INVIGILATOR ONLINE COURSE NOTES

MPC
MODULE 1: PREPARING FOR AN EXAM
Supply the online course with the Exam Day Booklet
- Ask the center

If need help --> Call official numbers the same day of the exam

Before candidates arrive:


- Set exam room
- Test day photo area (only for FIRST, ADVANCED and
PROFICIENCY)
- Set up waiting room

EXAM ROOM:
- Minimum distance requirement of 1.25m
o Starters, movers and flyers: distance and shape doesn’t
apply.

- Speaking: examinators will set up the room


- Take helpful posters/cards or cover them to avoid unfair
advantages
- Have ready for the day:
o Question papers and answers sheets
o Exam Day Booklet
o Pens and pencils
o Erasers/highlaters/Sharpeners/Scissors
o Extra paper
o Barcode labels and script return envelope (or A4 envelope
to pack materials)
o CIS forms (Candidate Information Sheet forms)
 Not required for Key for Schools
o Attendance registers and room plan
o Audio playing equipment and headphones
o Malpractice and Special Considerations forms
o Candidate name correction forms and posters
o Measuring tape
OUTSIDE OF THE EXAM ROOM
Display Notice to Candidates
- Outlines rules for candidates
o Refer to them if need to tell candidates off

CHECKING EXAM MATERIALS


It’s essential to have the correct material. Check label for:
- Exam name
- Date
- Version
- Packing codes (if applicable)
- AM/PM/EVE sessions (if applicable)

Make sure to use the correct question paper version for on-demand
exams (starters, movers, flyers and school exams).

Must check if the candidates:
- Packing codes for rooms and venues
- Question paper
- Test date
- Exam

Check if candidates have correct personalized answer sheets for the


exam
- Special arrangements materials are given at the same time,
check data again and hand out correctly

QR codes:
- Personalized sheets: 3 QRs identify Center number, exam date
and sitting, and candidate number
- Semi-personalized sheets: 2 QRs identify center number and
exam date and sitting. Candidate must fill in their name and
number manually
o Used as spare sheets
- Non-personalized sheets: NO QR. All details must be completed
manually
o Emergency or last moment registers
Look for the numbers and details to be consistent in every piece of
aper

Check in all of them that exam session and city is correct. Look for
these typical errors:
- Using a different exam date/session sheet
- Writing or crossing any of the given QR codes
- Deleting or changing candidate’s name or number
- Swapping answer sheets between candidates or handing them
down incorrectly

If candidates start to answer in pen or in pencil in an incorrect way,


let them go through
- Send sheet with note and contact Helpdesk

Need to cross the attendance register and include present and absent
- If you have candidates that are not in the register, note them
down and notify your center so they can register afterwards
- For speaking tests, you must provide the attendance sheet to
Marshalls and examiners
o Accuracy is key

Ensure that the sitting room plan is accurately completed.

MODULE 2: RUNNING THE EXAM


CANDIDATES’ WELLBEING
Exam dates tend to be stressful. You must consider these points to
ensure wellbeing:
- Relate to your candidates in a pleasant and professional matter
- Provide suitable exam conditions
- Ensure safety and comfort
- Be familiar with emergency procedures at the venue

DIVIDING MATERIALS BEFORE THE START OF THE EXAM


Materials must be opened the same day of the exam in front of your
candidates
- If you have a venue with multiple exam rooms, you can use a
single pack for all the venue. Invigilators may open the packs to
divide previously. Supervisors can apply to Cambridge so that a
single pack is used per room.

BEFORE STARTING THE EXAM


Take test day photos and ask candidates to fill in thein information
sheets
- Test day photos are mandatory for First, Advanced and
Proficiency. Candidates may ask for the photos for other exams

Electronic devices are a big threat. You must collect all electronic
items and all watches before the start of the first component. Ask
candidates to switch off before collection.
- Keep electronics outside of the exam room. Don’t let
candidates to use them in between components.
- Make sure that candidates put all non-allowed items in a
designated area

You can’t allow a candidate to arrive late to a listening test. To the


rest, you may allow late arrivals if no other candidate has finished and
left the room (if supervisor approves).
- You can refuse the entrance if it is the center’s policy
o Fill in a special Considerations form if it is for sudden
illness or another acceptable reason
- If you don’t allow a candidate to take one compound, don’t
allow them to take the rest
o They only receive a mark if the complete all the
compounds
- If you allow a late entrance, you must allow them the full time
of the test

STARTING THE EXAM


When every student is seated in the correct desk, it’s time to open
the Exam Day Booklet.
- Steps 1-3 contain the essential information

Checking IDs
Read every piece of information of the Candidate Instructions loud
and clear so that students are aware of what they need to know
- Read instructions form the question paper when instructed in
the Exam Day Booklet

RUNNING THE EXAM


Primary role --> Prevent cheating and helping candidates.
- You must not explain questions, offer advice or help with any
part of the exam
Stay vigilant. You can complete the attendance register and room
plan
FINISHING AN EXAM
Scripted section in the Exam Day Booklet
Written components (except listening): GIVE 5- AND 10-MINUTE
WARNINGS
- For written, make sure to give warnings to transfer the answers

Make sure that every candidate stops writing when told.


Candidates may only abandon the room when all the materials
are collected.

Once everything is collected, put the materials in a A4 envelope, seal


it and sign across the seal.
- Pack in the order of the attendance register and per component
- Place the register on top, then answers and then questions
- Deliver unused
- Send the test with a followed courier (envio certificado) so you
can track the test and follow up if there is an issue
- CIS forms are sent in a separate envelope

RUNNING SPEAKING TESTS


From April 2024, Speaking mark sheets are no longer a thing an all
Speaking Examiners will use the app. They must also have a Speaking
marks offline record
- Starters, Movers, Flyers will still use the paper

Check candidates’ ID twice:


- When registering
- Just before candidates enter the test room

Suggestions:
- Provide your candidates with a printed copy of their
Confirmation of Entry that they can take into the Speaking test
room and give to the examiners. This should be returned when
the test is finished, and the candidates leave the room.
- Give your candidates their desk labels that were used during
the other components of the test.
- Issue each candidate with a label showing their name and
candidate number to stick onto their clothing.
- The Marshall can tell the Assessor the candidate number/s and
the Assessor can reply with the candidate names.
- Examiners are provided with a list of candidates and their
numbers. The candidates give their IDs to the examiner. The
examiner uses the ID to check that they have selected the
correct candidates on the app. The examiner returns the IDs to
the candidates as they leave the room after the test.
You need to agree the procedure with the examinator. Make sure that
candidates don’t access with electronic devices and ensure quietness
in the waiting area.

DUMMY PARTNERS
When the number of candidates is an odd number (imp) the last exam
needs to be done in a group of three. If it is not possible you can use a
“dummy partner”.
- Third person that participates as a candidate but his ability is
not being assessed.

You can use a “dummy partner” if:


- There is only one candidate entered for a session
- Special arrangement for a candidate with special needs
(hearing or speaking difficulty)
- Emergency administrative measure

MODULE 3: DISRUPTIONS AND EMERGENCIES


GETTING STARTED
Your Center Exam Manager can request Special Considerations for any
candidates who could not perform to the best of their ability due to
adverse circumstances immediately before or during an exam.
- Fill in as detailed as possible and explain that the Manager will
communicate Cambridge this situation

DISRUPTION TO LISTENING EXAMS


BRIEF: Don’t stop the audio or go back to previous sections, let the
audio play
LONGER: pause the audio
POWER CUT: don’t play the audio again. Use headphones to look for
the place where stopped and continue

FILL A SPECIAL CONSIDERATION FORM IN ANY CASE

EMERGENCY EVACUATION
You can leave question papers and answer sheets in the room. Lock
them if possible.

Note the duration of the disruption and supervise the candidates as


closely as possible and remind them to avoid collusion. Evaluate the
situation for possible resuming.
MODULE 4: MALPRACTICE
Malpractice includes any act that breaches the rules and regulations
for the duration of the exam.

3 ways:
- Notice to candidates
- Summary Regulations
- Warning out loud.

Room set up/minimum distance


Electronic devices
Restricted list of items allowed at desks
ID Check
Vigilant invigilation
Finishing the exam correctly

WHAT DO I DO IF I NOTICE CHEATING?


Tell the candidates to stop. In most cases, let the candidates complete
the exam (but you can move them during the break).

You must not let the candidate finish when:


- You are not sure of their identity
- They cause disruption to other candidates or pose a threat to
health and safety.

Fill out the malpractice form and tell each of the candidates that they
will be reported. Take a signed statement before the end of the exam
day.

MODULE 5: INSPECTIONS
An inspector may visit you on an exam day at any time. Their
responsibilities are:
- Ensure the quality and integrity of the exams
- Provide advice and support

They check:
- Where and how exam materials are stores
- Exam room: desks, spacing, helpful materials on walls, etc.
- The invigilation: for written and listening tests, the inspector will
be in the exam room and will observe the running
- How the center checks candidates’ identification
o Not applicable for starters, movers, flyers
