Dear Vandegrift High School Member and Parent, Welcome to the Vandegrift High School Choir!!! The Vandegrift High School Choir has already established itself as an excellent choral program and we are confident that your child will enjoy being a part of this tradition as he/she grows musically. Your childs participation in the choir program is beneficial in many ways. In choir, students develop traits such as responsibility, dedication, self-discipline, social skills, confidence, leadership, dependability, commitment and teamwork. As a member of the choir, students will experience a sense of accomplishment and pride, and will develop musical and personal skills that will enrich their lives. A member of any performing organization has a responsibility above and beyond that of a student who is not in an extra-curricular organization. The procedures and guidelines contained in this handbook have been adopted to ensure that every choir student has the opportunity to have a rewarding and fulfilling experience. Additionally, we are hopeful that careful reading of this handbook by every parent will provide for positive communication between all those who are united on the path of doing right and good by all. Please examine this packet carefully, as it contains valuable information pertaining to your childs participation in choir. Please note that the forms at the end of this handbook will need to be signed and turned into the Choir Director . LISD Mission & Vision


The purpose of LISD is to educate each student to be successful in an ever-changing world. Every student is encouraged, supported, and challenged to achieve the highest levels of knowledge, skills, and character.

LISD Graduate Profile


Every LISD graduate is prepared with the knowledge, academic foundation, and life skills to be a productive learner, an effective communicator, and a responsible citizen, in order to be successful in an ever-changing world. Choir Mission Statement


Our goal is to create an organization where students care about what they are doing and feel cared about. LISD 10 Ethical Principles


Making exciting music is fun and requires hard work and self-discipline. Outstanding choirs are the result of efficient rehearsals where the standard for behavior is high. Each singer is responsible for contributing to the success of each rehearsal. The students of the Viper Choir are expected to follow the LISD Ten Ethical Principles. Students who make their decisions based upon these principles will have success in the Viper Choir. They are: Honesty

Communication with Parents


The directors encourage positive communication and are willing to discuss any aspect of a students progress in choir with his/her parents. The Viper Choir web page has announcements, links, a calendar, and other information regarding choir activities. Go to www.vhschoir.org. Please contact the director if a student or parent does not have Internet service. All students and parents must provide email addresses to be used for Viper Choir communications. Email will be used to contact parents and students with important announcements, reminders, volunteer opportunities, and updates or corrections when necessary. If e-mail addresses change, please provide the directors with an update as quickly as possible. Email addresses will not be sold or given out to anyone that wishes to use them for purposes other than Vandegrift Choir communication.

Rules & Procedures


Students in choir serve as representatives of the school and school district at many public extra-curricular functions. Choir members will observe all policies set forth by Leander ISD, in addition to the following, as they pertain to the vocal music setting. Any behavior, which is not representative of good citizenship, as perceived by the choir staff, may result in the student's dismissal from the activity at hand, as well as the choir program. This also applies to the actions of student leaders in both public and private events. Individual behavior during a choir function is a reflection of the entire group. Care of the Choir Facilities Refreshments No gum, food or drinks are allowed in the building except when authorized by the directors. Litter All trash is to be deposited in the wastebaskets provided. Vandalism Acts of vandalism or the willful misuse of school property will be dealt with severely and appropriately. Every choir member is responsible to help the director(s) monitor the facility and control vandalism, which includes writing or carving on walls, destroying music, or breaking school property. Workroom Absolutely no student is allowed in the workroom without permission. The copy machine is off limits without permission. Practice & Ensemble Rooms Are designed for practicing, not social gatherings, you may not use these rooms without permission from the director. Do not bring any personal items into the practice room, (backpacks, hairspray, makeup etc...). You may not use any equipment without permission from the director, including the piano. Offices Please knock, and if you are invited in, you may enter. Otherwise, offices are off-limits to students. Students may not use directors phone without permission. Classroom Students will not deface or mark on music stands, chairs, walls, etc. Students will not write on dryerase board without permission from a director. Students must not touch any choir equipment without permission from the director, this includes pianos). Rehearsal Expectations Students should request permission to speak by raising their hand and waiting to be acknowledged. When allowed in the choir room, either before or after school, students will not disturb any rehearsal in progress. Maintain the highest level of rehearsal behavior. Students will be in their assigned rehearsal area ready to work at the set rehearsal time with their binders, music, pencil, and high-lighter. Students should keep their belongings in the designated storage area, and keep said storage area clean and neat in appearance. Students must store their binders in the proper location in the choir room, and return them in good condition at the end of the school year. Students should never take their choir folders home. Contact the director or check the web site if you wish to have additional copies of music for home practice. Digital Citizenship
Maintaining a higher standard of conduct includes ensuring that choir member websites are appropriate. Any communication such as MySpace, Facebook, photo sharing, emailing, texting, etc., appearing on the internet is public domain, even if it is marked private. Choir students are responsible for their personal websites and postings, as well as posting from or on other students websites. The areas of appropriateness will include but are not limited to: profane, foul, or disrespectful language (abbreviated or alluding to); pictures; suggestive poses; clothing; references to alcohol, drugs, and/or tobacco; and postings (either verbal or photos) that could be interpreted as being negative or threatening towards LISD teaching staff or choir members, or that demonstrate poor sportsmanship or a disrespectful attitude towards other choirs. Any such incident will result in review by the choir directors and Vandegrift High School administration and may lead to the consequences as stated in this handbook. Upon confirmation of internet policy violation, the choir student will be asked to remove any offensive items from the website(s) and will be asked to give an apology and plan of action to deter this behavior to the principal, directors, and choir members. Parents/guardians will be contacted and made aware of the offensive behavior. If the behavior continues the student will be removed from choir.

Due Process
All Leander ISD students are entitled to due process in accordance with LISD guidelines. Our goal as a staff is to ensure that all students are treated fairly. Please contact the choir director if you have any concerns. We will work with you to resolve problems. We are here to provide a quality music education for all of our students.

Financial Policy
No student will be denied participation in the Viper Choir program due to financial hardship. Please speak to the choir directors for financial consideration or by set up a payment plan using the Fees form at registration.

Fees
The Viper Choir fee will be used to cover a variety of expenses encountered by the Viper Choir program that are not funded by Leander ISD. To simplify the expense of being in a performing arts class, an activity fee is collected from each student at the start of the school year. The intent of the fee is to have one payment for all anticipated, mandatory fees that may occur over the course of the year. There will be no refunds of the activity fee regardless of participation in choir activities. Students will have an individual account where they may make payments for trips and choir activities. Students with credits of individual accounts will remain in the students ledger until he or she exits the program. Upon exiting the program, all money becomes the property of the Viper Choir Boosters (even if the student should return to the program at a later date). This money is used to improve the choir department and for student activities. Students can track their financial information through the Charms Database on the choir website.

Students joining choir late will be charged a percentage of the activity fee, rounded off to the nearest 6 weeks. Upon request, students who leave the choir program will be refunded a percentage of their activity fee according to their time spent in the program. Refunds will not be issued on an itemized basis. *Region, UIL, and Solo/Ensemble Contest Entry Fees and Accompanist Fees are not included in the choir fee. Students who wish to participate in these activities will be required to provide the required fee in order to be registered for the event.

Fundraising
The Viper Choir engages in fundraising activities throughout each year. The monies raised from fundraising activities will be credited to an account held by the Booster Club and is subject to all state laws. This money will be used only for the direct benefit of the choir program. All fundraisers are optional but students are encouraged to participate. All money raised belongs to the Viper Choir and cannot be refunded for any reason. Receipts will be issued for all monies turned in. Students should keep this as their record of payment. It is best if the student can submit one check for the entire order. Students are responsible for money that they carry, and cash should not be carried at school. All money should be turned in before school starts each day. Fundraisers in which students check out a product to sell, must be paid for within one week of the conclusion of the fundraiser. Failure to do so will result in an office referral for theft.

Delinquent Accounts
Students are responsible for turning in all money due to the Viper Choir for fees, fundraising, trips, etc. by the required deadline. Students who are delinquent in their payments toward their choir ledgers will receive the following consequences: Students will receive monthly statement reminders. Students will not be allowed to attend any choir trip until all ledgers are settled. Students will not be allowed to participate in any future fundraisers for the Viper Choir if a fundraising balance is due. Serious offenders will be dealt with through the Assistant Principals Office Student ledgers that have a negative account balance in May will not be allowed to get their next years schedule or current years report card (as per VHS School Policy). These students will be referred to the Assistant Principals Office. Delinquent choir ledgers will be dealt with similar to book fines.

Payment Information
The following procedures should be used whenever any type of payment is made to the Viper Choir: If the payment is cash, you must have exact change, and payment should be submitted in an envelope with the students name written on it. Please make all checks payable to Vandegrift Choir Boosters. Please include the choir students name in the memo area of all checks turned in. Also include the birth date of the writer and a current drivers license number. All payments should be turned in to the director in an envelope. Do not leave money on the choir directors desk, hand it to the director in person. Insufficient Funds

District policy states that we are not allowed to accept checks from any individual who has had at least one check to LISD that was returned for insufficient funds. Credit card, cash or money orders can be accepted in this instance. Any fees associated with a check returned for insufficient funds will be charged to the individual offender.

Ensembles
The Choirs currently offered at VHS are: Chorale *admission by audition only A Cappella Womens Choir *admission by audition only Concert Womens Choir *admission by audition only Mens Choir *admission by audition only Intermediate Womens Choir *admission by audition only Chamber Choir *admission by audition only (meets after school) All Choirs at Vandegrift HS are ability based and are auditioned. Students will not be placed in ensembles based on seniority.

Auditions for Ensemble Placement


All students are required to audition for select performance ensembles. The choir director determines audition requirements, and directors will notify students of audition dates, requirements, and results. The director will serve as an evaluator during auditions. Audition material will reflect the directors anticipated performance level for the students and will be based on prior learning. Students will be re-evaluated periodically for participation in select performance ensembles. Guidelines used to determine placement of students in advanced choirs: Students should consistently demonstrate leadership and maturity. An audition is required to assess the students vocal technique and music reading skill. Previous choir experience is required. Students must have been eligible for all UIL activities (eligibility is essential and is used as a determining factor when placing students in an advanced level choir). Previous years' performance and rehearsal attendance, choir grades, sectional/rehearsal attendance, and extracurricular participation will be taken into consideration. Participation in additional choir activities (All-State auditions, UIL Solo & Ensemble Contest, UIL Concert & SightReading Contest, etc.) will be considered when placing students in an advanced choir. Sight-reading in the advanced choirs is extremely challenging. Students who wish to eventually participate in advanced choirs should make a concerted effort to daily improve their sight-reading skills. Students should not expect to be placed in a higher level choir without specific attention to attitude, daily improvement, and outstanding participation in the Viper Choir Program. You must work to improve your skills every day!

Rehearsal & Concert Attendance


In order to have and maintain a high quality choir program, attendance from all members is essential. While the VHS choir follows all school and district policies and procedures, the following additional guidelines outline the attendance procedures and policies for the VHS choir. These attendance guidelines also apply to activities held outside of the school day.

Each of the choirs will perform at various times throughout the school year. Students are expected to participate in the performances of their assigned ensemble. Failure to participate in either rehearsals or performances may result in student removal from the organization at the discretion of the choir directors. Excused Tardies and Absences: Tardiness may be excused at the discretion of the directors. Tutorials, appointments etc. will not be an excuse for tardiness unless prior arrangements, with written documentation, are made and approved by a director. If a student is tardy or absent for the following reasons, the tardy or absence may be considered excused, if the student notifies the choir directors in writing prior to (or immediately following in the case of an emergency) the required choir activity. Criteria the choir director uses in determining an excused absence/tardy are as follows: Is the tardy/absence a result of severe student illness (fever, vomiting)? Is the tardy/absence a result of an unforeseen immediate family emergency (death in the family, sudden hospitalization, accidents)? Other school activity (sports, tutoring, club, meeting) must be cleared with the choir director in advance. Religious activity must be cleared with the choir director in advance. Other circumstances as determined by the choir director in advance Unexcused Tardies and Absences: Unexcused tardies or absences are determined by the choir director and include but are not limited to: Lack of a ride (ask a choir friend or ask your Director in advance if you need help) or ride is late Non-school related activities Homework/group project that could have been done prior to or after the rehearsal Job Trips Family planned activity Other circumstances as determined by the choir director When a student is involved in more than one activity that occurs outside of school time, conflicts may occur. Students must check event calendars for all of their scheduled VHS activities for conflicts as soon as dates are available. The student must notify all affected parties (choir director, parents, coaches, employers, sponsors) when there is a conflict so that there is time to determine how to handle the conflict (compromise, miss one or the other activity, work out a ride, etc.). Completed Absence Notification Forms must be turned in to the choir director one week prior to the scheduled event. Early communication with your director is the easiest way to prevent consequences for scheduling conflicts.

Performance Expectations
All concerts are a group effort, thus, attendance is required. All concerts are an extension of the classroom and will be graded accordingly. Students should be punctual and prepared for each performance/concert. The appropriate dress for all concerts will be communicated prior to the event. Students are expected to stay the entire concert. All rehearsals are closed. No visitors or friends are permitted to be in the audience. This includes the pre-concert dress rehearsals. Wear the correct uniform/costume that is required for the performance.

No personal belongings are allowed in the performance venue. All personal items should be stored in the choir room, including cell phones and electronic devices. No cell phones, pagers or music listening devices are permitted on your person during the concert. Sit/stand in your assigned place. Do not leave your seat for any reason. Use the restroom and drinking fountain before concerts begin or at intermission. No food, drink, or gum is allowed in the performance area, including the stage, backstage, and seating area. Do not talk during a performance or on stage. Watch the Director at all times. Do not draw attention to yourself. Move between the stage and seating areas in quiet, single file lines based on riser position and row. Pay attention and follow the person in front of you. Do not get out of line.

Concert Etiquette
During serious music, applaud only after the conductor has lowered his or her arms. During pop or jazz music you may applaud for a soloist during the song. In songs that have multiple movements, applaud only after the final movement. This will be noted in the concert program. The conductor will lower his or her arms when the final movement is over. No talking on stage or in the audience. It is disrespectful to the performers on stage and audience members who wish to hear the performance, and does not show support for the Viper Choir program. Support your fellow choir members with appropriate applause. Yelling, whistling, shouting names, etc. are not acceptable. This is not a sporting event. The audience should never cause attention to be shifted from the performers on stage. Set a good example for the audience and other students

Concert Solo & Ensemble Auditions


Throughout the year students will have the opportunity to audition for solos and ensembles. The audition procedures are as follows: Students will be given a minimum of one weeks notice for the specified audition time. Students with conflicts must make arrangements prior to the posted audition date. Late auditions will not be permitted. Once auditions have concluded, no further auditioning will be allowed, regardless of reason. Music should be rehearsed, memorized, and blocked/choreographed prior to the audition. Perform in the most appropriate style for the song/show. Solo and ensemble acts are selected based on the best audition at that moment in time, as determined by the choir directors and/or judges, not on grade level, choir class, or future performing potential. Students selected through audition may require additional rehearsal for voice or dance, and may require special costumes. Note: Sometimes students will be assigned special dancing or singing parts, because of their class period, level of performance preparation, special skills they may have, etc. These parts will not be auditioned but will be selected by the directors, choreographers, or others involved with the preparation of the show.

University Interscholastic League (UIL) Contests


The University Interscholastic League (UIL) Performance & Sight-Reading Contest is a required contest for all eligible students in the Viper Choir. The choir director determines who will and will not perform with the choir at UIL for reasons other than eligibility.

Sectional and other rehearsals before or after school may be required. Any student who misses required UIL rehearsals will not be allowed to participate in the contest, at the directors discretion. Any student who does not participate in this contest due to eligibility or lack of participation will remain in the same choir or be moved to a lower choir the following year.

Texas Essential Knowledge and Skills (TEKS) and the Vandegrift Choir Curriculum
Parents and students can refer to the following link to read the entire state curriculum for high school choral music. http://www.tea.state.tx.us/rules/tac/chapter117/index.html. The Viper Choir Curriculum is based on the TEKS.

Grading
LISD choir programs have instructional objectives that relate to the mandated Texas Essential Knowledge and Skills (TEKS). These can be found at: http://www.tea.state.tx.us/rules/tac/chapter117/index.html . These objectives are aligned to address the academic skills needed for successful performance in the next grade or next course in a sequence of courses. Assignments, tests, projects, classroom activities, and other instructional activities are designed so that the students performance indicates the level of mastery of the instructional objectives. The students mastery level of these objectives is a major factor in determining the grade for a subject or course. Students will be expected to meet the responsibilities for each choir class as determined by the director. Since choir is an academic music class with some extra-curricular activities attached, the choir students grade will reflect achievement in both curricular and extra-curricular areas. The following list is provided to give students and parents examples of items that can be subject to grading. Additional assignments may be given at the discretion of the director. The student will receive a grade for each mandatory before or after school sectional and rehearsal during a grading period. These are very infrequent and students will have a minimum of one weeks notice. All classroom expectations. The student will be evaluated on improvement of ensemble skills during daily rehearsals. The student will be evaluated on the improvement of his/her performance fundamentals. The student will be evaluated for improvement of his/her music fundamentals through daily observation during the basics part of each rehearsal and during sectionals. The student will be expected to demonstrate correct posture, air production, and articulation as monitored during rehearsals. The student will receive a grade for each performance during a grading period. Specific Grading Policies for Viper Choir Rehearsal/Sectional Expectations 25% Students must be in their assigned seats with their binders (music, pencils, high lighters) before the tardy bell rings. Students may use the restroom and water fountain, only with the permission of the director. Students are encouraged to bring water bottles to choir. Students must have permission and sign out to leave the room. No food or gum is allowed in the choir room during rehearsal.

Rehearsal/Sectional Participation 25% Students should mark their music in pencil with solfege, dynamics, and rehearsal tools as instructed. Students should sing to the best of their ability; with proper singing posture, breath support, tone, vowels, diction, and intonation; with a relaxed, resonant, and supported tone and incorporate these skills into the vocal repertoire. Students should work for improved balance, blend, musicianship, pitch and rhythmic accuracy. Warm-ups/Sight-Reading 50% Students should sing to the best of their ability; with proper singing posture, breath support, tone, vowels, diction, and intonation with a relaxed, resonant, and supported tone. Students should sight-read to the best of their ability; with accurate solfege names and hand signs that pulse the beat and move according to pitch. **Students with unexcused absences for graded choir activities will be given one week to make an appointment with their director. During this appointment students will be expected to perform their music for a make-up grade. This policy does not apply to the concerts that count as the semester exam. Final Exams Mandatory performances scheduled for the end of each semester serve as the students semester exam grade and cannot be exempted.

Eligibility
All LISD Choirs adhere to the eligibility rules and regulations as stated by TEA and LISD. Some choir activities are designated as extra-curricular. Students participating in these activities are governed by eligibility requirements. A student shall be suspended from participation in all extra-curricular activities sponsored or sanctioned by the school district during the six week period following a grade reporting period in which the student received a grade lower than seventy in any class. Loss of eligibility does not take effect until seven days after the end of the reporting period. Ineligible students are not suspended from practice or rehearsal of extra-curricular activities. The student is not suspended from participation during the period in which school is recessed for the summer or any other vacation time. Students may regain eligibility under certain circumstances. If a student has been suspended as a result of failing, he/she may regain eligibility by passing ALL courses in the third week of the affected grading period. Reinstatement of eligibility would occur seven days after the three week progress report period (see TEA/UIL Side by Side). Activities that are considered curricular components of any course are not affected by the eligibility law. Examples of these activities are all rehearsals and performances that take place as a regular extension of classroom instruction. Any performance that is competitive in nature or for which admission is charged is deemed extra-curricular.

Uniforms
Students are expected to follow all uniform guidelines. No variations will be allowed. Formal Uniforms: The Viper Choir will provide a formal uniform and dress shoes for all choir participants. Students will be charged for improper care and miss-use of their uniforms. Repair and/or replacement costs are the responsibility of the student. Uniforms should be treated with pride. Formal uniforms remain the property of the Viper Choir.

When uniforms are worn, hair must be pulled up in a bun and jewelry is not allowed. This includes necklaces, watches, and bracelets. Earrings and rings must be small, inconspicuous and kept to a minimum. Students should not have any part of their appearance draw attention from the ensemble, including unnatural hair color or excessive, unnatural makeup. Informal Uniforms: The informal choir uniform consists of a choir t-shirt and blue jeans. Jeans should follow the school dress code and should not have holes, tears, excessive fraying or sequins. Capri pants or shorts are not allowed. Students should not have any part of their appearance draw attention from the ensemble, including unnatural hair color or excessive, unnatural makeup. Choir shirts are required for all choir students and are included in the choir fees. Replacement or additional shirts are available for purchase from the choir department for $15.00. Informal choir uniforms must be worn on all performance days, and to all informal performances. No other shirt will be permitted. Failure to do so will negatively affect a students grade. Students who ask to borrow a choir shirt for a performance will be assessed a $15.00 deposit (which is returned when the tshirt is returned to the choir) and a $1.00 rental fee. This fee will go into the choir fund.

Religious Music
The policy of Leander ISD regarding the singing of religious music is as follows: District music groups may perform or receive instruction regarding religious music as part of the secular program of instruction. The primary purpose of the inclusion of religious music in performances or instruction shall be academic, not devotional. Performances and instruction shall reflect religious diversity when appropriate.

All-State Auditions (Texas Music Educators Association TMEA)


(Texas Music Educators Association TMEA) - The All-State Choirs are choirs made up of the best students from all over the state of Texas. The process to get into the All-State Choir is a series of 4 auditions. Each audition narrows the field down until only a few students remain. Approximately 20,000 students begin the process across the state and only 500 actually make one of 3 choirs (Mixed, Treble, or Men). The first audition is District auditions, followed by Region, Pre-Area, and Area auditions. The students in our Region (Region 26) come from school districts such as: Leander, Georgetown, Round Rock, Taylor, Lake Travis, Burnet, Marble Falls, Elgin, and others. Students who are interested in participating in the All-State process will be required to sign a contract outlining additional requirements and expectations. Participation in the All-State process is voluntary.

Private Voice Lessons


This is a district wide program that provides a high quality enhancement to classroom instruction. Teachers are all specialists. Most of our teachers are professional musicians in the Austin area and have advanced degrees in the music. Lessons are extremely valuable to the individual student and are highly encouraged. The VHS Choir screens its voice teachers and allows only quality, experienced voice instructors to teach voice lessons on its campus. All students are encouraged to take individualized private instruction. Teachers are screened and interviewed by the district. Lessons will be given weekly, preferably during the choir classes. If there is a need for before/after school lessons, every effort will be made to schedule private lessons at times that do not conflict with sectionals or other activities. Voice lesson information will be given with the Choir Registration Packet and can be found at www.vhschoir.org

Openings are limited. Students will be assigned on a first-come, first-served basis depending upon when the voice lesson enrollment form is received. If all voice lesson slots are filled, students will be placed on a waiting list until there is an opening or until additional qualified voice instructors can be hired. Preference will be given to those students who have taken voice lessons in previous years or over the summer with a VHS Voice Instructor and who wish to continue with their current teacher. Voice students are required to participate in UIL Solo/Ensemble contest in February/March, the Pre-UIL recital, and one recital each semester. Cost for voice lessons is determined by the Fine Arts Office and can be found in the Voice Lesson Information Packet. Students at VHS receive one, 30 minute lesson per week during their Choir class or another pre-arranged time. Grants are available for those students with financial need and an interest in private instruction. Applications for grants are available from the choir director. Missed lessons will be charged to the student unless the teacher is notified 24 hours in advance. Voice Instructor contact information can be found on the VHS Choir website at www.vhschoir.org. Lessons may only be terminated in writing by notifying both the teacher and the Choir Director. This should only be done at the end of the semester.

Letter Jackets
Students in the Viper Choir earn points for participation in special events and for excellent contribution to the program. Points are awarded in the following manner: 50 points = letter jacket Points are tracked by the head choir director and can be viewed via Charms. Students will be given an opportunity each semester to review their letter jacket points and check for errors. The following table lists all opportunities for earning points.

*Note - Students must have all outstanding choir fees paid in full in order to be eligible to order a letter jacket. Students must first take care of their financial obligations to choir before purchasing their jacket. A student may be deemed ineligible by the Choir Director to earn a letter regardless of the accumulation of points if rules of the Viper Choir, Vandegrift High School and/or LISD are ignored or violated. Students will be fitted for their letter jackets at the next available fitting date after they have achieved 50 points. Fitting dates are scheduled throughout the year. The Viper Choir Boosters will provide the letter once the student reaches 50 points. Students are responsible for the purchase of their jacket after all choir criteria has been met. The school does not pay for jackets and pins. Extra patches and additional or specialized lettering may be ordered and paid for by the student at the time of fitting. Registration
Students have seven days after they join the Viper Choir to turn in all required forms. The following forms are required of all students in the Viper Choir: Choir directory Information Form (or online completion via Charms) Choir Permission Slip/Medical Release and copy of students insurance card Choir Handbook Contract Choir Fee Payment or Payment Schedule communicated with the choir director Voice Lesson Application Form and Deposit (only for students who wish to take private voice lessons through the school)

Calendar
A yearly choir calendar may be found on the choir website at www.vhschoir.org. Students will also be given a hard copy of the calendar when they enter the program each school year. Please check the calendar often when making plans since the choir calendar is updated regularly. Some activities on the calendar are required; others are optional, based on each students participation in the various activities offered and the choir class they are enrolled in. A calendar of up-coming events is posted in the choir room and reviewed with the students. Students are also encouraged to keep an up-to-date planner.

Charms Online Calendar & Student Information Access


Charms is a secure way to document student financial information, uniforms, track letter jacket points and communicate with parents through email and an online calendar. Parents and students of the Viper choir are asked to keep their contact information on Charms current. Each student, through their Charms account, has a ledger where financial transactions are entered. Choir fees, folder fees, t-shirt rentals, trip costs, etc. and payments toward those items are all tracked in each students individual ledger. Parents can access their students ledger by going to www.charmsoffice.com , click on Enter-Student/Parent and then enter your students ID #. Click on the Finances button or tab. You can check balances through this ledger at any time.

Travel
The choir will frequently travel on either school buses or commercial buses. Student conduct is expected to be at the highest level on any trip. In the event a performance causes a student to miss another class, the student is responsible to make up all missed work. Students must travel to events and return from events on the bus. Any student wishing to arrive or leave with his/her parent must notify a director in writing with parent signature, prior to the event. Permission will be granted or denied based on the circumstances of the occasion. Students must have all necessary forms (Medical/Travel Release) completed and on file with the Choir office to travel on any trip with the choir. Special Note - Students are reminded that all performances start and conclude in the choir room. As a member of the choir, you are a representative of your school. Always be on your best behavior. If you are in doubt about an action, do not do it! Your conduct at all times should be considered a good reflection on the school, the choir, your home, yourself, and the community. Chaperones - Adult chaperones are a great asset for the choir program. Students will treat them as an extension of the choir staff. Proper respect will be shown to all adults at all times. Chaperones are expected to follow all district and department guidelines. In addition to those policies set forth by LISD and VHS, VHS Choir members will adhere to the following policies: Be on time. You are responsible for your own possessions. Everyone travels with the group and returns with the group. Special permission to travel in some other manner may be granted if the VHS Choir Personal Transportation Request form is presented to the Director at least 24 hours prior to the trip.

Students will not be released to anyone unless a permission note, signed by the parent, has been turned in and the student has checked out with the director or designated chaperone. No changes may be made at any time during a trip without receiving notice of the change in writing. Students may not ride with other students. Students may not ride with other students parents unless they bring written permission in advance from their parent/guardian. Ride the same bus for the entire trip. Follow the instructions of the choir director, staff, bus drivers, and parent chaperones at all times. They are your legal guardians in the absence of your parents. For the safety and security of all of our students, the director and chaperones reserve the right to check all luggage prior to departing and during any choir trip. DRUG, ALCOHOL, AND TOBACCO POLICY: The use of these items will not be tolerated during any choir activity at home or away from school. School and local authorities will deal with any student found with these items with the same penalties as if the offense occurred during the school day on campus. In addition, the students will be sent home immediately at the parents expense. Students in violation of the policy will face the penalties set forth by the school and community where the violation occurred, including removal from the VHS Choir program. Students must follow all VHS Choir and LISD School rules as well as legal, ethical, and moral requests from Directors or chaperones while on the trip. Bus travel is to be quiet. If students are to be competing on the same day as traveling, they must remain silent on the bus in order to protect the vocal cords from irritation. Trip Pick Up - Parents must be prompt when picking up their children from choir trips. Students are encouraged to bring cell phones on choir trips to call parents regarding our arrival time on our way home. We make every effort to return as close to the projected arrival time as possible. The choir directors time with their families is valuable; please do not abuse their kindness by having your parents arrive late.

Bus Conduct The choir will frequently travel on either school buses or commercial buses. Student conduct is expected to be at the highest level on any trip. While on the bus students will: Remain seated at all times. Sit properly in a forward position. Keep the bus clear of food, drinks, and debris (At times it may be necessary to eat on the bus. Every effort should be made to keep your area clean.). Keep all body parts inside the bus. Headsets can only be used with permission from the director. Remain silent when addressed by the person in charge on the bus. Refrain from loud, boisterous talking, singing, screaming, whistling, inappropriate jokes, music players with speakers, etc. No public displays of affection. Attendance Policy for Trips All choir trips are optional unless otherwise specified. Only VHS Choir members and their parent chaperones are allowed to participate in VHS Choir trips. The following additional criteria may apply to choir students attending any choir trip:

No unexcused choir concert absences during the school year. No more than one unexcused choir rehearsal/sectional absence during the school year. No LEO assignments at any time during the school year. No ISS assignments at any time during the semester in which the trip occurs. No office referrals from a choir director.

Trip Reservation and Payment Guidelines Students and parents interested in participating in the choir trip will sign a travel contract and pay the trip deposit, along with scheduled payments. The tour company controls trip refunds. The refund policy will be set out in the travel contract given to each family when signing up for the trip. Students will forfeit all or part of the money they paid to attend the trip if they cancel for any reason after the refund deadlines unless another student is found to pay for their place. Trip availability may be limited. Students who exceed the number allowed on the trip (based on transportation availability) will be placed on a waiting list. Trip payments will be posted in students choir accounts online through Charms. Trip payments must be made on time so that we may pay the tour company. Failure to make a trip payment on time will cause a student to be placed on the waiting list or dropped from the trip. Parents are invited to attend trips. Cost for parents is the same as for students. Chaperone spots are limited. Trip Pick-Up Times District policy does not allow the choir director to leave students unattended on the VHS campus after school hours. Therefore an officer from the Leander Police Department will escort any students who remain on campus (after 15 minutes past the stated pick up time) to the Leander police department. Students will be taken to the Leander Police Station and parents can pick up their children from that location (200 W. Willis St., Leander, TX). This is district policy to ensure student safety. After Hours Drop-Off and Pick-Up Location - The parent pickup/drop off location in the front of the school should be used as the drop off and pickup location for choir activities that occur outside of the regular school day. For safety reasons students should not use the bus lanes or any area behind the fine arts building.

Student Drivers
LISD Board Policy requires that a student who participates in a school-sponsored trip shall be required to use transportation provided by the school to and from the event, unless one of the following exceptions is met: 1. The students parent makes a written request that the student be released to the parent or to another adult designated by the parent; 2. The student is traveling to or from an individual competition/performance; or 3. The student is traveling to or from activities within the boundaries of the District. The District shall not be liable for any injuries that occur to a student using transportation that is not pro-vided by the school. Students are allowed to drive themselves to activities under certain circumstances as determined by the directors. For example, when an activity is within LISD, often times there will not be a bus going to the event, especially when it is after hours or when it is a small group of students. Another example would be when the activity lasts a long time but the student

knows their performance time in advance and only needs to be there a short portion of the entire time (like UIL Solo & Ensemble contest). Students are NOT allowed to drive themselves to group auditions and activities when there is a bus going to the activity both directions, or even one direction, unless they have a circumstance deemed reasonable by the Directors. In this instance a Personal Transportation Request should be completed and turned in one week prior to the event. Under NO circumstances will another student be allowed to ride with this student when there is adequate transportation provided unless written consent is received from the parents of both students.

Adult Students (Students Who Are 18)


Students who have reached the age of 18 must still have parent signatures for choir papers unless they have a letter from their parent on file in the Assistant Principals office giving them permission to sign their own papers. A copy of that letter must also be provided to the choir department to be kept on file. The choir directors reserve the right to ask for parent signatures of 18-year-old students at any time.

Students with Jobs


If a student has a job and is in choir, please keep in mind: Having to work is not considered an excused absence from any required, graded choir activity and will result in a grade of 0. Students must notify employers well in advance (as required by your employer) of all required choir activities. Students may print a copy of the choir calendar or may request a letter from the choir directors to give to their employer regarding required choir activities that may interfere with work.

Student Leadership
The high school choir programs in Leander ISD provide many opportunities for students to develop their leadership skills with a variety of offerings. In this manner, students can not only serve their choir program but also refine skills that they will be able to use in other school organizations, as well as in their future careers. Selection criteria is at the discretion of the directors and is communicated to the students. The directors evaluate all selected leadership candidates based on their adherence to the policies stated in this manual. Student leaders are held to higher standards of performance and behavior than a general choir student. They are expected to be positive role models for all choir members at all times. Student leaders (the Choir Council) work together and with the director to promote teamwork, maintain a positive choir environment for all students, and encourage participation in the Viper Choir. Students are selected by application. From the applications, the choir director will select students based on character, commitment, attitude and leadership potential. Members of the Choir Council are responsible for assisting the director with all choir activities. Choir Council members are required to attend a monthly meeting on the first Tuesday of each month immediately after school. Following the Council meeting members will be expected to stay for the Booster meeting. Students will be excused at 6:30 pm. Students will be removed from the Choir Council for non-compliance with any policies in the Choir handbook.

Texas Future Music Educators


LISD has a chapter of the Texas Future Music Educators (TFME) which is a student organization formed by TMEA (Texas Music Educators Association). This organization is for students interested in music as a profession after they graduate from Rouse High School. Yearly dues are $15.00 and there is a requirement to attend 4 meetings per year. In addition, there are opportunities to attend music events, perform community service for their on-campus music organizations, learn from

music educators currently in the field, and attend a portion of the TMEA convention in February (including college night). See the choir director for details.

Booster Club & Parent Volunteers


The Vandegrift HS Choir Boosters exist to assist the choir directors in reaching the choir program goals. Support activities provided by the boosters include assisting in fund-raising activities, providing chaperones for trips and social events, financing of social events, providing parents to assist in various aspects of the choral program, and numerous other activities. There is a place for every parent in this organization. Your service is not only encouraged, but also needed. All choir parents are members if they have a child in the VHS Choir. All parents are invited to attend Booster Club meetings, as noted on the choir calendar. You may email the Booster Officers for more information. Parent Volunteers Anyone interested in volunteering with the Viper Choir in a capacity where they will be around students will be required to complete the online application and criminal record check (per LISD policy). To get started just go to www.vhschoir.org, click on the Volunteers link and you will be taken directly to the LISD registration site. Volunteers will need to register before they can fill out the application. Once the volunteer has been cleared the volunteer coordinators for Vandegrift High School will be notified as well as the Viper choir directors. Parents who volunteer must complete this process every year.

Awards
The Viper Spirit Award is awarded to students who consistently demonstrate the following attributes: V ersatility I ntelligence P ersistence E xcellence R espect Students who earn this award will be considered through 50% recommendation from their peers and 50% teacher recommendation. The following criteria will also be considered in determining the eligibility for awards: Choir grade average of 97-100% for each grading period. Consistently demonstrated exceptional leadership qualities throughout the entire year. Have never have received an office referral, ISS, or LEO for the current school year. Always ready to rehearse; participates fully in choir class to the best of his/her ability. Attended all required performances, sectionals and rehearsals. Eligible for and participated in UIL Concert & Sight-Reading contest. Eligible every 6 weeks of the school year in all classes. Additional awards may be given at the discretion of the choir director and choir council.
