7. Brief introduction of organization

HBL was the fundamental business bank developed in 1947. HBL is one of the greatest
business banks of Pakistan. It speaks to a liberal offer (20%) of the outright business
banking market in Pakistan with an arrangement of 1,705 family branches; 55 abroad
branches in 26 countries spread over Europe, the Middle East, Far East, Asia, Africa and
the United States; 3 HBL altogether guaranteed Subsidiaries specifically Habib Bank
Financial Services (PVT) LTD. Karachi, Habib Finance International LTD (Hong Kong) and
Habib Finance Australia Ltd. – Sydney; 2 Joint Ventures to be explicit Habib Nigeria Bank
Ltd. (40%) and Himalayan Bank Ltd. (20%) and 2 representative working environments in
Iran and Egypt. HBL is starting at now assessed AA+ (Long term) and A1+ (Short term)*.
It is the primary Pakistani bank to raise Tier II Capital from external sources. This history
of banking is followed to as in front of calendar as 2000 B.C. The clergymen in Greece

8. Overview of the organization


a. Brief History

Habib Bank Limited was funded in 1941. Its head office is in Karachi. Mr. Sultan Ali
Allana is the Chairman of Bank. Mr. Muhammad Aurangzeb is the President & CEO of
Habib Bank Limited. With the passage of time, HBL has above 1,750 branches and 2,000
ATMs in different cities of Pakistan. Habib Bank Limited is a commercial bank. It
provides financial services to its customers. Cash deposit, monetary transactions and
financial bills processing services are offered. Branch network of Habib Bank Limited is
spread in all cities of Pakistan including adjacent rural areas. Along with traditional
manual banking services, Habib Bank Limited has setup its online banking infrastructure
at higher standards to facilitate its customers through internet services. It was built up to
facilitate their customers with the higher banking facilities. It is highly engaged with the
affairs or issues of managing and handling an account in an efficient manner.

C. Business Volume

Habib Bank Limited (HBL), Pakistan's largest IPO of R12 billion, will be officially listed
today on the Karachi Stock Exchange (KSE). This listing will be replenish Rs 162 bn on
banking sector financial market approximately Rs 3,700 bn if we simply take the grant
amount of Rs 235 / share as a proxy. Bank of Pakistan The sector has received the
largest share of 29% in the KSE financial market and with this list it will increase to 33%.
We have expressed our positive view of the bank in our detailed Pakistan banking jewel
’IPO report on HBL mainly due to 1) our 27% predicted CY07 ROE also matched the best
performing peer banks. IMCB Bank and United Bank (UBL) 2) deducts 10% interest on

receivables 3) securities of more than 80% of low interest rates and only 4.2% of
estimated costs on paid deposits 4) a large share of the supported market of 16% vis-à-
vis peer banks 5) bank-centered management 6) strong product equity. On the flipside,
a recent State Bank of Pakistan (SBP) arrangement regarding the withdrawal of the sale
price of compulsory trade (FSV) on illegal securities in taking over the provision of
unpaid cash payments (NPLs) is detrimental to HBL. HBL has a lower provision compared
to historical NPLs and we expect the bank to make an additional provision of Rs 5.2 bn
which would jeopardize our forecast for CY07 EPS of Rs 26.85 / share.

f. Brief Introduction of the entire department

Account Opening Department


Account opening is a main and basic step to create relation between customer and bank.
After opening of account customer became a part of this bank and he can now take the
services of this bank easily. There is always some terms and conditions on which bank
and customers both agree upon before signing any account opening agreement. After
signing that agreement the customer can enjoy the services of bank for the time period, he
wants. The working of this department is related to opening of new accounts, issuance of
cheque book, issuance of debit card, activation of deactivated accounts (dormant A/c) and
account closing by collecting the required documents and getting them signed by the
customers. This department also issues bank statements, Bank account related letters, and
providing locker services.
Remittance Department
This department is related to the issuance of Banker’s Cheque and Credit Deposit Receipt
to the customers. They collect remittance form from the customer and process it. The
printing of banker’s cheque and CDR is done here. The cancelation of these instruments
is also processes here. This department deals with local currency remittance.
Clearing Department
This department receives the clearing cheques drawn on other banks as well as transfer
cheques for fund transfer within Habib Bank Limited branches. Major function of
clearing department is transferring of funds. In case of clearing State Bank of Pakistan
appointed department National Institution of Facilitation Technology (NIFT) acts as a
clearing house, the clearing department of Habib Bank Limited separates cheque of each
bank in envelops and sends it to NIFT. These cheques are send to respective bank
branches that then sends an OK report to NIFT which is sent back to Habib Bank Limited
to ensure that all funds have been transferred

Accounts Department
This department manages all the banking operations. Every transaction of different
departments is recorded in system. The department makes a daily report with the help of
these records and attaches their relevant evidences, cheques and slips with the report.
This department also deals with office expenses i.e. stationary and fuel. It maintains the
general payable ledgers of vendors and monthly withholding tax filling to FBR.
Foreign Trade Department
Foreign Trade department is concerned with the foreign currency transactions, letter of
credit for Import purposes, Export remittances. All the payments and revenues against
import or export are done through this department. Customers having foreign currency
account come to this department to withdraw or exchange. This department also deals
with foreign inward and outward remittance i.e. payment sent from abroad and sending
payment from Pakistan to abroad.
Credit Department
This department is concerned with the credit facilities which one of basic business of any
banking organization. All the consumer loans and corporate loans are processed through
this department. This department working involves the issuance of loan, proper
documentation for loan, evaluation of assets pledged against loan, recovery of loans
installment etc. The credit card is also processed through this department. So basically
this department function is to issue credit and recovery of payments against given credit.
Complaint Department

This department have very important role in establishing the banker and customer
relationship and responsible its quality of services to enhance the business of overall
bank /branch level. The department is highly active to resolve the issue of customer
against the bank, its employee or any other on prompt basis. The department is also
key watcher or subsidiary or assist to Human Resource Department of its employee’s
complaint by the customer and if any complaint is unresolved than the employee of the
bank face trouble regarding its continuity in job & its annual appraisal performance.
Human Resource Department

The Human Resource Department is playing an important role in hiring of high profile
employees, experience or fresh graduate from the market. The department is highly
responsible to produce the highly key caliber employees to the Habib Bank Limited. The
minimum criteria to enter as an employee in Habib Bank Limited must be graduate
person. The department is responsible to assist comprehensive employee rights, whistle
blowing, training and quality assurance in accordance to Bank’s policy. It further
explains in detail to organization analysis section.

g. Comments on the organizational structure

Habib Bank Limited structure is centralized. Habib Bank Limited is a centralized


organization and its branches are linked with each other and to the head office. I
observed that the Branch structure of the Habib Bank Limited is simple the employees
can coordinate easily with the manager, operational manager and the other employees
in the bank. All employees of the bank are very polite and cooperative.

9. PEST Analysis
Political Factors:
● Government has launched regulations to scrutinize banks
● Government is now strict about fake accounts and want bio-metric of bank
account holder because of Financial Action Task Force (FATF) instructions.
● Government has imposed taxes on withdrawal from account

● Government has power to change monitory policy which can affect banks
● COVID Pandemic leads uncertainty in world
● Government should take some measure to stable business environment

● Socio-cultural factor affects the operations of banks like many customers don’t
use ATM and still do transaction through cheque
● Online shopping is being very common in Pakistan due to COVID-19. Many
customers are using their Debit/Credit Cards for Online shopping
● HBL customers are switching to mobile banking and using android application to
transfer funds, make online payments etc
● HBL offering special fueling cards with discounts and customer are using while
fueling in their vehicles
● HBL is exploring their services to rural areas through digital channels

● Technology has a deep influence on banking sector. It has provide to advance the
bank operations
● HBL Mobile banking is real life of example of use of latest technology and
providing opportunity to customer to perform different tasks like funds transfer,
check balance, pay bills, mobile load etc.

for customers and bank
● Internet banking, mobile apps are giving opportunity to customer to perform
activities from home/office/anywhere having mobile or laptop

● Habib Bank Limited is well reputed financial institute of Pakistan.

these are the strength of Bank. Growth rate of these products are rise too in
market.

techniques raise their deposits rates and investment rate

personals. Diversification of bank shows bank progress.

Weaknesses
● Habib Bank Limited has not chat support system on his website therefore
customers can’t get information about product and services of bank from
representative of bank.
● Habib Bank Limited has poor feedback system such that customer cannot give
their feedback properly about their experience.
● Political environment exist in bank, which created the air of blames, rumors
against about one another which create weak interactions and coordination
within staff members.

● Power and politics created high favoritism and nepotism for employees and
customers in branch.

● One of the weaknesses for this organization is they are casual behavior for their
employees.

● Atmosphere and physical environment of branch is not enough cooler for


proficient working.
● Most of the staff of branch is not sufficient. If someone goes on leave or does not
come to work due to some emergency then there is no one to replace him/her.
And some other staff member has to look after his work besides his own. This

causes delay in completion of work for which not only customer suffer but that
staff member has to sit late to complete the work.

Opportunities
● More consumer based products can be introduced to add to bank’s portfolio.
● Increasing advertisement can help the Habib Bank Limited to increase their
customers.
● Habib Bank Limited can introduce a better feedback system so that customers
may be able to communicate suggestion to further improve their services.
● New Mobile App act as a bank in customer pocket. This app system also
facilitates their customer at their own home and consumer do what they want
within seconds.
● Innovations in IT system of banks touch systems available in ATM machines
format. Bank adds this new IT edition to raise their business volume.
● Establishing a chat support system on bank website can provide opportunity to
customer to get information about product and services of bank from
representative of bank.
● New Products can be introduced to attract the SME market, business accounts can
help further increase the deposits and Credit loans.
Threats

● Change in Monetary policies can affect the business of Habib Bank Limited

● State Bank of Pakistan issues interest percentage regulations and restrictions


regarding profit or loan given or charged by the bank, any new policy advised
may be a hindrance to create a favorable product to attract customers.

● Foreign exchange change can also affect the banking as rate of dollar is never
stable so increase in its value automatically affects the foreign trade of Pakistan.

● Customer’s confidence on foreign banks is more than local banks.

● Technological improvements and adaptation of new technology by existing banks
to improve their services.

● Habib Bank Limited needs to secure accounts of customers as recently many


banks face the ATM frauds. It is a major threat for bank to secure personal
information of customers.

● Govt has imposed taxes on withdraw of funds and it can decrease the deposits

● Interest rates are too high which can decrease the car loans. As monthly
installments are increased for car loan customers.

a. Finance Department

⮚ Allocation of Funds

HBL Islamic Asset Allocation Fund is an open-end fund incorporated in Pakistan. The
objective of the Fund is to provide long-term capital growth and income. The Fund
invests in Shariah compliant equities, fixed income and money market instruments.
⮚ Sources of Funds
Banks need loans to finance loans. Banks lend to local buyers, credit card customers,
small and medium-sized businesses and institutional customers.Banks derive their
funds from customer deposits and retail markets (domestic and international) Since
the global financial crisis began in late 2007, the cost of banking financing has
become a major topic of discussion given their links to interest rates. The deposit is a
major source of commercial banking. There are two types of bank deposits including
unpaid bills and unpaid bills. Payments made up of 9% of all financial resources and
non-payment of 61% of all financial resources. Other bank financing sources are
loans from other banks and bank accounts that make up almost 24% and 6% of all
financial resources respectively.When checking a bank subsidy, it is important to
note that it is not free and the price of the subsidy varies according to many factors.

For most of the past decade, banking resources and financial costs have been highly
anticipated. Reserve Bank reserves of money often have limited changes in the total
cost of bank financing.
Since the global financial market crisis in late 2007, the Reserve Bank's monetary
policy has not provided an accurate indication of changes in the cost of bank
financing. By providing an overview of bank financing, this paper aims to help
explain why this is so.
• Last year, financial markets experienced a major global financial crisis, created by
the US lending market
• In the banks, the global debt crisis has made it difficult to obtain funds and those
funds are very expensive
• No one predicts a quick end. There is a possibility that it could take up to two years
to see financial market conditions stabilize.

Employees of bank are engaged in expanding its business to international level. It has
strong basis of products in both consumer and corporate section. It is a centralized

organization and its branches are linked with each other and to the head office. The
recruitment process is transparent and honest to the best of my knowledge. The
training provided to the staff is efficient as well I found it highly credible and they are
dedicated to their work. Habib Bank Limited may lack in some points as compared to its
competitors but as we are all well aware that every organization has its strong and weak
points so if Habib Bank Limited is weak in certain areas it recognizes it and working to
develop it into its strength. The satisfaction of customers of Habib Bank Limited from
the products and services creates more attraction for new customers. Management of
Habib Bank Limited is fully aware of challenges that might be come to the banking
industry and also know about the strength, weakness, opportunity and threats of the
organization. Management of Habib Bank Limited is engaged to overcome its
weaknesses and threats and try to avail opportunity that makes a strength in future.
Habib Bank Limited should improve the quality of its portfolio & increase its foot print
for broaden its customer base. Bank is playing its role very efficiently in commercial as
well as consumer segments. Bank should enhance competitiveness and strengthen the
professional capabilities especially in the area of MIS & information Technology in
comparison of other players in the market. Bank should also focus on the trainings of its
existing staff to refresh their knowledge and also upgrade their skills keeping in view the
frequent changes of policies and procedures by the regulator. With all efforts the bank
has successful at maintaining a good relationship with the customer and has worked
hard to strengthen its overall function. Habib Bank Limited is moving in right direction
and is a successful organization and profitable too. It is a good investing organization as
it attracts the investor. The future of Habib Bank Limited is bright enough and was in a
good condition to prospect speedily and largely in the near future.

13. Recommendations

● There is a shortage of staff and customers have to wait. This is not good for the
reputation of the Habib Bank Limited. So there is a need of increasing staff
members.

● There is shortage of giving incentives and bonuses to hard working employees.
There should be given bonus and increment yearly to all level of management.

● HBL compensation & rewards should be provided in fair way.

● Environment of Habib Bank Limited should be comfortable both for staff and
customers.
● Same employees are attending external training session, training should also be
provided to fresh and untrained employees.

● HBL should work on merit and remove favoritism in employees.

● Compensation on any accidental condition must be given to the employee by the


bank.
● The bank should improve their structure of the bank monthly or yearly because
now a day new banks opens and they are very advanced in the structure of the
bank.
● They should increase their service level towards their customer’s.
● The bank should make effort to motivate it employees by giving them good salary
packages, by making a secure working environment, by listening to them so that
the employees become more productive, hard working and sincere to the bank.
● It should give training to its employees for improving their marketing skills.
● Bank has some technological draw backs that keep it below the competing banks.
It should keep pace with the technological advancements so that it performs all its
operations efficiently.
● There should be a job rotating system it would be helpful in making employees
more talented as they learn how to work in all departments of the bank. They can
work in any department in the case of non availability of employees in a certain
department and can fill the place.
● ATM service is one of the most important facilities provided by the banks. The
bank should improve its ATM service across all cities and expend their ATM
network to more branches.

● Recruiting system should be made efficient as the staff members of any
organization their capabilities and skills determine the effectiveness and success
of any organization so the Bank human resource department should hire staff on
merit base and staff members should be laid off.
● The record keeping system of the bank should be improved as for the banking
system record keeping is one of the most essential tasks.
