Job Description

 Understand thoroughly and adhere to the Hotel’s policies and procedure, which
include credit policies and cash handling responsibility.
 Be responsible for all issue funds, foreign currencies and all collections; in short, for
all monies which are handled by a cashier during the shift of a day.
 Check, receive and handover the accuracy of the cash float, guest VAT invoice,
miscellaneous vouchers…. To sign for it in the control book and fully responsible for
it during the shift.
 Help in the efforts to avoid late charges and skippers and to inform the Front Office
Manager/ Assistant Front Office Manager if they are discovered
 Register guests promptly ensuring that they are provided with all the necessary
information.
 Extend a personal service to the guests, and assist them in all their requirements.
 Receive and hold in safe custody all cash payments made by guests till the account
is rendered
 Exchange foreign currency for in-house guests, while safeguarding against
counterfeit money. To guard against any fraudulent exchange of currency
 Maintain complete knowledge of all food & beverage services, outlets and hotel
services/features
 Be fully conversant with hotel fire & life safety/emergency procedures
 Perform other reasonable duties assigned by the Management of the Hotel

Qualifications

 Diploma in Tourism/Hospitality Management


 Minimum 1 year of relevant experience
 Excellent reading, writing and oral proficiency in English language. Fluently
Vietnamese
 Good communication and customer contact skills
 Service oriented with an eye for details
 Ability to work effectively and contribute in a team
 Must be well-presented and professionally groomed at all times

LETTER OF APPLICATION
When we write a letter of application, we are trying to sell ourselves. Each of us has
many different talents and qualities. In a letter of application, you must decide which
qualities are relevant for this position, and then emphasize them in your application.
Read the advertisement carefully to ensure that you fully understand what the
employer is looking for, and then try to project that image. If you cannot do this
without being dishonest, the job is probably not a suitable one for you! Look at the

Dear Sir/ Madam,


I am writing in response to your advertisement for a Senior Receptionist (Vietnam
News, 16 July).
I am a single, 28-year-old Vietnamese female. I was educated at Ba Dinh High
School, Hanoi (2005-2008), where I completed my year 12 studies. I obtained first
class grades in English and Vietnamese.
Since then, I attended 4 years at Hanoi Open University, Faculty of Tourism,
graduating in 2012 with an Honour degree in Business Administration, Hospitality
Management. I have also been taking extra courses in Japanese at a private school. I
think I can claim fluent English. My Japanese is still basic, but I can communicate at
a fairly simple level with Japanese guests and it is continuing to improve as I study
more.
On graduating from university, I started work at the Princess Hotel, a 50 bed 3-star
hotel. I have now been here for two years and am at present deputy senior
receptionist. I have worked in the office and at the front desk and have wide
experience in dealing with guests and their problems, as well as preparing duty
schedules, overseeing booking procedures and handling tour groups.
I have enjoyed working at the Princess Hotel a great deal, but I feel that it is time for
me to further develop professionally. I feel ready to experience new challenges and
responsibilities. I have developed excellent customer service and problem-solving
skills during these past two years. Sofitel Hotels have such a good reputation that it
would be an honor to work for them.
At present I earn $500 per month and would naturally hope for an increased salary
for increased responsibility.
I enclose a photo, my curriculum vitae, copies of my certificates and a testimonial
from the Head of English from my university. Mr. James Lim, formerly Personnel
Manager of the Princess Hotel, now at the Royal Hotel, has agreed to act as a
referee if a reference is required.
My shifts change regularly, but I am sure I can make arrangements to attend an
interview at your convenience. I would very much like to expand on this application
in a personal interview for I feel I have much to offer your hotel.
