Dataloader for Bulk

Dataloader for Salesforce

Dataloader is an add-on tool for Salesforce that allows for bulk creation or edits. As such, the potential to
significantly alter data is a risk and should only be undertaken by persons who have received permission
and training to do so.

If you are not confident that the task you are undertaking is correct, do not run it.
Reach out to the Salesforce team or whoever performed your training to verify.

Limits
Dataloader.io version has a set limit of 10,000 rows per month per user. This cannot be extended. If you
have reached your limit then you should look to a colleague to assist until the limit is reset. If you have a
significantly large change this can be performed by the Salesforce team using their desktop version (which
is more complicated). You should prepare the file and submit via the Salesforce Intake at
http://expediagso.force.com/supportintakeform.
Note: Your access to dataloader.io is also tied to your Salesforce profile. If you do not have permissions to
perform a task in Salesforce then you will not be able to make that change in Dataloader.

Preparing the File


Use the Dataloader template file to ensure you have created a csv file in the correct
format with all the required columns.
When you open the file, be sure to enable Macros to allow it to run.

If you have downloaded the file, make sure the name is exactly saved as “Dataloader Template.xlsm”

Step 1
Select the Case Record Type you want to use from the options available. This will generate the next set of
options. Only the CRT we expect to have bulk creations done in are available.

Select the Case Type you want to create from the second list. This matches the available options from the
Case Structure Guide in the KB.

Step 3
Once you have selected Case Record Type and Type, the rest of the options will become visible.
Double check that the Case Type you have selected matches the Primary Owner and Omni Level you are
expecting to create cases for. If it does not match, refer to the Case Structure Guide in the KB for the
correct options to route where you want the case to go.

Step 4
Complete all the fields available. Be sure to input the correct number of cases you are creating as this will
create the template with the correct number of rows.
Once you have added the details click on Run.

After you click on Run, you will receive a prompt to save the .csv file. The file name is automatically
populated with the case type and date.
Select which folder on your computer you want to save the file (remember the location!) and click Save.

The new csv file will open for you with a row populated for each case that will be created.
The template file has already reset and closed itself again for future use.

Step 6
In column B for Account ID, paste in the Expedia Hotel ID for each case you want created. Make sure you
are pasting values only.
Do not modify any of the other fields on the csv file.

Once you have added the EID, click Save to update the file with column B completed.
You now have the data file for dataloader.io, you can close Excel and proceed with Dataloader steps.

DataLoader Login
As with all Salesforce tasks, we recommend the use of Google Chrome as it is a more stable platform for
the tool.

• Always start by logging into Salesforce and staying logged in whilst running dataloader.io
• On a separate tab, type in dataloader.io
• Click on Login with Salesforce at the top right

• Make sure the box for custom is not ticked and the Environment is production. Then click Login

• You should see your salesforce email login at the top right hand corner

Connection & Object


• Click on New Task and then always select Import.

• Choose between Insert = Create new cases and Update = change existing cases.
Note: Do NOT use the Upsert option.

• Under Object search for Case

• Click on the Case option then click Next at the bottom right

File Selection
• Click on Upload CSV to select the file from your Computer or you can drag & drop

• Once you have added the file it will immediately take you to the next screen for Mapping

Mapping
• Your heading columns (Row A) from the csv file will appear under the Source Header column on the left

Note: Always try to use the exact terminology from Salesforce to improve your automatic mapping

• The Sample Data shows the first row of data below the headings as an example (Row B)

• Salesforce Field column shows what the data will be mapped to. If you are using the template then the
fields should map automatically.

If you are not using the Salesforce ID for some fields you may need to use the lookup feature. For example
if you have the Expedia Hotel ID instead of the Account ID (Salesforce URL)
Make sure you do not use the Insert Null Values option
Once all the fields are mapped, click on Next

Summary
• On the Run page, double check all the fields match what you expect to see.
• For example: Object = Case, Type = Import
• The Rows field should match the number of rows in your Excel document (not counting header row)

• Do not use the Schedule task, you should be doing this update live so you can validate it is working
correctly
• Recommendation for the API Mode is to use the Batch API with 200 records max so as not to
overload Salesforce with a large batch at a single instance
• Once you have checked the page, click Save & Run
Be Aware: If you are creating a very large amount of cases, there is a 30,000 limit of cases routing through
Omni queuing in an hour. That is globally for all queues, including skills based routing. If you are dropping a
significant chuck of that volume you could tip Omni over and stop all routing globally!

Run
• Once you click Save & Run you will go to the landing page and see your task at the top of the list
• A Cog symbol will show as the task happens, let that continue until it updates to show the task
complete.

• Once the task is completed you should see either a green checkbox (success)

• If there are errors you will see a red exclamation mark and list of errors. You can click the blue link
to download the file which will tell you what did not work and why.
