Chapter I

Introduction

Customers today have numerous options for receiving the goods they purchase online.

This has resulted in a complete shift in attitude toward how delivery should function. Next-day

deliveries are no longer a luxury, they are expected. As a result, if your company does not offer

a variety of delivery options, it may be missing out on a large number of potential customers.

Delivery is also the customer's last impression of your company. So, if they have a problem, it

will give them a negative impression of your brand, and they will be unlikely to buy from you

again. A large number of orders can cause confusion, which is why parcels should be tracked.

This allows the company to track every parcel that is sent out, and if a problem arises, it can be

resolved quickly because the last location of the parcel is known. To avoid having these kinds

of issues, choosing the right services can help guarantee the safety and fast delivery of your

product.

A freight forwarder is an example of a service that can help customers to deliver the

product to their place safely. A freight forwarder is a company that arranges shipping and

storage of goods for its customers. Freight Forwarders offer a variety of services, such as

tracking onshore transport, warehousing, arranging cargo insurance, securing cargo space,

calculating freight charges, completing shipping and export documentation, and freight

consolidation.

The direct responsibility of a freight forwarder is to ensure service, speed, and accuracy

with every shipment. They are the backbone of any transportation company. Analyzing your
company's specific shipping and transportation requirements will help you decide if freight

forwarding is right for you. Remember that the primary goal of a freight forwarder is to reduce

the difficult tasks associated with shipping and transporting merchandise.

A popular trend in the Philippine freight forwarding industry is that more people are

sending their goods overseas. The Philippines' long coastline is well known to the majority of

the population. They also know how long international freight services take to arrive at their

desired location. As a result, most freight forwarders intend to send cargo from Manila to

foreign countries on a regular basis. This enables the shipment of large quantities of goods.

As technology keeps developing as time goes by, freight forwarding has been having

some improvements with its technology as well. Such as shipment tracking systems, in other

companies, they provide a software that allows customers to track and know the status of their

product. It also includes a feature that will notify and message the customer whether the

product has been shipped or if it's out for delivery. Lastly is the enhanced GPS accuracy, aside

from the tracking system, with gps, customers can track the status of their parcel real time for

transparency.

A. Purpose and Description

Lebria’s Transport and Allied Services Corporation is a company with a pioneering

spirit, a group of 5 members grew into a corporation with 80 personnel and counting. The

company has established a presence around the country, enabling them to offer customized

support and services primarily haulage of goods and handling of customs brokerage to
their clientele. Its current website is very outdated, descriptions about them have been

created more than decades ago, with adobe flash player incorporated as well. Contacting

them consists of both email and telephone numbers given.

In terms of the system, everything is done manually on a database that updates its

contents when it is done by the technical staff. Staff allocation, and vehicle allocation, are

all done by men and checked by the higher-ups personally. With the system they are

currently running, they are multiple updates away from keeping up with the current

generation's taste, as well as cultivating the customers with their system. It also makes it

harder for them to function efficiently and swiftly because of the manual encoding of their

transactions.

The proposed system utilizes the latest technology for web systems, including a

newly designed interface that offers a featured quotation system. This streamlines the

process of creating quotes, scheduling staff, assigning of vehicles and the tracking of

cartages. Allowing the company to access all the necessary information and requirements

all in one location, simultaneously the scheduling tool on the staff's side verifies the

availability of the staff,vehicle and the specified date. Thus it can be accessed from any

device with internet connection, as well as through a mobile app, enabling the company to

manage their operations while on the move.

B. Project Context

Efficiency in a workplace means less time wasted, and more profit earned. The

same can is said in the logistics field. Manually putting data everytime is very time

consuming. According to Mcguire (2020), 60% of workers estimate they could save six

or more hours a week if manual data entry processes were automated. Errors are also very
common especially if a lot of data is being encoded. That's why the system being created

not only will create an automated system wherein data saved can be used instantly, it will

also sort the data into their respective data systems.

Knowing the current timeline of the organization is important. Not only does it

dictates the activities of the group, it also has the assigned members and materials on it.

Talbert (2022), mentions that a project schedule should be able to tell you everything you

need to know about your project at first glance. In logistics, knowing every delivery is

important in order to not mismanage your staff and your vehicles to be allocated for that.

Developing a scheduler system will set up a clear timeframe for the company to create a

clear and effecient map for the employees to work effeciently. The scheduler will also

dictate if the staff and vehicle to be allocated is avaialable for deployment or is already

reserved for a delivery.

Sometimes, people want to test the market whenever they want to make a

purchase, it allows them to see if the current service/product is available and budget-

friendly to their wallets. The system will feature a quotation module which will be

available both in the web and mobile version. The quotation module will be able to give a

price to the items to be transported, as long as the module knows the quantity of the said

item and its weight, as it calculates using those numbers, along with the destination of the

delivery.
Knowing where your delivery is can ease up any customer, as it gives them full

trust that their items can be delivered without any problems. With a gps system within the

drivers, the employees, as well as the customers can track their cargos on the go,

C. Objectives

General Objectives:

The objective of this project is to develop a system that will help the company

automate everything. This will allow the company to execute proper planning and satisfy

the customer with easy transactions and delivery.

The system will have a new interface that will be user-friendly, which will allow the

customers to immediately understands the functions of the website/mobile application.

Inside the system will include a new database that will separate everything, from the

records, the employees and the transactions being conducted. A scheduler system, wherein

that system can determine wheter a certain staff member, driver, or a vehicle was

available. For the customers, a quotation system will grant them an overview of how much

their transaction would cost. This feature would calculate the value of the transaction

based on the destination of the delivery and the items’ weight and quantity. A gps system

will also be implemented, allowing the customers and the logistics employees to track the

cargo shipment on it’s way for delivery. The main objective is to smoothen the shipping

process and improve the overall customer experience.

Specific Objectives:

● To create a new interface that would have easy-to-understand functions


● To create a system that would track the current staffs, drivers and vehicles

availble/being used at that moment.

● To create a system that would identify the price of a customers’ desired

transaction.

● To create a GPS system that would serve as a tracking system.

D. Scope and Limitation

The system aims to fully transition to the use of automated digital processes

from performing it manually developing a user-friendly interface that allows

employees and customers to efficiently access the system and monitor shipments in

real-time. The implementation of the quotation system calculates the precise costs

based on factors such as the shipment's route, distance, weight, and volume.

Simultaneously implementing a scheduling tool that takes into account real-time

factors like traffic, weather, and vehicle availability. thus ensuring the system can

process specific data and transactions efficiently. The study is limited to the sole

purpose of transporting goods which may only be available domestically and may not

cover all forms of transportation internationally as well as it will only be available to

both the customers as well as the Lebria Corporation members.

E. Significance of the Study

The project aims to benefit not only the organization but also the consumers

considering that an efficient software system plays an important role in many industries

including freight transportation organizations. As technology evolves over the years,

organizations should keep up with the trends to continue being competitive.


At the Highest Level. Traditional methods of recording data and manual

activities of completing simple tasks causes hindrance and long delays to service. With

such operations, the flow of information within the organization, also, towards the

customers is slow resulting in frustration to both ends. The project provides a platform

between the organization and customers to automate certain functions for the purpose

of a faster and smoother flow of business operations conducted within the system.

The Second Highest. Implementing automation of tasks without human

interference is a recommended approach in handling a broad range of customers.

Customers will be able to get information regarding their inquiries instantly and obtain

a service immediately without queues. The organization may not need additional

manpower because of the task automated by the system.

The Third Highest. The project may introduce a feature or an aspect that was

not explored in the field before that can be adapted to other similar systems existing or

conceptual.

F. Definition of Terms

Technical Terms

Cartage - is the collection or delivery of goods by road from a warehouse, goods depot,

airport, seaport, etc.

Freight - goods, cargo, or lading transported for pay, whether by water, land, or air.

GPS – a precise global navigation and surveying facility based on the reception of signals
from a network of orbiting satellites.

Logistics – the process of coordinating and moving resources – people, materials,

inventory, and equipment – from one location to storage at the desired destination.

Operational Terms

Lebria Transport Corporation - refers to the freight forwarding company that will benefit

from the project proposed by the developers.
