1. Purpose

This configuration guide provides the information which you need to set up for this
POC.

2. KPC Group’s Business Background

2.1. Objective
An organization is interested in reducing the time required for closing the books
each month. They are using SAP and are stable on SAP system. They need
transparency and require an audit trail of the entire closing process. The
current closing process does not satisfy their compliance requirements

The entire organization is on one SAP system.

Scope :

The scope of this document covers scenario mentioned above.

3. Configuration

3.1. Closing cockpit (manage template and task list- CLOCOC)

The Closing cockpit is a structured interface to execute transactions/ programs required


for closing – monthly, quarterly or annual. It helps in organization wide monitoring of
closing steps and also provides a log at each step and ensures audit trail for every
month closing.

The prerequisite is that all transactions and program that need to be executed as a part
of closing activity should be specified in table SCMATRANSACT and SCMAPROGRAMS
respectively.

4. Manage Task Templates - SAP S/4HANA Financial Closing


cockpit

The SAP S/4HANA Financial Closing cockpit supports you in planning, executing,
monitoring, and analyzing financial closing tasks for the entities of your group.

You can use the SAP S/4HANA Financial Closing cockpit in the following cases:

• Activities recur periodically.

• Multiple responsible agents are involved.

• The activities are performed within a process that has a fixed chronological
sequence or is determined by dependencies.

• The activities need to be supported by a shared, uniform interface for


everyone involved.

• The status of all periodic activities needs to be documented and made


transparent and available for everyone involved.

The SAP S/4HANA Financial Closing cockpit offers the following features to facilitate
the optimization of your entire closing process:

• Event-driven organization of closing activities

• Process overview and monitoring options

• Analysis tools

The following figure shows the user interface for the Financial Closing cockpit:

As the figure shows, the system displays the folders and tasks in the task group,
template, or task list that you have opened in the Closing Structure area in the left
pane. Task properties, such as the task processor, the planned duration, and the
predecessors, are displayed in the task grid in the top right pane. You can find out
about a task's details, dependencies, attached documents, and other information on
the respective tabs in the bottom right pane.

Key Features

To support the closing process, the SAP S/4HANA Financial Closing cockpit offers
the following structural objects:

• Hierarchies for displaying the organizational objects involved in the closing


process

• Templates that portray the organizational structure

• A detail view of the characteristic values of the organizational levels used in a


template

• Task lists that are derived from templates

• Display of task lists

• A monitor that shows a graphical representation of the critical paths, the


processing periods, and the processing sequence with the respective
dependencies

This function is also available in a Gantt diagram in the Web application.

• Details about the attributes of tasks and for analyzing background programs
(spool, job log, and so on)

• Dependencies that define the prerequisites for processing a task

• Connection options for connecting to external schedulers via Business


Automation Enabler (BAE)

You can launch the SAP S/4HANA Financial Closing cockpit in SAP GUI and in the
SAP Fiori Launchpad. You can perform the following activities in the ABAP
environment or in the SAP Fiori Launchpad:

4.1.1. Create Organizational Hierarchy


Sap standard delivers organizational levels Company code and Controlling area. If
necessary, additional levels such as Business Area or Profit center may be created. The
closing process steps can be unique to each organizational level.

4.1.2. Create Template


Individual steps of a closing process are structured using a template.

Sub folders may be created for structuring the closing activities. In the change template
mode, right click on the org structure and select “create sub folder”

4.1.3. Create Tasks


Into each subfolder a task may be assigned. A task may be a program with variant (for
background processing), a program without variant (for foreground processing), a
transaction code (for foreground execution), a note (giving instructions or
documentation) or a flow definition.

4.1.4. Create Flow Definitions


The flow definition is used for multiple programs that are to be processed automatically
without interruption. Such programs with variants are combined to form a logical flow
chain with unique predecessor and successor relationships.

When a flow definition is executed (or scheduled to be executed), all of the related
programs are processed by the system in the specified sequence, and then the results
are made available for analysis under Detailed Information.

SAP standard has delivered a few flow definitions. Additional may be created as
required.

4.1.5. Create Remote task using SAP CPS

This is an additional function that is only available when SAP Central Process Scheduling
(CPS) is implemented. SAP CPS is not a part of SAP ERP. However, Closing Cockpit
provides a connection to SAP CPS.

4.1.6. Define Dependencies


The task list lists the programs or transactions to be executed in a chronological order.
However, over and above such definition if there is a need to have a predecessor for a
particular task, the same may be defined using dependencies. By defining dependencies
it is ensured that programs and transactions can only be scheduled or executed once the
predecessor activities have been processed successfully (without errors).

The task list needs to be released for it to be available in the transaction for execution of
month end programs and transactions.

side of the screen. This also depicts the dependencies.
