Purpose of Orientation
The purpose of this orientation package is to provide new employees with basic
information about the terms and conditions of their employment, to acquaint them with
their benefits package, and to enroll them in the benefit programs to which they are
entitled.
2
Management’s Role
When employees enter a new work situation, they may experience a type of cultural shock
because each organization has a different culture. Orientation is more than having a new
employee read a manual and sign appropriate employment papers. It must be a continuing
process. To be successful, orientation must be a joint effort between the supervisor and the
human resources office.
New Employee’s Role
Before the new employee reports on the first day, send him or her a handbook that
provides an overall picture of the organization. This handbook contains New Employee
Checklist that serves as a road map for your orientation discussions with your supervisor
and other key employees within your organization.
Orientation to Conditions of Employment:
The new employee will be given a general description of the terms and conditions of his or
her employment, including the following:
Supervision - Nothing says we value our employees better than a personal welcome from
the supervisor himself on the employee's first day. Not only does it give the new person a
better feel about the corporate culture, it makes them feel better about their new job.
Teamwork - Teamwork is the key to our growth and success at ABC. Without the
cooperation of a team, the work environment becomes disorganized and chaotic; leading to
poor morale, low sales volume, and dissatisfied guests. Therefore, it is your responsibility
to offer your co-workers a hand when they need it. An attitude of “its not-my-job” is
guaranteed to break the team’s spirit and lower morale. Having a true concern for each and
every guest and team member will ensure everyone wins.
Working Conditions - Most new people are eager to see their workspace. Take the time to
make sure it's clean and inviting. Have all the tools they need to do their job - desk, chair,
computer, telephone, business cards, stationery, office supplies, nameplate and badge,
uniforms, safety equipment.
Work Hours - The standard workweek is forty (40) hours, five (5) consecutive days, with
eight work hours per day and a one-hour meal period. The actual 5-day period and the
starting time in the morning may vary as determined by each department manager.
I.D Card - Your human resources office will issue you an identification card (I.D.). You
should keep this card for any occasion that would require your identification as an ABC
employee. In addition, you may be required to wear a pass when at work.
3
Punctuality - In order to successfully run our operations and meet our obligations to our
guests, it is vital that you report to work on time and as scheduled. Always follow our
company’s clock in procedures. Do not clock in earlier than scheduled unless requested by
your manager. You are expected to work your entire scheduled shift and must not depart
early without management approval.
Absenteeism - If you are late for work or absent because of illness or for an unforeseen
circumstance, you must personally notify your appropriate manager. It is important that
you give your supervisor maximum advance notice so that replacement arrangements or
work assignments can be made.
Disciplinary Action - ABC has established written guidelines to help achieve our goals and
maintain a safe, orderly environment. We will treat everyone professionally and fairly
while enforcing our established guidelines at all times. Any team member who engages in
an activity harmful to the best interests of ABC’s, guests, visitors, or other personnel will be
appropriately disciplined. Depending on the degree or the nature of the offense,
disciplinary action can include a verbal or written notice, suspension or immediate
discharge (in serious cases).
Training - ABC believes in your growth and development, therefore, we offer continuous
training and development to help you succeed in your new role. Your manager will inform
you of upcoming training seminars/workshops, meetings, surveys, and focus groups that
relate to your job position.
Probationary Period - Every person appointed in ABC must successfully complete an
initial probationary period of at least six months before obtaining career status in that
position. During your probationary period, your supervisor will help you become familiar
with your duties and responsibilities. Your attitude towards your work, your efficiency, and
the quality of your work and willingness to accept responsibility will be observed.
Promotions/Transfers - Positive self-development and participation in training
opportunities can aid in making you a more attractive candidate for promotion.
Suggestion System - You may obtain your suggestion form from HR department. Cash
awards and other bonuses are given to employees whose adopted suggestions result in
substantial savings or improvements in ABC’s operations.
Personnel Records – ABC’s personnel office regards all personnel records as confidential.
An employee may review his or her personal history folder by submitting a written request
to the personnel office.
4
Orientation to Union Management Issues:
Grievance Procedures - ABC recognizes that legitimate differences of opinion may exist
and encourages attempts to settle differences informally at the supervisory level. However,
employees may use the grievance procedure to appeal to certain types of job actions that
they feel has adversely affected their employment or working conditions.
Safety of Equipment - You have an obligation and responsibility to care for equipment you
use on your job. Care and maintenance of equipment affects the public's impression of your
company.
Resignation - When an employee finds it necessary to resign a position, written notice
should be given to the supervisor and the personnel office at least two weeks prior to the
last day of work. Failure to do so may result in withholding of money otherwise due you.
Copy of the Union Contract - Employees are required to keep a copy of their contract with
ABC with themselves as well as with supervisors.
Orientation to Safety Package:
First aid station - ABC supervisors will inform new employees where first aid kits are
located and explain what actions employees should take if they or others are injured.
Emergency Procedures - If you have an accident while on the job, you should:
Seek immediate first aid or emergency care. See that your supervisor or shift
supervisor is notified of your accident/assault and your condition.
All on the job injuries should be reported as soon as possible to your supervisor who
is responsible for initiating the proper reports.
Use of Alcohol and Drugs on the job - To ensure a safe, productive work environment,
ABC prohibits the use and/or possession, sale, purchase, manufacture, distribution or
allowance of intoxicants, including alcohol and drugs.
Orientation to Salary Package:
Pay Periods - Paydays occur twice monthly and fall on or about the middle and last day of
the month. You receive your pay by direct deposit to your account.
Overtime Pay - Additional compensation may be paid to certain ABC employees who work
in excess of regularly scheduled hours. Approval to work overtime is at the direction of the
appropriate manager.
Deductions - The deductions from your pay are either mandatory or voluntary. Mandatory
deductions include federal income tax (withholding) and social security contributions.
5
Voluntary deductions requiring your authorization include your health, dental, accident
and life insurance premiums, deferred compensations etc.
Longevity - Longevity is a lump sum payment to reward employees for services to ABC and
to encourage employees to remain employed by the company. Employees will be eligible
for longevity at the completion of 36 months of creditable ABC employment.
Orientation to Benefits Package:
Insurance - ABC offers eligible employees a basic package of group health, term life, and
accident insurance. Optional dental, term and universal life and accident coverage are also
available. Employees pay only 20% of their insurance premium for the basic package; ABC
contributes the remaining 80%.
Leave - You must receive management approval to take time off for personal or business
matters. Authorized vacations or prolonged illnesses are exceptions and must be relayed to
management. It is important that your manager always be informed of your working status.
Annual Leave: All ABC’s full time employees earn 30 days of annual leave yearly.
Family Leave: Any employee who is employed in ABC for at least 12 consecutive
months as a full-time employee may be absent from employment for a period not to
exceed four (4) months for pregnancy and birth of a child. The four (4) month
period shall include leave required before and after the birth of a child.
Administrative Leave: An appointing authority, with the approval of Human
Resource Department, may place an employee on leave with pay any time it is
considered necessary for the welfare of the employee.
Orientation to Physical Facilities:
Map and Tour of Facilities - Your supervisor will help you take a tour around the building
so that you know where everything is, including meeting rooms, the cafeteria and even the
restrooms. This will also provide good opportunities to share more insights about the
corporate culture and to show how you fit into each department's function.
Parking - Parking availability varies by work site. You will have to contact your personnel
office for information on parking arrangements and public transportation alternatives.
Thus, the Department of Human Resources developed the New Employee Orientation
package to serve as a guide during the employee’s orientation period. The information in
this package serves as an effective reference manual throughout the employee’s career
with the ABC Company. We, at ABC, look forward to develop a relationship that is
successful and mutually beneficial--one that achieves a balance between our growth and
your professional development.
