General Layout of a Formal Letter

Components Explained

1. Sender's Information: Your contact information should be at the top so the recipient can
easily reach you.

2. Date: Indicate when the letter is written.

3. Recipient’s Information: Include the recipient’s name, title, and address for proper targeting.

4. Salutation: A formal greeting (e.g., "Dear Mr./Ms. [Last Name]").

5. Body: The main content where you discuss your purpose. It should be clear and
professionally written.

6. Closing: Use a formal closing phrase (e.g., "Sincerely," "Best regards,").

7. Signature: If sending a hard copy, sign your name. If it's an email, simply typing your name is
sufficient.

8. Optional: Include your title and organization name if relevant.
