OPERATIONAL POLICY AND PROCEDURE

Title: Blood Donation Campaign Code: OPP/Lab# 036.4

Applies To: Blood Bank and Transfusion Services Nature: Department Specific

I. DEFINITION:

Blood Donation Campaign –it is an important aspect of blood bank activities which
encourages voluntary blood donation held outside the blood bank premises.

II. PURPOSE:

To ensure that there is proper procedure to follow when conducting blood donation campaign
outside the hospital blood bank.

III. POLICY STATEMENTS:

1. After receiving the invitation from a company or as arrange by the Marketing


Dpeartmen for a blood donation campaign the invitation letter shall be approved by
the hospital director/medical director.
2. Other support department shall be notified 1 week before the schedule of the
campaign.
3. Blood bank staff shall check the place for donation to make sure that the space is large
enough, clean, proper lighting and comfortable for donors.
4. Blood bank staff shall check their stocks of blood bags and consumables that will be
use for the campaign.
5. Two days before the schedule of the campaign, blood bank staff shall confirm the date
and site of the campaign with the coordinator of the company or Marketing
Department
6. One day before the campaign, the marketing department shall send posters and other
educational materials that encourage donation and donation chairs to the site of
donation.
7. Blood bank staffs prepare the list of consumables one day before the campaign.
8. If the campaign was conducted in the same company before, obtain the list of donors
who previously donated as they will most likely donate again.
9. Don’t ignore people, who have not donated in the past, they may have a cause of
deferral in the previous campaign.
10. The blood donation campaign coordinator shall encourage and invite the people to
donate.
11. Policies and procedure related blood donation process applies e.g. donor selection
criteria, blood collection.

12. Accepted donor will proceed for donation process and deferred donors will be
submitted to the blood bank physician for counseling and additional explanation.
13. Blood and blood samples has to be kept in validated insulated box along with
calibrated thermometer and to be send to blood bank as soon as possible for
component preparation and testing.
14. Only blood bank staffs or other laboratory staff that have a valid competency in blood
donor collection and donor adverse reaction is allowed to performed phlebotomy
during the blood donation campaign. Other staff can do other procedures e.g.
registration of donor, and screening.
15. Certificates of donation and results of the donor screening shall be sent to the
company who requested blood donation campaign.

IV. PROCEDURES AND RESPONSIBILITIES:

3. A day before the event, blood bank staff will prepare all the necessary
things needed for the blood donation campaign. Refer to the list below;
Blood collection set (blood bags)
10% povidone iodine or chlorhexidine gluconate
Sterile gauze
Bandage Blood Bank Staff
Stationeries (e.g.ballpen, pentelpens, staplers)
Sharp boxes
Yellow and black bags
Hemocue machine and strips
Linen

One day before the campaign, the marketing department shall send
posters and other educational materials that encourage donation and
donation chairs to the site of donation

4. Laboratory manager will arrange for the transportation, and other needed
assign to other department for the blood donation campaign. Lab Manager

5. At the day of blood donation campaign, the following procedures should


be followed;

Gather all the identified staffs for the blood donation campaign
Check all the things needed for the blood donation campaign and
make sure it is complete.
Check the staff lists and make sure everybody on the list is
present or aware of the event that they are involved. Blood Donation
Team
At the site of the blood donation;

Coordinate with the person in the company responsible for the


event
Locate the registration area, blood donation area, refreshment area
that will make the safe place and comfortable for the blood
donors. Emergency exit should be identified al labeled.

Send collected blood units and sample to blood bank for

Before leaving the area, make sure that all the things used are Team

Return back to the blood bank area once the blood donation
campaign is finished.

6. At the blood bank site after the blood donation campaign

Check all the thing/boxes used in the event, and make sure it is
complete, including all the waste and sharp boxes used.
