Today I'm breaking down the anatomy of accounts payable. Every way your company sends money: wires, checks, ACH, and credit cards. What each one actually is, what it costs, when to use it, and where each one can burn you. All in plain English, with the full breakdown in the infographic below. First, what actually happens when you pay a vendor. A wire moves money bank to bank the same day, and once it lands, it's landed. A check is a piece of paper asking your bank to pay whoever's named on it, eventually. ACH pushes money bank to bank in a day or three, in batches, for pennies. And a credit card means the vendor gets paid now while you pay later. Now, here's how I choose between them with my clients. Credit cards first, whenever a vendor takes them. The float extends your runway and the cashback is FREE money. ACH for your regular domestic vendors. Cheap, reliable, boring in the best way. Wires only when it's urgent or international. At $25 to $50 per wire, those fees stack up fast. And checks... it's 2026. But sometimes a wire is the only option. And two things about wires should scare you a little. First: the account number is what controls where your money lands. Banks don't have to check whether the name matches. So a single wrong digit sends the money to whoever owns that account. Second: once a wire settles, it's FINAL. Recalling one is a polite request that banks are free to ignore. And on international wires, intermediary banks each take a bite along the way, so your vendor can receive less than you sent. Checks have their own dark detail. The bottom of every business check shows your routing number and your bank account number. Every check you mail hands BOTH numbers to a stranger. And that's before check washing. Steal the envelope, erase the ink, rewrite the check. And still: 63% of organizations got hit by check fraud in 2024, yet 91% of us keep using checks (AFP). At my clients, this is exactly where AP time goes to die. Someone triple checking a SWIFT code from an email. Someone mailing a check and just... hoping. That grind is why I lean on BILL for payments. Vendors in the BILL network enter their own bank details, masked from you, so you're never typing a routing number or SWIFT code off an email. When a vendor wants a paper check, BILL prints it and mails it for you, and your account number stays OFF the check. International payments reach 130+ countries, and in local currency there's no wire fee and no intermediary banks taking bites. And the scale here is wild: BILL moves payment volume equal to roughly 1% of US GDP.
