The word communication has been derived from the
Latin word 'communis' communication that means common. besides
However,
incorporates,
commonality, the concepts of transfer, meaning and information.
The communication can be defined as the process
through which two or more persons come to exchange ideas and understanding among them.
"Communication is something so simple and difficult that we can never put it in simple words," says T.S. Mathews.
But we do need a definition to understand the term. In
his book Communication in Business, Peter Little
defines communication as follows: Communication is the process by which information is transmitted
between individuals and / or organizations so that an
understanding response results.

Completeness:
Message is complete when it contains all the facts that the receiver needs for the action he desired. Answer all the questions asked. Check for five Ws - who, why, what, when and where.
Conciseness:
Contributes to emphasis. Eliminate unnecessary words.
Clarity: Choose short, familiar, conversational words. Include examples, illustrations and other visuals.
Courtesy: Helps to strengthen business friendship. Be sincere, tactful, thoughtful and appreciative. Wish or apologize as per the occasion.
Correctness: Use the right level of language (more than proper grammar). Include only accurate figures, facts and words.
Consideration:
Prepare every message with recipient in mind. Show reader benefits. Focus on you instead of I.
Concreteness:
Being specific, definite and vivid. Put action in your words.
