Time management principles
Steps To Initiate Time-management
Technique-
Effective time management can be broken down
into three skills:
1 . Prioritization: Rank tasks in order of importance
ABC Rank-Order Method:
task (A) highest-priority, (B) second priority and
(C) low-priority.
Rewrite and complete in new order
Steps To Initiate Time-management
Technique-
2-Scheduling
Matching a specific task with a
designated time period. Use Time
Mapping: small blocks of time 15 to 30
minutes, then specific tasks (phone call,)
for specific times
3- Execution(التنفيذ
The implementation of an established
schedule:
● Assign a deadline for each task
● Break projects down into smaller tasks
and assign deadline for each
● -Work on one section until it’s completed
● Reward yourself after accomplishment
Principles of Time Management:
● 1- Goal setting:
● No time-management technique is going to
work very well without goal setting.
● The nurse manager must set goals, which
are specific, measurable, realistic and
achievable.
● Having a deadline is essential in goal
setting.
Principles of Time Management
2- Time analysis:
● Reviewing the daily schedule and keeping it
accurate may demonstrate how time is used.
3- Priority setting:
● Time frames for achievement of goals are
identified by the nurse manager. The “to-do” list should
be prioritized,
● by classifying activities as “A” or “1” for urgent, “B” or
“2” for non-urgent but important, and “C” or “3” for non-
urgent, less important.
Principles of Time Management
4- Learn when to say "NO":
Focusing on your goals and priorities seems
to be the hardest part in learning to say "no".
saying "no" to the unimportant in life gets
easier.
5-Be flexible:
the nurse manager must allow time and have
flexibility to handle interruptions, distraction(and the
unplanned "emergency"
Principles of Time Management
6- Do the right thing right:
Doing the right thing is more important than doing
things right." Doing the right thing is effectiveness;
doing things right is efficiency. Focus first on
effectiveness (identifying what is the right thing to
do), then concentrate on efficiency (doing it right).
7- Daily planning:
To-do lists and scheduling the “to-do” list constitute
the bulk of daily planning devices. "
Principles of Time Management
8- Delegation:
The nurse manager must work on those tasks, which
she alone can do and delegate trivial tasks or
those tasks, which can be performed by others.
9- Interruption control:
Identify causes of interruptions, and plan to reduce
them,
10- Evaluation:
The nurse manager should make at least a weekly
assessment of how effectively time has been used.
Time Management Guidelines:
To manage your time more effectively, you should:
1. Plan your time wisely. Those who fail to plan are planning to
fail!
2. Establish “Goal Statements” and you will:
• Know where you’re going and what you want to accomplish
• Be motivated to accomplish your goals
• Invest your time in a much more meaningful way
3. Update your “Goal Statements” continuously.
4. Prioritize your “Goal Statements”, using 1-2-3 ranking. 1=
extremely important; 2= somewhat important; and 3= little
importance.
Time Management Guidelines:
5. Identify those activities you must accomplish to reach
your goals.
6. Identify obstacles which will prevent you from
accomplishing your goals.
7. Schedule your activities, allowing time for (1) essential
activities, (2) routine tasks, (3) previous commitments,
and (4) interruptions and crisis situations.
8. Allow yourself planning time. In the evening, schedule
your activities for the next day.
9. Allocate at least one hour a day for uncommitted time to take
advantage of targets of opportunity
10. Eliminate “must” activities quickly. Eliminating “musts”
will reduce tension and anxiety caused by interruptions and
distractions.
11. Prepare a “daily activity list” in priority order.
12. Learn to say “NO”!
14. Learn to delegate!
