Note:
A permission letter should be submitted to the Principal before the event with the invitation.
And keep the original in the department file. A Xerox copy should be submitted to IQAC
with a one-page report.
Ref .No in the permission letter should include the department name, year, and event serial
number.

Instructions: (Kindly follow this for all events and activities)

1. Xerox copies of all attachments should be submitted with a one-page report.


2. Permission/Approval letters should be submitted to the Principal for every event with the
invitation.
3. Invitations should include the names of the Coordinator (Organizer), Convenor,
Dean/Director, and Student Coordinators (Two students).
4. Extension activities and outreach programs need a letter from the external authority.
5. Circulars should be given for extension activities, inter-departmental events and intra-
school events conducted (circulars no need for department-level events)
6. Reports should be submitted in an unused A4 sheet. (one side sheets are not accepted)
7. The following original documents should be maintained in the department files.
i. Permission letter to Principal
ii. Circular (no need for department-level events)
iii. Invitation (with all names mentioned above)
iv. Agenda
v. Participants list/Attendance (attendance needs a signature of participants)
vi. Feedback (Online feedback also accepted-Google Form-Response Sheet)

13. Photos should be taken with GeoTag and Clarity.
14. Reports should be submitted within 3 days after the event. Delayed reports should be
submitted with an explanation letter.
15. Two copies of the reports should be submitted. (One for IQAC and one for
Department/Centre/club)
16. All the signed reports should be scanned and updated in the drive link “Report of the
Event”.
17. For Online events, online photographs (screenshots) can be included.
18. All Club activities, sports, NSS, NCC, RRC, YRC, all centres, and cells need to submita
one-page report.
19. Activity under MoU should be mentioned in the reports.
