PROJECT ONE
XYZ wood complex company is located in Adama City. The
company produces various packed food items and distributes in
Ethiopian market. Assume you are one of the clerical workers of
the company who perform various clerical activities in one of the
company’s sales branches. Your work activities engage you to
interact with customers, coworkers and immediate supervisor. As a
clerical worker do the following tasks.

• Planning and organization makes efficient use of your time at the office by keeping you focused from beginning to
completion of a project.
• A comprehensive plan for work activities and projects ensures you tackle all necessary steps for success.
• Organizational tools allow you to track the planning progress for the activity. An organizational plan also facilitates
collaboration and information sharing with other team members who play a role in the completion of the activities.
• Tweaking your organizational method allows you to create the most effective planning system for your

office.

Set your goals A good way to organize your tasks and get things done is to set goals.
Work goals provide:
 a purpose for the work
 valuable feedback on your progress
 further incentive to achieve – it feels great to reach a goal

When developing goals and plans, an organisation also has to consider:


 the policies and procedures that exist in the workplace

 industry standards and codes of practice

 government legislation; for example, rules about work health and safety or

environmental issues
 quality and continuous improvement processes and standards
 Work out priorities
 Once you know the required time lines and the relative importance of your tasks, you
can set priorities. Your day-to-day workload will usually include a variety of tasks.
 Some tasks need to be completed straight away, such as arranging a courier or
answering a telephone call.
 Others, such as filing or data entry, are routine tasks that are done regularly, but may be
done at any stage during the day.
Outside factors that affect organizational priorities include:
• a change in the price of materials needed for manufacturing a product
• a decrease or increase in sales of a product
• a change in government regulations.
Types of resources
• Stationery: pens, highlighters, paper clips, staples, folders, paper, envelopes
• Office equipment: photocopier, fax machine, telephone, computer, printer,
scanner, shredder, storage system
• Printed material: brochures, flyers, publications, reports
• Manuals: policies and procedures, equipment use, work health and safety
• People: your supervisor, office manager, colleagues, IT specialist
• Facilities: meeting rooms, catering areas
• Planning tools: wall planning chart, planning software
• Presentation tools: meeting rooms, felt pens, overhead transparencies, butchers paper,
a whiteboard
Steps for planning and organizing work activities
1.Identify the scope and goals of the planning process related to each work activity.
 Determine what you need to accomplish for the success of the activity or project.
 Identify the employees who will play a role in the task if it is a team project.
2.Break down the major tasks for the activity into smaller steps that you need to take for
completion, essentially creating a to-do list for the project.
 If other employees are working on the tasks with you, assign each person a role and
specific responsibilities to divide the workload.
3. Establish the timeline for completing the work activity.
 Assign each individual task that goes into the activity a completion date to make sure
everything is completed in a timely manner.
 Give yourself enough time to complete all associated tasks before the deadline passes.
4. Write each due date for the project tasks on your calendar, or set up reminders that pop
up on your computer screen as the deadlines approach.
5. Identify potential problems or barriers you may face for the work activities.
Create an action plan to avoid those issues to keep the project on track.
6.Utilize an online project management program for major work activities that are
critical to the company's success.
These programs are particularly effective for complicated projects or activities that
involve many team members. The progress is tracked and all employees can stay
updated through the program
7.Schedule planning meetings
 when active participation and feedback is needed from others working on the
project.
 Keep the meetings focused and productive to use the time efficiently.
8.Send out regular updates and communication
 to all other employees who are working on the project.
 This allows all team members to stay informed and update their to-do lists and
timelines as necessary.

How to Create a Work Plan
 Organization is the key to success in any project.
 A work plan can help you to stay organized, meet deadlines and complete all the steps
involved in your project.
 It forces you to plan out every detail. You can create a work plan for your whole team or a
personal work plan for your own project.
 Ideally, you work plan should last about six to 12 months, though you can easily make
adjustments.

COMPONENTS OF AN OFFICE
Wherever an office is located, or whatever its size—whether it is a traditional office
or electronic remote-access office-all offices has four basic components:
People: who organize, communicate, solve problems and perform numerous other
functions.
Records/data: which are created, collected, calculated, analyzed, sorted, stored,
reproduced, retrieved, and used in a variety of other ways.
Equipment: such as computers, word processors, cash registers, photocopiers and
facsimile machines.
Other resources: such as management of time and money, office space and office
supplies.
The Major Roles and Responsibilities of an Office
An office performs three major roles, as follows:
Secondary Role
The office functions support the primary concern of the business, which may be either
the manufacture of goods or the provision of services, without which there would be no
need for an office.
Complementary Role
Although the role of the office is secondary, without its services the business could not
survive. The office complements the other activities of the business. For example:
Ordering supplies
Paying wages
The communication process required to provide goods and or services to customers.
Controlling Role
An office controls operations connected with budgets, stock, finance and human
resources management.
Managers must make plans that give purpose and direction to the organization as follows:
establish a goal or set of goals
define the present situation
identify the aids and barriers to the goals
Develop a plan or set of actions for reaching the goals.
The advantages of well-planned and organized procedures are:
 simplicity of operation of tasks
 the use of minimum supervision
 utilization of specialist staff and equipment
 avoidance of non-essential steps
 less duplication of work
 less need for checking work
 the allocation of work according to ability and essential experience
 the need for fewer rules
 reduction in paperwork
 better revision and updating

Working Effectively In The Workplace
 You can begin to work cooperatively by:
 Working as a team member
 Discussing and negotiating problems and tasks with other employees

Addressing visitors and clients
It is always better to be over formal, e.g. Mr. Surname, when you first deal with customers so
that you do not offend them by being too casual.
Dealing with management and senior staff
Follow your organization’s policies for correctly addressing senior staff. You may need to make
an appointment to speak with them as they are very busy people.
Communicating with colleagues
Always be pleasant and polite.
Discriminatory language
Always refrain from using discriminatory language.
Personal behavior
From time to time you may need to email someone or use the telephone to make personal
calls. Make sure you know your business’s policy for this. Be aware that your behavior
contributes to a safe environment.

Complete allocated tasks as required
 Usually tasks are allocated to people with the best skills. Some tasks might relate to:
 creating a product or delivery a service
 managing the finances
 leading the team
 keeping track of time taken to complete tasks
 using the computer to calculate budgets and produce a report
when working out who should do what tasks, including:
 fairness of workload: It is important for the harmony of a group that the workload is fairly
distributed.
 bias with roles: Some roles are perceived to be more important than others, for example,
being a group leader is sometimes considered more prestigious than being the collector
of data and information. All roles are important.
 Expertise: Matching people with tasks is an important exercise. Usually, if people feel that
they are making a useful contribution to a team, then their performance is higher.
