MEMORANDUM FOR CADET STAFF FROM: CD for Cadets SUBJECT: Deliverables 1. The following deliverables will be submitted by the C/CC to the CDC according to the frequency and deadlines established below. Although the burden ultimately rests on the C/CC to ensure that this is done, many of these deliverables will require the work and coordination of other cadet staff members, and thus this memorandum is addressed to the entire cadet staff. Much of this is already being done according to practice, but it seems advantageous to establish this now in policy. 1. Cadet Roster a. Frequency: Monthly, NLT 1700 Hrs. on the first Thursday b. Purpose: To maintain up-to-date necessary information not already being recorded by NHQ. c. Requirements: A current, numbered listing of all cadets in the squadron (taken from e-services on or after the 1st day of the month, since thats when expired cadets will drop) as well as those BTC cadets whose membership applications have not yet been processed and are thus not yet listed on eservices. This roster must include each cadets CAP grade, date-of-rank (DOR), assignment, home phone, cell phone, e-mail address, and academic year. Any promotions and/or assignment changes (e.g., operational flight assignments for BTC graduates) from the previous months 4th Thursday must be indicated on this roster, as well as any other roster corrections/updates made on the sign- in sheets. The current CAC primary and assistant representatives should also be indicated in the assignment column, along with their regular squadron assignments. 2. Cadet Commissionings a. Frequency: Monthly, NLT 2130 Hrs. on the third Thursday b. Purpose: To give the SM Cadet Programs staff a weeks notice to print out the Oath of Office for Cadet Commissioning and make other preparations. c. Requirements: The full name (first, middle, and last) of each cadet to be promoted to C/2d Lt on the following Thursday.

3. BTC Graduation a. Frequency: Monthly, NLT 2130 Hrs. on the third Thursday b. Purpose: To give the staff a weeks notice to print out the Certificate of Accomplishment for each BTC graduate and to make other preparations. c. Requirements: The full name (first, middle, and last) and operational flight assignment of each cadet to be promoted to C/Amn on the following Thursday. The assigning of BTC graduates to one of the three operational flights must always be done in such a way as to even out the numbers of these flights. This assigning will be done not based on how many cadets regularly show up for the meeting, but according how many cadets the current roster says are actually in each flight. For this reason, it is in the OpFlts/CCs interest to have a cadets assignment formally changed to inactive after four consecutive unexcused absences, as per the C/CCs Cadet Roster Policy. 4. Promotions & PRB failures a. Frequency: Monthly, NLT announcements on the fourth Thursday b. Purpose: To track monthly promotions, to ensure that Public Affairs gets the list, and to be made aware of any promotion review board failures. c. Requirements: The names of all cadets to be promoted that night will be verbally communicated to the CDC, as well as the names of any cadet who failed a PRB. Additionally, before leaving the meeting, a written list of all promotions that did occur will be given to PA. This list should also be used by the appropriate cadet staff member to create a new binder cover sheet & spine for whenever there is a promotion for any of the 8 cadet staff members who have a staff binder (C/CC, C/CD, C/XO, All 4 Flt/CCs, & C/DO). 5. Memory Work a. Frequency: Monthly, NLT 1700 Hrs. on the Tuesday after the 4th Thursday b. Purpose: To equip the cadets with the most up-to-date memory work sheet from which they can study. c. Requirements: The standard memory work sheet will be updated with whatever staff promotions occurred on the 4th Thursday as well as whatever Chain of Command names may have changed within the past month. This updated memory work sheet will then be published electronically over the squadron e- mail list by the deadline above. 6. Recruiting Drive Proposals a. Frequency: Monthly, NLT 1700 Hrs. on the first Thursday b. Purpose: To ens ure that we are keeping up our recruiting efforts. c. Requirements: A proposal for a recruiting drive that is essentially already planned and ready to execute within the month. This means that any contacts with the school, mall, etc. should have already been made, a date and time should have already been scheduled (having first consulted with wing & squadron calendars), and this way, all that is left to be done is to muster up sufficient SM and cadet support. Once the proposal is approved, the C/OIC of the drive will announce the drive, coordinate support, and execute the drive.

7. Orders-of-the-Day a. Frequency: Weekly, NLT 1159 Hrs. on Tuesday b. Purpose: To inform the entire squadron of the details for the upcoming meeting and to give the staff the information necessary to prepare. c. Requirements: The Orders-of-the-Day will be published electronically over the squadron e- mail list by the deadline above. Before being published, they should have been reviewed by both the SM Activities Officer and the weekly cadet staff conference call. 8. BTC Weekly Report Form a. Frequency: Weekly, NLT leaving the meeting location b. Purpose: To track class size, progress, and problems with BTC. c. Requirements: This form, which is attached, will be filled out completely and entirely by the BTC/CC (or whoever is acting in that capacity), it will be signed by the BTC/CC, the C/CD, and the C/CC, and it will be submitted to the CDC by the deadline above.

BTC Weekly Report Form This form is to be filled out by the BTC/CC (or the acting BTC/CC) at the end of each meeting, and then passed, through the Chain of Command, to the Deputy Commander of Cadets, before leaving the meeting location. If so desired, copies may be made for the BTC/CC, C/CD, or C/CC, but the CDC requires the original. Todays Date: ___________________ (YYYY-MM-DD) 1.
