Recital Handbook

“The Greatest Show”

Mahaffey Theater
June 8, 2018
Ticket Sales
th
Tickets will go on sale at noon May 25 (Friday) at the Mahaffey
Theater. All seats are reserved at a cost of $21.00 plus a $3.50 facility
fee for a total cost of $24.50 per ticket. Tickets can be purchased via
the theater's website, phone line or box office. All tickets purchased on
line will be charged 10% of the total price in service charges. I highly
recommend going to the Mahaffey for your tickets at the box office to
avoid this added charge!
Children under one can be in their parent's lap. Remember to buy a
ticket for your dancer to sit in the audience for the half of the show that
they are not backstage. Children performing in both halves will remain
backstage for the entire time.

Stage Mother’s Meeting

The Stage Mother’s Meeting is Thursday May 10 at 7:00 pm at the
studio. Please bring your recital booklet and pencil for notes. Even if
you have been a helper before, this meeting is required. All helpers
must attend. Please email brucie@brucieklays.com if you cannot
make this date, I will have a few follow up meetings.
All backstage helpers will be able to purchase their tickets prior to the

general sale on May 25 . All tuition and dance fees must be paid for
this early sale process

High Energy Company and Stars Performance Team Auditions


Auditions for our teams for our 2018-2019 dance year will be held on
th
Saturday, May 19 . Sign up and payment of the $15 audition fee will
be at 1:00-1:30 PM, with combinations taught at 1:30-2:45 PM. We
recommend that you register early during regular class hours the
week prior. This would make your arrival time 1:30 PM.
Dancers will audition from 3:00 PM – 5:30 PM in front of three guest
judges. This will be the only audition for next year’s BKDC dance
teams. Those selected will sign up for the team camp that will be held
August 20 – 24. Information about the different teams will be available
through the office and posted on the bulletin board. Please contact us
if you are interested, but cannot make the auditions.
Age and score will determine placement in BKDC High Energy
Company and Stars Performance Team.
Video Taping
Videotaping and picture taking is strictly prohibited during the
performance. You may take pictures and video during dress rehearsal
only. I recommend taping your child only, for star quality! Our
professional DVDs will show the full show and many children enjoy
watching the recital over and over.

Orders will be taken prior to the day of the show. Return Form at the
back of this booklet with check payable to Brucie Klay’s Dance Center.

Name check
Please check for the correct spelling of your dancer’s name in the
recital program name check and let us know about any needed
changes. This draft will be sent through email. Please find your
dancers class or classes in the program and notify us of any mistakes.

Backstage Passes
Each family will receive one backstage pass. This pass will allow one
parent to take their child back to the appointed dressing room and
leave them in the care of the backstage helper. At the end of the show
or half, that same parent will return to pick up their child. This pass is
needed for the dress rehearsal and the show. You will not be allowed
backstage without this pass.
Megan will have the backstage passes available in the office
beginning May 21 (Monday). At this time please check your account
that all fees for the year are paid in full. Also update any changes in
address, phone or email.

Program Ads
Recital program ads can be purchased by summiting the layout to
Brucie@brucieklays.com with payment made to the office by May
12th. They can be > pdf, eps, jpg, tif, Illustrator file or Photoshop file.
Prices are $75 for ¼ page, $125 for ½ page and $225 for a full page.
The programs are in color and measure 8 ½ by 11. Payment should
be made to Megan in BKDC office.

Picture Day
Our pictures in costume will be taken at BKDC on April 30, 2018.
We have a new company, D & B Photo with 4 photographers working
on this one day. At the assigned time your child will be part of their
class photo and then pose alone for 6 photos. The pictures will be
available to view immediately following and for purchase at your
choice. They will give a thumb drive with your purchase and a photo
release to use your pictures anyway you would like with more options
on-line.
Schedule of Picture Day
This schedule was given the first week of April to all students and sent
through email using Constant Contact from BKDC.

Dressing Room Assignment Cards


Any dancer in two or more numbers during the recital should have one
dressing room assignment card filled out. They should carry it with
them backstage in order to assist the helpers and themselves with
pre-setting their costumes at dress rehearsal and recital. Cards are
available in the office or from the teachers.

Parking at the Mahaffey:


Parking is $10 cash each night for dress rehearsal and show night.
When tickets are sold for the BKDC recital at the Mahaffey Box Office,
the purchaser has the option of buying parking at the same time they
buy tickets.

Dancer Drop-Off/Pick-Up for Dress Rehearsal and Show


All Creative, Hip Hop Bunnies and 5 Year Old Creative dancers,
including Saturday Ballet/Jazz Combo Class will come with their
parents to the lobby of the Theatre to a designated drop off area. Once
arriving, the entire class will be taken by the backstage helpers to wait for
their dance in the program.
When your child is finished at the dress rehearsal you will again go to the
designated area in the lobby immediately following your child’s dance. At
the performance you will meet your child in the lobby at intermission.

Dancers in Level I, Basic and up will be dropped off at the backstage


door located to the left of the loading dock which is visible as you enter the

lot. The facility sits on First Street South between 4 Avenue South and 5
Avenue South.
Parents will need to pay parking of $10 at the dress rehearsal and at the
performance night. The parking is cash only so plan on this both nights.
For younger dancers, parents will want to escort their child into the
building and to their appointed dressing room. Once the child is settled the
parent will exit and go to the main entrance to the theatre. .

2 half dancers will also arrive the same way to place all costume parts

back stage. These dancers that are only in the 2 half will then go with
their parents out the backstage door and around to the theatre. They will
be able to watch the first half with their parent, just like our show will run
on the following night. At intermission parents will bring their child
backstage.
This walk area will be stage left or when facing the theatre stage to the
right.

For both 1 and 2 half dancers, you may take your child immediately
following their dance at the dress rehearsal, but during the performance
only at intermission or the end.

On recital night, dancers that are only in the 2 half do not need to check
in early backstage. These dancers will come to the audience the night of
the show and go back stage through the theatre at intermission.
Be sure to leave all costume parts back stage at the end of the dress
rehearsal.

Again, all traffic through the theatre to backstage is allowed, but returning
to the theatre parents and dancers must walk outside and around to the
main entrance. This rule is in place to have successful escort of our
dancers to their dressing rooms during the 20-minute intermission and is
required by the Mahaffey for ticketing on show night.

This will be enforced during the actual recital night. During the dress
rehearsal there is more freedom to go back and forth, but it is very
important to have your backstage pass with you!

Parents: Lobby doors will open at 5:30 PM

All students will enter with one parent and backstage pass through the
stage door to their appointed dressing rooms. Dancers in multiple dances
will have their dressing room assignment cards and pre-set all costumes.

Note: These cards should be filled out prior to the recital day and brought
with the dancer to assist backstage helpers in delivering the child to each
dressing room for each number (Pre-set your costumes as soon as you
arrive and then return to your first dressing room for the start of the show,
or to the audience if you are only in the second half).

At intermission, all children in the second half of the show will be escorted
backstage by their parent with a backstage pass. After leaving your child
with the designated helper you will return to the theater to watch your child.
When your child is finished with their dance you may either take them
home or return to the theater to watch the remainder of the dress
rehearsal.

During the actual performance on June 8 , you will only be allowed to go
backstage during intermission and at the end of the show.

Dancers should pre-set costumes in the backstage area at the end of the
nd
dress rehearsal in preparation for the next evening. Those in the 2 half
only do not need to come at early call the night of the show, and will be
able to enjoy the first half of the show seated in the theatre. With
costumes pre-set, there will be no need to go backstage until intermission.

After each dance, dancers in more than one number will progress to their
next dressing room where their costume is pre-set. If their next number is
in the second half of the program they will remain with their class in the
first half until the intermission.
Recital Night

Friday, June 8 at 7:00 PM
The Mahaffey Theater
Full costumes and make-up are required.
Check in begins at 6:00 PM.
Dancers must be in their assigned dressing rooms at 6:30 PM
sharp!!

All students in the first half of the show will get situated back stage. Please
pre-set any costumes in designated dressing rooms if you are in more
than one number. After costumes are set you will go to your first dressing
room assignment. If you are only in the second half of the show you do not
need to arrive at the early check in time. You must however pre-set all
your costumes at the end of dress rehearsal.

At intermission parents will enter the backstage area with their pass.
 If your child is only in the first half of the show, at INTERMISSION
ONLY you must come backstage with your pass. You will then take
your child outside to the main entrance of the theater to be seated with
a ticket you purchased for your child to watch the remainder of the
show. (Parents should be sure to keep their own ticket stub to re-enter
the theater.) Parents picking up the Creative Dance children in the
lobby will need a ticket for their dancer if you are planning to stay for
the second half of the show.
 If your child is only in the second half, you will watch the first half of the
show and then bring your dancer back stage at intermission.
 If your child is in both parts of the recital they will remain backstage
the entire time.

Students that are in Creative dance classes are allowed to wear their
costumes to the recital and can sit in the theater in costume. Children in
Level I and up should wear regular clothes in the theater when watching
the show and change to costume when backstage. After your child has
performed they may leave their costume backstage to pick up later that
night after the performance. All dancers should come with all make-up and
hair fixed.

Finally - For the safety of your children please follow the above
procedures; please be sure to remember your backstage pass and ticket
stub at all times. For simplicity, you may choose to pin the pass and ticket
stub on your lapel
Questions about This Handout:

Parents open meeting for anyone with questions on May 17 at 7:00 PM at
the studio. This meeting is not for the Backstage Helpers. The meeting is
held to help any families new to the studio that are unsure of the Recital
Booklet and have additional questions. You are always welcome to email
questions to brucie@brucieklays.com

Hair and Makeup


Full make-up is required for the dress rehearsal and the performance.
Small children need brows, blush and red lipstick. For older children add
some eye make-up, no blue shadows, use brown for shading. All make-up
for small children should be done prior to leaving them backstage with the
helper.

Costume Care
We recommend that your child’s name be placed in all costumes, shoes,
accessories, and tights. Place costumes on hangers (The drycleaner
hangers with paper are good for writing the dancer’s name on) and
accessories in a clear plastic bag (Ziploc bag) with your child’s name on
the bag and on each item.

Make a checklist of your child’s routines, listing their costume, tights,


shoes and any accessories and check it before leaving for the theatre. We
have costume cards available to use for these notes and you should bring
to the theatre to show backstage helpers where your child should be and
what they will wear. These cards are for students in more then one dance
and you can ask a teacher for a card.

Summer Dance:
Early registration for summer activities is during office hours at the studio,
Monday-Thursday. We have different programs for all ages this summer
so please check out all information.

IMPORTANT!!
Please note that parking will be sparse due to combining classes
during some hours, so please plan on giving yourself extra time to
arrive and safely walk your child from your parking space. Be
courteous to my neighbors on Kensington and at Manhattan Nails
next door.
Additional rehearsals:
Classes combining in the recital will have additional practice time
together planned by your teacher.

High Energy & Stars Performance Team > We will be using the two
hour time block for Monday’s classes as rehearsal time.

Jazz IV/V & Jazz V > Dancers in these classes should come for both
classes 5:15 PM – 7:15 PM for the month of May

Adv. Acro /Voice & Theatre/ Theatre Jazz Classes > A detailed
rehearsal schedule will be given to these dancers and will be posted in the
studio.

Int. /Adv. Tap Mon. & Tues. > Dancers in these classes should come to
both days for the month of May.

Basic/Int. & Int. /Adv. Lyrical Contortion Monday &Thursday >


These classes are combining in recital so dancers should plan on coming
to both Monday and Thursday night classes for the month of May.

SR. Int. Acro & Cheer, Dance Wednesday >


Dancers in these classes should come to both classes for the month of
May.

Jazz I & Basic Tap Tuesday >


Dancers in these classes should come to both classes for the month of

DVD Order Form
This year’s recital at the Mahaffey Theater will be professionally
taped by Hug Media. They will be using 2 camera angles for an
excellent result. Parents are encouraged to still film their dancer
during dress rehearsal. This professional film will be of the entire
show and children love to watch the DVD over and over again.
All DVDs must be ordered in advance to the recital by returning
this form with payment. Please fill out bottom of this form and
make checks payable to Brucie Klay’s Dance Center. Detach
information box and return all forms to the studio office.

Can be combined with All Day Camp @ combined price of $250
Instruction with the Dancer’s Stretch band, the Boulder back hand spring
mat, foam rollers, yoga blocks and sliders. Key exercises to increasing
flexibility, core work for better balance and more turns

High Energy and Stars Performance Team Camp


Aug. 20 – 24 Cost $125
This is the required camp for all dancers chosen for BKDC teams 2018-
2019. Dancers need to be signed up and paid by June 1, 2018 to
participate in next year’s team.

*BKDC reserves the right to cancel any camp or class if enrollment is low. In this
case all deposits will be returned in full.
