Quick answers as to how to use the front desk phone
TO MAKE A CALL
To call a room: Dial the three digit room number
(NOTE: In addition to the fifty rooms in the hotel, you may also dial
303 to call the Lobby phone or 304 to call the First Floor Laundry
Room. The system also has extensions 300, 301 and 302 (which are not
currently in use) and 100 (which has a special purpose)
To call an outside line: Press the 9 button, wait for the dial
tone, and then dial the number
TO TAKE AN INCOMING CALL
Look and see which of the four lines on the console (kagelled
CALL # with number 1-4) has a flashing green light. Press that
button ONCE and answer the call. The flashing linght will turn to
a steady green showing that the call is active.
TO PLACE AN ACTIVE CALL ON HOLD
Press the CALL # button that has the steady green light ONCE. The
light goes from steady to flashing, showing that the line is now
on hold.
TO TAKE A CALL OFF HOLD
Press the CALL # button ONCE. The flashing light should become
steady, meaning the call is active again.
TO DISCONNECT A CALL
Press the button marked D at the far right side of the console
TO TRANSFER AN INCOMING CALL TO A ROOM
With the call ACTIVE (not on hold) type in the room number and
press the button marked C at the far right of the console. DO NOT
WAIT FOR THE CALLER TO ANSWER. Press the C button a second or so
after you hear tne ring signal.
NOTE: If you do this and get a busy signal, you can still press the C
to transfer the call, it will go to the room's Voice Mail. As a
courtesy, you may wish to press the D button instead to cancel the
transfer; the incoming call will then be on Hold. You might then take
the call off hold, tell the caller that the line is busy but they can
still be connected and the call will go to Voice Mail. The caller can
then decide if they want to leave a message or just call back later.
TO TRANSFER A CALL TO AN OUTSIDE LINE
With the call ACTIVE (not on hold) type the number 9. When you
hear the dial tone, type in the desired phone number and then
press the C button.
You may transfer a call to a number in the Wichita area, or to a
1-800 number or the like (1-888, 1-877, etc). Our phone system
does not allow long distance calls, not even fron the front desk,
and you will not be able to transfer a call to any long distance
number.
WARNING: USE THIS OPTION SPARINGLY! Tranferring to an outside
line ties up TWO of the six available line for our phone system.
TO LEAVE A VOICE MAIL MESSAGE TO A ROOM
Dial the room number and then press 8. You will hear the recorded
message. After the beep, say the message you wish to leave and
then press D to end the message.
TO PROCESS A MESSAGE FOR A ROOM
Type the room number, then press 8, then type the room number
again. If there are no messages, you will hear "No mail". If
there are one or more messages on the phone, you will hear "New
mail..." or "Saved message..." followed by the date and time of
the message/ You may then press a 1 to hear the message or a 2 to
skip it. When the message is playing, you may press 1 to start it
over, 2 to skip it or 3 to delete it.
When you skip or delete one message the system will automatically
go to the next message if there is one, or tell you "No mail" if
there are no more.
NOTE: You can tell from the red lights on the console which rooms have
voice mail messages: these rooms will have a flashing red light.
"Reading" the switchboard can be tricky, though, since the hotel does
not have a room 113 or 251, and also because rooms 125 and 224 are out
of sequence.
TO CHECK MESSAGES ON THE FRONT DESK ("MASTER") LINE
The extension 100 is the extension to the Front Desk Voice Mail.
If a caller calls the front desk and there is no answer after 7
or 8 rings, the system will send it to Voice Mail at extension
100.
To access the front desk Voice Mail, type 100, then 8, then 100
again. As with any other room number, the system will report "No
mail" if there are no messages or tell you if there are messages
to play. You may then decide to listen or to skip as described in
the previous section.
TO TRANSFER A CALLER TO THE FRONT DESK VOICE MAIL
With the call ACTIVE, type 1008 and then press the C key at the
far right of the console.
