ABSTRACT

Western icon online bus reservation ticket system is a web-based application that will help customers
check bus ticket availability, make payments, make inquiries about the available seats and amount to be
paid to specific places and also print out their tickets online. This system is established for all home and
office users after gaining access from the administrator.

The manual use of bus reservation is presently very strenuous to customers and also consumes a lot of
time by having to stay on a long queue. For this reason, I have proposed an efficient system in this paper
to ease the issue of bus reservation amongst indigenes within the country because Western Icon Sacco
have many buses travelling in different places in Kenya.
CHAPTER ONE: INTRODUCTION
1.1 BACKGROUND INFORMATION
Western Icon Online Bus Ticket System is a web-based application that allows visitors check bus ticket
availability, buy bus ticket and pay the bus ticket online. This system is established for all the office users
after gaining access from the administrator of Western Icon Online Bus Reservation System.

The use of bus traveling is a large growing business in Kenya and other countries; the manual use of bus
reservation is presently very strenuous and also consumes a lot of time by having to stay on a long
queue. For this reason an efficient system has to be proposed in this, to ease the issue of bus reservation
amongst indigenes within the country.

A software has to be establish to eliminate and reduce the hardship faced by the existing system.
Moreover, the system is design for a particular need of company to carry out operations in a smooth
and more efficient way.

The system will be a web – based application that allows visitors to check bus seats availability, Make
payments, make inquiries about amount to be paid to specific places and get the receipts printed out
online. This will lead to error free, security of the information and fast management system. Also it will
assist the user to concentrate to other activities rather than the record keeping, thus helping the
organisation in a better utilisation of its resources.

The aim is to computerize equipment’s and full-fledged computer system, fulfilling the requirements, so
that their valuable data are store for a longer period with easy access and manipulation of the same.
Hence basically the projects aims on how to manage a good performance and better services for clients.

1.2 PROBLEM STATEMENT


Western Icon current system that is being used to day in this Sacco is desktop excel and are just used to
sell the bus tickets at the counter. Customers has to go to the counter to buy a bus ticket or ask for a bus
schedule. Furthermore, these customers has to queue up for a long time as they proceed to the counter
to get their bus ticket. These customers are not allowed to buy tickets through their own telephones and
yet this company’s telephone is always busy therefore customers end up waiting for long. Also
customers are not able to make inquiries about the available seats, amount to be paid to specific places
and even about take-off time unless they visit booking offices.

1.3PROPOSED SOLUTION

The solution to this problem is to create an online portal for buying bus ticket system. Customer can buy
the bus ticket over the internet, 24 hours a day, 7 days a week and the bus ticket cannot be stolen or left
behind. In addition the online system lets the customers check the availability of the bus ticket, number
of the seat available, amount of money to be paid to a certain destination and take off time before they
buy the bus ticket.
1.4 OBJECTIVES
1.4.1 MAIN OBJECTIVE
To develop a system that will allow customers be able to access the platform and buy bus ticket online,
make payments and make inquiries about available seats and amount to be paid and even specific
places where buses will be travelling to. Western Icon online bus reservation ticket system will be able
to print out the receipts after the customers have made payment.

1.4.2 SPECIFIC OBJECTIVES


1. To provide user friendly interface between the system and the customers.

2. To avoid long queuing waiting to make payment and get their receipts.

3. To make customers get services automatically without wasting most of their time.

4. To provide better services to the clients.

5. To make sure that system lead to error free, secured and fast management of the customer’s
information.

1.6 JUSTIFICATION
This system is established for all the home/office users after gaining access from the administrator.
According to me Western Icon Online Bus Reservation System will provide bus transportation system, a
facility to reserved seats, cancellation of seats and different types of enquiry which need an instant and
quick reservation. This system will be used by the users in performing online reservation via internet for
their all business purposes. Users can use this program directly on their websites and no need to install
it. The use of bus traveling is a large growing business in Kenya and other countries; hence bus
reservation system deals with maintenance of records of each passenger who had reserved a seat for a
journey. It also includes maintenance of information like schedule and details of each bus. Also, we get
to know that there are many operations, which they have to do manually. It takes a lot of time and
causes many errors. Due to this, sometimes a lot of problems occur and they were facing many disputes
with customers. To solve the above problem, and further maintaining records of items, seat availability
for customers, price of per seat, bill generation and other things, I am offering this proposal of
reservation system.

This reservation system has three modules. First module helps the customer to enquire the availability
of seats in a particular bus at particular date, the second module helps him to reserve a ticket and with
the third module he can cancel a reserved ticket. However, since the current reservation system is still
conducted manually and separately at each branch, contact must be made by each branch’s front-officer
to the head office for each customer’s enquiry in order to get the latest update on schedule, seat
availability and other reservation-related information; as well as to avoid duplicate bookings or over-
capacity. There is also a physical limit to the reservation availability as each branch only operates during
certain hours and reservations can only be made on-the-spot. These limitations are not the only issues
the company is currently facing. Other factors that create problems include human errors (e.g.
miscalculations in ticket price, mistakes in noting passenger data, etc.), the fluctuation of passengers
during certain periods of time that causes a bottleneck in the check-in process because of the inability of
the front officer to multitask and the lack of overview or report of the on-going business; making it
difficult for the company to judge past/current performance or plan future improvements. Looking at
these problems and limitations, it is clear that both the company and the customers require an
integrated reservation system that is more efficient in information update and reservation handling and
also easy to use. Electronic tickets, or e-tickets, give evidence that their holders have permission to
enter a place of entertainment, use a means of transportation, or have access to some internet services.
Bus Ticket Reservation System enables the customer to buy bus ticket, make payment, and ask for
information online easily.

Furthermore, staff can sell bus ticket using Bus Ticket Reservation System after check bus ticket
availability for the customer and print the bus ticket to the customer that queue up in the counter. The
method to solve this problem is to create an online buying bus ticket system. Customer can buy the bus
ticket over the Internet, 24 hours a day, 7 days a week and the bus ticket can't be lost, stolen or left
behind. In addition, the online system lets the customers check the availability of the bus ticket before
they buy bus ticket. Furthermore, customers no need to pay cash to buy bus ticket because they can pay
the bus ticket by using deposit slip number order by bank.

1.7 THE SCOPE


The online system is an easy-to-use self-service system which enables the customer buys bus ticket
online and pays the bus ticket through credit card. Customers can register as a member if they want
before they buy bus ticket. As a member he/she needs to pay membership fee yearly am member will
get discount of 5% for every purchase of bus ticket. Customers has to check the availability of the bus
tickets before they bus. After the process of buying the bus ticket is successful, the customer can get the
bus ticket by printout the bus ticket and give the bus ticket to the bus driver when he or she wants to
take the bus. Besides departure place, arriving place, departure date, departure time and ticket number,
the bus ticket also wills states the seat number that assign by the system automatically. The customer
has to sit in in the bus according to seat number. After the exist of the bus ticket reservation system, the
customer does not need to go to another counter to check availability of the bus ticket and to queue up
long queue to buy bus ticket any more. Besides the customer, another user of the system is
transnational’s staff. Company staffs need to upload new information to the online system so that
customers can check availability of the bus ticket. Furthermore, for the customer that queue up in the
counter, staff can sell bus ticket to the customers after a check bus ticket availability through the bus
ticket reservation system and print the bus ticket to the customer after customer pay the bus ticket. Bus
ticket reservation system will be developed by using system development life cycle methodology.

Indeed online bus ticketing system is the most noteworthy prospects in the world transport system to
reduce the expenditures and increase travellers’ availability. This system will reduce ticket processing
flow, reduce usage of paper and allow greater convinces and flexibility to the travellers in cities and
allow travellers agents to make alteration to the journey. There are other important issues from the use
of this technique such as the mobile ticket cannot be lost or stolen on the contrary of sending the ticket
by the email also there is a probably of sending it to the wrong address. This system will make
customers’ lives easier, and can get services by himself in anytime anywhere and any devices.
