INSTATTENDANCE - AUTOMATED WAY TO TAKE AND
MANAGE ATTENDANCE

ABSTRACT
Managing attendance of students requires more effort than taking attendance daily as more complex and
repetitive tasks are involved in managing attendance. Obviously somehow the impact of this might be falling on
productivity of faculty and in overall the situation can affect at institutional/ organizational level. Maintenance
and management of attendance is done under various roles like AMC of department, Class Teacher, HOD,
Timetable Coordinator etc... Every role must have to perform multiple tasks to manage attendance, from taking
attendance to making a record & report of it. In this overall process there are various tasks that can be done
repeatedly like making attendance reports on a weekly or monthly basis, and circulate daily attendance records
to concerned faculty, maintaining defaulters list , timetable management, uploading records in excel and all
other related stuff. In this Era of automation this process still has old fashion and as discussed, its time
consuming, contains lots of repetitive hard work might be overwhelming & irritating for teachers because it
affects the productivity and it somehow diverts the original role of teacher.
I. INTRODUCTION
In the current scenario of various educational institutions to manage and maintaining student information is
very tough task for any one. The whole academic record of the student information consist of monitoring their
performance and progress changes periodically which is very huge workload on lecturers to handle and keep
on updating the progress report of each and every student in against of their respective scheduled classes. The
traditional way of taking attendance through the lecturers is a manually in a register book in which they are
used to do a manual calculation to maintain monthly attendance database of the students. Such system takes so
much time to generate record and many times its creates an error also as it follow manual traditional system.
Apart from this error problems some time many more problems are generated like lost of attendance register
book or manually fake data inserted through unknown recourses which are really not authorized for that work.
In order to reduce all these problems and concern overcome through this problem INSTATTENDANCE-
AUTOMATED WAY TO TAKE AND MANAGE ATTENDANCE is developed. It is a beneficial way for our future E-
Schools. It is consist of 2 modules named as Admin module and Faculty module. This android/IOS based
application is used by teacher to mark attendance of student and generate Attendance report automatically on
Google sheets. Admin is providing the link of google sheet to every teacher and all reports will there. To
generate attendance report teacher have to use filter over there so he/she able to generate report of particular
subject. Report is containing every day attendance, total present days of student as well as attendance
percentage this report is totally secure teacher can not edit that generated report but can download ,share
report. In case any network problem teacher is not able to mark attendance in application in that case we have
provided a notebook option their so he/she can make a note of present/absent student their later issue get
solved he can mark attendance in application and generate report.

using this application. Also, students can view details, notifications anywhere and anytime. The application will
speed up the result preparation and management process.

By using system students can study anywhere at any time at their own convenience. Timely updates can send
to students as well as their parents by faculty through this application. Report generation is easy.
For prevention of data loss, the online database is used to store the attendance of recorded students. The
system was successfully developed by following a client-server framework.

This paper presents the development of student attendance system using an Android based mobile application
and IOT. Students were required to download and install the attendance system into their smartphones. The
students had registered with the required information then only they can login. This attendance system is
suggested to further improve by using more accurate signing such as fingerprinting, face recognition and others
suitable technology.

This project provides an offer to the user to enter the data through their respective registration forms. It is very
helpful for the teachers and admin to keep and maintain the information about the students easily
III. EXISTING SYSTEM
The system which is used nowadays has some drawbacks which need to be improved for better performance.
The system through which the feedback is taken is not good enough. The views of each and every student are
not expressed through these systems. As the technology is developed day by day we need to use this technology
so we can get an efficient result in adequate time. For attendance management in the present system all work is
done on paper. The whole session attendance is stored in register and at the end of the session the reports are
generated. We are not interested in generating report in the middle of the session or as per the requirement
because it takes more time in calculation. At the end of session the students who don’t have 75% attendance get
a notice. This is a very time consuming process. In the present system the result is viewed on the notice board.
It requires lot of paperwork and is time consuming.
DRAWBACKS OF EXISTING SYSTEM
1. The existing system is not user friendly because the retrieval of data is very slow and data is stored manually.
The use of the some technology can be complicated and time consuming. These system need to handle by
specialist for maintaining and update the system which can again be very costly.
2. It require more calculations to generate the report like attendance calculation, percentage calculation etc. so
it is generated at the end of the session. Hence requires more time to display the report.
3. All calculations to generate report is done manually so there is greater chance of errors. Here the faculty has
to suffer a lot through the calculation and if there is a loss of some report then it may cause a lot of problem.
This is time consuming also due to exaggerating calculation. Even after that there are some miscalculation
which is very frustrating for the faculty. These calculations also effects the marks of the students which will

finally led to their percentage.
4. In this existing system the papers can miss placed and documents can be loss. This will cause extra work for
the admin department stuffs
IV. PROPOSED SYSTEM STRUCTURE

The system architecture has a smart phone with android OS/ IOS, a web services, Heroku, a database server
and the user as its components. The android smart phone or tablet must use 3G,4G or Wi-Fi network for
internet connectivity to ensure better performance The user will login to the application through an android
smart phone. In this module application generates Excel file automatically.
V. MODIFIED SYSTEM
WORKFLOW
The detailed workflow of this application is as follows: The application is divided into two modules –
1.Admin-
a. Admin login -
Admin credentials are provided by engineer team. Admin get logged in system using them.
b. Home-
After login at home page admin can see notifications send by teacher.
c. Manage Teacher-
Here admin can add new teachers to system by using names, role, email id, password and then admin will send
this information i.e username and password to their Email address through INSTATTENDANCE. Admin is can
see all Teachers added to system here.
d. Manage Student-
Admin can add student in specific division and class. Delete option there to remove student. Admin can see all
Students added to system here.
e. Manage Classes -
Admin can add classes. Delete option there to remove classes. Admin can see all previously added Classes to
system here.
f. Manage Division -
Admin can add Division in specific class. Delete option there to remove Division. Admin can see all previously
added Divisions to system here.
g. Manage Subject and Practical -
Admin can add Subject and Practical in specific division and class. Delete option there to remove subject and
practical. Admin can see all previously added Subject to system here.
h. Batch Management -
Admin can add number of Practical batches. Admin can see all previously added Batches to system here.
i. Setting –
In this section admin can delete his account and get logged out.
2. Faculty-

Faculty get login to system using username and password send by admin.
b. Take Attendance-
Teaching Faculty can take attendance by selecting particular date, time, subject, division and also checking is it
practical or not? If yes then faculty can choose batches there. All students of that class are displayed, then
teacher can take attendance by clicking on checkboxes and submit it.
c. Generate Report-
Here teacher use filter to select Division and class and then report is generated on Google sheets.
d. Notifications-
Notifications are used by faculty to request particular changes that are required in Instattendance to admin.
e. Notes-
Notes are used by the Faculty in case of unavailability of internet connection on there device. Later on
whenever internet is available faculty can add attendance in system and generate report.
f. Attendance Records-
A separate window is added where faculty can view their marked attendance and then afterwards generate
report.
VI. BENEFITES OF PROPOSED SYSTEM
Teachers can take attendance Remotely through proposed system.
Teachers can generate report of attendance on weekly and monthly basis.
Proposed system will reduce paperwork of teachers.

VIII. CONCLUSION
This android based project will do the task through the application. It will reduce the paper work. The admin
and faculty will perform all the task very easily and more convenience way. The application offers reliability,
security, time savings and easy control. It can be used as a base for creating and enhancing applications for
viewing and tracking attendance for colleges. Teachers can view details, attendance report anywhere and
anytime. The application will greatly simplify and speed up the attendance report generation process. The
proposed system will reduce the work time of the admin as well as the faculty. This will brings more perfection
to the work.
