Cleanup Sales
Rep. At the prompt, enter the initials of the Sales Rep who is leaving and
your screen will look something like this:

If you answer [Y], the Cleanup Salesrep procedure will run. All files in the
selected Sales Rep’s \SM_DATA\LAP_xxx directory are deleted.

Step 3 The System Supervisor enters the new Remote User as a Sales Rep and
assigns this Sales Rep to users as appropriate.

Do not change the HOTEL_ID or HOTEL_CODE fields (see page 9) -


these fields refer to the Laptop and not to the Sales Rep.

Step 4 When no users are in S&C, the System Supervisor performs a Search &
Replace on the Account and Contacts databases with the help of S&C
Support, replacing the "old" Remote User’s initials with those of the "new"
Remote Sales Rep User.

Step 5 The System Supervisor or another colleague prepares the first Download for
the new Remote Sales Rep User, tagging the desired Accounts and pressing
[F12] to create the Download file.

The easiest way to prepare the new Download is to edit the old
Remote User’s mailing query, changing the old Sales Rep’s initials to
those of the new Sales Rep and then running the query.

Step 6 The new Remote User dials in and performs their first Download.

2.4. Training Tips for Remote Users


During the training, all Remote users should be taught the basics of their
(new) laptop computer. Sales Reps that join after the initial training should
also be taught. Please don’t disregard how important these points are - initial
training will cut down wasted time while S&C Support tries to help fix basic
problems. The following is a brief checklist:

a. General care of their laptop - avoid extreme heat/cold, direct sunlight,


magnets, dropping the laptop, spilling drinks onto laptop etc. It’s a
valuable piece of equipment (and of course the data in it is valuable
too), so proper care should be taken.

b. Make sure that every user has a manual for their laptop and for their
modem or PCMCIA card? They should review the Laptop manual and
keep this and the modem/PCMCIA card manual in a safe place.

c. Power on/off and (if applicable) stand-by option. Average life of their
battery. They should experiment with power saving options. What to
do if their battery runs out. If travelling overseas, do they have the
right adapters for their plugs - they don’t need power adapters
(transformers), only plug adapters.

d. When is it okay to turn the computer on and off i.e. not while S&C is
open, not while Up/Downloading, etc.

e. Booting locally and (if appropriate) booting to the network - why the
menus look different, why they have to "log in" on the Network, but
not on the laptop.

f. Power On Passwords : if they have one, this should be kept on a list


in a secure place at the Home Office. If they change it, the Home
Office list should be updated at once !!

g. How to insert and remove a disk from the floppy drive i.e. which way
up, which side in first etc. Avoid magnets around floppy disks! The
security X-ray machines at airports are normally fine for laptops.

h. The floppy drive is normally called [a:]. The hard drive (where the
data is stored is normally called [c:] - they may also have a [d:]. the
Fidelio environment for a laptop substitutes drives e.g. [i:], [u:] etc.

i. How to format a floppy disk - make sure there’s a menu option for
this so that mistakes cannot be made. How to "write protect" a disk
and how to change this.

Laptop Maintenance
The options for Laptop Maintenance are located in S&C Utilities under the
Main Menu option Miscellaneous. These are:

a. Laptop Cleanup Checkout


b. Laptop Cleanup Salesrep
c. Laptop Cleanup Download
d. Mark Systemfiles for Download

In general, the options a., b. and c. are only to be used to clear problems with
a laptop, i.e.:

* if for any reason, the normal procedure for uploading accounts is


blocked, or

* if a laptop has been lost, stolen or the hard disk has been irretrievably
damaged.

The option b. is also used, if a Remote Laptop User leaves the company (see
page 35).

Please refer to the S&C Utilities Manual for further information.

Troubleshooting Notes
This section is designed as a quick reference guide for some of the more
common problems/questions that may occur when working with the Laptop
Module. If you have a query which is not detailed below, please contact
your local Fidelio S&C Support Desk.

WARNING !! if a laptop has "crashed" or been lost or stolen, DO NOT


simply re-run the laptop installation, but call your Fidelio Support Desk
before performing any action ! (This is because the ID numbers have to be
reset "manually").

The SAVE directory Automatically created on the laptop is the SAVE directory. This is created
to store a copy of the last upload file. Before the upload is called, the zip file
is copied into the save directory (just in case !).

Some Common Errors on Network (Home System)


Example 1 When downloading (with [F12]) from the Home System: having filled in the
desired number in the Expected check-in date field, you see this message:

This is because there are not enough "File Handles" set for the laptop when
it is started. The File Handles should be set to a minimum of 190
on the laptop (and a maximum of 240). You will not be able to download
until this is fixed.

Action: A one-time configuration change is needed for this laptop:

Quit Sales & Catering. Ask your Systems Manager to change the
number of file handles in the AUTOEXEC.bat file which is one of
two files configuring your laptop each time it starts up. This only
needs to be changed one time and you will not have this problem any
more.

Check the number of files in the CONFIG.sys and then go to the


AUTOEXEC.bat and change the FILES= command to FILES=190 (or
whatever number will add up to between 190 and 240).

Save the new configuration, reboot the laptop and start Sales &
Catering again.

As you had started the download process, and the records have been copied
to the temporary LAP_xxx directory under SM_DATA, we would
recommend that before continuing with the download, the SalesRep first
uploads, then marks the necessary accounts and performs the download again.

available. If the laptop has less than 10 MB of available (free) disk space,
this message is displayed when you try to download records.

Short Term Solution: On your Laptop, delete unnecessary files or copy


them to the Home System to create the necessary space.

Long Term Solution: Talk to your Systems Manager about increasing the
total diskspace on your Laptop.

Example 5 If you have marked the desired Accounts and are now trying to download
and message something like this appears:

[set lapdrive=c:] (or d:) in your AUTOEXEC.bat.

Action: Quit Sales & Catering. Then either:

It is most probably that you do not have the standard Fidelio environment
setup on the laptop. The system is looking for this file to increase the
current file handles; and on this laptop, the file NET.cfg does not exist in
one of the following Fidelio standard directories:

C:\NOVELL\NET.cfg
C:\NWCLIENT\NET.cfg
C:\NET.cfg
A:\NET.cfg

If the NET.cfg is not in one of these directories, the system does not
recognize the file handles increase and gives you this warning.

Action: Make sure the NET.cfg is located in one of these directories, if


necessary by copying the file from it’s current location to one of the above.

For example, it may be that your laptop is looking for a drive H: and you do
not have a Drive H: set up on your laptop.

Short Term Solution: Go back and start the mailing again. This time, type
in the full path for your Wordprocessing documents. If you don’t know
where that is, then we recommend you type c:\fidelio\sclaptop\xxxx.txt
(where xxxx.txt is the document name).

When you return to your Hotel, please ask your Systems Manager to change
the default path as described in Long Term Solution below.

Long Term Solution: When you return to the hotel, ask your Systems
Manager to do the following:

a. On the laptop type [fclip] and press [Enter]


b. Once in fclip type [use sy_info] and press [Enter]
c. Type [edit] and press [Enter]
d. Go down to the field WP_PATH and change the WordProcessor path
to the correct one for the Laptop User whey they are on the road.

Trouble Shooting : Remote Users


The following are a few basic helpers for the Remote User login:

SC Host "doesn’t work"


If you call [sc host] from a computer that does not have a modem plugged
in and turned on, then you go straight into S&C. As the system starts up, it
checks for a modem on the applicable computer’s COM(munication) port(s).
If no active modem is found, messages informing you of this will be
displayed as the system starts. If you miss the messages, it looks as though
the [sc host] parameter "isn’t working" when in fact, it’s really a user
oversight !

Action: If necessary, plug the modem into the appropriate computer and
turn the modem. Quit S&C and call up [sc host] again. If the
modem is already on, check that all necessary cables are firmly
attached before quitting S&C and calling [sc host] again.

"Hanging Modem" If experiencing problems with the modems, check the modem manual !
Since every make of modem is different, this is your best source of
information.

Problems with Laptop’s Modem


If the Remote User is experiencing problems with a modem which has been
working fine, check the following:

a. are all cables plugged in properly i.e. modem -> pc and telephone line
-> modem? If you have a PCMCIA card, is the modem adapter
connected correctly ?

b. does the modem have power?

c. is the telephone line working? Plug in the regular telephone and try
dialing an outside number direct i.e. not through the hotel operator.

d. have they paid their telephone bill? (don’t laugh, we’ve already had
this one happen !)

e. is the number required to obtain an outside line entered in the


MODEM.ini correctly?

f. is the telephone system pulse or tone and (if appropriate) is the modem
set correctly? To check, listen to the dial tones - if it is a series of
short pip-pip-pip sounds, then it is tone; if it is a longer click-click-
clicking, then it is probably pulse.

g. if trying to establish a connection from a hotel room: is this a data


line? Is it possible to test the modem using the hotel System
Manager’s data connection?

h. try rebooting the laptop. This will re-initialize the modem.

i. if possible, try the connection with an (another) external modem -


check with the Hotel’s Systems Manager or Manager on Duty if you
can borrow their modem. Fidelio hotels will have an external modem
located in Front Office attached to the Night Auditor’s station.

We recommend you follow these steps with the help of S&C


Support: plug this modem into the laptop’s COM1 or COM2
port and make sure it has power; then rename the MODEM.ini
in the SCLAPTOP directory (as a backup) and call up SC
DOWNLOAD again - a new MODEM.ini will be created.
