The Constitution of South Sudan Student Association

at Iowa State University

Name

South Sudanese Student Association at Iowa State University may also be


referred to as SSSA.

Purpose and Goals

South Sudan Student Association (SSSA) is committed to


 Abiding by Iowa State University rules and regulations as well as State and
Federal laws.
 Promoting the academic, social, and cultural values of South Sudanese students at
Iowa State University.
 Educating and exchanging ideas to ISU students, faculty and staff members, and
the community of Ames about Sudanese social and cultural events.
 Organizing and participating in various social events on the ISU campus and in
the Ames community to share the diverse Sudanese cultures, languages,
educational, and recreational activities.
 Cooperating with (or participating in) any other associations in the United States
of America and/or any other countries where Sudanese students are studying to
uphold and support the welfare and interests of Sudanese students.
 Conducting activities on and off campus that bring Sudanese students together.
Membership

 Membership shall be open to ALL registered students in good standing at Iowa


State University
 Visiting Scholars (from different university in the country or abroad)
 Must be enrolled at Iowa State University.
 Must adhere to multicultural principles at Iowa State.
 Committed to intellectual debate and respect of individuals and their opinions
 Promote diversity and understanding of South Sudanese culture with other
Organization at Iowa State.
 Be an ambassador of South Sudan
Non-Discrimination Statement

“Iowa State University (and name of organization) does not discriminate on the
basis of race, ethnicity, sex, pregnancy, color, religion, national origin, physical or
mental disability, age, marital status, sexual orientation, gender identity, genetic
information or status as a U.S Veteran”

Requirements/eligibility to be an officer

(a) For undergraduate, graduate, and professional students, most have a minimum
cumulative grade point average GPA of 2.00 a semester immediately prior to the
election/appointment, the semester of election/appointment and semesters during
the term of office. In order for this provision to be met, at least six hours (half-
time credits) must have been taken for the semester under consideration.

(b) Be in good standing with the university and enrolled: at least half time (six or
more credit hours), if an undergraduate student (unless fewer credits are required
to graduate in the spring and fall semesters) during the term of office, and at least
half time (four or more credits), if a graduate level student (unless fewer credits
are required in the final stages of their degree as defined by the Continuous
Registration Requirement) during their term of office.

(c) Be ineligible to hold an office should the student fail to maintain the
requirements as prescribed in (a) and (b)."

Elections:

Elections shall be held at the beginning of the fall semester (September).


Dates of Election/Appointment and Method:

The term of for the adviser and officers shall be one full year (elected in
September to the following September). The adviser will be selected by the
officers and then voted on by the general membership. A majority vote is needed
for an adviser to be selected.

Removal of Officers or Adviser

Officers or advisers may be removed from office by ½ votes of the other officers
and ¾ of the general membership if actions are deemed inappropriate by the
membership. The officer is permitted to speak before the Executive Committee
and the general membership about the charges made concerning his/her
performance. The officer is not permitted to participate in the deliberation of
the Executive Committee regarding the charges.

Replacement of Officer or Adviser

If an officer or adviser is removed the replacement procedure is the same as the


election procedure described in Dates of Election/Appointment above. It shall
take place at the first meeting following the removal of the previous
officer/adviser.
Official Duties and Responsibilities
President

The president is to preside over meetings as well as affairs of the organization and
represent the organization where it needs to be represented. The term of duty for
the president shall be one academic year. This shall be and elected position. The
president also has the executive duty to appoint other cabinet positions if no
election is held. The president also represents the groups on campus and in the
Ames community. They will also maintain communication with the advisor.

Vice President

The vice president is to take over the duties of the president in his or her absence.
The vice president shall serve for one academic year.

Treasurer

The treasurer is involved with the collection of dues and funding, maintenance of
the budget of the organization, and all other issues concerning the finances of the
organization. They shall maintain accurate records of the organizations
transactions. They shall cosign checks along with the advisor and solicit addition
funding if needed from GSB. The officer in this position shall serve for one
academic year.

Secretary

The duties of the secretary are taking minutes during meetings and emailing it to
members afterwards, sending out emails about meetings, keeping the members of
the organization informed with the issues going on in campus that pertain to the
organization as well as informing members of issues going on in the organization,
such as reminders of coming deadlines. The secretary shall serve for one
academic year.

Advisor

Advisors serve as counsel to members as well as a connection to between the


organization and the university. They will have awareness and approval of
financial expenditures. The advisor shall ensure that SSSA is running in
conformity with the policy standards set forth by Iowa State University and the
Student Activities Center. The advisor shall be elected by the organizations
executive board and the term of office shall be one academic year starting in
September of each year. The advisor must be an employee of Iowa State
University.
Risk Management Chair

The risk management officer shall recommend risk management policies and
submit documentation to ISU’s Risk Management Office. They shall ensure that
risk management policy is implemented at all events. The risk management chair
shall serve for one academic year.

Finances

All monies belonging to this organization shall be deposited and disbursed


through a bank account established for this organization at the Campus
Organizations Accounting Office and/or approved institution/office (must receive
authorization via Campus Organizations Accounting Office). All funds must be
deposited within 48 hours after collection. The Adviser to this organization must
approve and sign expenditure before payment. The dues for the organization are
$15 per semester. This, coupled with the funding from GSB and other avenues of
campus that are available, serve as the finances for the activities and events of the
organization.

Assembly

The members of SSSA will meet once every two weeks. The time and place is to
be determined by members.

Events

Members will come up and agree on the events and activities that SSSA will carry
out. The organization can also look into activities that are going on here on
campus or outside campus to see how they can be involved in them.
 Participation in the International Week.
 South Sudanese Student Association Night.

Voting and Amendments

For the election of members, amendments to the constitution or any other form of
decision making taken in this organization, a two-thirds majority vote will be
sufficient.

Conclusion

This organization is to serve as the premier voice of the Southern Sudanese


students attending Iowa State University. It also serves to educate the rest of the
Iowa State community about the culture of the Southern Sudanese people. Its
members are to represent South Sudan in the best light.
