Last February 23-25 the Ministry Curia, the governing body of the ministry (Officers, Group
Leaders and Assistant Leaders), held its annual Ministry Planning. The agenda of this year
planning was to address the matters concerning Ministry Policies and Activities.
Attached herewith is the approved Ministry Calendar of Activities for the Year 2019 and the
changes in the current ministry policies.

A. Changes in the Ministry Policies
1. Attendance Grading System
[(33% x 12 Meetings) + (33% x 12 Formations) + (33% x48 Serves)] = 99% + 1%
(Bonus)= 100%
Attendance Passing Grade
80% - TOTAL
Serve and Meetings:
ABSENT: did not serve, WITHOUT valid excuse.
EXCUSE: if the server is not present in his serve, they could ask for a substitute serve on
a different schedule prior to the schedule of their unattended service. If the said server
STILL couldn’t attend the said substitute serve, he could send an EXCUSE LETTER
(with valid ID and signature from parents to ensure the authentication of the letter)
with valid reason, two days prior to their serve (should be able to give an excuse letter
and inform the officers/ leaders beforehand). If the server is sick (on the duration of his
serve) he should give an EXCUSE LETTER (with valid ID and signature from
parents to ensure the authentication of the letter). If the server experienced a long
time illness, they should give an EXCUSE LETTER (with valid ID and signature
from parents to ensure the authentication of the letter) with MEDICAL
CERTIFICATE
LATE: three marked as late would be equivalent to 1 absent
2. Committees and Appointment of Committee Heads
Committees
Service
- service related issues and concerns, will be overseeing all service-related matters
- to: assess, address performance of servers, teach/instruct servers (new and old), be
updated on how to serve, fully aware of schedule of ALL liturgical activities within
the Diocese (Vicariate and Parish)
Formation
- in charge of all formation-related concerns in the Ministry
- to: assess the needs of org to formation, invite speakers, conduct formations,
retreat/recollection, fully aware of formations given by CTKP (encourage mems to
attend)
Multimedia and Documentary
- will take care of all documentary and multimedia concerns of the ministry
- to: document activities thru pics, vids, reports, narrating what happened in activities,
store/keep records of previous minutes of reports, store photos/vids for recruitment
and reports during meetings, provide powerpoint and assistance on all multimedia
aspects during meeting
Activities and Recreation
- will be the one to spearhead the activities, will deal on all extra-curricular activities
(non-liturgical)
- to: be updated on all schedule of activities of MAS, Parish, Vicariate and Diocesan,
encourage mems to participate, give updates (report, assessment of the activity),
develop/create activities that will benefit the ministry and mems,
Recruitment and Vocation
- responsible of recruiting of new mems and giving formation on deciding and finding
their vocations in life
- to: be responsible on recruitment of new mems, be able to create formations about
vocations, seek consultation and help with regards to the vocation, track seminaries
open for search-ins
Discipline
- responsible for attitude concerns and discipline w/in the ministry and the mems
- to: observe proper discipline of self and mems w/in (parish, ministry, community),
aware and implement rules and regulations w/in the ministry, reach out to servers
with attitude problems, trouble with attendance/outside ministry, impose proper
sanctions to mems accdng to violation committed
Temporalities and Vestments
- responsible for all the sacred vessels and vestments, as well cleanliness of 2nd flr
sacristy, keep vessels maintained
- to: maintain cleanliness of vessels, spearhead in observing and keeping vessels well-
maintained/vestments neat/sacristy clean, handle vestment making for mems with
problem on their vestments, observe and spearhead purchasing of materials for
specific activities
