BOOTH AND EXHIBITION FLOOR PLAN

1.- STANDARD BOOTH

Standard booth reservation includes the following items in the cost, although you may
confirm before June 25th, by written, if you will use it or not:

• Shell scheme (see picture below): 3 x 2 m.


• Aluminum structure and melamine panel 2.80m high
• Blue electric carpet
• 1kw power with a simple plug
• Fascia Company name
• Spotlight 75wper sqm

Furniture:
• 1 Argüelles table
• 2 Shell chair

Booth measures:

Booth Structure

All booths reserved will be built of a white modular structure (side and back walls) with a
central strip for illumination. The maximum high of the stand will be 2,80 m including the
front frieze. It is not permitted to stick, paint, and drill or damage any material of the stand.
There will be charged a penalty of 80,00€ per each modular panel that results damaged
during the Exhibition.

Front frieze

The structure includes a front frieze with company’s name written in standard type and
without any logo. If a logo should be added, it is not included in the rental price and must
be arranged through the exhibitor online form.

Electricity and lighting

The standard 6 sqm booth includes a monophasic electrical tapping of 1,1 Kw with 250
W at 220 V available power and 3 spotlights of 100W each. The lighting provided by the
spotlights will be 50 W/sqm.

Carpet

Fireproof carpet (blue colour) is included inside the booth, and it will be covered by a
plastic until the opening of the Exhibition.

2.- DESIGN BOOTH

Exhibitors building their own design booth must send their project to the Technical
Secretariat by Friday, July 21st, indicating measures, weights, technical installation,
electrical consumption, etc. and a render design in 3D, so that it may be approved by
the venue. If the project is not previously validated by the venue, it won’t be allowed to
start the setup.

For design booths the maximum height we allow to build up is 3,50m (included wall +
rigging structure), except for Platinum and Gold sponsors who are allowed to 5,00m.
(included wall + rigging structure).

For design booth reservation SPACE WILL ONLY INCLUDE: Blue carpet and monophasic
electrical tapping of 1,1 Kw with 250 W at 220 V. IT DOES NOT INCLUDE: shell scheme,
furniture, audio-visuals, catering, inside cleaning, hostesses…

The company in charge of the booth construction or decoration will be responsible to


remove waste generated daily, during both build-up and breakdown periods.

At the end of the time allocated for breakdown, the contracted space must be
completely clean, with any adhesive tape removed from carpets and any other material
removed. After the end of the time allocated for breakdown, exhibitors at whose stands
there is still any waste will be liable for the cost of cleaning and waste management to
put the contracted space into an appropriate condition.

3.- SET UP AND DISMANTLING TIMETABLE

Standard Booths with shell scheme


Set up:
- Monday 25th September from 15.00 to 20.00 h.

Design booths
Set up:
- Sunday 24th from 12.00 to 20.00
- Monday 25th September from 09.00 to 18.00 (on the 25th no vehicles will be
allowed inside the venue)

ACCESS TO THE VENUE

- During the days for build-up and breakdown, FIRA DE BARCELONA may allow or
restrict the entry of exhibitors' vehicles for unloading or loading of goods in function
of the load in or on each vehicle for unloading or on each stand for taking away.

- Private vehicle access to the venue will not be permitted during the build-up and
breakdown days.

Exhibition:
Exhibition opening hours:

- Tuesday 26th September: 09:00 – 18.30


- Wednesday 27th September: 09.00-18.30
- Friday 28th September: 09.00 – 14.15

Dismantling: Thursday 28th September: from 15.00 to 20.00

These hours are set according to the program of the Event. Any change will be
notified to all exhibitors.

WORK BADGES

During set up dates, every person accessing the venue must be registered
through an online form. The link will be sent 1 month prior the event.
People not registered will not have access to the venue until Tuesday 26th
September.
FIRA DE BARCELONA requires that staff present at the fairground’s venues must
be duly identified/registered. For this purpose, work badges are available for all
staff involved in Event build-up and breakdown.

Issue of build-up and breakdown badges is subject to FIRA DE BARCELONA´s


Technical Rules (Gran Vía Technical Rules or Montjuïc Technical Rules), which can
be viewed or downloaded via this link:

4.- EXTRA SERVICES

All extra services should be ordered before 21st July.

FURNITURE / CARPET / POWER / AUDIOVISUAL EQUIPMENT

All components are rented. Once the material is set up, the exhibitor is liable for any
damage caused. Due to the constant rotation of stocks and renovation of material, we
reserve the right to change the contracted model for another similar one with the same
characteristics.

When the Exhibition closes, the booth and extra services required be dismantled with the
speed the organisation demands. The Organizing Committee, the Technical Secretariat,
the venue and the provider are not liable for any material left forgotten in storage areas
or on furnishings.

All extra services required must be paid 100% in advanced in order to be delivered.
If we do not receive the payment before the start of the setup, the order will be
considered cancelled.

Extra services ordered onsite or less than one month before the setting up will have an
extra charge of the 20% of the price and they will be provided depending on stock and
time availability.

CLEANING SERVICES

The Cleaning service is an exclusive.


Please pay attention to the following items:

1. Each exhibitor is obliged to keep the booth/ exhibition space, and


surrounding areas perfectly clean.

2. If you want a daily cleaning of your booth/exhibition space (including


hovering and emptying bins) it has to be requested and contracted directly to
the venue. This service needs to be contracted by written, before 21st July to:

CATERING SERVICES

If you want to order any catering service, please send your order, by written, before 21st
July, to:

All extra services required must be paid 100% in advanced to be delivered.


If we do not receive the payment before the start of the setup, the order will be
considered cancelled.

DELIVERY AND SHIPPING OF MATERIALS
Before shipping any items to your stand please make sure you get in touch with
the official handling company, RESA EXPO LOGISTICS.

They will be happy to solve your doubts and offer their services for reception and
delivery or unloading to stand of your materials.

Please note that the venue does not receive customs, clear or store incoming
shipments. If you intend to ship goods directly to your stand, you need to be there
to sign off the delivery note of your transport company. However, non-EU
shipments need an importer of the record and cannot be consigned directly to
the venue, as they will get stuck at customs.

Please note, any deliveries made directly to the venue without going through the
official event shipping agent, will be at your own risk. If they do not arrive on time
or are mislaid, the event organizers and official event shipping agent will not take
any responsibility.

GENERAL TERMS AND CONDITIONS

ADVERTISEMENT

The inside area of the booth may be used by the exhibitor for advertising
purposes, distributing samples, printed and promotional material, although only
in respect of the exhibits displayed by him. Publicity measurements may not be
implemented outside the boundary of the booth.

Therefore, the hanging of advertising material or posters on walls, columns or


other objects belonging to the Event Venue is not allowed.

Indoor Advertising
An exhibitor may use promotional and advertising for the products on display
within the limits of the stand it occupies only. Promotion and advertising are
prohibited in the passageways of the Halls and in the grounds of the Showground
Venue.

- Advertising by exhibitors will be limited to information of a professional


nature concerning the products or services offered by each exhibitor.
- Advertising of an ideological, religious or political nature or that is unlawful
or any similar advertising is prohibited.
- Third-party advertising is also prohibited. The exhibition of any item not from
the exhibitor or any co-exhibitors requires the prior express approval of
ASEBIO before it is displayed or advertised.
- Optical, mobile, or acoustic advertising media will only be permitted to the
extent they do not cause any disturbance to the neighbouring stands.

OBLIGATION TO EXHIBIT AND OPEN A STAND

• The objects and products displayed will remain on the exhibitor's stand
during the days and opening hours for the event.
• The exhibitor will be at the stand during the opening hours for the Event.
• Stands will be open while the Event is open to visitors. The organiser reserves
the right to close any stand or facilities that is or are in breach of these Terms
and Conditions.

CHANGE OF LOCATION

In the interests of the Event, Technical Secretariat may move the space
contracted by an exhibitor within the same fairground and an exhibitor will not
be entitled to any repayment as a result. The exchange, transfer or sublease of
the rented space to third parties is expressly prohibited.

CIVIL LIABILITY INSURANCE COVERAGE

Includes all claims derived from material damage and/or bodily harm and their
consequences to third parties, for which the Exhibitor may hold civil liability.
FIRA BARCELONA holds the status of a third party in relation to the Exhibitor, and
as a result coverage includes material damage and/or bodily harm and any
consequences thereof to FIRA BARCELONA, for which the Exhibitor is assigned civil
liability.
It includes any claims resulting from bodily harm because of workplace accidents
suffered by the employees of the Exhibitor, for which the Exhibitor is held civilly
liable.
It includes any demands resulting from bodily harm because of food poisoning,
for which the Exhibitor is assigned civil liability.
A limit of € 300,000.00 is established per claim and Exhibitor, with a sub-limit of €
150,000.00 per victim in case of workplace accident.
