REACTIVE MAINTENANCE(4HH)

INITIATION
CREATE MAINTENANCE REQUEST
 To start the reactive maintenance process, go to “Create Maintenance request” tile and give
the details required as shown below,
 After submitting all the details click on submit.

REVIEW MAINTENANCE REQUEST


 After clicking on submit go to my maintenance request to review the submitted
maintenance request draft, shown as below,

 You can click on the submitted maintenance request to overview,

SCREENING
SCREEN MAINTENANCE REQUEST
 After submitting the maintenance request, now the maintenance supervisor checks the
submitted maintenance request and decides whether to submit the maintenance request or
reject the maintenance request,
 To submit or reject the maintenance request, go to “screen maintenance request” tile and
give the notification number and click on go to get the submitted maintenance request,
 After clicking on go, your submitted maintenance request will be displayed as shown below,

 By clicking on the checkbox and on change responsibility you can change these below
details for the respective maintenance request as shown below,

 Or you can open the submitted maintenance request and either you can edit, accept, action
required, reject the maintenance request as shown below,
 By screening the maintenance request you can see the general information, malfunction
information, maintenance plan details, Choose Edit to update the information related to
malfunction, responsibility, and other details. Further while reviewing the request, the
supervisor can also reassess the risk and redetermine the priority of the maintenance
request and if required, can manually change the final due date,
 In general information, in hierarchy if there are any open requests you can click on it to view
the open requests as shown below,

 Now after reviewing the current maintenance request if everything is okay according the
supervisor, click on Accept, if there is any more information required on the request click on
action required, if you want to reject the notification click on reject or if you want to edit
click on edit, once you click on accept the request it will be accepted and will be shown as
below,
PLANNING
MANAGE MAINTENANCE NOTIFICATION AND ORDER

 After accepting the maintenance request this is now called maintenance notification and we
are in planning phase now. This phase helps us to plan maintenance tasks and materials in a
efficient way, here the maintenance notification is converted to maintenance order,
 Now the maintenance planner goes to the manage maintenance notification and order and
filters the notification using the execution object type and notification type, technical object
as shown below,

 To create or assign order click on the checkbox of the notification and click on create order
to create a new order or assign order to assign an already existing order, for reference check
below,

 If you click on
change
responsibility you
can change these
details of the
notification,
 Once you click on create order, you need to select the order type as reactive maintenance Y1
for the reactive maintenance process,
 Now in the manage maintenance notifications and order tile, enter the order number,
execution object type as order, order type as reactive maintenance order type YA01 to
display the order in the list as shown below,

 Select the checkbox of the order and open the order and go to change maintenance order
tile, as shown below,

 To plan the maintenance order add details such as operations, materials, labour and
services,
 After going to change maintenance order, go to operations tab and add pre, main, and post
operations, as shown below,

 After planning the operations select the operation line item checkbox and navigate to
material section to add the material to that respective operation line item as shown below,

 After giving the material, services and everything as required, go to costs tab->additional
functions-> determine costs and check entries and submit order for approval.
 To submit the order for approval, go to change status and click on approval or you can go to
manage maintenance notifications and order app and select one or more orders ready for
approval and on top right side of the screen select submit order for approval.
 Once the order is approved by approver or automatically approved through workflow
configuration, the next step is go to manage maintenance notifications and order app and
open the current order and navigate to change order status as below,

 And now change the status to release to release the order as shown below,

 Here the release button is greyed out since it is already released,


 The next step after releasing the order is to set the order status to ready to schedule, here it
is greyed out since the status is already changed to ready to schedule,
 After this step, since the order is submitted for scheduling now we have to go to order and
dispatch the operations, here it is greyed out since the user had already dispatched the
operations, and now the order will be in execution phase,

 Since now we are in execution phase, go to perform maintenance jobs app and give the
order number of the dispatched operations, and click on operation check box and select
assign to me button to assign the operation to yourself as shown below,

Note The Assign to Me button is enabled only if the order operation is not assigned to anyone, in above scenario it is greyed out
because the Assign to me operation step has already been done,
 Go to operation and navigate to perform maintenance job screen and select start as shown
below,

The subphase is changed to Work in Execution,

 Choose Pause button to pause the work,


 For an operation that has been paused, the sub phase will be Work Paused,
 After you pause the work, you can restart the work by choosing Resume,
 When you resume the work, the sub phase changes to Work in Execution,
 If there are any components to that respective operation, follow the below steps ,

1. Go to Planned Components in the Components tab


1. Choose Post for the component that the maintenance technician wants to issue.
The Post Goods Issue screen is displayed. Enter the required quantity and the movement description.
2. Choose Post.
3. Choose Return for the component that the maintenance technician wants to return.

The Return Goods screen is displayed. Enter the required quantity and choose Return.
A new line item for the respective component is added.
4. Choose Post.
The Post Goods Return screen is displayed. Enter the required quantity and the movement description.
5. Choose Post.

 Posting good will be done automatically if we select the work done button,
 To complete the work for the operation and to confirm it, click on the record time and
select the check box for Final work complete as shown below,

 Repeat this process for all the PRE and MAIN stage operations,
 After the Maintenance Technician has executed the Pre and Main operations and finally
confirmed them, the Maintenance Supervisor can change the status of the maintenance
order to Main Work Completed,
 Now, enter the order number, select the check box for the order and go to change status
and change the status to main work completed as below,

 After changing the status to main work completed the default times were taken and select
the check box for taking these dates as reference as shown below,

 After changing the status to main work completed, now start doing for the POST stage
operation,
 Go to perform maintenance job, select the operation with POST stage, go to malfunction
details click on edit for the operation as shown below,
 After clicking on edit, enter all the details as per your scenario and click on breakdown if the
equipment is under breakdown similarly as shown below,

 After giving the details click on save,


 Now after adding the malfunction data, below the malfunction data add malfunction details
and click on add as shown below,

 Now after clicking on add give all the details as below according to your requirements and
click on cause after giving details in damage details,
 Now go to cause and give the details as per your requirement, look at below reference
image,

 Go to Activity and give the activity details according to your requirement and click on record
as shown below,
TECHNICALLY COMPLETE

 Go to find maintenance order app, enter the order number,


 After giving the order number select the check box and navigate to change status and
change the status to complete technically as shown below,

 After clicking on complete technically, the default completion date and time will popup,
and select the check box for complete assigned notifications to complete the
notifications assigned and now click on complete technically as shown below,
 After you click on complete technically, the order will be technically completed as shown
below for reference,

 Now, to change the order status, go to find maintenance order, click on order and
change the status to complete business as shown below,

 Now select the checkbox of complete assigned notifications and click on complete
business as shown below,

 After clicking on complete business, the order will be completed business.
