COURSE DESCRIPTION This course identifies common tools, technology and techniques
used in the Tourism and Hospitality industry. It includes an overview
of the applications or systems composed of technical processes,
methods, software and hardware that have evolved and streamlined
certain functions in workplace. These applications and systems
include those used in (1) organization’s functions, (2) business –to-
business operations including operations with supplier and (3)
business-to consumer transactions. The goal is to expose students
to different applications so he can identify, learn, analyze and
understand available devices and solutions, from which they can
select he one/s that is most appropriate for the business function.
The student will learn to appreciate the impact of technological
innovations to the economy, the industry, the organization’s business
model and to specific functions/operations of the organization. This
will ensure that the students will also know the value of including
tools and technology in its business strategy.

TITLE Introduction to Business Technologies/ Information Systems
I. RATIONALE This module gives us an insight on the basics of information systeme
use by the hospitality and tourism industry. It is one of the world’s
most emerging and changing industry. This industry gives us wide
scope of opportunities in terms of career, development and travel.
This module will demonstrate familiarity and knowledge in identifying
the information systems used in the hospitality and tourism industry .
The sub topics for this module are as follows:

INSTRUCTION TO THE This module should be completed within 2 week.
USERS If you set an average of 1.5 hour per meeting, you should be able to
complete the module comfortably by the end of the assigned week.
Try to do all the learning activities in this module . If you do not get a
particular exercise right in the first attempt, you should not get
discouraged but instead, go back and attempt it again. If you still do
not get it right after several attempts then you should seek help from
your friend, tutor or professor.

Information technology has influenced every sphere of human life
in the last few decades in a tremendous way. The tourism and
hospitality sector has been a key beneficiary as it has allowed the
contemporary traveller to enjoy a plethora of options.
Hotels need to deliver services and solutions focused on each
customer’s needs, with particular emphasis on serving their
customers more effectively. They also need to integrate three core
disciplines in providing solutions and services to their customers:
• Business Integration,.
• Systems Integration and Applications Development,.
• Information Technology and Infrastructure Services.
What is Information Systems?
• Information systems in the hotel industry refer to computer
systems in a hotel that supply information about that hotel’s
business operations.
• It typically include all computerized system which are used
to gather data continuously both for use internally and
externally
• Information systems play a crucial role in the hotel industry as
they facilitate planning, management, overall operations of the
hotels as well as policymaking.
Note: Information systems are integral part of the complete IT
Infrastructure used in the H&T industry.
Brief explanation:
The hotel industry particularly the lodging sector is a complex
sector that need to store data on the guest accounts and information.
There are several ways in doing such; the traditional approach,
wherein the service provider will use pen and a logbook to write and
record all the transactions of the guests from all he have
“consumed”. From housekeeping, food and beverage and front office
services that are included and excluded from the price that guest
availed. This will take several hours to create and maintenance is in
some way not accurate. The second approach is the use of a
system, where in an authorized personnel are allowed to edit and
encode the information and transactions of such guest from
reservation, check-in, in-house and check-out procedures. This will
automatically available for checking and preview by the other
departments that are involved using the same system.

Types of Information Systems
1. Transaction Processing System
• It allows business transactions involving the collection,
retrieval and modification of transactional data.
• This system processes data generated about and by
transactions in the hotel.
• It is vital as they ensure that the data collected in accurate and
timely ,which increase labor efficiency.
• Example: The Cloud and Data Analytics
CLOUD COMPUTING
• The on-demand availability of computer system resources,
especially data storage and computing power, without direct
active management by the user. The term is generally used to
describe data centers available to many users over
the Internet.
• Cloud computing metaphor: the group of networked elements
providing services need not be individually addressed or
managed by users; instead, the entire provider-managed suite
of hardware and software can be thought of as an amorphous
cloud.

• Is the most common form of information systems used in the
Hotel industry. This computerised system keeps track of
merchandise sales such as those that would occur in a hotel
restaurant, bar, coffee or gift shop.
• This system is important because it keeps track of payroll,
labour, and sales, as well as generate records which may be
useful for accounting purposes.

3. Management Information System
• This system provide the information required by hotel for
proper management of staff and facilities.
• This system can be used to analyse and facilitate operational
and strategic activities and is used functionally in areas such
as security, housekeeping, maintenance, and financial
controls and accounting.
Structure of MIS
Management information system, or MIS, broadly refers to a
computer-based system that provides managers with the tools to
organize, evaluate, and efficiently manage departments within an
organization.
• In order to provide past, present and prediction information, a
management information system can include software
that helps in decision making, data resources such as
databases, the hardware resources of a system, decision
support systems, people management and project
management applications, and any computerized processes
that enable the department to run efficiently. Since tourism is
now growing all over the world, the role of hotels is becoming
greater than before.
• Hotels take a big place in the market, so using manual system
may lead to erroneous management. Therefore, using a
computerized system is more efficient. This system can't
operate alone in a hotel because it concentrates mainly on
reservation processes.
• The system needs an accounting system and a management
information system so it can serve all the needs of the hotel
effectively.
4. Property Management System (PMS)
• This is a comprehensive software application which is used to
cover basic goals such as coordination of the operational
duties of the staff at the front office, sales, and planning.
• Property management systems facilitate the automation of
important functions such as guest booking, guest information,
online reservations, as well as sales and marketing.
The whole purpose of PMS is to manage various operations of
the Hotel and to streamline data.

5. Decision Support System
• Decision support systems aid the decision-making process.
Each hotel creates a decisions support system based on the
operational model of the hotel establishment.
• This system is particularly important in ensuring that the hotel
operations are functional and that decisions are made in a
timely manner.

What is the current scenario?
• Information technology has played an integral role in shaping
the hospitality industry in the last ten years.
• Hospitality IT solutions, have helped to increase cost
efficiency and operational efficacy that has eventually
contributed to better user experience.
• The benefits have been seen by not just customers but
businesses too.
Impacts of Information technology in the industry
1. Effective Computer Integration
- It has contributed better communication for large hotel
chains those are blazing fast.
- It helps effective organization of large amounts of data
which further helps in better coordination.
- It reduces the risk of any form of communication gap and
keeps the entire staff hierarchy on the same page.
2. Website and Digital Marketing
- Hospitality IT solutions and the internet have increased the
overall reach of hotel with their prospect customers.
- With the help of websites, hospitality companies can easily
create with desire impact on customers and engage in
online marketing and advertisement practices effectively.
- Customers can not just visit but also make purchases
online without any geographical constraints.
- Companies can now see their competition in real time and
act accordingly in terms of marketing practices, design and
advertisements.
3. Mobility Communication\
- The impact of mobile technology such as tablets and
smartphones has been immense. It has almost replaced
desktop computers. Customers can use the medium of
mobile phones to quickly browse through online friendly
websites and also make purchases with the help of
applications.
- Mobiles being such a personal means of communication
are used by hospitality companies to give regular updates
about bookings, cancellations and other related
information.
- GPS tracking helps in a better navigation system.
Hospitality companies can provide the exact location by
embedding coordinates into their website or disseminating
on personal request.
Therefore, information technology has impacted the hospitality
industry in a very fruitful ways.

IV. SYNTHESIS/GENE The hospitality and tourism industry is complex in nature. The use of

different systems is such a relief for segments of the industry such
lodging and food and beverage.
The common system used in the hospitality industry central
reservation system under the property management system. One
system cannot work alone it must have its accompanying system.
The property management system focuses in the internal as well as
external transactions of the lodging establishment. From inventory to
the creating and maintaining guest folio that is helpful in several
departments such as housekeeping and front office. In the front
office system the property management system is use in order to
connect with the reservation system, which is the most important
system in the department. All transactions will start during the
reservation process.
The second common system is the point of sale system, which is use
by the food and beverage segment of the hospitality industry.
Individual restaurant used this system in order to transact and
encode all information accurately, lessening human error.
This will prevent fraudulent activities such as theft and invasion of
information.
Systems in today’s era is very important as the business world is
mostly revolves in a technology base transactions. Using system and
business tools is necessary but the traditional approach is still helpful
in record keeping.
