Following are the Leave Policy for the Astral Knowledge services Pvt. Ltd.
Leave Policy (1st January 2019 to 31st December 2019 of a given year)
The Calendar Year (1st January to 31st December of a given year) will be followed for
calculation and allocation of CL’s, SL’s and PL’s
1. Each employee can avail cumulative CL/SL/PL after 180 days (6 month) of
Working/confirmation of employment.
- Entitlement : 1 Leave (Sick Leave) is credited every month (During Year 12 Sick
Leave)
- Entitlement: 5 Leave (3 -Casual Leave/ 2 -Paid Leave) is credited after every 3
month Leave added on quarter.
- (During year 12 Casual Leave and 8 Paid Leave)
- PLEASE NOTE LEAVE WILL BE ADDED EVERY QUARTER.
- 1st QUARTER JAN TO MARCH – LEAVE WILL BE ADDED ON JAN
- 2nd QUARTER APRIL TO JUNE – LEAVE WILL BE ADDED ON APRIL
- 3rd QUARTER JULY TO SEPTEMBER – LEAVE WILL BE ADDED ON SEPTEMBER
- 4th QUARTER OCTOBER TO DECEMBER – LEAVE WILL BE ADDED ON OCTOBER
The Leave policy is not applicable to Sub-Staffs & Contract team members / Part time team
members.
1. LEAVE WITHOUT PAY (LWP)
Any uninformed & unapproved leave will be treated as ‘leave without pay’, irrespective
of Leave Balance available with employee.
The approved leaves will also be considered as leave without pay if the leave balance is
less than the availed leave. Only in extreme cases, management’s specific approval can
be taken to provide for more leave balance.
To take leave beyond mentioned limits of CL/PL/SL in a go, management approval is
required else such extension will be considered as Leave without Pay irrespective of the
leave balance.
2. HALF DAY LEAVE (HDL)
For availing Half Day Leave an employee has to work at least 5 Hours in any of the
mentioned ways a) 5 hours from reporting time OR b) 5 hours to end of the day.
The Process for Half Day Leave will be treated in exact same manner as Casual Leave
except that it has to be informed 24 hrs prior of taking a half day.
Interns and team members on Probation cannot avail leave/s in the specific period
of their Internship or Probation duration.
Team members who are appointed during the course of the year shall be entitled to
the above leaves on pro-rata basis
An employee will not be granted leave once he/she submits his/her resignation.
Any absence in notice period will be considered as leave without pay.
Leave will be granted at the discretion of immediate TEAM LEAD depending on the
amount & pressure of work at that stage & nothing will limit management
discretion, to revoke or curtail leaves already granted.
1. 12 Sick Leave: - This is to notify you that in a year you are entitled to get 12
sick leaves. If in case anyone is left with any sick leave at the end of the
financial year (i.e. 31st December), your sick leaves will automatically be
deducted & there will be no compensation or leaves will not be carried
forward to the next year.
2. 12 Casual Leave: - This is to notify you that in a year you are entitled to get
12 Casual leaves Quarterly 3 leave add in leave balance. If in case anyone is
left with any Casual leave at the end of the financial year (i.e. 31stDecember),
your Casual leaves will automatically be deducted & there will be no
compensation or leaves will not be carried forward to the next year.
CL PROCESS
Employee must inform about CL to his/ her immediate supervisor at least 1 day in
advance by using Leave Application Form
Only in the event of an emergency or medical reason can an employee inform about CL
before 10:00 am on the day CL is taken by sending an e-mail/SMS. However on the
return, a formal approval through Leave Application email, will be required within 2
working days else the leave shall be considered & marked as leave without pay.
If employee fails to inform about CL before beginning of the working hours, the leave
taken will be considered as Leave without Pay, irrespective of leave balance available
with him/ her.
If an employee takes a CL on Friday & also on Monday, then the intervening Saturday
and Sunday will be calculated as casual leave.
In case, employee wishes to avail, CL due to Medical Reasons (SL), he / she can do so for
more than 2 days but less than 7 days, after duly producing qualified medical
certificates. In this situation, employee must communicate the possibility of longer than
normal leave period to immediate supervisor & HR Team within first 2 days of leave
period.
CL EXCEPTIONS
Exceeding the leaves taken for non-medical reasons is allowed only in extra-ordinary
circumstances with management’s approval, before extension. If employee extend leave
period without approval, he/ she will be in violation of company’s policies.
If CL extends the above mentioned days as per the working days, only in the case of
serious medical reasons (for which valid proof will be required) & upon approval from
the management accumulated PL can be adjusted with excess CL. Else excess days taken
will be treated as LWP (Leave Without Pay)
3. PLANNED LEAVE (PL)
8 Planned Leave: - This is to notify you that in a year you are entitled to get 8 Paid
Leave if you have not used any Paid leave during year so it will not be carried
forward to the next year.
PL would be applicable to Team members as per the entitlement specified in Leave Matrix
Planned Leave (All Levels)
2 leaves quarterly (i.e. 8 Leaves in One Year) accrued quarterly.
Entitlement Quarter cycle will be Jan-Mar, Apr-June, July-Sept & Oct-Dec. For employee
joining in middle of quarter, calculation will be done on prorate basis for
joining quarter.
Accrual No carry forward to future years
Maximum Minimum 3 days PL to maximum 6 days PL can be taken at one go.
Allowed Depending on PL leave balance.
Adjustments PL Balance will not be adjusted against the shortfall in the period.
Not applicable in the probation/training period. However accumulation of
Eligibility leave will start from date of employment. PL can only be availed once
employment is confirmed.
PL PROCESS
Tentative Planned Leave schedule must be captured by all reporting managers &
submitted to department heads in beginning of the calendar year. Department heads
must finalize PL schedule for the year in the month of January for each calendar year &
submit to HR Team. In preparing the schedule, each employee is required to indicate
his/her first & second preferences to take leave during the year. A leave schedule is
then drawn up & approved by the concerned department head, consistent with
exigencies of work. Any deviation from the schedule needs to be authorized by
immediate TEAM LEAD.
All requests for leave are to be made by e-mail/ Leave Application Form stating
duration of leave & contact number on leave to immediate TEAM LEAD at least 2 weeks
days (15 days) in advance.
Respective TEAM LEAD has right to approve or reject PL request (even if approved in
PL schedule) depending on business requirement. The TEAM LEAD will in turn
communicate it back to the employee & HR Team. This measure should be used in
extreme cases only & with suitable alternate dates for leave.
Reporting Manager is expected to inform the employee on the status of approval or
rejection by e-mail within 24 hours of having received such application.
Team members are to handover their duties to nominated colleagues prior to
proceeding on leave.
Planned leave will commence from the first working day the employee proceeds on
leave & will end on the day pervious to the day he returns to the duty. The intervening
Saturdays/ Sundays/ Holidays will not be calculated as Planned Leave.
PL EXCEPTIONS
Any employee cannot work for another employer during planned leaves. Any violation
of this clause will be treated with serious disciplinary action which will result in
termination of employment with immediate effect. Astral Knowledge Services Pvt Ltd.
will not be liable to pay any notice period & employee will be liable to pay back Astral
Knowledge Services Pvt Ltd. the remuneration for the leave period as well.
If PL extends the above mentioned days as per the working days, then the excess days
taken will be treated as LWP, unless employee can provide valid reasons & secure
approval from the management.
All other exceptions will be considered at management discretion & approvals only.
ABSENCE FROM DUTY
Uninformed & unapproved leaves may lead to serious disciplinary action which can lead to
termination of employment without notice as well.
If any employee remains absent from work without authorization or explanation for
more than Three (3) consecutive working days, it will be deemed that the employee
is no longer interested in working for Astral Knowledge Services Pvt Ltd. & have
abandoned its service on own accord & his / her name shall be accordingly struck
off from the rolls of Astral Knowledge Services Pvt Ltd
All Support Staff is entitled for bonuses if any only after completing 1 year in the
company.

Astral declares a Holiday Calendar for the Calendar Year January to December.

o If the employee worked less then 9:00 hours in a day it will be count as a half day on
that particular day. Three time in a month for 30 Mints grace period will be allowed.
For half day person has to work minimum 5 hours otherwise it consider as a leave.
o While serving the notice period an employee is not entitled for any leaves
except in case of medical emergency. Notice period will be extended by the
number of leaves taken therein.
o If an employee resigns while on a paid or unpaid leave, the period for which
the employee is on leave will not be considered as a notice period.
o If any employee is late for more than 30 minutes, will be tolerated for 3 days
in a month. After 3 days of late coming in a month each time will be
considered as a half day.
NOTICE
o Employees must never report to work under the influence of alcohol. You
may not consume alcohol while on duty, including lunches and during
overtime meals, or on Astral property.
o Any misbehavior or abuse in working hours or office premises will not be
tolerated.
o The Company may decide to withhold any dues of the employee in terms of
salaries and/or incentives to compensate for any damage that may have
resulted because of the employee's actions. Company can initiate a legal
action against employees in case of gross misconduct at the discretion of the
Management.
o If company caught or find proof that employee shares His/Her Salary with
colleagues then company have full right to terminate you. So please don’t
share it.
o If there is no notice period provided then Astral Knowledge Services Pvt Ltd
has the rights to hold any pending salary or arrears. Completion of notice
period is necessary and not doing so will lead to holding of salary/arrears
along with no documentation will be provided to the employee who leaves
company in such circumstance.
