Information Sheet - Basic Word Processing

Learning Objectives:
After reading this information sheet, one must be able to:
1. Familiarize with the Word Processors, particularly, Microsoft Word
2. Execute different functionalities of Microsoft Word to appreciate its
features that will benefit its future usage in the workplace environment

Lesson 3: Word Processors


As per Wikipedia, a word processor is:
• A device or computer program that provides for input, editing,
formatting, and output of text, often with some additional features.
• The functions of a word processor program fall somewhere between
those of a simple text editor and a fully functional desktop
publishing program.
• Word processors evolved from mechanical machines and only later
did they merge with the computer field, hence, typewriters can be
also considered as a word processor, albeit mechanical.
Microsoft Word
• Microsoft Word is a word processor developed by Microsoft.
• It was first released on October 25, 1983, under the name Multi-Tool
Word for Xenix systems.
• Commercial versions of Word are licensed as a standalone product or as a
component of Microsoft Office, Windows RT, or the discontinued Microsoft
Works suite.
• The first version of Microsoft Word was developed by Charles Simonyi and
Richard Brodie, former Xerox programmers hired by Bill Gates and Paul
Allen in 1981.

Parts of MS Word window
• File Tab – Contains basic file management commands such as open,
save, create a new file, and closing file.
• Quick Access Toolbar – Contains the most basic file management
commands for ease of access.
• Title Bar – Displays the document’s name
• Close Button – A button to close a certain document or to terminate the
application.
• Ribbon – Contains menus and options by category and functionality.
• Scroll bar – Allows the user to adjust the view of the document.
• Document window – Workspace for the application where the content of a
document is shown.
• Zoom slider – Allows the user to zoom in or out the document, for better
readability.
• View shortcuts – Allows the user to select different view modes for ease of
use and readability, since the MS Word is also available for various
devices, hence not only being limited to PCs running on Windows
Operating System.

Parts of MS Word window


• Insertion point – Represented by a cursor, the user can type or select a
text with the use of this cursor.
• Ruler – Displays document margins and tab stops, allowing for better
document formatting flexibility.

Basic functionalities and steps
First, run the Microsoft Word app by searching for the application using
the Start Menu, or double click any shortcut icon for Microsoft Word.
Depending on the version, Microsoft Word will be represented by the
following icons:

Opening a document:
1. To open a document, go to “File”, then click “Open”.
2. Go to the directory of the file you wished to open.
3. Alternatively, one can use the shortcut key Ctrl + O.

Save a document:
1. To open a document, go to “File”, then click “Save”.
2. If the document has never been saved, a dialog box will open
prompting the user to enter the file destination and its file name.
3. Alternatively, one can use the shortcut key Ctrl + S.
4. To save the document to a different file format, go to “Save As”,
proceed to the typical document saving process, then look for “Save
As Type”. The dropdown box shall allow the user to choose a different
file format supported by Microsoft Word, such as .pdf.

Print a document:
1. To open a document, go to “File”, then click “Print”.
2. Select the printer name you wished to do the job of printing.
3. To print specific pages, look for the Settings, select “Custom Print”
instead of “Print All Pages” which were set by default, then enter the
page numbers you wished to print.
4. Click the “Print” button

MS Word: The Ribbon
Home Ribbon
• Alters text attributes like font, color, properties, alignment, fill, etc.

Insert Ribbon
• Allows the user to insert different objects in the document, like Word Art,
Text Box, Charts, Shapes, etc.

Design Ribbon
• Allows the user to alter the design aspect of the document; includes
themes, watermarks, etc.

• Allows the user to modify the page configuration of the document;
includes margins, size, etc.

• Allows the user to deal with the references
• Very useful in research papers.

Mailings Ribbon
• Allows the user to send the document to different recipients.

Review Ribbon
• Allows the user to look for errors in the document; includes spelling and
grammatical errors.

View Ribbon
• Allows the user to view the document into 3 different ways: Read Mode,
Print Layout, and Web Layout.

Basic Text Formatting

Microsoft Word allows basic text formatting, hence, the user is able to
modify the font family that will be used in the document (i.e. Arial, Times New
Roman, Helvetica, Bookman, etc.), the font size (in the unit of pt or points), its
properties (Bold, Italicized, Underlined, Superscript & Subscript,
Strikethrough, and Color), and its alignment (Left Alignment, Center
Alignment, Right Alignment, and Justified Alignment).

To do such, one shall go to the Home ribbon, then look for the Fonts
panel dock.

Description:
• Bold – Emphasizes the text by increasing its thickness. Alternatively, one
can use the shortcut key Ctrl + B to achieve the same effect.
• Italicize – Slants the selected text slightly to the right. Alternately, one
can use the shortcut key Ctrl + I to achieve the same effect.
• Underline – Attaches an underline on the selected text. Shortcut key: Ctrl
+ U.
• Strikethrough – Attaches a line in the middle of the selected text.
• Subscript – Sets the selected text below the normal line of type.
• Superscript – Sets the selected text above the normal line of type.
• Text effects – Allows the user to select predefined text effects, such as
bevel, emboss, and shadows for the selected texts.
• Highlighter – Highlights the selected text. The user can choose the
desired highlighter color.
• Text color – Changes the text color.
• Clear formatting – Reset all of the formattings to default, based on the
template used by the document.
• Text case – Changes the case of the selected text to uppercase or
lowercase at one click.
• Increase/decrease font size – Increases or decreases the font size in an
incremental or decremental fashion (point by point). Alternately, using
the shortcut key Ctrl + + or Ctrl + - shall do the same.
• Font size – Increases or decreases the font size by letting the user select a
predefined font size or letting the user type the desired font size in the unit
of points.
• Font family – Changes the font family used in the text.

Text Alignment, Spacing, and Bulleted Lists

Microsoft Word also caters functions for text alignment and spacing that
can be done on a traditional word processor, particularly the typewriter, albeit
manually. With a click of a button, the user can insert bulleted lists, change
the alignment of the text, and set the vertical spacing of the text. Such
functions can be found at the Paragraph panel dock.

Description:
• Alignment – Allows the user to set the alignment of the document.
o Left Alignment – Aligns the text biased to the left margin of the page.
Shortcut key: Ctrl + L.
o Right Alignment – Aligns the text biased to the right margin of the
page. Shortcut key: Ctrl + R.
o Center Alignment – Aligns the text to the dead center of the page.
Shortcut key: Ctrl + E.
o Justified Alignment – Aligns the text vertically on both to the left and
right margins of the page. Shortcut key: Ctrl + J.
• Bullets and Numbering – Allows the user to insert a bulleted list on the
document.
• Spacing – Allows the user to spread or reduce the vertical spacing of the
text.

Problem Solving:
Q: My numbered list did not start on my desired number. What should I
do?
A: Go to Home > Paragraph > Numbering, click the dropdown arrow,
then select “Set Numbering Value”. Set the desired starting value of the
numbered list.
