Introduction
The Xerox 6204 comes to the market with a scalable engine that is capable of Print Device Features Summary
printing, copying or scanning, all at a resolution of up to 600 dpi.

When media is loaded, the printer must be set for the correct media type.
Monochrome Wide format printers generally max out at 36” in width and the
linear footage of the roll’s length or the print driver limitations. Rolls are
loaded onto a spindle that drives the media into the printer.

Loading and Unloading Media Roll

Media loading on the Xerox 6204 is easy and doesn’t require


much instruction.

Media is loaded center justified onto a 40 inches long spindle


that has drive gears at both ends. The spindle is universal
and can be loaded either way and handles media up to 36
inches. The drive motor drives the spindle on one end of the
spindle. This helps prevent users from loading media incor-
rectly.

After media is loaded onto the spindle, users spin the roll
until media is sensed and is pulled in by the feed rollers.
There is a media feed button on the right side of the paper
tray that allows the user to hold down to feed paper and then
cuts a straight edge when the button is released.

Media is now ready to be set in the control panel of the ma-


chine. Users have the ability to set the media size to multiple
standards such as ISO, JIS, SP, ARCH, and ANSI. Media is
automatically sensed for size. Users must change media
type and weight manually through the Media Type/Weight
tab on the control panel from the default Ordinary Bond set-
ting. There are three settings for each. The choices for Me-
dia type are Bond, Vellum, and Film; and the choices for me-
dia weight are Light, Ordinary, and Heavy.

To Unload media, users simply retract the roll and lift out the
roll and spindle together.

WHAT WE LIKED

• We liked the universal spindle and how the paper doesn't


have to be loaded in a certain direction. This prevents
users from loading paper incorrectly.
• Media was very easily loaded and unloaded. Users just
have to retract the roll in the reverse direction to remove
paper. When loading, simply feed the paper into the roll-
ers and the machine auto senses and pulls the paper in.
Once paper is loaded, users can feed and cut for a nice
clean edge.
• When media is loaded, the machine automatically senses
what size the roll is and doesn’t prompt the user to change
media type, given the fact that 90 percent of the time us-
ers will use the default paper type.

WHAT WE WOULD LIKE TO SEE

• We would like to see an option to choose a paper drawer


for the second paper source. This would enable the
printer to be used for cut sheet printing and could possibly
eliminate a need for additional printers for the user.

Optional in-line folding units are often offered on monochrome toner-based wide

Handling Finished Prints


Prints from monochrome Multi-functional Peripherals (MFP) tend to curl due to
the paper coming from a roll. Traveling through a fuser helps straighten the
paper, but there is still a little curve left in the paper. To counteract this
phenomenon, monochrome wide format manufacturers have come up with
different ways to handle finished prints. As a result, most standard receiving
trays have face-down delivery. If unattended printing is a big part of a
company’s workflow, special consideration must be taken to secure the right
finishing option. Three-hole punch and a separate stacker is an option with
some folder units that are attached to a monochrome wide format MFP.

Media Handling Output

The Xerox 6204 system configuration that BERTL tested had a


standard front exit stacker for copies and prints and an optional
original rack that was removable and hung off the back of the ma-
chine when not in use. This is the only configuration that the
Xerox 6204 comes in.

The original rack helps keep originals in order when doing many
originals at once. Without the original rack, originals are fed into
the scanner and redirected back out to the user. With this setup,
copying multiple documents can be cumbersome and the finished
originals must be set on a work table. An original receiving rack is
also recommended to keep multiple originals in order.

Three redirection guides that clip onto the back of the scanner
redirect scanned originals back to the user and are handy when
scanning or copying only one or two originals at a time or when a
work table is available to manually set originals on.

WHAT WE LIKED

• We liked the option to use the original receiving rack or redirec-


tion guides depending on the user’s workflow requirements
and/or workspace limitations.

WHAT WE WOULD LIKE TO SEE

• While we liked the original receiving rack, we would like to


see an easier way to fold down the rack and hang it off the
back of the machine when not in use.

Paper Jams: The main device issue that office users attempt to remedy Toner replaceable

more complex the process of removing paper jams becomes. Poor loading
of paper supplies are a common culprit when jams do occur. Paper jams
with wide format monochrome devices are sometimes attributed to the
feeding of originals, since multiple types of originals will be scanned and/or
copied.

Machine Cleaning: Routine cleaning is part of the routine maintenance of


wide format monochrome devices. Cleaning of the white plate or scanning
glass is necessary for consistent image quality and is, most times, carried
out by common users.

Routine Maintenance
Toner replacement process

Toner replenishment in the Xerox 6204 is easy to do and is


meant for the common user to perform.

The machine will prompt the user with a message that reads
“Load Toner Soon” on the operations panel when the ma-
chine is running low on toner. When this message is dis-
played, the machine can print approximately 500 more D
size sheets before the machine stops printing. This mes-
sage will be displayed alternately with the “ready to copy”
message.

When the machine runs out of toner, the machine stops and
displays the message “Load Toner.”

Before performing toner replenishment, if the original receiv-


ing rack is attached it needs to be removed in order to lift
the cover and gain access to the toner hopper when replen-
ishing toner.

The directions for toner replenishment in the Xerox 6204


user guide instructs the user to lay down paper just in case
the toner spills on the floor, a precaution experienced users
are accustomed to.

Toner bottle fits into notches and then a lever needs to be


slid over to release the toner into the machine. Directions
for toner replenishment are conveniently marked on the ma-
chine.

Routine scanner cleaning

Xerox recommends cleaning the scanner glass periodically


for consistent copy and scan quality.

The scanner document cover is easy to remove and Xerox


recommends cleaning with a dry soft cloth. For better
cleaning, use a damp cloth or a cloth with a Xerox cleaning
solution. BERTL noticed that while removing scanner
document cover, which can be removed from the unit
completely, it is possible to damage or scratch the scanner
glass if attempted by a first time user whose unaware of the
complete separation of the components.

Replacing waste toner bottle

To replace the waste toner bottle, the user must first remove
the original receiving tray and open the clam shell portion of
the machine.

Once the clam shell is open, the waste toner bottle is easily
accessible. The waste toner bottle just needs to be slid out,
capped , thrown away, and replaced with a new one.

Paper Jam removal

Paper jams in wide format machines can be tricky to remove


on most machines and the Xerox 6204 is
no exception.

When a paper jam happens in the print


engine, the user is prompted to remove
the jam by lifting the upper unit (clam
shell) and lifting the green handle “A,”
which pulls the paper through about 10
inches. The tricky part is if the paper has
not yet been cut and is still attached to the
roll. If this is the case, the machine will
prompt the user to open the two front
doors and follow the jam removal instructions on the label.
The label instructs the user to press the feed and cut key
that is generally used when loading a roll, and the roll is fed
and cut. Now the paper is free from the roll and is able to
be removed from the machine.

More common jams will occur in the scanner due to the


wide range of originals that will be fed through the machine.

If a Jam occurs in the scanner, the user is prompted to


remove the scanner cover to remove the jam. The entire
cover comes off the scanner and if you’re not careful, it is
possible to drop the cover on the floor or worse, the scanner
glass can break or just scratch. When removed and
replaced carefully, jam removals are easy.

WHAT WE LIKED

• We liked how easy and mess free it was to replace the


waste toner bottle. This tends to be a messy job that
most try to avoid. With the Xerox 6204, this is not the
case. The waste toner bottle is easily slid out, capped,
and thrown away.

WHAT WE WOULD LIKE TO SEE

• We would like to see an easier way to remove jams when


they occur in the print engine. When the machine jams in
the print engine and is still attached to the paper roll, it
can be difficult to remove if not done properly. A manual
paper cutter built into the machine or a button that acti-
vates the automatic feed and cut system that can be ac-
cessed when the clam shell is open could simplify remov-
ing this type of jam.
• We would like to see the scanner document cover stay
attached to the machine rather than the ability to com-
pletely remove it. While completely removing it allows for
better access to jammed originals, keeping the cover at-
tached would prevent any accidental damage to the cover
and or scan glass while removing and replacing it.
• A self contained toner cartridge might be a better way to
guarantee a mess free toner replacement system.

Device Management
An efficient device management backbone is needed to
take full advantage of the feature set within a device, be
it a printer, scanner, copier, or multi-functional product.
Device management is commonly-supported through a
Web interface on the device controller that can be
accessed using any desktop Internet browser. The user
simply enters the IP address of the device into the URL
address line.

Administrators and users have different management and monitoring


needs.

Users
End users want to know if a device is capable of handling a job. Supply
levels and a list of jobs already committed to print are important.

For MFPs with document storage and communications capabilities,


end users also need desktop management of print on demand, stored
document viewing (to check print on demand files or scanned files) Device management from the device touch screen
and, for the more advanced, the creation of scan-to-email or scan-to-
file destination templates.

Administrators
An office or network manager looks for greater control over the device

Status Monitoring

The Status of the device is conveniently accessible through


any Web browser by typing in the IP address of the device.

With the Xerox FreeFlow® Accxes® Controller, the Web


interface offers a multitude of information including device
status, device configuration, feature set, network settings,
and much more.

Cost Control Reporting

Cost control reporting is an option with the Xerox FreeFlow®


Accxes® Controller. With the accounting option turned on,
Security is increased and System administrators can then
track usage by accounts, sub-accounts, type of media, and
scans performed by each account. Xerox Job Based Ac-
counting is also supported by major Third-Party vendors like
Equitrac, Sepialine and others.

Scan Job Management

Scan management is controlled by Accxes® Client Tools


through the Document Retrieve tab. Here files are
imported from the controller on the device from up to 46
mailboxes and four FTP locations. Mailboxes can be set
up to automatically retrieve images and place them into a
specified client or network folder.

Retrieval Setup is accessed through the retrieve menu


Retrieval Setup option. This is where user preferences are
set. From the Retrieval Setup window, users can select a
third party application to open and manipulate images
when needed.

Job Queue Management

With the FreeFlow® Accxes® Controller, users can monitor


all printer queues from the Printer Queue tab in the
WebPMT (web interface). There is a Job Queue, Mismatch
Queue, and active queue to manage your jobs. From these
tabs users are able to very easily cancel, prioritize, and view
pending jobs.

WHAT WE LIKED

• We like that users are able to not only view the status of
the device, but manage the device from the WebPMT
Web interface. Most device configurations can be set
here.
• We liked how easy it was to set up a scan repository and
how users or system administrators have the option to
set up auto polling of a scan mailbox so that whenever
anything is scanned to a mailbox with auto polling turned
on, the scanned images are automatically uploaded and
deposited into a specified folder with a predetermined
prefix naming structure and a choice of including scan
date, i.e. BERTL_20071901_####. This requires little to
no user intervention once it’s been set up.
• We like how the device can be set to require a password
for restricting access to device settings both from the
WebPMT and the device itself.
• We liked how easy it was to set device defaults for print-
ing, copying, and scanning from the WebPMT Web inter-
face.

WHAT WE WOULD LIKE TO SEE

• We would like to see more information about pending


jobs in the job queue. For instance, being able to view
the progress of jobs that are processing would be very
helpful. This would limit jobs from being canceled prema-
turely for fear of a problem when processor intensive jobs
are being processed.
• We would like to see a way to store jobs in memory for
print on demand purposes.

Most MFPs now offer a standard or optional hard drive. Although document secu-
rity is not as common as on the cut sheet MFPs, there are manufacturers that are IPv6 No

Controlling Access
One of the keys to security is limiting the initial access to the device both remotely
and at the device itself. TCP/IP and MAC filtering allow the administrator to limit
remote access to the device. MAC filtering is more secure; the TCP/IP address
can be copied but the MAC address is a fixed specification that can not be
changed.
IPv6 is now becoming commonplace on network devices. IPv6 makes it harder to
crack or hack into a PC address range by making the address more complex.
Network authentication is now available on nearly every MFP and printer, forcing
users to enter a user name and password before access to the device is granted.
Most devices can verify a user by linking to Windows Exchange user lists, Novell
network user lists, and LDAP server lists.
There should also be password encryption at the point of the login process
through SSL or other encryption or other security technology (such as Kerberos)
preventing hackers from watching and capturing user names and IDs as they
travel over the network.

Security Options

Security on the Xerox 6204 with FreeFlow® Accxes® Print


Server is comprised of an administrator password for ac-
cess to network settings, system parameters, user man-
agement and system tools, which can be accessed
through any Web browser by typing in the IP address of
the device from any workstation on the LAN and entering
the administrator password.

Log In/Out button

When enabled, the System Password must be entered to


gain access to administrator setting and to shut down the
device.

A great advantage with the FreeFlow ® Accxes® Print


Server is the optional Job Accounting module. With the
Job Accounting feature installed and set to “enabled,” us-
ers are prompted to use an assigned User ID and Account
ID that keeps track of prints, copies, and scan usage.
Jobs printed with invalid IDs are printed with an error page.

Accessibility
In the U.S., Section 508 legislation prohibits government agen-
cies from purchasing devices that are not accessible to those
with physical impairments. For this reason—and the corporate
world’s increased focus on delivering a better work environ-
ment for all—user-friendly features for physically-impaired us-
ers are considered more and more.
Common design features include tilting control panels which give wheelchair-
bound users a better view of the screen and larger display options for those
with impaired vision.
Voice navigation and Braille also are becoming increasingly popular. Easy
access to the paper path for jam removal or front access to toner supplies
make a device more user-friendly to all.

User Accessibility to Device Controls

The Xerox 6204 Printer control panel has an easily visible fixed screen with
hard key buttons and LCD touch panel with contrast adjustments. The controls
can be accessed adequately from a seated position.

User Accessibility for Media Refilling

The Xerox 6204 paper rolls can easily be replaced from a seated position.
Both media rolls are accessed at the front of the machine.

User Accessibility for Media Jam Removal

Disabled users can view the tilted control panel screen to locate a paper jam.
With the device’s short paper path, wheelchair bound users should be able to
handle any jam that occurs with the same ease as a standing user.

User Accessibility for Routine Maintenance

Toner is replaced at the back of the machine, therefore, adequate space is


required around the machine to allow wheelchair accessibility for toner re-
placement. The waste toner receptacle is easily accessible when the clam
shell is opened.

WHAT WE LIKED

• We liked the capability of loading the paper rolls from the front of the ma-
chine. The rolls were easy to remove and replace from a seated position.
• The control panel has hard keys and a touch screen that is angled for easy
viewing from a seated position and a contrast control to enhance the clarity
on the touch screen.
• We liked the raised dot indicator on the numeric ‘5’ key to help sight impaired
users distinguish the number pad.

WHAT WE WOULD LIKE TO SEE

• We would like to see an easier way to get to the waste toner bottle and toner
refilling. It would increase accessibility by keeping the copy receiving rack
attached instead of removing it when opening the clam shell to perform this
periodical maintenance.
• While the control panel has indicators for the sight impaired such as a raised
line on the stop key and a raised dot for the start key that may be distinguish-
able, a larger start key might enhance usability.
• We would like to see the numeric keypad fitted with concave buttons to ac-
commodate users with limited dexterity.

Image Quality: General

Copy Image Quality Settings


In addition to selecting original type, users have other options to
adjust the image and output appearance.

Users can select scale ratios to reduce and enlarge images from 25
percent up to 400 percent and can adjust image density as well as
turn on or off background suppression. If the image still isn’t up to
par, contrast can be accessed and adjusted all in the same image
quality tab.

The choice of media for output can be specified. Original width can
be specified or sensed automatically by the scanner.

From the “more features tab” there are features such as image
location, edge erase, scan offset, collation, mirror image, and image
inversion to get desired results.

There is also a great feature called “Sample Copy” that is within the
More Features tab. With this set to “on”, a sample copy of a section
in the original is printed and allows the user to make final
adjustment settings for final print or accept current settings and
continue with copy settings as is.

WHAT WE LIKED:

• We liked the copy quality in all modes. Photo mode offered great
detail in photos, while keeping the sharpness for text and lines.
In text and line mode, the scanner picked up every line in color or
black down to 0.25 point.
• In our highlighter test, we liked how well the scanner picked up
edits in green, orange, and pink highlighters and red marker.
Lines and text were very clear through the highlighted areas and
it was still evident that a marker was used to mark up the areas.
• With the FreeFlow® Accxes® Print Server, users are able to
scan in and collate up to 256 originals to make collated sets. The
Accxes® Print Server will also allow original image quality
settings to be changed independently while scanning in a set.

WHAT WE WOULD LIKE TO SEE:

• While the original receiving rack had no problems with D size and
under originals, we would like to see a better way of handling
larger originals such as the E size. The machine has a tendency
to curl up the originals at this size and get them out of order.

Print Productivity

As part of its evaluation, BERTL analysts ran a selection of different wide format
job types through the Xerox 6204 with FreeFlow® Accxes® Print Server looking
for printing workflow selections that would have a major impact on output speed
and network impact. (Also see later in the report where BERTL analysts look at
more complex batch workflow productivity using Xerox’s Accxes® Client Tools.)

PDF or AutoCAD Format? There is an ongoing debate surrounding AutoCAD


file formats and the increasingly used Adobe PDF alternative. BERTL looked at
this workflow taking a 29 page building project that originated in AutoCAD. The
document was first printed directly from the AutoDesk Viewer using the HPGL\2
driver for Windows and was then converted into a PDF file using default 600 dpi

Print Driver Functionality

The HPGL/2 Driver for Windows for the Xerox 6204 with
FreeFlow® Accxes® Controller gives the user increased
functionality compared to the HDI drivers and optional
PostScript drivers. The HPGL/2 Driver for Windows includes
additional features for image quality such as Vector Halftone
Optimization, Fine Line Grayscale Rendering, Fine Line
Pixel Threshold, Line Scale Mode, and the Make All Colors
Black Option.

The Paper tab of the HPGL/2 for Windows driver offers a


broad range of settings. The user can select media size and
media size range, number of copies, margin and
justification, and output orientation.

The Job tab allows users to select a banner page to be


printed, a label can also be selected or created here, and a
predefined Raster Stamp can be added.

A really nice feature that is also included in the HPGL/2 print


driver from within the job tab is the ability to nest smaller
size documents on larger paper for media saving and
convenience. Media mismatch can be configured if a user
wishes to change what the printer default setting is. Single
page job is available for selection in the job tab and is a
unique option offered on the Accxes® controller that allows
users to print multiple prints without cutting them down to
size and keeping them attached to each other.

The Graphics tab has various options that affect the image
such as document scaling, raster image scaling, mirroring,
page rotation, document type (Lines and Text, Graphics,
Photo), and enablement of RTL native mode resolution.

The rendering tab is where users have the ability to really


control image quality. Here users are able to adjust
contrast, lightness, change Vector Halftone Optimization to
Line Optimized or Area Fill Optimized, Change Raster
Halftone Method to Screen or Error Diffusion, change the
Fine Line Grayscale Rendering to Contone or Black, adjust
the fine line pixel Threshold and Vector Minimum Line
Widths and change output resolution to 200, 300, 400 or
600 dpi. This is also where users are able to select the
“Make all colors black” option and initiate line Scale Mode.
Media Size Detect options are also available from this tab.

BERTL used the labeling option with date and time stamp to
keep track of settings for print quality testing and found it to
be very helpful in identifying settings used for print samples.

The look and feel of the PostScript driver is different and


offers less functionality as opposed to the HPGL/2 for
Windows print driver. Although most of the functionality is
incorporated into the PostScript driver, it is displayed
differently in the print driver menus. We were pleased to
find the job tab to have the same look, feel, and functionality
as the HPGL/2 driver. This driver is generally reserved for
printing files that require PostScript to acquire the desired
image quality.

BERTL has custom designed a selection of test documents to investigate
the ability of wide format devices to reproduce fonts, fine lines, and
graphics in both monochrome and color environments. This is a cropped image of a BERTL test pattern

Printed on the Xerox 6204 with Accxes® Print Server through the HPGL/2
for Windows driver in default mode is the Graphics tab, where Raster
Image Scaling is set to Photo and the Document Type is set to Graphics.
In Rendering, Vector Halftone Optimization is set to Area Fill Optimized,
then line Optimized is selected. The Raster Halftone method is set to
Screen and Fine Line Grayscale Rendering is set to Contone. The Print
Resolution is 600 dpi.

Overall, BERTL analysts were impressed by the print quality on the Xerox
6204 with Accxes® Print Server in its default mode. The images proved to
be both crisp and clear, and the lines and text reproduced accurately and
sharp. Text reproduced flawlessly down to 4 pt and lines reproduced well
down to 0.25 point.
RED line in Grayscale mode
While the default print settings should be adequate for most documents,
the HPGL/2 for Windows driver has more advanced settings for specific
document types. This gives users more control over print quality.

Realizing that we cannot possibly show every mode and corresponding


option like resolution and image enhancement settings, we chose to show
how printing color lines and text is affected while printing with default print
settings. The illustrations to the right highlight how the print mode selection
affects the text and lines when printing color text and lines in default mode.

BERTL printed a 36” x 48” Test Pattern with various lines, text, image
gradations, and borders in all the available modes.

In default mode, color lines and text are printed in grayscale. With the RED line in All Colors Black mode
vector halftone setting set to Line Optimized, the red text did not have a
visible dot pattern. Lines and text were crisp. Although these settings
capture the lines and text adequately, there is a choice to make all colors
black by checking the box next to “All Colors Black” in the renderings tab
from the HPGL/2 for Windows Driver. The

the two previously mentioned print settings.

This is another example of a real world AutoCAD


document designed in color that was printed on the Xerox
6204 with AccXES® Print Server through the HPGL/2 for
Windows driver in default mode is the Graphics tab, where
Raster Image Scaling is set to Photo and the Document
Type is set to Graphics. In Rendering, Vector Halftone
Optimization is set to Area Fill Optimized, then line
Optimized is selected. The Raster Halftone method is set

Contone. The Print Resolution is 600 dpi.

To see the power of the “all colors to black” mode, we


compared it in grayscale mode again with this multi color
document. This mode is an imperative tool for these types
of documents to capture all the detail when a color wide
format device is not available.

WHAT WE LIKED

• We liked the “all colors to black” mode, which allows the user to make all col-
ored lines come out in solid black rather than a dot pattern in grayscale
mode.
• We liked the ability to choose the resolution of the output in order to keep file
sizes to a minimum when sending complex multi-page documents for draft
purposes.
• We liked the ability to cancel prints even after the job has started printing.
This will keep waste down and free up the machine quicker.

WHAT WE WOULD LIKE TO SEE

• We would like to see the PostScript and HPGL drivers have the same look
and feel to eliminate confusion and decrease learning curves for users.

Scanning

Scanning is optional with the addition of the Scan to File and


Scan to Net functionality for the Accxes® Print Server.

Xerox’s high resolution scanner is capable of capturing fine


detail in up to 600 dpi resolution. The Accxes® Print Server
comes with Accxes® client tools where scan management
and configuration takes place.

Scan Destinations

Scans are directed to up to 46 mailboxes and four FTP loca-


tions that can be set up on the machine’s hard drive through
the control panel. Accxes® Client Tools enables users or
system administrators automatically retrieve scanned docu-
ments and deposit them in a designated location either on a
workstation or to a shared network folder by setting the mail-
boxes to be auto polled. An FTP Browser or Client can also
be used to retrieve Scans from the Accxes® controller.

As a default setting, all un-retrieved scanned documents will


be deleted in 24 hours. This setting can be changed in one
hour increments from 1-24hrs. This helps to keep the
Accxes® Print Server running efficiently and ensures that
there is always enough disk storage space to maintain all
copy, print, and scan functionality.

Scan Settings

Scan image quality settings are similar to copy settings with


obvious differences like file type settings and scan destina-
tion settings.

A couple of useful settings that are available for selection in


the More Features tab of the scanning menu are the pre-
view On or Off settings and the Scan to Print setting. The
scan to print setting allows the user to make a copy at the
point of scanning. The preview on or off feature creates a
JPEG thumbnail of the scanned document for, quick pre-
view within Accxes® Client Tools.

WHAT WE LIKED

• We liked the option to create a JPEG thumbnail image of


a scanned image for quick viewing. This greatly helps
users recognize documents easier and spend less time
spent opening third party applications to confirm docu-
ments before sending them to their final destination.
• We liked the option to scan at 600 dpi for jobs that require
high resolution and the option to scan at lower resolutions
of as low as 150 dpi when quality is not a factor.
• We liked how easy it was to set up scan destinations both
from the machine as well as through Accxes® Client
tools. Settings were straight forward and also easy to use
once they were set up.
• We liked being able to create a prefix for all scanned
documents from within Accxes® Client Tools.

WHAT WE WOULD LIKE TO SEE

• We would like to see the scan destination mailboxes se-


cured by a password to keep scanned documents private.
• We would also like to see some sort of a pop up window
to name the files as they are uploaded from the mail-
boxes. This would exclude having to name the files at a
later date.
• Although users are able to choose an editing application
to open automatically when scans need editing, we would
like to see a built-in image editing function such as
despeckle, deskew, or rotation directly from the control
panel, or when setting up the mailbox, and to be provided
as an option or set as the default scan editing.

One of the great features of Xerox’s Accxes® Client Tools


is its multiple file formats that it supports. All of the com-
mon file formats are supported, including TIFF, PLT,PS,
PDF and with the Autodesk key installed, DWF files are
also supported. DWF is a widely used file format for
viewing and printing native Autodesk AutoCAD files that
are saved in this format. This function is quite unique due
to the fact that most wide format document submission
tools do not include support for raw DWF file submission.
This increases usability and capabilities immensely for
workflows where these file types are commonly used.

Job options can easily be changed the same way they


can be set from the HPGL/2 for Windows driver. This is
great for optimizing workflow by keeping settings the
same whether a job is being printed through the print
driver or through the Document Submit tool within Ac-
cxes® client tools. Overall, BERTL analysts were im-
pressed with the job submission capabilities of the Ac-
cxes® client tools.

WHAT WE LIKED

• We liked the ease of use in Accxes® Client Tools to


manage multiple devices all in one place and the ability
to select a default device for the Document Submission
Tool and the Document Retrieval Tool for a streamlined
workflow.
• We liked that it is possible to submit DWF files with the
Accxes® Client Tools, Document Submit Tool by adding
the optional AutoCAD Accxes® feature.
• We liked how the same print settings are available for
both the HPGL/2 print driver as well as the Accxes®
document submit tool.

WHAT WE WOULD LIKE TO SEE

• Although we liked the ability to view what is in the print


queue with Accxes® Client Tools, we would like to see
the percentage of file processing that has been com-
pleted so that all users know what the status is with jobs
in the queue.

Summary
The Xerox 6204 is a scaleable digital monochrome wide format MFP that offers a
small footprint with all the functionality that a small architectural, engineering, con-
struction (AEC or front office environment needs. It offers 600 dpi print, copy, and
scan resolutions for crisp copies, prints and scans.

The Xerox 6204 driven by the FreeFlow® Accxes® Print Server makes this device
even more robust with intuitive features and concurrency for scan, copy, and print.
It includes a higher capacity hard disk drive and more powerful processor to proc-
ess and store large scan jobs that allow for digital scan-once, print-many function-
ality to improve workflow.

While the device is designed to be an entry level device, leaving the high volume
work loads to Xerox’s more expensive wide format product offerings, the 6204
delivers a lot of functionality and ease of use that leaves some of the company’s
other products way behind.

Standalone printing is made available via the inclusion of an intuitive HPGL/2


Driver for Windows, HDI driver for AutoCAD (plus an optional PostScript driver)
with more advanced project-based printing tasks made possible and streamlined
via Xerox’s Accxes® Client Tools. This versatile tool was found to be invaluable to
BERTL as it attempted to carry out a selection of typical end user workflow sce-
narios such as batch printing. The optional DWF file submission capabilities puts
Xerox ahead of some of the competition.

Scanning is fast and efficient with good image capture quality across a wide range
of original types, allowing users to convert legacy paper-based documents quickly
into electronic formats. The Accxes® Print Server greatly improved scanned docu-
ment workflow over the standard embedded server with the ability to set up auto
polling of up to 46 scan mailboxes. Auto polling creates a true scan solution that
deposits all files scanned to a scan destination to be sent to a specified network
location with a predefined file prefix, making it easy to identify files at a later date.

Image quality across both copy and print modes was exceptional. There were mul-
tiple image quality setting options that were made available to capture all the detail
of a document. Although there are a number of image quality settings, default
print mode is more than sufficient for most jobs. This is a plus for a device of this
type where the typical user, a business professional, will be looking for the mini-
mum intervention with the device over the course of a day.

Design-wise, BERTL found the device to be well thought out on the whole with
easy toner and paper refilling processes, which will be appreciated by front office
staff in expensive business apparel. The compact footprint, the front and side ac-
cess to routine maintenance, and jam points allow the device to be positioned in
small footprint office regions, which will again be appreciated in environments
where office space is at a premium.

The 6204 with the Xerox FreeFlow® Accxes® Controller is a wide format solution
that takes the device up more than a couple of notches in functionality and work-
flow enhancements. This will certainly put Xerox in a strong position in the entry
level decentralized wide format market and fills a gap in its portfolio that competi-
tors had been exploiting up until now.
