Scope of Works

Package Name: Permanent Canteen, Turtle Bay Village


Scope of Work: Supply and Installation of FFE Items

The Scope of Work for an FFE (Furniture, Fixtures, and Equipment) Supplier includes the following key tasks and
responsibilities for Supply, Delivery and Installation at site location, but not limited:

Definition: Supplier – Supplies the FFE based on the Scope of works and Purchase Order of the RSG.

1. Procurement and Supply


• Sourcing:
Identify and procure furniture, fixtures, and equipment based on the project’s specifications.
• Vendor Coordination:
Collaborate with manufacturers, suppliers, and distributors to ensure timely delivery of materials as per agreed
schedule.
• Quality Control:
Ensure that all FFE items meet the required quality standards, design criteria, and specifications.
2. Logistics and Storage
• Delivery Management:
Plan and oversee the transportation of FFE items to the project site, unloading, shifting to desired location, all
required equipment to do so, including handling equipment’s, shipping and customs, govt fees, insurances, all as
applicable. All insurances as specified in the
• Storage Solutions:
Provide temporary storage facilities, if necessary, as per the phase deliveries, before installation to safeguard the
materials.
3. Installation
• Installation Planning: Develop an installation schedule at different phases in coordination with Project Team and
other contractors as per the main project timeline.
• Assembly & Setup: Assemble and install furniture, fixtures, and equipment as per the project design and
specifications.
• On-Site Adjustments: Make any necessary modifications or adjustments to FFE items during installation to ensure
proper fit and functionality.
• Protection of works:
After the installation of Works carry out the required protection of works, till the final handover.
• HSE Compliance:
Supplier to comply with RSG HSE standards.
• Workers Facilities:
Consider all the accommodation, transportation, food, visa and other as per the statutory requirements.

4. Coordination and Compliance


• Site Coordination: Coordinate with architects, interior designers, and other trades (electricians, carpenters, etc.),
SC’s for seamless integration of FFE into the overall project.
• Compliance: Ensure all installations comply with local building codes, safety standards, and client requirements.
• RFQ Compliance: Compliance to the RFQ documents

5. Final Inspection and Handover
• Quality Assurance: Conduct inspections post-installation to confirm all the items are installed as per specifications
and are free from defects. Compliance to RSG Quality Management Manual and Requirements.
• Client Handover: Provide documentation, warranties, and user manuals to the client upon completion of
installation.
• Punch List: Address any issues or discrepancies identified during the final walkthrough or snagging list.
6. Post-Installation Support
• Warranty: Minimum, 2 years warranty or as per specifications whichever is higher against the defects of materials
and workmanship from the date of handover.
• Maintenance & Repair: Offer post-installation services, including warranty management, repairs, and maintenance
as per the contract.
• Training: Provide training to the client’s staff on the use and care of specialized equipment or fixtures if necessary.
7.Instllation
The supplier should adhere to be below special terms and conditions relevant to Installation at site premises as per the
below terms and conditions.

1 Installation Service

1.1 The Supplier shall be responsible for providing the installation services as specified in the purchase order, following all
relevant plans, specifications, and instructions.

1.2 Any deviations from the scope of work must be approved in writing by the Employer prior to implementation at no
additional cost.

2 Compliance with Laws and Regulations

2.1 The Supplier agrees to comply with all applicable local KSA laws, regulations, and codes related to safety, health, and
environmental protection during the installation process.

2.2 The Supplier must adhere to industry best practices, and any other safety protocols relevant to the specific type of
installation.

3 Safety Requirements

3.1 The Supplier shall be solely responsible for ensuring the safety of its employees, others next to you, and any other
third-party workers.

3.2 The Supplier must provide and enforce the use of appropriate personal protective equipment (PPE) at the job site,
including but not limited to helmets, gloves, safety shoes, and high-visibility clothing.

3.3 The Supplier shall ensure that all machinery and tools used during installation are in safe working order and meet the
required safety standards.

3.4 The Supplier is required to implement and maintain a site-specific safety plan, including emergency response
procedures, which shall be made available to the Employer upon request.

3.5 The Supplier should follow/comply to the Project Health and Safety Management Manuals, Quality Management
Manuals, Environmental & Sustainability Management manual.

3.6 Before start of the job or entry to the site should complete the safety induction process of each worker, as well to wear
the PPE. Workers should not enter the site premises without the Gate Pass.

3.7 All the machinery and equipment going to use should get prior approvals as per the HSE standards.

4 Installation Standards

4.1 All installation work shall be performed by qualified personnel with the appropriate certifications, licenses, or
credentials as required by law or the nature of the work.

4.2 The Supplier shall ensure that the installation complies with the manufacturer’s guidelines, as well as any applicable
industry standards and regulations.

4.3 The Supplier shall take all necessary precautions to prevent damage to the Employer’s property during installation.

4.4 Upon completion of the installation, the Supplier shall provide the Employer with a completion certificate, confirming
that the installation is in full compliance with safety and performance standards.

4.5 All the works should carry as per the approved method statement.

5 Site Conditions

5.1 The Supplier shall inspect the installation site prior to beginning work and report any hazardous conditions or potential
risks to the Employer.

5.2 The Employer is responsible for ensuring that the site is accessible and free from obstructions before the Supplier
begins work.

5.3 If the site conditions are unsafe or unsuitable for installation, the Supplier reserves the right to delay the work until
such conditions are rectified.

6 Warranties and Defects

6.1 The Supplier warrants that all installation work will be free from defects in workmanship for a period of 1 year from the
date of completion.

6.2 If any defects are found within the warranty period, the Supplier agrees to repair or replace the defective work at no
additional cost to the Employer.

7 Indemnification

7.1 The Supplier agrees to indemnify, defend, and hold the Employer harmless from and against any and all claims,
liabilities, damages, or costs (including legal fees) arising from:

• Any injury or damage caused by the Supplier’s negligence or failure to comply with safety regulations.
• Any damage to the Employer’s property caused during the installation process.

8 Insurance

8.1 The Supplier must carry valid liability insurance and workers' compensation insurance, GOSI and provide proof of such
coverage during the Safety Induction Process by the Employer.

8.2 The Supplier shall name the Employer as an additional insured party on its liability insurance policy with respect to the
installation work performed.

8.3 All the insurances as specified in the Schedule 6 .
