MODULE 2
INTRODUCTION TO BUSINESS TOOLS AND
TECHNOLOGY IN TOURISM AND HOSPITALITY
OVERVIEW
Information is a valuable resource for managers in the tourism and hospitality
industries. Computer information is used by both managers and non-managers in
the context of an organization. These individuals can be found anywhere within
an organization's sphere of influence. Managers who perform functions and play
roles critical to the organization's growth must be proactive in terms of
information management. Communication and problem-solving abilities are
essential. Not only that, but the manager should be computer and, most
importantly, information literate.
I. OBJECTIVES
Upon completion of the module, you are expected to:
1. Discuss the meaning of information management
2. Enumerate and discuss the organization main resources
3. Explain the reason for using business tools and technologies in tourism and
hospitality and
4. Identify the business tools and technologies use by a hotel, restaurant and
travel agency.
II. LEARNING MODULE
The use of business tools, technologies, and other systems is critical in the operation
of any hospitality or tourism-related business. Without it, the operation and other
functions may fall short of providing clients with quick and efficient services.
MANAGEMENT OF INFORMATION
It would be a simple task to manage a hotel's newsstand in the lobby. You can
manage it simply by looking at the tangible assets, which in this case are the
newspapers or other merchandise, the POS or Point of Sale (cash register), the area
where the newsstand is located, the person dealing with the guests' concerns or
orders, and the flow of the guests.
Hotel managers will require information or reports from various departments to
demonstrate the physical condition of the organization. Information that is no longer
useful is replaced by information that is current and important, ensuring that
decisions or problem solving are accurate.

1. The first stage will be the gathering of information from various departments.
This information came from the normal reports of respective departments but
may include new data, depending on its availability.
2. Once the data is gathered, the next stage is to process it. Processing may include
analyzing it, comparing it with the previous data gathered, and other means to
arrive at a sound decision.
3. The moment data have been processed, it can now be used for decision making,
and for whatever purpose it may serve to the organization. This should be used
effectively to those decisions are right and suited to a particular situation.
4. Disposal of data is necessary when these are no longer needed or are no longer
useful. Disposal may be in form of shredding hard copies, deleting soft copies, or
can be saved in a compact disk for retrieval in time that this will be needed.
Some companies may hold data for five (5) years, depending on its nature and
type.

managers need to manage for them to be used most effectively.

There are four (4) main resources a manager could touch or hold as they are
tangible. They exist physically, the managers can see and judge them by merely
looking at them.
Example:
1. Whan an employee is not complying with an organization’s standard operating
procedures; a manager can judge immediately whether that employee will be
replaced or will undergo a performance improvement program.
2. When a machine, on the other hand, is not working, a manager may judge it as
for repair of replacement.
Adding finances to a project in the company can also be an option as judgement
can easily be made if the need is seen.

The importance of information as a resource is based not on its tangibility, but on what it
represents in terms of where managers can derive inputs to use in their decision-making.
This resource also serves as the 'manager' of the other resources mentioned here.
THE NEED FOR BUSINESS TOOLS AND TECHNOLOGIES
Tourism and hospitality, as mentioned in module 1, provide a wide range of services and
products. More employees are required and meeting the needs of clients is not an easy task.
Given this, the industry's complexity may not be addressed unless an information
management system or a business tool is used to facilitate ease and effectiveness in all
transactions.

Business tools and technology are required not only for the tourism and hospitality
industries, but for all businesses. Managers, particularly those at the top
management or executive levels, focus on these resources for these reasons.
