Onboarding and Joining Formalities
What formalities do I need to complete at the time of joining?
All newly joined employees need to complete joining formalities by filling HRIS data, submitting
required documents & Income Tax Declaration on the TeamLease Employee portal (TL Connect)
and should undergo POSH training. In case background verification is required as per client
norms you need to fill and sign the required authorization letters.

What are the mandatory documents I need to submit at the time of


joining formalities?
Below are the mandatory documents to be submitted / uploaded at the time of joining formalities.
(In case if any other additional documents other than the below listed are required TeamLease
Employee portal will prompt for the same). In addition, you are required to submit your Offer of
Employment Acknowledgement as a soft copy, ensuring that all pages of the offer document are
signed.

All Education Certificates* – lowest till Highest including Consolidated Mark Memo,
Provisional Certificate and Convocation
All Employment related documents*-Appointment letters, Increment, or appraisal letters.

requirement.

How will it impact me if I don't complete my joining formalities?


Completing the joining formalities and documentation upon starting is mandatory for all
employees. TeamLease enforces a strict zero-tolerance policy regarding non-compliance. Failure
to complete these steps may impact salary disbursement and delay your enrollment in social
security benefits, such as Provident Fund, ESI, as well as company-provided medical and
accidental insurance.

What are the timelines to complete joining formalities?


New joiners are expected to complete joining formalities, Documentation, POSH Training and
offer acknowledgment within 3 Days of actual joining at client place.

What is induction process and when will I go through?
Employee induction is a vital process that lays the groundwork for a new hire's success and
engagement within the organization. Participation in the induction is mandatory for all new
employees. Within 7 days of your start date, you’ll receive a virtual invitation to attend the
induction session. Our engagement team will guide you through this session, covering company
policies, procedures, benefits, and key timelines to help you get started effectively.
Simultaneously a detailed Induction email will also be sent to your registered email address.

What will my roles and responsibilities be, and what knowledge transfer
can I expect upon joining?
Your roles and responsibilities will be summarised during your initial screening and interview
process by your TeamLease recruiter.

Upon joining at the client premises, your immediate reporting manager or any other designated
personnel will guide you through your roles and responsibilities and provide the necessary
knowledge transfer.

What is TeamLease Employee Portal and how can I access it?
TeamLease employee portal is called TeamLease HCM and can be downloaded from Playstore /
App Store.

The TeamLease Employee portal is intuitive, with straightforward navigation across different modules. As you begin entering your
details, the app will seamlessly guide you through each step until completion.

How to Login ?
User ID: Your TeamLease Employee ID (you will find your employee ID on your Offer of Employment)

Password: First time user please click on Forgot password > enter your EMP ID & submit > you
will be directed to change password screen.

Where can I find my monthly Payslip?


To access your payslip please log on to TeamLease Employee Portal.
TeamLease employee portal is called TeamLease HCM and can be downloaded from Playstore /

What should I do if I find any discrepancy in my salary payout?


Salary payout depends on the approved timesheet and any approved or unapproved leaves taken
during the month. Please check your approved timesheet and verify your payslip for the number
of days paid. If you need further clarification, contact the TeamLease employee helpdesk at
digital@teamlease.com

How and where do I need to update my Income Tax Declaration?


It is mandatory for all new employees to update their Income Tax Declaration through TeamLease
Employee Portal. Before proceeding, please note that Income Tax Declaration is required only for
the employees for whom income Tax is applicable.
Update your Income Tax Declarations in the TeamLease employee portal when completing your
joining formalities to ensure it’s considered for salary processing. Make sure to complete this
step well in advance of your salary processing date, as shared during your induction. Otherwise,
your declaration will apply to the following month’s payroll and Income Tax will be deducted with
out considering any exemptions.

What should I keep in mind while updating my Income Tax Declaration?
Before proceeding with Income Tax Declaration, please ensure that your PAN number is updated
in Employee portal, and it is reflecting. In case of any discrepancy please reach out to employee
help desk digital@teamlease.com

There are 2 types of Income Tax Regimes (Old & New) implemented by Indian Income Tax
Department and Effective FY 2023 -24 the default Tax Regime has been changed to NEW Tax
Regime.

Employees need to first decide and select which tax regime they wanted to follow. In case, you
wish to opt for OLD Tax Regime, kindly change it through portal. Also declare/Submit Investments
prior to closure of the Income Tax Declaration Tab for the month.
Most Important Note: In case you do not select tax regime, then system will by default follow
“New Tax Regime” as per Income Tax Department guidelines.
Most Important Note:
Please be aware, that Central Board of Direct Taxes (CBDT) had given taxpayers time till June 30,
2023, for linking their permanent account number (PAN) with their Aadhaar number.

It is important to note that if PAN is not linked by Aadhaar, then the PAN will become
inoperative.
This would mean that an individual will not have a valid PAN to quote it anywhere.
The Company is required to deduct tax at a higher rate as PAN becomes inoperative in both
Regimes (Old / New) (30% for taxable incomes greater than 10 laks PA & 20% for taxable
incomes less than 10 lakhs PA). Higher / additional tax deducted will not be refunded at any
cost and you need to claim the same from the Income Tax department at the time of return
submission only.
Further your Form 16 cannot be generated till you link your PAN & Aadhar and you cannot file
your income tax returns.

How can I link my PAN and Aadhar?

Can I modify my Income Tax Declaration?


You can modify your income tax declaration only if you selected the old tax regime during
onboarding
Modification can be made between 10th and 20th of the month, and these changes will be
reflected in the upcoming payroll
If you modify after 20th of the month, your changes will be reflected in the next month's
payroll

When should I submit the proofs against the Income Tax declarations I
have made?
You need to submit the proofs through TeamLease employee portal, and this usually happens in
the month of December. You will receive notification email and reminders with cut off dates and
detailed process to follow.

Can I change my income tax regime in middle of the year?


As per Income Tax Department regulations you cannot change your income tax regime in middle
of the year. You can only change your income tax regime at the beginning of new financial year.

Which Income Tax slab do I fall under, and how can I check the current
slabs?
To check the income tax slabs for salaried employees in India, Visit the Official Income Tax
Department Website for the most accurate and updated information.

Tax rates for Individual (resident or non-resident) less than 60 years of age anytime during the

case you do not find income tax computation sheet in employee portal or if you require any

Provident Fund (PF) and Employee State
Insurance (ESI)
What are the benefits I am entitled to?
You are entitled to social security benefits like Provident Fund and Employee State Insurance (ESI
is applicable only in case your Gross Salary is below 21000/- Per month) and company provided
Medical and Accidental Insurance & Maternity Leave and Wages in case of Female employees. –
Please refer your Induction Email sent to your registered email ID by TeamLease Engagement
Team.

What is Medical Insurance and Accidental Insurance and what is my


eligibility?
Medical insurance covers the cost of medical treatment in case of illness or hospitalization. This
is mostly cashless helping to reduce the financial burden of healthcare costs on employees in
case treatment taken / admitted in network hospitals. (please refer attached document to know
the process to download your insurance card and check network hospital list hospitals)

GHPL Portal Login Guide Download

Accidental Insurance policy offers financial protection in the event of an accidental injury or
death. It may cover medical expenses related to the injury, disability compensation, and in some
cases, a lump-sum payment to beneficiaries in case of accidental death.
To know about your eligible Medical and accidental Insurance coverage, please refer your
induction email.

Can I cover my dependants in the company provided Medical Insurance?


By default, only Employee is covered under Medical Insurance. (dependents are covered only in
case we have specific arrangement with the client where you are deployed to work).
You have the option to include your dependents in the coverage by paying an additional insurance
premium, which will be deducted from your salary in 2 to 3 equal instalments. Additionally, you
can choose to increase your medical coverage beyond the default amount, with extra costs
charged back to you.

If you wish to enrol your dependents under medical insurance coverage with an additional
cost, you need to provide the details to our engagement team.
You will receive an email communication as well from our engagement team post your
Joining and induction completion to choose additional coverage and include your
dependants.
Please note that midyear inclusions & coverage enhancements are not permitted as per IRDA
regulations. (Only new-born child & newlywed spouse can be included in the mid of the year,
only in case you have opted for Family Floater during joining)
Every year during the renewal process, our team will send out a communication to all
employees with regards to inclusion, exclusion and enhanced Mediclaim coverage.

How can I avail cashless Medical insurance during emergency or
hospitalization?
To access cashless medical insurance coverage, please present your insurance card at the
hospital. The steps for downloading your insurance card and viewing the list of network hospitals
are outlined below:

In case you are unable to download the card, you can write an email to our employee help line
digital@teamlease.com & Insurance TPA helpline teamlease@ghpltpa.com.

Most Important Note: Cashless facility can be availed only in case of Hospitalization of minimum of
24 Hrs and above.

How can I claim the medical expenses in case I was not hospitalized for
minimum period of 24 Hrs?
You must claim these expenses through the reimbursement process with the insurance provider
by submitting the necessary hospital bills, medical records, and completing the required
reimbursement forms. Claims for reimbursement should be submitted within 30 days of your
hospital discharge; otherwise, the claim will be denied. Reimbursements are subjected to
guidelines of the insurance provider and type of treatment you have undergone. Pl note that
outpatient treatments will not be covered under the Mediclaim policy.

Can I cover my In-laws in the company provided Medical Insurance?


You can include your in-laws in the coverage only if your parents are not already covered.
Coverage is allowed for either parents or in-laws, but not both. Also there is no possibility of
covering single parent along with single in-law.

How many children can I cover under the Medical Insurance?


You can cover your first two children only.

What is ESI and what benefits I am entitled from it?


The Employees' State Insurance (ESI) is a social security scheme in India aimed at providing
financial protection to employees in case of sickness, maternity, disability, and work-related
injury. Both employees and employers contribute to the ESI fund.

Only employees with a gross monthly salary of ₹21,000 or less are eligible for ESI coverage in India.
Every month upon paying your salary, TeamLease will remit ESI contributions to ESI department
(Employee’s Contribution = 0.75% of gross monthly salary and Employer’s Contribution = 3.25% of
employees gross monthly salary)

Medical Coverage: Free or subsidized medical treatment for employees and their dependents
in ESI Hospitals
Sickness Benefits: Cash compensation during illness or temporary disability.
Maternity Benefits: Paid leave and medical care during pregnancy.
Accident and Disability: Compensation for work-related injuries or disabilities.
Unemployment Allowance: Financial support during temporary unemployment.

How can I avail ESI benefits?


Contact TeamLease Engagement team digital@teamlease.com and request for your ESI card.
Also ensure to provide your dependants details while completing the joining formalities.
Upon receipt of your ESI card, you can visit any ESI hospital / dispensary near to your residing
locality and submit the card to avail ESI benefits. (ensure your dependants details are included in
the ESI card)

The ESI department requires your employer’s (TeamLease) attestation or certification on various
forms to process benefits. The specific forms needed will vary based on the type of ESI benefit you
are claiming. Respective dispensary will specify the required forms, and you need to write to
digital@teamlease.com for assistance on attestation of the documents.

What is Provident Fund (PF) and how will I contribute / subscribe for it?
The Provident Fund (PF) is a government of India (the Employees’ Provident Fund Organization -
EPFO) -managed retirement savings scheme designed to provide financial security to employees
after retirement. Under this scheme, both the employee and employer contribute a fixed
percentage of the employee’s salary each month into a PF account. Please refer your Offer letter
to know Employer and Employee share.
The accumulated amount, along with interest, serves as a retirement fund, offering a steady
income for employees in their later years. The fund can also be partially accessed during
emergencies, such as medical needs, education, or home purchase. Provident Fund contributions
are eligible for tax benefits, encouraging employees to save consistently.

How can I check my current PF balance?


You can check your PF balance through the EPFO member portal using your UAN (Universal
Account Number) or via the UMANG app. You can also use SMS or missed call services provided
by EPFO.

What is the procedure to withdraw my PF amount?


PF can be withdrawn online through the EPFO portal by logging in with your UAN. You need to
ensure your UAN is linked with your Aadhaar, bank & PAN details, and mobile number for the
process to be smooth.

Can I withdraw part of my PF before leaving the company?
Yes, partial withdrawals are allowed for specific purposes like marriage, higher education,
medical emergencies, or purchasing a home. The eligibility and conditions for these vary based
on the reason.
Is my PF withdrawal taxable?
PF withdrawals are taxable if withdrawn before completing 5 years of continuous service.
However, if the amount is withdrawn after 5 years of service or for specific reasons like illness or
home purchase, it's exempt from tax.

How can I transfer my PF to my new employer?


To transfer your PF from the old employer to the new one, you need to log in to the EPFO portal
and apply for a transfer request using your UAN. The new employer should have updated your
joining date for the process. After logging in with your UAN, go to the "Online Services" section
and select "One Member – One EPF Account" to initiate the transfer request. Below attached self-
help document can be referred for the step-by-step procedure. Also, you need to complete 60
days with your new employer before this can be initiated.

Why is my PF contribution not showing up correctly in my payslip?


There might be a delay in processing or updating the contribution . You can check with
TeamLease employee helpdesk digital@teamlease.com .

What should I do if my PF account becomes inactive?


A PF account becomes inactive if there are no contributions for 36 months. However, you can still
withdraw or transfer the balance by applying online or through EPFO offices.

How can I check my PF contribution for the current financial year?


You can check your PF contributions through the EPFO portal using your UAN (Universal Account
Number) and password. The contributions are updated monthly and can be viewed under the
"Passbook" section. Below attached self-help document can be referred for the step-by-step procedure.

Why does the PF amount in my payslip not match the EPFO passbook?
There may be a delay in the update of contributions in the EPFO passbook due to processing
times. It is advised to check the status after a few days or contact TeamLease employee
helpdesk digital@teamlease.com for clarification.

How can I update my nominee details for my PF account?


You can update your PF nominee details online by logging into the EPFO portal, navigating to the
“Manage” section, and selecting “E-Nomination.” Below attached self-help document can be

Leave and Attendance
What is the leave policy and how many leaves am I eligible for?
Please refer your induction email for details of leave policy and eligibility

What should I do if I need any clarifications on the leave policy?


If you need any clarifications regarding the leave policy, feel free to reach out to the TeamLease
employee helpdesk at digital@teamlease.com , or connect with the TeamLease engagement
team during the monthly open house sessions for assistance.

What is the process for applying for leave?


You can apply for leave based on your available leave balance. Be sure to inform your immediate
reporting manager at the client site and obtain approval. Leave taken without proper approval
from the reporting manager will be treated as leave without pay, and your salary will be adjusted
accordingly.

How can I know my leave balance?


You can view your leave balances in the TeamLease employee portal if you use it to update your
timesheet. Otherwise, please contact the TeamLease employee helpdesk at
digital@teamlease.com

If there is discrepancy in the leave & Attendance considered / approved


(or) to be modified/cancelled, what is the procedure to rectify and
correct
Please seek confirmation and approval from your reporting manager and write to TeamLease
employee helpdesk digital@teamlease.com . Respective team will be notified about the changes
to be done.

How and where do I update my attendance / timesheet and who


approves it?
Approved Attendance / Timesheet is a prerequisite to process your payroll and pay your monthly
salary. Without an approved timesheet your salary cannot be processed. It is the employee's
responsibility to update the timesheet by the cutoff dates and ensure approval from their
immediate reporting manager.
The timesheet process is generally defined by the client where you are deployed. You may need to
update your attendance/timesheet in the client-provided portal, the TeamLease portal, or through
a manual timesheet. For specific details, please refer to your induction email or reach out to the
TeamLease Helpdesk or your immediate reporting manager.

What is Maternity Leave benefit and who is eligible?
Women employees will be eligible for maternity benefits in accordance with the Maternity Benefit
Act 1961.
Eligibility:
Women Employees who have worked for 84 days with TeamLease in the preceding 12 months
are entitled for Maternity leaves.
Duration of Maternity Leave:
26 calendar weeks (including weekends and public holidays) of paid maternity leave is
allowed for first 2 children.
For the third child and beyond, only 12 weeks of maternity leave is allowed.
Women adopting a child below the age of 3 months or commissioning mothers (surrogates)
are also eligible for 12 weeks of maternity leave

Most Important:
Maternity leave plan must be informed to Teamlease Digital at least 5 months prior to due date.
This advance notice will allow us to promptly inform your reporting manager at the client site
where you are deployed. Additionally, it will enable the client to make necessary arrangements to
ensure a smooth handover of your responsibilities during your leave period.
Maternity Leave can be availed 6 weeks prior to the delivery date and rest after delivery.

POSH
What is POSH and why is it important for me?
POSH, or the Prevention of Sexual Harassment (POSH) Act, is an Indian law enacted to ensure a
safe workplace for all employees by preventing, prohibiting, and addressing sexual harassment. It
mandates organizations to create an Internal Complaints Committee (ICC) and conduct regular
training and awareness programs. POSH is crucial for promoting a respectful, inclusive, and safe
work environment for everyone.
It is important for your employment engagement with TeamLease to undergo POSH Training, read
and understand the POSH policy. Please refer your Induction Email for complete details.

What should I do in case I come across any harassment at workplace


Please notify the same to TeamLease by writing to shcomplaint@teamlease.com
depending up on the nature and severity we shall notify the same to appropriate authorities
internally at TeamLease and at client place and provide a resolution.

Assets and Equipment Management
Will I receive a laptop or any other tools to carry out my daily job
responsibilities?
If the role for which you were hired requires the use of a laptop or any other equipment, such as
PPE kits, tool kits, safety equipment, mobile phones, data cards, and an email ID, these will be
provided by the client at your deployment site or by TeamLease.

What is the Asset Allocation Undertaking & who is required to sign and
acknowledge it?
The Asset Allocation Undertaking is a declaration signed by employees who are allocated any
type of assets (such as laptops, PPE kits, safety kits, mobile phones, data cards, etc.) by either
TeamLease or the client.
It is mandatory for all employees to sign this undertaking at the time of asset allocation.
Additionally, you may be required to sign a separate undertaking at the client premises upon
joining, in addition to the one submitted to TeamLease.

What should I do if I lose or damage the asset allocated to me?


It is the employee's responsibility to take proper care of the assets provided to them.
In the event of damage or loss of the asset, please report it to your immediate reporting manager
at the client premises and contact the TeamLease helpdesk at digital@teamlease.com
In the case of theft or loss of an asset, you may need to file a police complaint following the
guidance provided by either the client or TeamLease.

If there are issues with TL or Vendor provided assets… what is the


procedure to resolve those?
Please write to digital@teamlease.com describing the issue and asset details, our Asset
management team will connect with you and help you out with the resolution.

Do I need to pay any charges or penalties, if lose or damage the assets


allocated to me?
Except for damage caused by legitimate technical issues, you will be responsible for the recovery
of the asset's value in the event of damage or loss.

Employee Helpdesk and Grievance Redressal
Does TeamLease have an employee helpdesk, and who should I contact
in case of any grievances or issues?
If you need any clarifications or have issues and grievances, please contact the TeamLease
Employee helpdesk by writing to digital@teamlease.com . Make sure to include your full name,
TeamLease Employee ID, contact number, and the name of the client where you are deployed.
This information will help us identify you and assign your query to the appropriate personnel for a
quicker resolution.
You will receive a system-generated acknowledgement and a 9 digit case ID number
(eg:181505949) as soon as you write your query to digital@teamlease.com, and the same shall

In order to provide dedicated platform for employees to ask questions and seek assistance on
various issues, and to ensuring they have access to the support they need, we conduct monthly
helpdesk / open house sessions either face to face or virtually.
An advance calendar invite will be sent to your registered email ID, detailing the date and time of
the session.

What should I do if I want to change my existing Bank Account?


Please write to TeamLease Employee Helpdesk at digital@teamlease.com by mentioning your
TeamLease employee ID.
You will need to attach a clear and legible proof of your bank account (such as a cancelled
cheque or a bank passbook displaying your name) that you would like us to update in our records,
replacing your existing bank account.
Please note that without proper proof, your bank account details cannot be modified. Additionally,
ensure that the bank account is solely in your name and not a joint account.

Exit Process and Final Settlement
What is the resignation process?
We recommend that you inform TeamLease of your resignation decision, a by writing to employee
helpdesk digital@teamlease.com , after which we will notify your reporting manager or guide you
on how to discuss this with your reporting manager at the client location where you are deployed.
Serving the notice period specified in your employment offer is mandatory. Your reporting
manager must confirm your last working day and accept your resignation to initiate the exit
process.

What is the exit process following my resignation?


To initiate your exit process, please ensure below process is followed
Seek approval from your reporting manager on your resignation and last working day
Complete the Knowledge Transfer to person authorized / designated by our reporting
manager.
Fill your Timesheet till your last working date and get the same approved.
Complete administrative handover formalities like handover of client issued access cards, ID
Card etc.
Handover client issued assets like Laptop along with charger and carrier, Data Card, Mobile
Phone etc and take written clearance either from your reporting manager or respective
department at client’s end.
In case the assets are issued by Teamlease follow the handover guidelines issued by
TeamLease assets support team – you will receive a detailed email once your resignation is
confirmed.

When will I receive my Full & Final settlement and relieving documents?
Your Full and Final Settlement will be processed with in 45 days from your last working date.
Please note that resignation acceptance with last working day confirmation, Approved timesheet
till your last working date, Completion of Knowledge Transfer and asset handover confirmation
from Client or TeamLease assets team are mandatory to process your F&F and release your
relieving documents.
Once you receive your F&F settlement, you need to log into TeamLease employee portal to
download your Relieving and Experience Letters, Previous Years Form 16, Payslips.

Who should I contact or who will provide the necessary information if my


future employer wants to conduct a background verification for my
TeamLease employment tenure?
