Please detail any medical condition or treatment being received such as epilepsy, disability, giddy spells, asthma,
diabetes, angina or other heart condition, neck or spinal injury. Illness or medical conditions may not necessarily
prevent you from taking part, however if you are in any doubt about your fitness to take part in any practical aspect
of a course please consult with your doctor who should be able to advise. We are happy to assist your doctor in
detailing what is required. While pregnancy is not a medical condition, we advise special care and do not recommend
participation in the 1st and last 3 months of pregnancy (Please give details, or write “None”).

Terms and Conditions
RYA Training
Before booking, please satisfy yourself that you have been given adequate guidance as to the suitability of the course you are
attending. If in any doubt please contact us for advise with one of our instructors.
1. All RYA courses are taught in English. Please make sure you are able to communicate in English.
2. Course enrolment does not mean that you automatically get a certificate. Students will always be trained and debriefed
to ensure everyone achieves their potential on the course but this may not mean that you receive a RYA certificate.
3. All photos and particularly boat photos on our website and in the joining instructions emails are of our actual boats but
purely indicative. We reserve the right to replace the boat by any suitable equivalent as well as take the decision about
the most suitable platform for teaching each specific course.
4. Please ensure you bring personal medication and ensure your instructor knows about any condition that may affect you
during the course. Fill in with care and attention your medical details and next of kin contact in you booking form.
5. We welcome feedback, positive or not, as it is an opportunity for us to improve. If something is not going as expected,
initially please voice any concerns immediately to the instructor and/or Principal if available so that they can be quickly
addressed. Please also take note of our “Complaints and Appeals Procedure” as below if the need to complain arises
during a course or exam.
Booking Process:
6. Limited numbers of students are allowed on each course, so you are advised to check availability before paying the
deposit and sending in the booking form. Return the completed booking form as soon as you receive our confirmation
email. Please see “Payment Terms” below.
7. Once you confirm by phone, email or at our centre, we will open a temporary pre-reservation holding your place until the
booking form and a minimum 50% deposit is received. Pre-reservations are held for 2 days. After 2 days without payment
confirmation, the pre-reservation will be placed “on hold” and considered cancelled without further notice. West Coast
reserves the right to sell the place without any further warning. If you have made a payment later than 24hrs since the
pre-reservation, please contact us by phone immediately for an availability re-check.
8. Once a payment is received (50% deposit or full payment) your pre-reservation will be considered “Accepted”. Your
reservation will be confirmed in writing (by email) within 48hrs together with joining instructions and a final invoice.
9. Please note that automatic emails informing of the condition of your booking process will be sent. Also, since the pre-
reservations are treated automatically by our system, pre-reservations not paid become available and may be booked
online or taken by an agent immediately and beyond our control.
Minimum Age:
10. Minimum age for activities on board is 12 years old. With less than 18 years of age participation is allowed but you must
be accompanied at all times by a tutor or guardian. Before boarding, a declaration authorizing the participation of an
underaged student must be signed by a tutor or guardian.
Data Protection:
11. To make sure you receive your certificate we need to share some of your personal data with the RYA via the RYA
certificate registration Hub. This information allows the RYA to record your certification, to update any records they may
already hold about you or your qualifications and to verify your certificate if required. Full details of how the RYA will deal
with your personal information will be displayed when you first access www.rya.org.uk .
12. To enable access to your online courses we need to share some of your personal data with the RYA via your user profile
in www.ryainteractive.org. This learning management website is hosted and maintained by a third party called Learning
Pool, who will not use your personal information for any reason other than enabling your course. Your name and email
address will be entered on www.ryainteractive.org in order to create your user account. On your first access to the site,
you will be asked to enter your address and date of birth. You will have access to the site for one year in order to
complete your online course. During this period, your personal information will be held on the website by Learning Pool
and be available to this training centre and the RYA for the purpose of managing your course. Instructional support will
be provided by this training centre for a period of one year from the date of your course booking. On completion of your
course, your name, email, date of birth and address will be transferred to the RYA's central database for the purpose of
recording details of the course and any certification you gain as a result of it. This information allows the RYA to record
your certification, to update any records they may already hold about you or your qualifications and to verify your
certificate if required. After one year from the date of your enrolment on the course, your user account will be removed
from www.ryainteractive.org. Full details of how the RYA will deal with your personal information will be displayed when
you first access www.ryainteractive.org.
Payment Terms:
13. If a course is booked within 30 days of its start date, the full amount is due on reservation;
14. Else, a minimum 50% deposit per person is required at the time of booking;
15. Settlement must be made up to 30 days before the start of the course; otherwise West Coast reserves the right to resell
the course.

16. Cancellation: Being unable to attend a course, informing in advance of the impossibility to attend;
17. Rescheduling: moving your booking to a different date before or after the initial chosen and confirmed date;
18. No Show: Failing to be present on the start date/hour of the course. No compensation or re-scheduling is due.
Cancellations:
19. If you need to cancel your place on a course, please let us know as early as possible and confirm in writing the same day.
The following refunds will be made:
 Cancelations made more than 30 days before the start of the course – Full refund less deposit.
 Cancellations made less than 30 days and more than 15 days before the start of the course – 25% of the course fee
 Cancellations made less than 14 days before the start of the course – No refund.
20. We reserve the right to cancel or postpone a course should the numbers fail to reach a viable minimum number, should
there be an unexpected equipment failure or unsuitable weather conditions. This cancellation or postponement can take
place at any time before or during the course. An alternative date will be offered or a refund will be made available if
preferred by the student. West Coast cannot be held responsible for any cancellation costs incurred by the student
including travel arrangements, holidays lost or other booking costs incurred.
21. We reserve the right to cancel/curtail your course/exam at any time due to circumstances amounting to “Force Majeure”
these include, but are not limited to, war, riots, government action, terrorism, fire, severe weather conditions, strike
action, Pandemic and all similar events outside of our control. Where such circumstances do occur, West Coast will not
be liable to pay you a refund or offer any compensation other than rescheduling the activity.
Rescheduling:
22. If you need to reschedule your course due to personal or professional reasons and should that be possible given our
course dates available, an admin fee is due. A rescheduling is only possible when requested at least 30 days before the
course start date or 60 days before an exam start date and the request must be confirmed in writing.
23. Only 1 rescheduling is allowed per course booked.
24. When a rescheduling is accepted the full amount of the course is due plus the applicable admin reschedule fee as below.
25. If you ask for a course / exam re-schedule and an alternate date is available, the following admin fees will be due with
reference to the number of days until the course start date: 30-60 days: 120€ | 61-90 days: 80€ | more than 91 days: 40€.
Time Limit to Book / Re-Schedule:
26. Should a date confirmation, course or exam booking be necessary and pending decision from a client after written notice
from West Coast, the time limit to re-book i/ re-schedule is 6 months. Should there be no answer or effort to
book/reschedule by the client within 6 months the payment will be marked as “No-Show” without any due compensation
or re-schedule by West Coast.
Insurance:
27. West Coast and its employees do not accept responsibility for any loss, damage or injury suffered by persons and/or their
property arising out of or during the course of their activities whilst sailing, training and / or coaching and / or instructing
unless such injury loss or damage was caused by or resulted from negligence or deliberate act.
28. All our boats are insured according to RYA requirements and Portuguese Law. By booking your course you declare to
accept without reserve our insurance conditions which are available upon request. If you find our coverage inadequate or
insufficient you are advised to subscribe an additional personal coverage not excluding sailing and/or power boating. We
strongly advise you to contract personal coverage for any type of cancellation costs, delays, travelling risks, medical
condition, theft or loss of gear and other, specifically not covered by any of our insurances.
Conditions applying to Online Courses delivered in Conjunction with Skippers Online Ltd:
29. Skippers Online Ltd is an accredited RYA Distance Learning Provider. In return for payment of your course fee Skippers
Online Ltd will provide you with: instructor support 7 days a week, a student pack comprising charts, a training almanac
and course handbook, lessons, quizzes, self-assessment exercises, mock exams with automatic feedback and final exams.
Final exams will be marked by a qualified RYA instructor who will provide detailed feedback and a pass/fail decision. If
you pass all your exams you will be awarded the relevant RYA Course Completion Certificate. If you fail you will be
offered unlimited resits during the term of your registration. Skippers Online Ltd will grant you a personal non-
transferable licence to use the courses during the term of your registration.
30. The initial term of your registration is 6 months. You may purchase unlimited 6 month extensions for £50 or 12 months
for £80.
31. You are entitled to a money back guarantee. To activate it you must haven not requested any exams and must notify us
within the within 14 days of first registering. You can then either return your student pack in such condition that it can be
re-used, in which case we will refund your full course fee, or you can retain it, in which case we will refund your course
fee less £50.
32. DATA PROTECTION: To enable access to your online course we need to share some of your personal data with Skippers
Online via your user profile in westcoast.skippersonline.net. This learning management website is hosted and maintained
by Skippers Online, who will not use your personal information for any reason other than enabling your course.

33. Your name, email address, address, and date of birth will be entered on westcoast.skippersonline.net in order to create
your user account. You will have access to the site for six months in order to complete your online course. During this
period, your personal information will be held on the website by Skippers Online and be available to this training centre
for the purpose of managing your course.
34. On completion of your course, your name, email, date of birth and address will be transferred to the RYA's central
database for the purpose of recording details of the course and any certification you gain as a result of it. This
information allows the RYA to record your certification, to update any records they may already hold about you or your
qualifications and to verify your certificate if required. After one year from the date of your enrolment on the course,
your user account will be removed from westcoast.skippersonline.net
35. Full details of how the Skippers Online will deal with your personal information will be displayed when you first access
westcoast.skippersonline.net
Complaints and Appeals Procedure
RYA TRAINING COURSE
36. If a candidate wishes to make a complaint or appeal against the way a course is being or was run, he/she should in the
first instance voice its concerns to the instructor. Should no solution come out of this first voice of concern then the
Principal of West Coast should be contacted either in by voice or via email.
37. The Principal will endeavour to respond to and solve the complaint immediately. The Principal will discuss the complaint
or appeal with the instructor concerned and, if appropriate, with other instructors or students who have been present in
the course. Every effort will be made by the Principal to resolve any complaints as quickly as possible.
38. The Principal will then either inform the complainant that the course has is being / has been fairly and correctly carried
out or arrange a solution with the complainant which may involve a partial or total repetition of the course or some other
sort of compensation. If the complainant is dissatisfied with the decision of the Principal, he or she may appeal in writing
to the relevant external body within 10 days of receiving the decision.
39. The letter of appeal should contain full details of the training course, when, where, involving whom etc, the nature of the
complaint or appeal, copies of any supporting documentation relating to the course, action, plans, reports etc and copies
of any previous correspondence regarding the complaint.
40. On receipt of an appeal, an investigative process will commence by the external body. This will include a consultation
with those carrying out the original courses and any witnesses or interested parties to the course. They will then decide
whether the original decision should be reversed, whether the applicant should be offered or not a further course or
other form of compensation.
41. In Portugal all companies are obliged to have available a “Complaints Book” where you can complain directly to the
relevant national authorities (ASAE).
RYA EXAM / RYA ASSESSMENT
42. If a candidate wishes to make a complaint or appeal against a course assessment or exam or other assessment is
being/was carried out, he/she should in the first instance address the instructor/examiner/assessor. Should no solution
come out of this first voice of concern then the Principal of West Coast should be contacted either in writing or via email.
43. The Principal will endeavour to respond to the complaint within 10 working days. The Principal will discuss the complaint
or appeal with the instructor/examiner/assessor concerned and, if appropriate, with other
instructors/examiners/assessors/candidates who have witnessed the assessment. Every effort will be made by the
Principal to resolve any complaints as quickly as possible.
44. The Principal will then either inform the complainant that the assessment has been fairly and correctly carried out or
arrange for another assessment to be carried out by a different instructor/assessor/examiner. If the complainant is
dissatisfied with the decision of the Principal, he or she may appeal in writing to the relevant external body within 10
days of receiving the decision.
45. The letter of appeal should contain full details of the course, when where, involving whom etc, the nature of the
complaint or appeal, copies of any supporting documentation relating to the assessment outcome, action, plans, reports
etc and copies of any previous correspondence regarding the complaint.
46. On receipt of an appeal, an investigative process will commence by the external body. This will include a consultation
with those carrying out the original assessments or inspections, and any witnesses or interested parties to the
assessment. They will then decide whether the original decision should be reversed, whether the applicant should be
offered a further assessment by an external assessor, or whether the result of the original examination should stand.
