FLOW CHARTS
A flow chart is pictorial representation of the steps, sequence and relationship of the various operations involved in a
process, such as how to send or fax or how to change the toner cartridge in a laser printer.
PREPARING EFFECTIVE FLOW CHARTS
There is no single way to prepare a flow chart. However, the following guidelines will help you to create flow charts
that effectively communicate your message:
List every stage in a logical order.
Use the same symbols.
Maintain even spacing around symbols and ensure that they line up neatly
Use arrows as connectors to link each process symbol.
Avoid very colourful symbols as they are distracting.
Use short, clear statements in your process symbols.
Ensure that your text is readable.
How to create a flow chart
1. Click on the Insert menu and then click on Charts.
2. Select the type of chart from the Insert Chart box.
To line up your shapes evenly
1. Hold the Shift key on the keyboard and click on each shape to select them.
2. Select the Align drop-down on the drawing toolbar.
3. Click Align Left.
4. Repeat Step 2
5. Click Distribute vertically.
Connectors are lines that link shapes in a flow chart.
To add a connector:
1. Select Shapes; choose the Lines available for connectors.
2. Point and click to where you want to anchor the connector e.g. under the first shape.
3. Point to the other shape, and then click where you want the connector to end.
