Communication is a process
through which two or more people
exchange information, ideas,
thoughts, emotions in such a way
that each gain a common
understanding of the intended
message.

• Communication is the activity of conveying meaninful infor


mation.It requires a sender,amessage,and an receipient.
• In Communication system 35% message is carried ve
rbally and rest of the 65% non verbally.
• Communication is a dyadic concept.
What is Business Communication?

• Business communication is the process of sharing inform


ation between people within and outside a company.
• Effective business communication is how employees and
management interact to reach organizational goals. Its pu
rpose is to improve organizational practices and reduce er
rors.
• Effective communication affects processes, efficiency, an
d every layer of a company.
Importance of Business Communication

• Presenting options/new business ideas


• Making plans and proposals (business writing)
• Executing decisions
• Reaching agreements
• Sending and fulfilling orders
• Successful selling
• Effective meetings
Types of Business Communication

• There are Two Types of business communication

1) Internal Communication
AND,
2) External communication
At First, we have internal business communication.

• Internal business communication can be:


– Upward communication: any communication that come
s from a subordinate to a manager. Or from another per
son up the organizational hierarchy.
– Downward communication/Managerial communication:
anything that comes from a superior to a subordinate.
– Lateral communication/Technical communication: inter
nal or cross-departmental communication between cow
orkers.

on
• External business communication is any messaging that l
eaves your office and internal staff. It involves dealing wit
h customers, vendors, or anything that impacts your bran
d.
• There are Four types of External business Communicatio
n-
• Getting and receiving instructions and assignments both
upward and downward. This includes an effective delegati
on from one person to another. Most problems in busines
s begin with unclear communications in this area.
• Sharing and discussing information, including information
sharing that goes on in meetings. When communication fa
ils in this area, it causes tasks to be done improperly or n
ot at all.
• Giving feedback, correction, and discipline to people who
report to you so that they can have the knowledge and th
e tools that they need to do their jobs better. Giving great,
actionable feedback is a key skill for anyone in a leadersh
ip position. Non-verbal communication and body language
also play a role here.
• Problem-solving and decision-making meetings and discu
ssions. These are considered among the most important
discussions for any organization. This involves higher criti
cal thinking and better communication technology.
Methods Of Business Communication
• When business communication actually happens, it’s eith
er verbal or written.
– Furthermore, communication takes place either in person/face-t
o-face or remotely.
– Neither of these are better or worse for your company on their o
wn and entirely depends on the context.
• Written communication is great for keeping a paper trail of
decisions and actions made as well as for putting together
strategies and plans in place. Verbal interactions enable i
nstantaneous idea generation and a more open flow of th
oughts.
• Web-based communication
– This includes everyday communication channels like emails an
d instant messaging applications (such as Slack, Hangouts).
Telephone meetings
Phones removed the location barrier to running productiv
e, fast-moving meetings. It allows for better idea exchange t
hanks to the non-verbal communication (tone of voice) com
pared to written communication. Cloud phone systems can
accelerate onboarding and overall team collaboration.
• Video conferencing
– Great video conferencing systems enable people at remote loc
ations to run meetings that feel as close to in-person meetings
as possible. They take phone meetings one step up.
• Face-to-face meetings
– In-person meetings can help a business move forward with ide
as quickly. Research shows that in-person meetings generate
more ideas than virtual meetings
• Presentations
– Presentations supported by reports and PowerPoint slide decks
are often how meetings with larger groups are conducted.
• Audit your current state of business communication and s
et goals
– No matter the stage of your business, you need a business co
mmunication plan in place.
• Identify core groups in your organization and their relatio
nships with each other
– Look into the structure of your organization and all the groups i
nvolved in its ability to function.
• Define methods of communication
– Next, choose the methods of communication that align with you
