ABSTRACT

The goal of the study is to design a website to publish the results of students at the Cihan University
– Duhok, To reduce some of the problems of slow delivery of services to students and the lack of
sufficient information for students about the university and colleges and news of the university
and the use of traditional methods to view the results and schedules of lectures and examination
schedules with Taking into consideration all services provided by the system to students.

The study indicated that the system has several characteristics, the most important of which are: -

The ease of publishing the results of students and access to them through the Internet, providing
additional services for students from the announcements of registration and calendar, the schedule
of examinations and schedules of lectures and provide information about the university and
colleges and news of the University.

Where the methodology followed in the study descriptive analytical method.

In order to facilitate the procedures between students and colleges in the process of results, and
work to control data and protect them from loss and damage and archiving, retrieval, searching
and copying periodically.

In this study, recommended to develop the work on the android environment and the use of
communication techniques, SMS, e-mail or automatic to announce the result and to build a site to
display the result to other colleges, execution the web site on the ground and training users for this
site.

PREFACE

“Stay Strong for yourself”

During the four years of study at the Cihan University - Duhok, several pressures and stress have
appeared in our education life. Therefore, these have led to not focus on our goal well, our passion
for learning and developing our skills in the computer science department when we were junior
students. Later, in stages 3 and 4 when we become senior students the vision and the interesting
study have become an Information Management System, Really, it was hard and difficult for the
first time to us because we have never been developing a thing like that. Frankly, the University
Information Management System project which has been selected for us was a great choice in our
view because it is based on Many Programming Language. We were motivated to work on this
project. We accepted this challenge, we have loved, we have started, and now it is done. In sum,
be creative and be yourself.

Finally, we would like to mention that this work is original work done by us, as a Students Group.
No part of this project has been previously submitted by others at Cihan University - Duhok. We
are the pioneer of this University Information Management System now.

CHAPTER ONE

INTRODUCTION

1.1 Introduction

An information system is an integrated set of components for collecting, storing, and processing
data and for delivering information. University rely on information systems to carry out and
manage their operations, and suppliers. According to Information, the system is a dynamic area or
field that monitors changes, perhaps the most important driving force induced by the development
of computers. It is a system that works and has to do with the information. The main function of
information is to avoid uncertainty and unknown circumstances creating a solid basis for
qualitative decision making in the management of the university. [1]

The university management system is developed to override the problems prevailing in the
practicing manual system, this software is supported to eliminate and, in some cases, reduce the
hardships faced by this existing system. More over this system is designed for the particular need
of the universities to carry out operations in a smooth and effective manner. The application is
reduced as much as possible to avoid errors while entering the data. It also provides error message
while entering invalid data. No formal knowledge is needed for the user to use this system. Thus,
by this all it proves it is user-friendly. University Management System, as described above, can
lead to error free, secure, reliable and fast management system. It can assist the user to concentrate
on their other activities rather to concentrate on the record keeping. Thus, it will help organization
in better utilization of resources. Every university, whether big or small, has challenges to
overcome and managing the information of students, faculties, Registrations, courses at the
management level. This is designed to assist in strategic planning and will help you ensure that
your organization is equipped with the right level of information and details for your future goals.
Also, for those busy executives who are always on the go, our systems come with remote access
features, which will allow you to manage your workforce anytime, at all times. These systems will
ultimately allow you to better manage resources. [2]

1.2 HTML

HTML stands for HyperText Markup Language. It is used to design web pages using a markup
language. HTML is the combination of Hypertext and Markup language. Hypertext defines the
link between the web pages. A markup language is used to define the text document within tag
which defines the structure of web pages. This language is used to annotate (make notes for the
computer) text so that a machine can understand it and manipulate text accordingly. Most markup
languages (e.g. HTML) are human-readable. The language uses tags to define what manipulation
has to be done on the text. HTML is a markup language used by the browser to manipulate text,
images, and other content, in order to display it in the required format. HTML was created by Tim
Berners-Lee in 1991. The first-ever version of HTML was HTML 1.0, but the first standard version
was HTML 2.0, published in 1999. [3]

1.3 CSS

Cascading Style Sheets, fondly referred to as CSS, is a simple design language intended to simplify
the process of making web pages presentable. CSS handles the look and feel part of a web page.
Using CSS, you can control the color of the text, the style of fonts, the spacing between paragraphs,
how columns are sized and laid out, what background images or colors are used, layout designs,
variations in display for different devices and screen sizes as well as a variety of other effects. CSS
is easy to learn and understand but it provides powerful control over the presentation of an HTML
document. Most commonly, CSS is combined with the markup languages HTML or XHTML. [4]

1.4 PHP

PHP is a server-side and general-purpose scripting language that is especially suited for web
development. PHP originally stood for Personal Home Page. However, now, it stands for
Hypertext Preprocessor. It’s a recursive acronym because the first word itself is also an acronym.

How PHP works:

▪ First, the web browser sends an HTTP request to the web server, e.g., index.php.
▪ Second, the PHP preprocessor that locates on the web server processes PHP code to
generate the HTML document.
▪ Third, the web server sends the HTML document back to the web browser.

1.5 JavaScript

JavaScript is a cross-platform, object-oriented scripting language used to make webpages


interactive (e.g., having complex animations, clickable buttons, popup menus, etc.). There are also
more advanced server-side versions of JavaScript such as Node.js, which allow you to add more
functionality to a website than downloading files (such as Realtime collaboration between multiple
computers). Inside a host environment (for example, a web browser), JavaScript can be connected
to the objects of its environment to provide programmatic control over them. JavaScript contains
a standard library of objects, such as Array, Date, and Math, and a core set of language elements
such as operators, control structures, and statements. Core JavaScript can be extended for a variety
of purposes by supplementing it with additional objects; for example: Client-side JavaScript
extends the core language by supplying objects to control a browser and its Document Object
Model (DOM). For example, client-side extensions allow an application to place elements on an
HTML form and respond to user events such as mouse clicks, form input, and page navigation.
Server-side JavaScript extends the core language by supplying objects relevant to running
JavaScript on a server. For example, server-side extensions allow an application to communicate

with a database, provide continuity of information from one invocation to another of the
application, or perform file manipulations on a server. This means that in the browser, JavaScript
can change the way the webpage (DOM) looks. And, likewise, Node.js JavaScript on the server
can respond to custom requests from code written in the browser. [6]

1.6 Aim of the Project

Nowadays the need for higher education institutions to have a reliable, effective and attractive web
presence is increasing as online technology is becoming an important part of the educational
process. The higher education institutions play a vital role in the development of a society while
higher education websites have many roles to fill. They need to provide information for
prospective students, current students, Faculty and alumni. They often need to include reams of
information in a way that makes everything easy to explore and it’s a great challenge.

1. Today, it is completely unimaginable that a university would exist without a website. Bad,
good, awesome, terrible – it does not matter, you have one. It is expected, demanded, and
if you did not, it would have a devastating impact on the impression people have.
2. The higher education institute has a need for an effective website to help with attracting
new students as well as for serving the needs of current students.
3. Higher education institutes need to make a website to globally in print the opportunities
provided by their institute so it can be accessed world widely
4. Higher education institutions and programs can elect to go through a peer reviews process
that is coordinated by private and state accredited organizations. These organizations are
made up of higher education professionals who evaluate quality based on the organization's
established standards.
5. Higher education websites provide all the information about the courses that could boost a
student's career prospects and earning potential, while giving them the chance to immerse
themselves in a subject that is really of their interests.
6. One of the goals that can be achieved by authorizing a HE (higher education) website is to
ensure that education provided by institutions of specific higher education meets acceptable
levels of quality.

7. Since the government itself does not supervise all post-secondary education, the
authorization system development to ensure that higher education institutions are providing
a "basic level of quality".
8. The private and state accredited organizations itself do not oversee each higher education
institutions individually, due to this reason a website is evolved to ensure that higher
education institutions are providing a "basic level of quality" and each institute can be
easily accessed by private. [7]

1.7 Advantage & Disadvantage of the Project

1.7.1 Advantage

1. Students can see their own grades with more privacy.


2. Organizing students' needs from administrative aspects.
3. It helps students who are going to study at the university to get acquainted with the
scientific departments and available specializations and to get to know the teaching staff
and their capabilities. [8]
4. Helps to achieve a higher level of efficiency.
5. Improves the quality of decisions.
6. Promotes better communications between departments.
7. Enrollment to handling inquiries, tracking student’s progress, sending reminders and

CHAPTER TWO

LITERATURE REVIEW

Cihan University - Duhok was established in 2013, and has been developing ever since. The
University accepts high school graduates of three tracks: scientific, humanities, and vocational.
The admission to Cihan University - Duhok is conditioned that students have enough knowledge
of English, since all subjects are taught in English. Study in Cihan University - Duhok consists of
two Semesters per year for four years at the end of that Students will have gained a bachelor degree.
which qualifies them to work in different Private and Public sectors.

2.1 Computer Science Department

Computer Science Department is one of the important departments at Cihan University - Duhok.
It started in 2013 with the foundation of the university. It teaches theoretical and practical methods
of processing and communicating information by means of computers. The Period of study at the
Department of Computer is four years. Graduates are awarded the degree of the Bachelor of
Computer Science. The department emphasizes the important of the quality of education, and the
faculty members. The department has a qualified academic staff in the most important areas in
computer science, with learning environment where leading-edge technology takes place on a daily
basis. Therefore, the graduates qualify for the transition to the labor market successfully. The
department of Computer Science seeks to establish a base of innovators and specialists in computer
science and the Programming languages, to form a distinguished scientific base in areas related to
the knowledge and applications of computers, and to prepare plans for the development of the
educational tools in order to ensure the fulfillment of the highest quality requirements. The
department of computer science also ensures the provision of distinguished graduates who are able
to cover the market needs, and keep up with the advances in the field of information and
communication technology. The department ensures that the graduates are able to complete their
post graduate studies in the various fields of computer science and are able to do high-quality
scientific research. Providing graduates with the needed knowledge to conduct basic research and
provide graduates with the skills to be able to communicate and work with others individually, or

2.2 English Department

English Department is one of the important departments at Cihan University - Duhok. The
Department of English was founded in 2013 in response to the increasing demands for graduates
in the field of English language and literature especially after the fast developments in Kurdistan
Region. Since then it witnessed radical changes in its faculty members, number of students, the
subjects taught, and the facilities offered. The department looks forward to establish a center of
high reputability with international standards that enhances the teaching and training processes of
the students and preparing them for the future responsibilities and careers. This vision makes a
major contribution to the expectations of the whole university. The Department aims at: Qualifying
well educated graduates to meet the demands of the society and the labor market. Preparing
students for higher studies. Raising the level of education in all the region through English as an
international language. Creating a solid ground for cross-cultural communications. Developing a
spirit of cooperation and feedback with the alumni. This webpage is also dedicated all stages

2.3 College of Health Science

2.3.1 Medical Laboratory Department

The Department of medical laboratory aims at building technical medical teams that deal with the
latest analytical devices, medical and health supplies and supervised by a distinguished teaching
staff with a high level of experience in the field of analytical techniques. Modern medicine relies
on scientific and practical bases in the diagnosis and treatment of various diseases, the pathology
analyzes in hospital and other health institutions play an active role in the diagnosis of diseases
and epidemics that kill society and help doctors solve and help to solve many underlying or
unexplained disease problems, and in order to fill the shortage of medical staff for various
specialties, especially techniques of pathological analysis, and for the purpose of raising staff
trained on modern techniques in the science of medical laboratories. The medical laboratory
department vision is to establish specialized medical laboratories, to develop postgraduate studies
(master’s and doctorate) in the fields of pathological analysis, and to host specialists in
pathological analyzes from the world’s oldest universities, in order to raise the scientific level of
the graduates of the college and make them in the ranks of prestigious colleges and universities.
The main objective: Prepare specialized staffs to serve different medical specialties (medicine,
dentistry, pharmacy and nursing) Contribute to the development of society through the
development of health services and in cooperation with health institutions and others through:
Contribute to the preparation and implementation of health programs and plans, taking advantage
of the expertise of specialists. And provide the necessary equipment to improve the quality of

health services. And to encourage medical and health research in the areas of pathological analyzes
and other medical specialties. Supporting hospitals and health centers with medical staff
specializing in pathological analyzes, as well as filling the needs of health institutions, official and
private hospitals and special pathological analysis laboratories. This webpage is also dedicated all
stages students in the Medical Laboratory Department, the page contains a form to be filled with

2.3.2 Clinical Biochemistry Department

The Clinical Biochemistry Department belongs to the College of Health Science, Cihan
University-Duhok.it is vital for each society to learn and train a large number of students to
maintain the people’s health or help the physicians to treat the diseases, this study program is
consisting of general subjects and professional courses. Students will get training in different fields
such as Chemistry, Biology, and the other basic sciences with the main focus on the medical
analysis field. Additionally, for the practical aspects, the department strongly concentrated to train
the students in their future real workplaces such as hospitals and medical laboratories by regular
visits. This department aimed to make their students highly aware in case of medical ethics
according to the world’s health comities, Supporting the health care system by high accuracy
diagnoses in disease conditions is the main vision of the Medical Biochemical Analysis

Department, therefore the graduated students of this department will be led to play a critical role
to provide high-quality analysis in medical laboratories to serve the public in the Kurdistan region
and Iraq. MBCA students are expected to conduct themselves in a professional manner. After
completing MBCA courses, students will be able to accurately or positively: Display honesty,
reliability and integrity when performing laboratory procedures. Display ethical conduct and in
interactions with instructors, patients, and additional members of the healthcare team. Maintain
confidentiality of patient information and test results. Utilize laboratory equipment and supplies
for the purposes intended Serve the community. This webpage is also dedicated only for first stage
students in the Clinical Biochemistry Department, the page contains a form to be filled with student

2.3.3 Medical Microbiology Department

Microbiology is the study of the biology of microscopic organisms - viruses, bacteria, algae, fungi,
slime molds, and protozoa. The methods used to study and manipulate these minute and mostly
unicellular organisms differ from those used in most other biological investigations. Recombinant
DNA technology uses microorganisms, particularly bacteria and viruses, to amplify DNA
sequences and generate the encoded products. Moving genes from one microorganism to another,
or amplifying them within microorganisms, permits application of microbial skills to solve medical

and environmental problems. Many microorganisms are unique among living things in their ability
to use gaseous nitrogen from the air for their nutritional requirements, or to degrade complex
macromolecules in such materials as wood. By rearranging the genes that control these and other
processes, scientists seek to engineer microorganisms that will process wastes, fertilize agricultural
land, produce desirable biomolecules, and solve other problems inexpensively and safely. The
vision of the Department of Medical Microbiology is to be globally recognized for the
achievements of in health care, education, leadership, and research. The research fields most
importantly include the development of vaccines and antimicrobial agents to treat infections. To
provide knowledge of the principles of Medical Bacteriology, Virology, Mycology, Parasitology
and Immunology. microorganisms, pathogenesis, laboratory diagnosis, transmission, prevention
and control of diseases common in the country and around the world. To prepare graduates capable
of describing the epidemiology of infectious agents including how infectious diseases can be
prevented. Prepare qualified graduates for leadership roles in basic and advanced professional
microbiological practice. Prepare competent researchers in all fields of Medical Microbiology,
emphasizing on vaccine development and improvement of antimicrobial agents to serve the

2.4 Banking and Finical Department

2.5 Accounting Department

Accounting Department is one of the important departments at Cihan University - Duhok.


Accounting Department at Cihan University - Duhok was established in 2013, and has been
developing ever since. This department accepts high school graduates of three tracks: scientific,
humanities, and vocational. The admission to department is conditioned that students have enough
knowledge of English, since all subjects are taught in English. In addition to that, students should
know how to use the computer. The department introduces Accounting knowledge according to
International accounting Standards, accounting information systems, advanced financial
accounting as well as electronic accounting packages. Study in this department consists of two
Semesters per year for four years at the end of that Students will have gained a bachelor degree in
Accounting Sciences which qualifies them to work in different Private and public economic
sectors. The Main Objectives: Preparing students at high theoretical and practical levels in
accounting specializations, which goes with the process of economic development and the needs
of the labor market in all public and private sectors. Enabling the students to command the modern
technologies especially the computer and its uses in scientific fields related to the department
specializations to guarantee an international scientific productivity Explaining to the students the

2.6 Business Administration Department

The Business Administration Department is one of the important departments at Cihan


University - Duhok. Business Administrators graduate will handle the operational,
organizational, and managerial responsibilities of a company or government offices. They are
known by many job titles including CEO, general manager, and operations manager. Business
administrators are often the individuals who grew the company, often they relinquish their
positions and chair on executive boards, to be the eminent department of business
administration in the areas of learning and teaching, research, publication and consultancy,

2.7 General Education Department

General Education is one of the important departments at Cihan University-Duhok. The


department of General Education has three branches (English, Psychology and Computer
branch). It teaches theoretical and practical methods of processing and communicating
information. The duration of the study in this department is four years after which the students
receive a certificate of Bachelor in General Education. Achieving leadership in areas of
specialized educational development. Excellence in preparing a generation of educational
leaders and thinkers who will be essential pillars in building a dynamic and renewed educated
society. Preparing and qualifying professional faculty who are characterized by interacting

positively with the social environment. As well as having the technical ability necessary for
continuing professional growth by academic accreditation standards and the renewed needs of
society. Providing an outstanding educational product that contributes directly or in a long-
term process to the development of knowledge to enhance professional practices and efforts

educational field and the challenges of sustainable comprehensive knowledge development.
Creating new and distinguished academic programs to serve the requirements of society.

materials and methods of English language teaching to prepare students professionally and for

2.8 Fine Art Department

The fine Art Department is one of the important departments at Cihan University - Duhok. The
discipline of Fine Arts is one of the important components of the structure of culture. The
development of Fine Arts has a positive impact on cultural life as well as it is an important
factor in the advancement of human life, The Department of Fine Arts, however, plays a vital
role in the development of artistic taste in society. Consequently, the society interacts with
beauty in such a way that expands the horizons and perceptions of people. The department of
Fine Arts believes in the importance of art; in the evolution and development of human
life. The Department of Fine Arts aims at preparing a young generation of artists who have
the ability to produce artistic work and participating in the activation of the artistic movement

through holding exhibitions and plastic activities which contribute to the development of the
cultural movement and supporting them to enhance its position at both individuals and society
levels. Accordingly, it emphasizes the cultural depth of the people of Kurdistan and its artistic
product through the historical periods to make a connection with the historical achievement

CHAPTER THREE

FUTURE WORK AND CONCLUSION

3.1 Future Work

The main goal for us during the planning phase of the project was to create a flexible software
system that can be developed in the future to suit the future needs of Cihan University - Duhok in
terms of information management and organization to help the administrative staff provide the
best services for current and future university students. We, as a development team, have relied
on the use of a number of programming languages with the latest versions and platforms that are
characterized by high flexibility, in addition to writing programming codes in a way that allows
for its development in the future, whether by the technical team of Cihan University - Duhok or
by students who wish to develop it as part of a technical activity for the university or the
department.

At the level of programming languages. We used the HTML to create the structure of the web
pages and wrote the codes, especially the nested codes, in a way that facilitates the process of
understanding and modifying them in the future and preventing any tag from affecting other tags
from performing its function effectively, in addition to dividing the lines of code in the source code
and placing notes explaining the function of each code on a webpage.

After completing the project structure, we used CSS for its advantages and additions related to
organizing and arranging the content of the web page or the user interface in general, and making
it an interactive and dynamic interface, and perhaps one of its most important features is its ease
of understanding and the ability to easily modify it.

We also used JavaScript to add a number of features to activate a number of features in the web
page to make it a responsive interface for users of mobile phones and tablets.

We used the PHP language to be a link between the user interface and the database with
programming a number of important commands whose work is directly related to the database and
add an explanation and notes explaining the work of each code in order to facilitate the process of
developing or changing it in the future.

What we want to show in all of the above is the possibility of developing this project in the future
and adding a lot of features, and perhaps the most prominent features and possible additions are:

In near future, the system interface could be improved, with more attractive, interactive and
meaningful images; Enhance the system with an email and SMS (Short Message Service) or email
notifications; Enhance the current system by computerizing almost all of the services provided by
the institution (online exams, enrolment, library and others), turning it into a complete LMS, And
evolve the system by developing several versions through users’ feedback, if a complete solution
has not been worked out. [12]

There is a future scope of this facility that many more features can be added such as group chat
where students can discuss various issues of engineering can be added to this project thus making
it more interactive more user friendly and project which fulfils each user need in the best way
possible. [13]

Software Maintenance Issues Preventive, adaptive and corrective maintenance were carried out on
this system for future transfer-ability of administration. [14]

from this basic Cihan University - Duhok can add an additional feature that can save hours of work
and many procedures by adding a webpage for the postgraduate students to insert their information
(Name, Email, Graduation year, College, And Department) it will appear the student marks,
activities, achievements and the needed information after the graduation that can give Cihan
University - Duhok advantage over the other universities because it will be the first time for a
university to make this option available at Kurdistan Region. It can be easily designed and build
up as a code then it will be connected to the university database it going to be easy to access, more
arrangeable to modify and remarkable achievement. Development is limitless so we can add
another feature it could be a simple and very useful idea designed as a table that contains a library
of resources that can be a very useful feature can save a big amount of time either to the teachers
and students as well also it could be a trusty source for many people.

3.2 Conclusion

Certainly, this research is the beginning of a project that has continued over many years, as it lays
the foundation stone for a broader, larger and more comprehensive project with a great plan that

serves the interest of the university in terms of administrative, organizational and technical terms.
As this project is a project that can be applied, developed and updated, and it can be used annually
by renewing information and adding the necessary updates and making changes It is also an open
project, meaning that it is possible to develop the project and add new ideas to it in line with the
needs of the college and the latest developments in modern science. In addition, the project
provides modern solutions to solve some of the problems facing the university, such as distributing
grades to students and showing results in a modern, safe and confidential manner, similar to many
international universities that adopt this system in their work It also allows the student to view his
file confidentially, as well as providing an interface for the teaching staff that facilitates his work
and saves him a lot of effort and time.

Our project has focused in all its aspects on solving the actual problems that the university has
regarding the administrative aspect. The information management system project for Cihan
University - Duhok contributed to reducing the duration of work and reducing time, in addition to
facilitating administrative matters related to organizing and distributing results to students and
delivering them to Students, taking into account the student’s privacy and preserving their
information, In addition to building the system in a way that allows for its future development,
And developing mechanisms that contribute more to addressing students’ problems and the
dilemmas facing the department’s administration in a way that suits the aspirations of the
university.

Finally, design a website meant to automate the processing of student results following standard
statutes and guidelines. The website was successfully developed, tested, and found to be working
as expected. It has some qualities such as reduction in the cost of processing, reduction in time
spent generation of transcripts, and elimination of duplicate records, which makes it superior to
the manual system of students’ results processing. Based on the findings of this research, the
following conclusions have been made: Input design for Result Processing - a subsystem of the
University Information Management System - is of utmost importance in the area of pipe-lining,
as it allows files containing already prepared data to be uploaded instead of entering pieces of data
one after the other into the system via keyboard and forms.
