CHAPTER 1
INTRODUCTION
1.INTRODUCTION
As a part of my MBA in Human Resource and Finance I did a 45 days internship from 2nd may
to 15 june at Nice Chemicals Pvt Ltd company which is located at Edappally,Ernakulam
District,Kerala.This internship program helped me to learn practical scenario of a chemical
manufacturing company.The basic objective of the internship is to get familiarized with the work
done by the employes in different department in the organization and its functioning.The study
also helps to have a clear understanding about various management aspects of the firm.

Nice Chemicals Pvt Ltd is a cochin-based company manufacturing and marketing Laboratory
chemicals,Laboratory glassware,and Agrochemicals.It is one of the leading brands in Laboratory
chemical segments in india.A well-established export market is also there for Nice chemicals.

I gained practical knowledge in various duties in Hr and Finance department and got an overall
knowledge about the organization and its functions.The various duties and responsibilities
accomplished during the period were;

❖ Execute an order and its follow up.

❖ Verifying accounts transactions.

❖ Overall study of each department.

1.1 OBJECTIVES OF THE INTERNSHIP

The internship of the Hr department of Nice chemicals company has helped in understanding the
practical application of theories.The main objective of this internship is to get knowledge and
idea about the organization and to develop skills.Following are the other objective of the study;

❖ To learn about all functions carried out by different departments of the company.

❖ To learn about the department structures and its functional hierarchy.

❖ To expand the span of knowledge.

❖ To know how to solve managerial problems.


❖ To increase sense of responsibility and good work habits

❖ To analyze the company and its environment using SWOT analysis.

❖ To understand how information is used in organization for decision making at various


levels.

1.2 INDUSTRY ANALYSIS

The Indian laboratory chemical industry has a standing of only 54 years and was established in
the face of stiff competition from imported products manufactured by renowned international
firms of long standing. In fact, the technology of laboratory chemicals is still held as a secret, and
only a few companies are in possession of the detailed know-how. The laboratory chemical
industry in India is concentrated in areas around Mumbai, Baroda, Ahmedabad, and Delhi. There
are very few firms in the country manufacturing standard-quality laboratory chemicals that
measure up to the expectations of research scientists and quality control laboratories. However,
there are mushroom repackers of so-called laboratory chemicals whose chief purpose is to cater
to the needs of certain science schools and intermediate colleges with meager funds at their
disposal. The purity standards in respect of such chemicals are not dependable, and the product
labels generally do not carry any informative specifications. The consumption of laboratory
chemicals in a country, therefore, provides a true index for measuring the progress achieved by a
country in chemical technology and research.

As already mentioned, the manufacture of laboratory chemicals in India is of relatively recent


origin. As late as 1949, there was not even a concept of indigenous manufacture of laboratory
reagents, and the country was wholly dependent on imports from the U.K., Germany, and the
U.S.A.

There was slow growth in this direction in the decade 1950–60. At this juncture, two companies,
namely the then British Drug House Pvt. Ltd., which later merged with Glaxo Laboratories Pvt.
Ltd., and Sarabhai Merck Pvt. Ltd., in collaboration with B. D. H., U.K., and E. Merck,
Darmstadt, West Germany, respectively, arrived on the Indian scene and have since matured into
leading companies manufacturing a wide range of laboratory chemicals and reagents.

However, from 1960 onwards, the progressive manufacture of laboratory chemicals commenced
in the country, although the year 1958 marked the beginning of the indigenous manufacture of
laboratory chemicals in real earnest.

BDH in India was started by George Curling, Wyman & Co., and in 1939 a branch office was
established in Mumbai. In 1947, the Indian company, British Drug House (India) Pvt. Ltd., was
formed. It started manufacturing pharmaceuticals in 1948 and fine chemicals in 1956. In 1968,
British Drug House (India) Pvt. Ltd. amalgamated with Glaxo Laboratories (India) Ltd. to form
one company, and since then, the laboratory chemicals business in India has been handled by the
BDH chemicals division of Glaxo Laboratories (India) Ltd.Glaxo Laboratories (India) Ltd. then
became Qualigens, which has its roots in two words: quality and genesis, which means origin.
Recently, Qualigens was taken over by Thermo Fisher.

Looking at the development in our country, as late as 1958, there was no Indian company of
repute engaged in the field of laboratory chemicals. Before 1958, our country had to import
almost all laboratory chemicals, biochemicals, and research chemicals required by our industries,
educational institutions, and research institutions.

To a great extent, the country's reliance on imports in the field of inorganic chemicals has been
done away with. However, the country is still heavily dependent on imports of organic
chemicals, biochemicals, and many research chemicals. The development of the petrochemical
industry in the present decade may perhaps boost our progress in this direction. Therefore, the
laboratory chemical industry still has a long way to go before it can compare itself with its
counterparts in the U.K., U.S.A., Germany, and Japan.

In the absence of a systematic and scientific market survey conducted by any manufacturer of
laboratory chemicals or any independent body like ORG, the exact size (by turnover) of the
laboratory chemicals market cannot be assessed clearly. Further, no such data is available at
present. The laboratory chemical business is growing at a rate of 25–30% (The Financial
Express, November 18, 2004). However, after going through the websites of manufacturing
companies and reports of public limited companies, discussing with senior marketing managers
of different manufacturers and sole selling distributors of different manufacturers, and based on
some intelligent guesswork, the annual turnover of laboratory chemicals business in India is
estimated at about Rs. 2000 crore. Apart from the Indian manufacturers, a lot of foreign brands
are also active in the Indian laboratory chemical market. Leading players include Across
Organics, Sigma-Aldrich, Merck-Germany, etc. Since most of these companies offer a wide
array of products that are mostly different from those manufactured by domestic players,
business prospects are bright for all the players.

With regard to the Kerala laboratory chemical market, NICE was the first company to start
manufacturing laboratory chemicals in 1976 under the name New India Chemical Enterprises.
New India Chemical Enterprises was converted into a private limited company under the name
NICE Chemicals Pvt. Ltd. in 1996. Nice was the first laboratory chemical manufacturing
company in the South to get ISO 9001 certification in 2001.Quality is the criterion for success in
this business. Tie-ups and strategic alliances with global leaders help domestic companies
increase their business. Indian laboratory chemical manufacturers are also eyeing the export
markets, and currently, Indian manufacturers export turnover is between 100-125 crores.
CHAPTER 2
ORGANIZATIONAL ANALYSIS
2. ORGANIZATIONAL ANALYSIS

Nice Chemicals was established in 1976 as a partnership firm and then converted into a Pvt. Ltd.
company. The company was started mainly by technocrats who had vast experience in this line
by virtue of working in multinational chemical units for a long time. The head office of Nice
Chemicals is situated at Manimala Road, Edappally, Kochi, Kerala.

At present, the company manufactures around 1500 products in various ranges,and these
products are REACH-certified IP and USP products. Now the company has three manufacturing
units situated at Edappally, Edayar, and Thiruvalloor. In the Thiruvalloor unit, apart from the
normal activities, research and development work is also undertaken. They have effectively
succeeded in creating at least half a dozen ancillary units in south India, where highly qualified
technocrats undertake the production as per guidelines. Upgradations of technical specifications
in products have been achieved, along with purity and impurity levels that meet exacting
standards. They are also constantly striving to improve the packaging so that the products reach
the users in safer conditions.

The company has a well-equipped laboratory with a well-trained team of chemists. Each and
every batch of the product's quality parameters are being tested and certified with the help of
sophisticated instruments like an atomic absorption spectrometer, a gas liquid chromatography,
an ultraviolet visible spectrophotometer, etc. All clinical reagents are tested in their chemical
laboratory. Hence, they also undertake chemical and pathological tests for the public at a very
normal fee, thus fulfilling the social objective.

HISTORY

A company that was formed long ago in 1976 as a partnership firm with Mr.P. Sahadeva Menon,
Mr. Gopinathan Pillai, Mr.K. M. Krishna Pillai, Mr.V. Govindan Kutty, and Dr. Molly
Alexander as partners. It had the support of a team of technocrats who had experience working in
multinational chemical units for a long time.

Manufacturing units of the company are established in Edapally, Edayar, and Thiruvallur in
Kerala. Its sales outlets are located in all major cities like Bangalore, Delhi, Chennai, Patna,
Kolkata, Ahamedbad, Mumbai, Coimbatore, and Hyderabad. The company has been recognised
and well accepted in the educational, research, industrial, and service sectors.

OBJECTIVES OF MARKETING AND SALES DEPARTMENT
● Development of customer base and building up customer relationship:
The primary objective is to attract new customers and satisfy the needs of existing ones. Hence,
the workforce in this department is responsible for making use of the unexplored areas and
making themselves superior in terms of market share.
● Maintain delivery time:
The department should ensure timely delivery of all its orders without fail. This is because,
other than the tough task of searching for new customers, they should also be given maximum
satisfaction. It should try to deliver its products in the shortest time possible.
● Monitoring market research,sales force,advertising and promotional activities:
Market research helps in identifying problems related to marketing or any other factors affecting
it. It helps the company take the necessary steps according to changing market trends.
Advertising and promotional activities should be effectively carried out in order to inform
stakeholders about the existence of the products and the benefits of using them.

FUNCTIONS OF SALES AND MARKETING DEPARTMENT


● Appointment of stockist and renewal
The selection of stockists is based on their ability to meet the requirements of the company. i.e.,
on the basis of their marketing ability,financial status,resource availability, organization status,
and track record. A stockist register form is used to enter all the relevant information collected
from the stockist. The most suitable stockist is selected and is included in the panel of "approved
stockists." This is done by the director of the marketing department based on further analysis and
assessment of the details furnished. An approved stockist list is also maintained by the company,
which comprises the details of stockists approved for various locations.
● Preparation and release of specification manual
Specification manual is prepared as per the authorized input i.e based on the standard
specification received from the director of production department.This manual is updated yearly
with new version number.
● Preparation and release of price list

The price list is prepared based on the authorized input received from the director and also by
making a comparison with the competitor's rate. It is prepared once a year, usually at the
beginning of the financial year. The price list is also updated annually with new rates.

● Receipt and processing of enquiries

The company receives many inquiries from its customers. Offers or contracts are prepared
according to the customer’s requirements, and if the requirements are found to be beyond the
company’s capacity, such offers will be disregarded. The accepted offers are verified and
directed to the customers. All such details are recorded in the company’s inquiry register. In
order to ensure maximum orders, all offers forwarded to customers are properly followed up by
the company. An offer file is used to keep copies of the offers submitted.

● Receipts and processing of orders

Details of newly acquired customers are entered into the customer database. The orders received
are studied carefully to check if they match the offer or rate contract, and then the order
acceptance is sent to the customer and stockist. All orders are recorded accurately in the order
register.

● Forming the rate contract

The company creates a rate contract with its customers along with relevant enclosures. Finally, it
is settled with or without any further modifications by the director of the marketing department.
A master file is maintained to record all valid rate contracts.

● Dispatch

Prompt delivery of services is made by the company as per the orders. The products must be
supplied to its customers without delay.
● Addressing Customer Complaints

Customer complaints are addressed by marketing officials. Unless their valuable feedback and
suggestions are considered and their complaints are properly sorted out, the company cannot
retain its customers.

● Effective handling of products returned by customers

Some products may not meet the customer’s requirements. If they return these products to the
company, they will be thoroughly examined. Also, if the customer’s claim is found to be right
and genuine, he will be provided with new goods, or else the company will refund him the
amount he had paid.

➔ QUALITY CONTROL SYSTEM

The company does both bench analysis and instrumental analysis of their products. In bench
analysis, the quality of the produced chemicals is compared with respect to the standard solution
already prepared by the chemists. In instrumental analysis, certain specific instruments are used
to measure quality.

100 percent sampling is done for all chemicals and is tested as per the standard specifications
given on the label. The quality control personnel will check all the parameters written on the
labels, and if they're found within the prescribed limits, a passed sticker will be tagged on the
bags.
The company maintains an analytical record for future records and references. Control samples
are also kept by the company for six months.

➔ QUALITY MAINTENANCE PROCESS

After the product gets approved by the quality control personnel, it is packed under the strict
supervision of the packing personnel. Before packing, he will make sure that all products contain
the ‘passed sticker’ tagged on them by the quality control personnel. Then these products are

The company is a client of consultants named ‘Cen Tab, and it also approaches some private
employment agencies for recruitment purposes. Private employment agencies are used mainly
for the recruitment of security guards. These private employment agencies and consultants
complete the recruitment process on behalf of the company by charging fees.

B. Internal source

Usually the existing permanent employees within the company are preferred for higher-level jobs
since they are found to be more capable and have much more potential compared to others
recruited by means of external agencies. The present temporary or casual employees fill the
vacancies for lower-level jobs. Sometimes retired employees are re-employed, considering their
loyalty to the company.

❖ SELECTION

The first step of the selection process is an interview. All those candidates who clear it are taken
to the expert panel of judges, consisting of some technical managers. These technical managers
belong to those departments where the candidate, if selected, is supposed to work. The
candidates are interviewed by technical managers to determine their skills and extension of
knowledge. For higher-level jobs, candidates are also interviewed by the managing director.

availability of funds. Then these budgets are prepared and presented to management for
approval. The budgets are reviewed half-yearly. If any changes are recommended, then a revised
