1: INTRODUCTION
1.1 Background

BBA-BI program includes the mixture of the theoretical as well as practical


knowledge. With the key intention to produce professional managers, BBA-BI has been
able to establish itself as a superior platform among different programs of the entire
management faculty. It renders a great opportunity to the students to develop their skills
through practical knowledge. Under the course of PU, the students of BBA-BI have to
join internship program for 6 to 8 weeks in any organization recommended by college
or selected by students themselves. It is a remarkable experience and the only way to
expose ourselves, our knowledge and skills so that we could set our mind for real job
market and create opportunity for us in the real job market. The internship program
gives the students a golden chance to develop their skill and knowledge in different
fields and to gain real life experience by working in an organization as a trainee. Such
program helps the student to develop their career in a new way.

Internship is a practical section of the BBA-BI course which is mainly targeted at giving
the practical exposure to the students who have acquired plenty of theoretical knowledge in
the related field of study. The students are opportune to participate into the
organizations to learn and solve the real life problems and develop the knowledge and
skills they have learned. Similarly, Internship is an opportunity to observe, learn and
understand the corporate culture, acquire knowledge and skills in the respective field
which helps the students in their further career development. Internship provides the main
opportunity to understand how the knowledge acquired through the lectures, group
discussion and formal study is applied in the real working situation. Through the
provision of the internship, each student’s interpersonal skills and communication
skills are highly developed to sustain freely in this era. To cope with the changing
environment, internship is a platform for gaining greater knowledge to perform effectively
with working experience. As a whole, internship teaches us a corporate culture, develops
our public relationship and provides us an excellent working experience.

In order to fulfill the requirement of the course, I chose to work as an intern Batas
Organization, Gairidhara Kathmandu. This internship report mentions the various
working experience on real field. I have done my internship in Eastern Agencies- Batas
Organization for eight weeks.

1.2 Organization’s missions and objectives

Objectives of Internship

Internship plays a vital role in gaining practical knowledge and in developing our
confidence level. Objective of our work is to gain sufficient knowledge about working
system of the organization. Thus, internship is done to develop our coping ability in the
organization where we work. The main objectives of internship are:

 To gain practical knowledge and exposure in the organization.


 To understand the major functions along with products and services of the
organization
 To analyze the practical implication of theoretical knowledge acquired during the
BBA –BI program
 The partial fulfillment of the requirement for the degree of Bachelor in Business
Administration-Banking And Insurance

1.3 Description of the Organization

Batas Organization is one of Nepal’s successful and upcoming organizations. The


organization is a forefront runner in Automobiles, Finance, Investment & Remittance,
Energy, Travel & Tourism and Retail Business having head quarter in Pokhara and
corporate office in Kathmandu. Mr.Ananda Raj Batas is the Chairman of the
organization. Batas Organization is maintaining the vision of true corporate culture,
building global enterprise, proactive innovation, consumer focused and teamwork which
have lead this Organization to its destiny to contribute national economy and beyond.
This Organization was initially set up in by Shree Ram Prasad Batas with a view to
initiate corporate culture outside the capital of the country in the vivacious city of
Pokhara. Today, after 1969 AD 40 years, Batas Organization has grown several
subsidiary companies with a strong corporate culture, with a countrywide sales network
and highly skilled employees led by competent management team. Batas Organization
has successfully made its mark as a competitive business house within very short period
of time. Three brothers are running the owned profit making companies, professionally&
independently with the Values of BATAS organization

1.7 Major market and customers


The major market of Batas Organization is Kaski, Syangja, Gorkha, Lamjung, Manang,
Baglung, Tanahun and Beni. Sales persons visit these districts for marketing
activities .Sales persons are divided into the different markets according to districts. Batas
Organization has different types of customers according to the product category such as
middle class people for TVS bikes and scooter, higher class people for Fiat, Suzuki cars,
Hyosung bikes and mainly entrepreneurs for Mahindra jeeps, pickups and Scorpio jeeps.

Batas Brothers
Batas Brothers is the authorized distributor of Suzuki, Mahindra & Mahindra, TVS,
FIAT, and Cherry Spare Parts at Pokhara originated in 1997. In addition to genuine
spare parts, the company deals with Castrol Lubricants, Volvo line Lubricants, NBC
Bearing, Globatt Batteries, TATA Hand tools, JK Tyre, Bridgestone Tyre, and Car
Accessories. Started in the year1997 with the initial capital of NRS 35 Lakhs,
registered under the HMG Department of Commerce, As per Private Firm
Registration Act, 2014 is owned by the Director, Mr.Shanta Raj Batas. The
impressive price range and customer-friendly services have made Batas Brothers
renowned spare parts dealer in the Western region. Batas Brothers is the unrivaled
market player in Pokhara capable of shipping any large quantity within the short
span of time with a highest standard of quality on most affordable/competitive
prices. The quality of products, timely deliveries, value for money and excellent
customer service has helped it long lasting business relationship and win over
clients from all parts of Western region. It provides a variety range of services
mainly concerned with customer satisfaction.

ASB Automobiles
ASB Automobiles is the authorized dealer of Mahindra& Mahindra's Tractors and 2
Wheelers of TVS Brand for Gandaki & Dhaulagiri Zones of Western Region. ASB
Automobiles provides 3S support to its customer since 1997 and is one of the
leading auto houses in Pokhara region. Quality of service is of prime importance to
it; be it pre-sale or post-sale. Pre-sale the company ensures that their staffs are at
their courteous best. It ensures that all the staffs are well-trained and that they can
answer any customers you may have. The company believes in building a very
strong bondage with its customers &providing services up to optimum. The TVS
Bike is the perfect example of how technology features are aimed at providing value
to customer. Matching features and offering enticing prices is a top priority for the
TVS Bike manufacturer. TVS bike prices are therefore the best in the category and
despite the low pricing, the quality is not tampered with. Unmatched quality, great
mileage and enticing discounts make the TVS Bikes a great buy. Mahindra Tractors,
the farm equipment division of Mahindra & Mahindra, builds and sources tractors
that are sold worldwide across six continents. Mahindra is also among the top three

one in sales in India - the largest tractor market in the world and it has been the

UDR Auto Engineering
UDR Auto Engineering is located at a prime location of Pokhara, Nayabazar-9. It is
an authorized service center of two wheelers and four wheelers of Mahindra &
Mahindra, Suzuki, FIAT, Cherry, TVS and Hyosung. If you are looking for
premium automotive service and you demand real value for your hard earned
money, you need not look any farther. At UDR, the company is known for
outstanding customer service, getting the job done right and for standing behind our
work, be it the parts it recommends, the workmanship we perform or the
commitments it makes. In addition, a very well equipped garage and a reputation for

Since 2003, Batas Investment has helped more than ten thousand customers with
their vehicle financing needs. The company offers fast, on-spot financing at
competitive rates and terms to make customer's car and bike shopping experience as
easy as possible. The company wants to make sure that they can help customer's
dream of owning their favorite car and bike come true, in the easiest and most
convenient manner. At Batas Investment, the company wants to bring every Nepali
closer to their dreams. So whether it is a student who wants his first two-wheeler or
a transporter that requires commercial vehicles or a farmer that needs a tractor,
Batas Investment has a loan to suit customer needs.
Trithunga Trading Concern
Since the start of its business, the company has given top priority to providing
customer oriented, high-quality products and services as an operating foundation.
The company is committed to improving product and service quality from the
customer's viewpoint with the aim of maintaining and enhancing customers trust,
confidence and satisfaction. Trithunga Trading is committed to high quality product
& service & it has vast experience in the marketing of Tyre & Lubricants. They
have wide network to carry out the retail business. The company deals  Globatt
batteries- Dealer for Gandaki, Narayani & Lumbini Zones  Castrol Lubricants-
Dealer for Gandaki & Dhaulagiri Zones  Valvoline Lubricants- Dealer for Gandaki
& Dhaulagiri zones  JK Tyre- In and around Pokhara valley. Beside these,
Trithunga Trading specialize in dealing  Fire Extinguisher equipments 
Generators  Battery chargers  Automobiles  Inverters & Solar Batteries.

Batas Automobiles
It has been a great journey for BATAS Automobiles, started in 1995 with Suzuki
with sheer dedication and willingness to serve their customer to the best. Batas
Automobiles has attained a place of eminence and honor in the market. Batas
Automobiles is handling the entire range of four wheeler products of Suzuki brand
in Western region of Gandaki and Dhaulagiri zones. Thanks to a young and
enthusiastic team of Batas Automobiles which today has its credit of registering
high number of sales in the Western region. This is evident enough of the company
to focus for serving their customers to their satisfaction without compromising on
quality. For excellent sales and creditability among Suzuki users in Nepal, the
dealership was honored with various and number of awards for Best Dealer,
registering high number of sales and many others. Maruti Suzuki is India and Nepal
number one leading automobile manufacturer and the market leader in the car
segment, both in terms of volume of vehicles sold and revenue earned. Suzuki’s
technical superiority lies in its ability to pack power and performance into a
compact, lightweight engine that is clean and fuel efficient. It has been rated first in
customer satisfaction among all car makers in India from 1999 to 2009 by J D
Power Asia Pacific. It is only sheer grit and determination to develop a customer

Hotel Anand is situated at the center area of Pokhara City - 5 minutes' drive from
Airport, walking distance from bus station. Another striking feature associated with

& family management. It is a part of Batas Organization; however, the management
is being handed over to an independent team of professional. It has been serving its
customer since 1989 AD. It has its own restaurant and bar with experienced chefs
that conjure delicious flavors and courteous waiters, who make your dining
experience perfect. It serves Indian, Nepalese, and Chinese and Continental cuisine.
The hotel even has a rooftop garden where the panoramic beauty of Annapurna
Range can be easily viewed.

Trithunga Tours & Travels Pvt. Ltd.


Trithunga Tours and Travels Pvt. Ltd offer its customers with an amazing service in
the business of travel and tourism including Vehicle Rental facility. The company
provides its customer an opportunity to explore fun, beautiful sights and make
tension free tour anywhere in Nepal. They offer the absolute perfect way for each
and every person to enjoy the unique and magical nature of Pokhara. They cater to
all types of tours for every pocket, budget and taste, either for individual, groups or
corporate clients. They design day tours to surrounding attractions, extended tours
and customized tours to fit their travel dreams. They have a large fleet of vehicles
which include Toyota Prado, Toyota Land Cruiser, Land Rover, Suzuki cars, Fiat
cars, Toyota Coaster mini bus, Nissan Civilian mini Bus, Hino Buses etc. The
progress achieved by our company since its inception, 1997, could not have been
possible without the strenuous efforts done at all levels in our organization and
professional approach and systematic working style adopted by a strong work force
of 24 well trained employees at present (batas organization, 2019).

1.8 Organization design and structure


Organization design may involve strategic decisions, but is properly viewed as a path to
effective strategy execution. The design process nearly always entails making trade-offs
of one set of structural benefits against another. More powerful change happens when
there are clear design objectives driven by a new business strategy or forces in the
market that require a different approach to organizing resources (psychology wiki).

The organizational structure of Batas Organization can be shown as follows:

Organization design may involve strategic decisions, but is properly viewed as a path to
effective strategy execution. The design process nearly always entails making trade-offs of
one set of structural benefits against another. More powerful change happens when there
are clear design objectives driven by a new business strategy or forces in the market that
require a different approach to organizing resources. An organizational structure is a
system that outlines how certain activities are directed in order to achieve the goals of an
organization. These activities can include rules, roles and responsibilities. The
organizational structure also determines how information flows from level to level within
the company. For example, in a centralized structure, decisions flow from the top down,
while in a decentralized structure, the decisions are made at various levels.

Not having a formal structure in place may prove difficult for certain organizations. For
instance, employees may have difficulty knowing to whom they should report. That can
lead to uncertainty as to who is responsible for what in the organization. Having a
structure in place can help improve efficiency and provide clarity for everyone at every
level. That also means that each and every department can be more productive, as they
are likely to be more focused on energy and time. At Batas, organizational structure is
centralized. Being a family oriented business, most of the business decisions are taken
by top level management. The organization is structured centralized leadership and a
defined chain of command.

1.9 Financial Structure


Due to confidentiality clauses within the organization, it was not possible to gather financial
information (CF and BS) that could make the report much greater from all aspects.

1.10 Organizational Performance


The balanced scorecard (BSC) is a strategic planning and management system that
organizations use to, communicate what they are trying to accomplish, align the day-to-day
work that everyone is doing with strategy, prioritize projects, products, and services and
ensure and monitor progress towards strategic targets. The BSC suggests that we view the
organization from four perspectives, and to develop objectives, measures (KPIs), targets, and
initiatives (actions) relative to each of these points of view:

Financial Status
This is often renamed Stewardship or other more appropriate name in the public sector, this
perspective views organizational financial performance and the use of financial resources.
The main motive of this perspective is to increase the revenue of the business to run it
smoothly, grow the profit rate and to reduce the financial cost of business.

Customer/Stakeholder Perspective
This perspective views organizational performance from the point of view the
customer or other key stakeholders that the organization is designed to serve. The main
motive of this Organizational performance Financial Status Internal Processing Customer’s
perspective Organizational Capacity 10 perspective is to attract the hipsters’ crowd of
customer to the business and take care of their needs and demand of the customer.

Internal Processing
It views organizational performance through the lenses of the quality and efficiency
related to our product or services or other key business processes. The main motive this
internal processing is as follows: i. Create dynamic pricing system ii. Invest in emerging
neighborhood iii. Find the new objectives iv. Match offerings to hipster needs v. Partner with
local and organic produce suppliers

Organizational Capacity (originally called Learning and Growth)


It views organizational performance through the lenses of human capital, infrastructure,
technology, culture and other capacities that are keys to breakthrough performance. The
motives of this learning are: i. To develop employee training system ii. Invest in culture (blog
management, 2019).
Chapter 2

JOB PROFILE AND ACTIVITIES PERFORMED

2.1 Activities Performed in the Organization

I got an opportunity to do my internship in one of the leading automotive organization,


Batas Organizations. The duration for the internship was eight weeks. I was assigned in the
finance department. I got the chance to learn many things relating to finance and accounts
in the organization. I have performed different activities during my internship period.
Different activities that I have performed are as follows:

● Document preparation

Internship is all about gaining practical knowledge of the theoretical aspects learnt
in college. Being the intern in finance department, initially I was instructed to
prepare the required documents. I was given the task to prepare and file the copies
of bill book, citizenship certificate, VAT bill etc.

● Data entry
During my internship program, I had to enter cash update data using MS excel. The
cash and credit data included date of purchase and the things, bill number, name of
customers, mode of sales, number of vehicle, amount and remarks.

I have made the filing procedures of the firm by making them easy accessible and less time
consuming and at the same time I have applied the approach of making Xerox copy of
important document to keep them as reference for the future. I was assigned to file audit
related documents, legal documents and monthly VAT, TDS documents.

● Understand bank reconciliation statements and prepare for assigned
banks.

A bank reconciliation statement is a summary of banking and business activity that


reconciles an entity’s bank account with its financial records. The statement
outlines the deposits, withdrawals and other activity affecting a bank account for a
specific period. A bank reconciliation statement is a useful financial internal control
tool used to thwart fraud. Being an intern in finance department, I was supervised
and instructed to complete bank reconciliation statements of the company. It was
the most interesting activity as well as most important work I had performed during
my internship period.
2.2 Problems solved

An internship is a period of work experience offered by an employer to give students and


graduates exposure to the working environment, often within a specific industry, which
relates to their field of study. Interns are appointed as learner but they are also responsible
for solving some problems within the organization. The following points can be presented
in this regard:

● Proper filing and reference

● Company profile preparation

Batas has many companies within itself. Company profile is an integral part in any
organization. A company profile details company name, address, and contact number,
area of work, financial and legal documents of company. I prepared the company profile
file of every company associated with Batas Organization.

● Arrangement of the bank statement and related documents.

Every business has paper works. These paper works are very important for the
organization. The bank statement is the document provided by banks of the transactions of
the particular period. So, I arranged all the bank statement and store them in a proper way.
● Arranging the files in order.

Files are the integral part of the organization. Every record and data is recorded in
files of the organization. So, I arranged all the files in order according to the need
of the documents. The files were arranged as per required parameters.

2.3 Intern’s Key Observations

From the internship at Batas Organization I got the chance to apply my


theoretical knowledge in the real business world practice. There, I have learnt many
things that are very practical and useful in order to run a business. During my
internship, I have observed the following things at Batas Organization.

● Good relation among the employees.

Employees are the vital part of the organization. Harmonious relation between employees
led the company to the path of success. Employees in eastern agencies are having very
amicable relation among them.

● Employees are very cooperative with each other.

Employees of Batas organization are very cooperative with each other. They are always
ready to help each other despite of their position and authority. There is no discrimination
among the employees.

● Employees are always ready to do what they are asked to do.

Employees must follow the instructions given by their superiors. Employees of the
organizations are always ready to do work they are asked to do by their supervisors.
Working in Batas Organization, I got to learn positive attitude towards every work.
● Staffs are positive to the interns and they are ready to make us learn
about the operation of the organization.

Interns are the learners in the organization. They always need supervision to do any kind
of work. At Batas, all the staffs are always ready to help the intern and make us learn
about the organization and its operations.

● Proper communication between the employees and the top level


management.

Communication is the integral part of any organization. The top level and the
employees do have proper communication. There is less communication gap
between the subordinates and superiors despite their position and authority.

LESSONS LEARNT & FEEDBACK

3.1 Key Skills & Attitudes Learnt

3.1.1 Key Skills Learnt


Skill is the learned capacity to carry out pre-determined results often with the minimum
outlay of time, energy, or both. Internship is meant to learn the skill required for the
organizational setup. Every intern does internship to learn the skills and attitudes provided
by their designated companies. Following given are the specific skills I have learned in the
organization as an intern.

● Time management

“Time management” is the process of organizing and planning how to divide time
between specific activities. Good time management enables us to work smarter – not
harder so that we get more done in less time, even when time is tight and pressures are
high. Failing to manage our time damages effectiveness and causes stress. I have learned
the way of time management during my internship period such as which activities of the
jobs should be prioritized, which job is to be done on time, when to report and many more.

● Knowledge of accounting software NAV

I was not given to use NAV all by myself but with the help of my supervisor I learned the
skill of using the accounting software NAV to do entry of purchase and sales
transactions, to generate report from that software, to create new accounts, to edit the
entries made earlier, to make the format different types of vouching documents etc.
Microsoft Dynamics NAV is an enterprise resource planning (ERP) software suite for
midsize organizations. The system offers specialized functionality for manufacturing,
distribution, government, retail, and other industries.
● Microsoft Office application

Microsoft Office is a suite of desktop productivity applications that is designed


specifically to be used for office or business use. It is a proprietary product of Microsoft
Corporation. It mainly consists of Word, Excel, PowerPoint, Access, OneNote, Outlook
and Publisher applications. Throughout my internship I have used the MS office
package for conducting various activities. I have used the

MS-EXCEL to record purchase and sales data. I have used the MS-WORD to
make various types of letters and prepare various financial reports and many
others.

● Proper filing and Indexing

Indexing is an important aid to filing. Filing and indexing are so inter- related that filing
without indexing is incomplete and indexing without filing does not exist. Indexing is the
process of determining the name, subject or other captions under which the documents
are filed. Index is a guide to records.

Practically I obtained the basic skills of proper filing and indexing to record the
reference of needed documents such as letter of credit, bills, vouchers, etc.

● Dealing with various stakeholders

This is the major and valuable skill interns can learn during their internship period. Since I
was intern in finance department, I had to deal only with internal stakeholders and in
finance department there is minimum room to deal with stakeholders. Although during my
internship I had worked with various department in order to get files and documents of
their respective company.
3.1.2 Attitudes Learnt

Attitudes can positively or negatively affect a person's behavior. A person may not always be
aware of his or her attitude or the effect it is having on behavior. A person who has positive
attitudes towards work and co-workers (such as contentment, friendliness, etc.) can positively
influence those around them. Everyone has attitudes about many things; these are not
necessarily a bad thing. One aspect of employees’ attitude is the impact it can have on the
people around them. People with a positive attitude can lift the spirits of their co-workers,
while a person with a negative attitude can lower their spirits. Sometimes, though, this
principle works in reverse, and attitudes are often more complex than positive or negative.
Attitudes may affect both the employee’s work performance and the performances of co-
workers.

● Discipline

Discipline is action or inaction that is regulated to be in accordance (or to achieve accord)


with a particular system of governance. Discipline is commonly applied to regulating human
behavior, and furthermore, it is applied to each activity-branch in all branches of organized
activity, knowledge, and other fields of study and observation. Discipline to follow the
organizational rules and regulations, norms and values are very much important for
effectiveness and efficiency in job performance. A disciplined employee can add value to the
organizational resources very well. I have realized the various kinds of disciplined
behaviors when working as an intern in the Batas Organization.

● Punctuality

Punctuality gains respect in almost any place but it is essential in the workplace. Being on time
says a lot about you and how you feel about your company and your colleagues. Understanding
the importance of punctuality can go a long way in helping you increase your value to your
company and climb the career ladder. Punctuality is very much important for customer
satisfaction, good relationship with boss, and to fulfill the job duties on time.

● Cooperation

Cooperation between employees is very much needed in the organization for better
performance. Without proper cooperation and communication organizational success
cannot be imagined in this age of integrated business scenario. Cooperation between the
colleagues can enhance and enrich the job performance.

3.2 Feedback to the Organization

Batas organization in comparison to other automotive organization in Kathmandu is the most


organized, largest and customer oriented company. Although this company is a leading
automobile dealer company in Kathmandu, it still needs to improve in certain aspects. I had a
good time with the organization’s management, employees and other concerned parties. I
learned various attitudes and skills during my internship which is not possible without
the guidance and cooperation of the above mentioned parties. Based on my
functioning ,observation and intuition the following given feedback can be provided to
the organization.

● Clear hierarchy

There is no clear hierarchy and sometimes employees are confused about their roles and
responsibilities. So, proper hierarchical system should be developed in Eastern Agencies- Batas
Organization.

● Hiring of more external persons in high level management


Since Batas Organizations a family based business, the owners are themselves in the high
level management. Some independent experts from outsider should also be hired in top
management level for the smooth operation of business.

● Delegation of authority

I have observed that all the decisions in the organization are made by the owners themselves.
Even the small decisions are made by the owner of the organization.

Delegation of authority in certain aspect and participation of the employees in the


board meeting to some extent can be fruitful for the organization and at the same time
it also motivates the employees.

● Other Recommendations

The following recommendations can be made for the organization in addition to above:

● Advertisement regarding different vehicles should be displayed in the bigger screens.

● Essential training should be given to staffs.

● Establishment of private discussion room, waiting lounge, kid’s zone refreshments, and
updated price boards etc.

3.2 Feedback to the College/University


Internship is the most valued program of BBA-BI to enhance and enrich the practical
managerial skills and other technical skills needed to manage business organization
effectively and efficiently. There should be proper coordination and cooperation between the
student, concerned business firm, and the concerned college to achieve the objectives of the
internship program.

Internship is an opportunity to observe, learn and understand the corporate culture,


acquire knowledge and skills in the respective field which helps the students in their
further career development. College plays an important role in the internship of the students.
College should work as facilitator or mediator between the students and the organizations for
conducting the internship program. However, in most of the cases students themselves search
organizations for the internship.

On the basis of my experience, I would like to give following feedback to


college.

● Guidance to students before going to internship

It will be fruitful for the students if they are given the necessary counseling before going into
the internship program regarding the needed skills, disciplinary actions, format to record
daily activities and jobs done etc. Internship management committee should ask the
students about their interested field of internship and should suggest different organizations
according to their interests.

● Visit the organization during internship period

It can be advised to internship management committee to visit the concerned


business organization once or twice during the internship period. It will motivate the
student and organization will also positively assign the jobs to the intern. The
committee should contact students regularly, take feedback from the students and help
students if they are facing any problems during the internship period.

● Proper format to record the daily activities


College should provide the specific format for the recording of day to day job activities during
the internship period so that it will help in making standard report. It would also help to
identify the needed skills and other managerial practices in the written form.
