As an Export Documentation Executive, you will play a crucial role in ensuring compliance with export regulations, DGFT policies, and international trade requirements. Your primary responsibilities will include: - Staying updated on export regulations, DGFT policies, and international trade requirements to ensure compliance with local and global export laws and regulations. - Collecting and verifying all necessary export documents to avoid delays or compliance issues. - Identifying and resolving missing or incorrect documentation before submission. - Preparing and submitting accurate and timely shipping and customs documentation for export consignments. - Drafting and managing documents such as commercial invoices, packing lists, shipping bills, SDF, COO, and Bill of Lading. - Handling duty drawback and export incentive documentation, if applicable. - Liaising with shipping lines and freight forwarders for vessel bookings and scheduling. - Coordinating with CHA (Customs House Agents) for timely customs clearance. - Ensuring smooth handover of goods to shipping lines or airlines. - Following up with ports/ICDs/CFSs on cargo movement and vessel cut-off deadlines. - Maintaining accurate records of export documentation, certificates, and regulatory filings. - Updating and sharing daily export tracking reports with the reporting manager. - Communicating with clients, banks (for LC/BRC documentation), Customs Authorities, Ports, and Internal Teams. - Performing any other tasks related to export operations, as assigned by senior management. Qualifications required for this role include: - Minimum 3-4 years of experience in export documentation or international logistics preferred. - Sound knowledge of Indian export procedures, customs systems, and documentation flow. - Familiarity with ICEGATE portal, DGFT, shipping documentation, and INCOTERMS. - Proficiency in handling LC, BRC, shipping bills, and post-shipment documentation. - Excellent communication skills, both written and verbal. - Detail-oriented and organized, with the ability to handle multiple shipments simultaneously. - Ability to work efficiently under pressure and meet shipping deadlines. - Skills in MS Excel, Word, and email communication. - A quick learner with a proactive and process-driven mindset. - A team player with strong coordination and follow-up skills.
