MOCK MEETING DIALOG

1) CHAIRMAN ADDRESS

MR. IKHMAL : Assalamualaikum everyone. I am glad to welcome the finance manager, planner manager,
product manager, marketing manager and also to all board members to the fourth meeting
of the event Corporation. Thank you, thank you for being present in this meeting. Ms
Maina, have you give them the agenda for today meeting?

MS. MAINA : Yes, Mr Ikhmal, I already give them the agenda. Did everyone received the agenda?

All : Yes

2) APOLOGIES FOR ABSENCE

MR. IKHMAL : Glad to hear it. Are there any apologies for absence for today’s meeting?

MS MAINA : Yes, Mr. Ikhmal, Mrs. Bella is on medical leave due being admitted to the hospital since
yesterday because of contraction. While, Mr. Shahrul is on business trip for the joint
venture meeting with the company in Korea.

MR. IKHMAL : Thank You. Then we proceed to the next item. Is there any amendment from the previous
meeting?

MR. AMAR : Based on the previous meeting regarding the item 4.0, which is about the event place.
We already booked the booth for the event.

MS MAINA : Alright, I will take note on that.

MR IKHMAL : Is anyone want to add anything?

ALL : No

3) MATTERS ARISING

MR. IKHMAL : Well, without delaying, we continue with the discussions on planning and issues arising
from Ms. Ain, the planner manager.

MS AIN : Yes, Mr. Ikhmal. I am regret to say that there was an issue we have to postpone the date
of the event, which is on 13 November 2018. You should know that this is one of the issues
that arise. As a planner manager, I have made some monitoring in some aspects, especially
finance and I have told the finance that the required budget is RM550 and we have used
as much as RM200 to purchased booth decoration items. Then, in marketing, I've been
told some of the ways are being discussed to promote the food sold. Then regarding the
interesting activities to be carried out have also been informed by the event activity
manager. Therefore, the consolation preparation manager has also informed about the
prizes that will be provided to the winners in each game held and this person in charge has
worked with technician through the use of sound effects to enliven the booth so that many
customers will come to our booth. This plan has been put together by the finance division,
including all the managers in co-operation with Ms Aqilah for the financing to be issued,
for her part, I handed this discussion to Ms. Aqila.

MR. IKHMAL : okay sure.

4) FINANCIAL

MS AQILAH : Okay Mr. Chairman. My part regarding the finance already complete. I have discuss with
all section and also I receive information from Ms. Ain from Planner Section regarding
budget needed is amounts to RM 550 will be used for this event. I have distributed to
each section for the budget for food preparation, decorations and others. First, budget
for activity has been given to Ms, Amira of consolation preparation section is about RM
50 for next process such as hamper also equipment to be used for the game. Also, I have
additional information, that one week before the event we have do preparation for food
tester and the budget that has been used is RM 150. Next, RM … I have spent for
marketing section Mr. Uzir for marketing process. The products we have previously
discussed have been detailed by Ms Anis, the product manager.

5) FOOD AND BEVERAGES

MR. IKHMAL : Okay, Miss Anis, can I know what part of the product has been specifying?

MS ANIS : Firstly, we had agreed to sell three menu for our group likes Bibimbap, Chicken Butter
and Banana Smoothie. Each menu we already make a budget such as for the Bibimbap,
we will serve it for 15 package, Banana Smoothie 10 cup and Butter Chicken 15 package.
One week before the event, we had tried first to cook our menu such as Bibimbap and
Chicken Butter since it was our first time we are making that menu. The ingredients were
purchased two days before the event and it will keep at Miss Ria’s home. The products
that I have called this pound have been marketed by the Mr. Uzair, the marketing
manager.

6) MARKETING

MR. IKHMAL : okay Mr. Uzair can I know the development of marketing department?

MR. UZAIR : I already suggest the technofest will be held at bkm block in mitec where the fest was
due. And, it was accepted. Beside that, I already advertise our program on facebook and
instagram, with that, the result was positive. This is because online advertisement cost
less than printed poster but we also advertise through printed poster in minimum
quantity. Other than that,I also propose that we should create an app that function like
the food panda app which we can promote our food and customer can order through the
app .This can increase our marketing strategy and attract people to come to our booth.
Do you guys agree with my idea?

ALL : Yes.

7) TECHNOLOGY AND INNOVATION

MR. IKHMAL : Well, I want to hear every work progress that other managers do, shall we start from
the activity manager.

MR. AMIR : Ok thank you Mr. Chairman, I am the activity manager who has given my full
commitment by doing my job smoothly. so here I recommend two activities which are
all related to traditional South Korean games. ok, the first activity is a ddakji game,
which is a very popular game in korea. the second is ramen challenge. if mentioned
about ramen we can know it comes from korea because now, this challenge is very
popular all over the country. so I chose all these activities because it's easy for anyone
who wants to participate in this activity. so this activity is suitable for all ages. ok, so far
thats all from me and every activity implemented has a gift that has been handled by
Ms. Mira. ok, please Miss Mira for more information about this..

MS AMIRA : ….. ( citer bhg ko)…

MR. IKHMAL : Well, then I want to hear the progress of the booth coordinator, okay Ammar.

MR. AMAR : Yes, Mr. Chairperson. As a Booth Coordinator, actually there are no issue or problem
that happen during the booth setup, and all the preparation and progression almost 90%
done. The booth are looking good and attractive. Actually, that 10% is on progression in
wiring part. Thereby, I've been looking at wiring parts and I've already told to Mr. Zairul
who are in charge of technical parts, so I want to hand over this discussion to Mr. Zairul.

MR. ZAIRUL : Thank you Mr Ammar , Mr Chairman can I proceed now ? I’m zairul from technical
department. First of all , for our booth we have discuss that we going to use P.A system
that will lend from Unikl Mitec but there was an issue which is the P.A system is
malfunction or broken , so my solution is , why not we only used a basic sound system by
ourselves like speaker .I have friend who have this type of speaker and he will sponsored
it in that day. So , how do you all thinks ? Do you all agree ? If someone have a better idea
you can suggest to me . Next , at the event I also suggest to get some photoshoot. There
will be 2 type of device which is by using DSLR camera or by using smartphone . But the
problem is the DSLR camera is at my home. If you want me to proceed with the DSLR
camera the finance should fund me for the transportation for going back and forth to get
the camera . So Mr. Chairman , I suggest we should case a vote on this one .

MR. UZAIR : Mr Zairul , can you tell me the advantage of using DSLR ?
MR. ZAIRUL : The DSLR is basically better picture quality and proper documentation . Besides, if we
decided to produce a video after the event it is easier to compile the raw footage on adobe
premier compare by using smartphone. But using smartphone will reduce more cost than
DSLR .

MR IKHMAL : Let case a vote, who agree with DSLR and who agree with smartphone ? *boards member
undi* Based on the vote we will use smartphone.

MR ZAIRUL : Thanks again Mr. Chairman for the voting , next can I proceed about the technology and
innovation ? For the technology and innovation, we make an application like food panda
but we make an improvement and innovation on it which it we make the user of the
application can find a Halal food while on the Korea . This innovation make muslim user
more easier to find a halal food on the korea. Secondly, this apps also have GPS to navigate
the user to find the shop or restaurant . Besides, this apps also have a registration for the
user of a country , so that mean , they can find a new friend to travel alongside the country
. Other than that , we also make a new technology in this apps which we make an E-payment
feature system that make the user can just top up in this app and scan the barcode at the
restaurant to make the payment like cashless payment. So far that all from me and thanks
you to Mr. Ikhmal for allow me to give my opinion .

MR. IKHMAL : My pleasure Mr. Zairul. We move to the next one from Ms Ria's management division.
How’s about the fashion and usage will be taken, in the inspiration of which designer?

MS RIA : For clothing I’m using Hanbok (for woman) as traditional cloth from South Korea. I
bought it for the event from online. And it cost RM70 only. This Hanbok consists of pink
long sleeved shirt with ribbon under chest and green emerald long skirt. It looks more
fashionable than it’s traditional designs.

8) ISSUES ARISE

MR. IKHMAL : well, we are on the next agenda, the secretary has any issues to be raised to?

MS MAINA : No sir, so far I don’t have any issues to be raise. Maybe for the next meeting I have
the issues to be raise which is the meeting will be held on 10 November 2018.

MR. IKHMAL : Thank You for the info Ms Maina. Any question from the board of member?

ALL : No

9) CLOSE

MR. IKHMAL : All right, take note everyone for the next meeting. From my findings, everything is in
good shape, hope our event will go smoothly what has been designed. Let’s end this
meeting with Surah Al-Ansr. Thanks You everyone.
