ABOUT PLAN INTERNATIONAL MYANMAR

JOB PURPOSE

Plan Myanmar is expanding its operations and needs to fill the newly established position of logistics
assistant. As part of the Field operation team, the logistics assistant will support the office by actively
participate in logistics activities. This position is based full-time in field office with up to 20% travel to
the field/Offices if necessary. Contribute to the development of SOP as part of Country Strategic Plan
(CSP) process.

DIMENSION OF THE ROLE

To be responsible for the day-to-day logistic activities. To ensure necessary logistics support is
provided to the programme team and responsible for all logistics related issues. Moreover, he/she
needs to assist and advise Logistics Officer on Logistics related issues. Make sure coordination and
cooperation with budget holder for the procurement plan for their project and responsible of
warehouse, fleet and assets tasks according to Plan’s standard Operation Manual.
ACCOUNTABILITIES
Warehousing and Transport, Procurement & Supply Chain, Assets & Fleet Management:

• To do regular cleaning and proper maintenance of warehouse and stock items.


• Assist Logistics Officer to record and update for every stock movement and keep all documents
are in accurate.
• Assist Logistics Officer to regular stock check by weekly / monthly.
• To receive program stock accurately and all are keeping documented.
• To release the items due to program requisitions and update in the report.
• Ensure all Plan’ vehicles, Motor Bikes and generator are in well maintained, tuned and kept to
safety standards.
• To arrange vehicle for program implementation in the field due to vehicle requisitions to be
smoothly.
• To supervise Drivers and provide necessary technical supports as needed.
• Ensure to settle outside vehicles rental payment and monthly fuel payment accurately.
• To communicate with drivers and fuel supplier to fill full tank to all office vehicles and Generator
by the last working days of each month.
• Assist to Logistics Officer necessary things with monthly fleet report.
• To arrange route information, transportation mode and list of available vehicle owner including its
standard price per routes.
• To record updated information of fixed assets and inventory in the system.
• Assist to Logistics Officer to do proper yearly asset verification for all fixed and low value assets.
• Keeping the documents with assets in/out and transfer process.
• Assist to Logistics officer with assets management report.
• Procure goods and services due to organizational procurement thresholds which are defined by
Logistics Officer.
• Communicate with suppliers and other program/project team and finance on processing and status
of payments.
• Confirm that all invoices have been received and submitted for payment.
• Assist to Logistics Officer with procurement planning update.
• Assist to Logistics Officer to update monthly procurement tracker.
• Undertakes other duties as required.

DURATION AND WORKING HOUR OF THE ASSIGNMENT

The assignment is a full-time engagement during the period and based in Sittwe Program Unit Office
with 20% travel. Plan International Myanmar will cover for the transportation, Accommodation and per-
diem for the required business travel. The Logistics Assistant is required to work 5 days per week (20
to 22 days per month), with 8 hours per working day. Weekends and public holidays, as observed and
confirmed by Plan International Myanmar, are entitled.

 Ensure the delivery of Logistics functional area work in accordance with Safeguarding policies,
procedures and guidance incorporate measures described in the standard Safe Recruitment,
selection and engagement. This includes conducting risk assessments and implementing
safeguarding protocols
 Ensure engagement local supplier, vendors and stakeholders in line with the safeguarding
standard “Safe recruitment, selection and engagement”, “Working with Safe Partners” and
“Building Positive and Safe Relationships with Children and Programme Participants”.
 Create a safe and supportive environment for all community members, particularly vulnerable
groups such as women, children, and LGBTQ+ individuals.
 Ensure their work does not put children and programme participants at risk by continuously
evaluating it through a safeguarding perspective, data privacy and discussing potential design or
implementation with the children and programme participants.
 Promote the importance of safeguarding and PSHEA to colleagues in other organizations and
children, their families, beneficiaries, and the wider community.
 Apply all relevant standards to their area of responsibility.
 Identify and address gaps within implementing standards in area of responsibility.
 Assume responsibility for reporting any instances of suspected child abuse or neglect immediately
as per Plan Myanmar’s policy.

QUALIFICATIONS:
Essential / Desirable

• University degree in relevant field


• Minimum 2 years of hands-on experience in an admin, logistics, procurement, operational support
to development or private sector projects.
• Experience working and collaborating with diverse sets of stakeholders including local partners
and sector working group.
• Ability to work under pressure, as part of a team or independently, and meet deadlines
consistently.
• Good communication and coordination skill.
• Understanding of children’s rights and gender equality.
• Good command of MS Office applications (Word, Excel, Access, and Power Point)
• Good English and Myanmar language is an advantage.
• Able to work under pressure for multiple tasks to meet dead line.
• Willingness to travel to remote and conflict affected area.
