POSITION DIRECTORY

The officers of the United Architects of the Philippines Student Auxiliary – Palawan State
University (UAPSA-PALSU) serve as the driving force behind the organization’s success,
each holding critical responsibilities to ensure the attainment of the organization’s objectives.
Rooted in the mandates outlined in the organization’s bylaws, these roles have been
expanded and refined to better address the dynamic needs of the chapter and its members.

EXECUTIVE COMMITTEE

CHAPTER PRESIDENT

As per Bylaws:
● Leads UAPSA-PALSU and all its members (4.1, 4.2)
● Presides over meetings and assemblies (4.3)
● Supervises the organization’s properties and interests; countersigns disbursements
(4.4)
● Provides overall direction and vision (4.5)
● Serves as role model (4.6)
● Leads in executing activities and achieving objectives (4.7)
● Represents the organization in all matters requiring representation (4.8)
● Appoints directors and commissioners (4.9)

Receives and signs activity turnout reports and financial summaries.


Oversees internal documentation for accomplishment reports (with Asst. Treasurer).

CHAPTER VICE PRESIDENT – INTERNAL

As per Bylaws (5.1–5.4):


● Assumes President’s responsibilities when needed
● Coordinates with internal university organizations
● Assists the President
● Performs other duties inherent to the position

Oversees Programs, Creatives, Logistics, and internal event planning

CHAPTER VICE PRESIDENT – EXTERNAL

As per Bylaws (6.1–6.2):


● Coordinates with institutions and organizations outside the university
● Performs duties assigned by the President
Oversees the Business Manager and Marketing Director
Supervises and supports Income Generating Projects (IGPs)

CHAPTER SECRETARY

As per Bylaws (7.1–7.6):


● Custodian of records and meeting documents
● Takes meeting minutes
● Maintains member/officer contact list
● Distributes important information
● Assists in organizing elections and other forms
● Serves as role model

Responsible for all organizational emails

CHAPTER TREASURER

As per Bylaws (9.1–9.8):


● Manages financial records and engagements
● Collects, keeps, and disburses funds
● Prepares the annual budget
● Submits financial reports within 10 working days post-event
● Handles bank transactions and issues receipts
● Serves as role model

Prepares budget proposals for upcoming activities and projects.


Organizes and oversees all collections within the organization, ensuring proper handling
and recording.
Compiles receipts and documentation for proper turnover to the Auditor.
Prepares financial summaries and expense reports per activity, submitting them to the
President and Adviser.

ASSISTANT TREASURER

As per Bylaws (10.1–10.2):


● Acts in the absence of the Treasurer
● Serves as role model

Handles all disbursements of the organization.


Compiles all official receipts and documents related to expenses for turnover to the
Auditor.
Maintains and organizes all financial documents and receipts in Google Drive for
transparency and easy access.
Assists the Treasurer in preparing financial reports and summaries.
AUDITOR

As per Bylaws (11.1–11.4):


● Reviews financial affairs and ensures transparency
● Audits financial reports within 10 working days after events
● Audits only official receipts

Must prepare and encode turnout expenses or summary report per activity, to be
submitted to the Chapter President and signed by the adviser.

BUSINESS MANAGER

As per Bylaws (12.1–12.3):


Manages committee work with proper delegation
Reports to VP External and the org
Oversees IGPs

Works closely with the Marketing Director and President on financial strategies
COMMITTEE POSITIONS
LINKAGE COMMITTEE

EXECUTIVE MARKETING DIRECTOR

As per Functions:
● Under the Vice President for External.
● Should work with the Business Manager.
● Leads initiatives to establish partnerships and collaborations.
● Oversees sponsorship proposals and agreements with external organizations.
● Coordinates with firms, schools, and institutions for joint programs.
● Guides marketing strategy to align with organizational objectives.

Receives sponsorship confirmations and partnership documents. Oversees all records


related to marketing and linkages.

COMMISSIONER ON MEMBERSHIP

As per Functions:
● Under the President and the Treasurer.
● Should collect the membership fee and turn over the local fees to the Treasurer.
● Oversees recruitment and retention of members.
● Maintains updated membership records and profiles.
● Develops membership campaigns and engagement initiatives.

Monitors membership status reports and turnout logs. Oversees internal records of active
and inactive members.

COMMISSIONER ON CONGRESS AND ASSEMBLY

As per Functions:
● Under the Vice President for Internal.
● Organizes detailed programs per activity.
● Should propose programs, activities, seminars, and other beneficial activities for
the members.
● Plans and organizes assemblies and congresses.

Receives attendance records and assembly reports. Oversees minutes preparation and
submission.
PROGRAMS COMMITTEE

DIRECTOR FOR PROGRAMS COMMITTEE

As per Functions:
● Should act as floor manager and can host events.
● Leads planning and execution of academic and socio-civic programs.
● Supervises Programs Committee operations.
● Coordinates schedules, resources, and activities.

Receives activity proposals and completion reports. Oversees preparation of


documentation for evaluation.

CO-DIRECTOR FOR PROGRAMS COMMITTEE

As per Functions:
● Should work directly with the Director.
● Assists the Director in all programs and activities.
● Acts as Officer-in-Charge when necessary.

Receives delegated tasks and updates on program progress.

PROGRAM STAFF

As per Functions:
● Assists in hosting activities.
● Prepares materials, logistics, and supplies.
● Documents attendance and participant feedback.

Reports to the Director and Co-Director of the Programs Committee.

TECHNICAL COMMITTEE

DIRECTOR FOR TECHNICAL COMMITTEE

As per Bylaws:
● Manages technical supports needed during events. (15.1)
● Appoints members of the Technical Committee. (15.2)

Receives technical requirements and performance reports. Oversees inventory of


technical equipment.

CO-DIRECTOR FOR TECHNICAL COMMITTEE

As per Functions:
● Assists the Director in technical operations.
● Acts as Officer-in-Charge when needed.

Reports to the Director for Technical Committee.

SOUND SYSTEM HEAD

As per Functions:
● Oversees setup and operation of audio systems.
● Ensures sound quality and resolves technical issues.

Reports sound requirements and provides post-event assessment.

VISUAL AND PROJECTION COORDINATOR

As per Functions:
● Manages visual presentations and projection equipment.
● Prepares media content for events.

Coordinates visual needs and submits equipment usage reports.

LEAD FOR EQUIPMENT SETUP

As per Functions:
● Supervises venue setup and planning.
● Sources volunteers, prepares excuse letters, and coordinates equipment
arrangement.

Reports readiness of equipment and volunteer assignments.


MULTIMEDIA AND CREATIVES COMMITTEE

MULTIMEDIA DIRECTOR

As per Functions:
● Oversees publications and social media presence.
● Guides production of multimedia content for promotions and documentation.

Receives content plans and reports on engagement.

SOCIAL MEDIA EXECUTIVE DIRECTOR

As per Functions:
● Creates captions and postings of publications online.
● Facilitates all social media accounts.

Reports social media analytics and engagement updates.

DIRECTOR FOR CREATIVES COMMITTEE

As per Functions:
● In charge of decorations, backdrops, tarpaulins, and banners for events.
● Oversees venue setup and planning.
● Shall secure volunteer creative staff at least two (2) days before the activity, and
coordinate class excusals on their behalf if necessary.

Receives creative briefs and accomplishment records.

CO-DIRECTOR FOR CREATIVES COMMITTEE

As per Functions:
● Should work with the Director.
● Assists in planning and producing creative materials.

Oversees task delegation and progress tracking.

CREATIVES STAFF

As per Functions:
● Sourced as volunteers (up to 10), who are excused from other activities during
events.
● Performs assigned design and production tasks.

Reports completion of creative outputs.

DOCUMENTATION COMMITTEE

DIRECTOR FOR DOCUMENTATION

As per Functions:
● Should work with the Social Media Director.
● Should document the activity for accomplishment reports and narrate them into
files.
● Shall submit documentation reports to the Chapter President.

Oversees compilation and archiving of all records.

DOCUMENTATION STAFF

As per Functions:
● Supports capture and organization of documentation materials.
● Assists in editing and compiling records for submission.

Reports completed documentation to the Director.

LEAD FOR REPORT DOCUMENTATION

As per Functions:
● Prepares official written reports of all activities, meetings, and events.
● Ensures the completeness and accuracy of all records and submissions.
● Coordinates with Documentation Staff to gather necessary details and supporting
materials.

Compiles reports in proper format and endorses them to the Director for review.

LOGISTICS COMMITTEE
LOGISTICS DIRECTOR

As per Functions:
● Under the President and Assistant Treasurer.
● Should keep a record of everything bought.
● Leads logistics planning and implementation.
● Shall secure volunteer logistic staff at least two (2) days before the activity, and
coordinate class excusals on their behalf if necessary.

Receives logistics plans and resource usage reports.

CO-DIRECTOR FOR LOGISTICS

As per Functions:
● Assists in sourcing materials, supplies, and equipment.
● Supports the Director in coordinating all logistical tasks.

Reports logistics readiness and procurement updates.

LOGISTICS STAFF

As per Functions:
● Sourced as volunteers (up to 10), excused from other activities during events.
● Assists in venue preparation, transport, and supplies management.

Reports completion of assigned tasks.

YEAR REPRESENTATIVES

● Should represent the members of their year level in meetings and decisions.
● Relays announcements, gathers feedback, and encourages participation.
