SECTION 6: ROOM TYPE INVENTORY COUNTS

Note: Executive Offers are built to be yielded by GRO via Linked SRP functionality. As
such, the individual SRPs within the SRP group will be yielded out via the GRO LRV (Last
Room Value). Should the offer availability need adjustment, the first step should be to
validate the GRO forecast for that date range to ensure it is as accurate as possible. For
sensitive time periods, such as extreme high demand dates, the offer can be managed at
the SRP group level in OnQ R&I to protect the hotel.

SECTION 1: OVERVIEW
SRP’s can be linked to a specific SRP Group and these groups enable the hotel to manage
their availability by placing similar SRP’s into one group to allow the ability to control at the
Group Level versus the individual SRP level if needed. This provides the flexibility of adjusting
multiple similar SRP’s in one location.

Therefore, it is important to make sure only individual SRP’s with the same characteristics or
average rate values are linked in each SRP Group. The most common SRP Groups that are
available to adjust can be found in the table below. Please not that depending on the hotel
brand, not all SRP Groups listed are available and the below is not an exhaustive list of all SRP
Groups.

1
SECTION 2: TOTAL INVENTORY COUNTS
There may be instances when you want to limit a particular SRP Group to an allotment of
rooms instead of full availability. Best practice is to utilize rate level placement for non-LRA,
floating SRPs but over special event dates/high demand periods we may want to limit
availability even further. Follow the steps below to limit inventory on an SRP Group.

1. Launch OnQ Rate and Inventory by double clicking the desktop icon, and login to the
application.

2. Enter your Hotel Code in the Property ID field, and then click the binocular icon next to
the SRP Group field, or type in the desired SRP Group Code to update.

3. Navigate to Inventory > Maintenance > By SRP Group > Authorized

4. Change the Start Date and End Date to represent the date range for which you would
like to set the SRP Group Close to Arrival.

2
5. Leave the Update Total Value(s) drop down menu set to Set to This Value and enter the
new total count for the SRP Group. This total count will be the maximum amount of
rooms that can be sold for the SRP Group for the day(s) in question.

6. Click the Save button.

The Total count for the SRP Group specified in Step 2 will be set to the value specified in
Step 5 for the date range specified in Step 4.

Remember, GRO does NOT recognize limit counters on SRPs/SRP Groups so it is

recommended that you also influence demand on the impacted forecast groups so that GRO
knows to NOT expect as much pickup on the SRP Group that you have limited. If you do not
influence demand to let GRO know, you will likely have an inaccurate forecast unit GRO
recognizes the lack of bookings for the limited SRPs.

SECTION 3: SETTING A CTA

You may need to set an SRP Group like MRO (3rd Party/OTA) to CTA (closed to arrival) over
special event dates and/or high demand dates to limit a guest from arriving on a certain day of
week. Keep in mind that a CTA on the MRO SRP Group would send a “closed” message to
those sites like Expedia and your hotel would subsequently show as “Sold Out” over the dates
in questions.

1. Launch OnQ Rate and Inventory by double clicking the desktop icon and login to the
application.

2. Enter your Hotel Code in the Property ID field, and then click the binocular icon next to
the SRP Group field, or type in the desired SRP Group Code to update.

3. Navigate to Inventory > Maintenance > By SRP Group > Closed to Arrival

3
4. Change the Start Date and End Date to represent the date range for which you would
like to set the SRP Group Closed to Arrival.

5. In the Updated CTA Value(s) – Set to field, set the radio button to Yes (closed).
**To reopen an SRP Group which has already been closed, set the radio button to No
(available).

6. Click the Save button.

Any future reservations booked into an SRP associated to the SRP Group specified in Step 2
will not be able to arrive during the date range set in Step 4. However, if you set a CTA for a
Saturday only, a guest would be able to arrive Friday and stay both Friday and Saturday nights.

SECTION 4: MINIMUM AND MAXIMUM LOS CONTROLS

MIN LOS CONTROLS
Any future reservations booked into an SRP associated to the SRP Group specified below in
Step 2 to arrive during the date range set in Step 4 will be required to stay a number of nights
greater than or equal to that which is specified in Step 5.

As an example, if you specified a Min LOS of 2, a guest would have to saty two or more nights
to arrive on the date(s) entered.

Keep in mind that Min LOS restrictions should only be used in extreme circumstances.
Otherwise, the best practice is to utilize rate level placement for non-LRA SRPs to allow GRO
to manage inventory based on the forecasted demand.

1. Launch OnQ Rate and Inventory by double clicking the desktop icon and login to the
application.

2. Enter your Hotel Code in the Property ID field, and then click the binocular icon next to
the SRP Group field, or type in the desired SRP Group Code to update.

4
3. Navigate to Inventory > Maintenance > By SRP Group > Min LOS

4. Change the Start Date and End Date to represent the date range for which you would
like to set the SRP Group Closed to Arrival.

5. In the Updated Min LOS Value(s) – Set to: field, specify the new Minimum Length of Stay
requirement.

6. Click the Save button.

MAX LOS CONTROLS

Any future reservations booked into an SRP associated to the SRP Group specified below in
Step 2 to arrive during the date range set in Step 4 will be required to stay a number of nights
fewer than or equal to that which is specified in Step 5.

As an example, if you specified a Max LOS of 2, a guest could stay for one or two nights only.

5
Keep in mind that max LOS restrictions should only be used in extreme circumstances.
Otherwise, the best practice is to utilize rate level placement for non-LRA SRPs to allow GRO
to manage inventory based on the forecasted demand

1. Launch OnQ Rate and Inventory by double clicking the desktop icon and login to the
application.

2. Enter your Hotel Code in the Property ID field, and then click the binocular icon next to
the SRP Group field, or type in the desired SRP Group Code to update.

3. Navigate to Inventory > Maintenance > By SRP Group > Max LOS

4. Change the Start Date and End Date to represent the date range for which you would
like to set the SRP Group Closed to Arrival.

5. In the Updated Min LOS Value(s) – Set to: specify the new Minimum Length of Stay
requirement.

6. Click the Save button.

6
SECTION 5: ADDITIONAL SRP GROUP CONTROLS
ARRIVALS AND STAY REQUIREMENTS
You can also modify the Arrival and Stay Requirements by Day of Week, Length of Stay and
Lead Time Requirements on any Merchant SRP Group Type.

1. Launch OnQ Rate and Inventory by double clicking the desktop icon and login to the
application.

2. Navigate to SRP > Property SRP Groups

3. Enter you Hotel Code in the Property field and then click the Search button. Select the

LENGTH OF STAY AND LEAD TIME

These restrictions can also be set on the same SRP Groups / Property SRP Groups screen as
the Arrival and Stay Requirements.

To set a Length of Stay restrictions on the SRP Group:

1. Follow Steps 1 – 3 in the Arrivals and Stay Requirements section above.

2. Enter the desired minimum or maximum Length of Stay in the appropriate box. In this
example, we entered 3 in the maximum box.

3. Click the Save button.

To set a Lead Time restriction on the SRP Group:

1. Follow Steps 1 – 3 in the Arrivals and Stay Requirements section above.

2. Enter the desired minimum or maximum Length of Stay in the appropriate box. In this
example, we entered 20 in the maximum box.
8
3. Click the Save button.

NOTE: It is always best to set the minimum and maximum on an SRP Group in R&I under
Inventory / Maintenance / By SRP Group / Minimum or Maximum. Setting it here will ensure it
is the most restrictive setting on the SRP Group.

SECTION 6: ROOM TYPE INVENTORY COUNTS

R&I allows the ability to adjust and/or remove inventory in an SRP group by specific room
types.

1. Launch OnQ Rate and Inventory by double clicking the desktop icon and login to the
application.

2. Enter your Hotel Code in the Property ID field, and then click the binocular icon next to
the SRP Group field, or type in the desired SRP Group Code to update.

9
3. Navigate to Inventory > Maintenance > By Room Type > Authorized

4. Change the Start Date and End Date to represent the date range for which you would
like to set the SRP Group Closed to Arrival.

5. Select the room type(s) for which the count needs to be modified and click the Add
button to add them to the right side of the screen.

6. Enter the new limit count in the Value column next to each room type. Make sure the
Updated Type drop down is showing Set to This Value. Best practice is to use 999 if you
want full inventory of that room type to be available.

7. Click the save button.

The Room Type counts specified in Step 6 will be set for each day of the Date Range
specified in Step 4 for the SRP Group specified in Step 2.
