CASE STUDY: CIALA RESORT HOTEL, KISUMU.
INTRODUCTION.
Background of the study.
The conference facility booking system is a system that enable the meeting and provision of
conference rooms to conduct various events. The Ciala Resort Hotel at Kisumu provides an
efficient and users-friendly system which is required to reserve the hall beforehand and make the
information available to various clients to check on the status of the hall before booking. Ciala
Resort is rated amongst the best hotel in Kisumu, overlooks the beautiful hills giving clients the
serenity, peace and comfort they need.
The buildings are designed in an English colonial style with a luxurious modern twist. The
modern rooms, landscaping and well-manicured gardens which enhances the guest experience.
For the conference and events booking whether indoors or outdoors, there are perfect and serene
location available within, that is, Tulip Boardroom, Victoria Boardroom, Milambo Boardroom,
Yimbo Boardroom, Masawa Hall and many others. At Ciala Resort in Kisumu you will
experience convenience at its best while enjoying the modern facilities and amenities. The Ciala
resort in Kisumu Kenya was opened on August 14th 2018. The Resort was built outside the city
Centre to take advantage of the peaceful hills. The Resort design was inspired by the Maragoli
Hills and its vision is to be a home for its guests. It has a rooftop pool, fitness club, spa, sauna,
steam room, indoor pool, tennis courts and basketball courts and basketball courts. Lastly, the
Resort has an eco-friendly approach, including generating its own water with purification and
has trained its staff in green thinking. Meetings are in indispensable events in every organization
where people can simply share knowledge and information or discuss for important decisions.
Problem statement.
There are various problems associated with manual system used at Ciala Resort which
includes great facility, bad customer service .Booking a favorable conference facility or event
can be a time consuming and stressful task for clients especially during peak hours. Clients
have to rush to conference facility managers to make enquiries about the availability of the3
space on specified dates for their events and may still have to go through the stress of writing
a letter, wait for the approval of the manager before any further process such as knowing the
cost of capacity of the facility needed by the clients and the availability of the specified date
that could be communicated to the client. Besides the time consumed to manually book the
facility, it can also be hectic and tiring for clients to move around securing a space for a said
program. This can also be avoided with the aid of a web based booking system for the Event
Centre.
Objectives.
1.1.1 General Objectives.
1. The general objective of the study is to develop the system for the conference facility booking
at Ciala Resort Hotel, Kisumu.
1.1.2 Specific Objectives.
1. To develop a system that will allow customers to book online.
2. To develop a system that allow updates of availability of the facility.
3. To show the conference facility package rates and payment plans.
4. To allow users or clients to cancel booking in case of an emergency.
1.4 Research questions.
1. Will the developed system allow customers to book conference facility online?
2. Will the system allow customers to check on the updates of the availability of the facility?
3. Will the system show the conference facility package rates and payments plans?
4. Will the developed system allow customers to cancel the booking in case of an emergency?
1.5 Justification of the study.
The research is carried out to enable the system develop an Android app since many people today
uses Android. Meetings are indispensable events in every organization where people can simply
share knowledge and information or discuss for important decision. To facilitate such kind of
activities, most of researchers has to concentrate on improving scheduling software to help
participant’s select optimal meeting time or building smart rooms where audio-visual contents
are automatically recorded for future viewing. There are various limited number of systems that
can manage meeting rooms in terms of real-time availability and utilization.
1.6 Significance of the study.
The execution of this has a great advantages to the firm as there are various changes that should
be made to enable the Resort regain great production. The Resort has been able to identify its
areas of strength and weaknesses and has been able to rectify them as soon as possible. It has
well been in a position to develop the modern and proper system for booking the conference
facility that enable customers to reach at an affordable prices. Lastly, with the aid of designed
and developed system, various clients from counties and outside the country will be able to
access the facilities when they want even at their comfort zone.
1.7 Scope of the study.
The scope of the study focuses on the conference facility booking system at Ciala Resort Hotel in
Kisumu. The main interest is to develop the modern and appropriate conference facility booking
system to replace the manual or the currently used to avoid wastage of time. The most targeted
population are the employees and customers at the Resort. Either questionnaire or an interview
can be carried out for sampling for about twenty people where fifteen are supposed to be
employees at the resort and the remaining five to be customers. The project will be completed
before the end of July 2025 in six months’ time.
1.8 Limitations of the study.
There are various limitations that are encountered such as the study is only limited to one Resort
Hotel since it’s the only focused in Kisumu County. Some respondents weren’t able to give
appropriate response to the questionnaire as required. Lastly, time wastage and lack of enough
experience was encountered since it was my first time doing the project.
