SPREADSHEET/WORKSHEET
A spreadsheet is an interactive computer application program for organization, analysis and
storage of data in tabular form.
A worksheet is used to store, manipulate, and display data.
An Excel worksheet is a single spreadsheet that contains cells organized by rows and columns.
A worksheet begins with row number one and column A. Each cell can contain a number, text or
formula.

Spreadsheets developed as computerized simulations of paper accounting worksheets. The

program operates on data represented as cells of an array, organized in rows and columns. Each
cell of the array is a model–view–controller element that may contain either numeric or text data,
or the results of formulas that automatically calculate and display a value based on the contents of
other cells.

STARTING A WORKSHEET
Worksheet are file that can be created in excel. You can start worksheet any time you want to
create a new file for your excel data. Steps are
1. Open a new workbook in Excel
2. Point on Start button on the screen
3. Click on all programs
4. Point to Microsoft office
5. Select Microsoft excel (this will take you to the excel environment)
Every single time you Start Excel you are, by default, creating a New Blank Workbook. The
name of your Workbook has the default name of Book1, until you save the Workbook as a
different name. A Workbook is like the outer shell of the spreadsheet and contained within it are
the Worksheet(s) and cells. When you Start Excel you should first see a blue bar at the very top
of your screen. This is called the Title Bar. The title bar is where you will see the name of your
Workbook once you have saved it. (Note that if you have not yet saved a Workbook, the default
will probably be Book1). As you are familiar with Windows, you will notice to the right of the

CALCULATIONS IN WORKSHEET
One quick and easy way to add values in Excel is to
use AutoSum. Just select an empty cell directly
below a column of data. Then on the Formula tab,
click AutoSum > Sum. Excel will automatically
sense the range to be summed. (AutoSum can also
work horizontally if you select an empty cell to the
right of the cells to be summed.)
AutoSum creates the formula for you, so that you
don't have to do the typing.
Calculate the average of numbers in a contiguous row or column
1. Click a cell below or to the right of the numbers for which you want to find the average.
2. On the Home tab, in the Editing group, click the arrow next to AutoSum , click Average,
and then press ENTER.
ADDITION
Adding and subtracting in Excel is easy; you just have to create a simple formula to do it. Just
remember that all formulas in Excel begin with an equal sign (=), and you can use the formula bar
to create them.

Add two or more numbers in one cell

1. Click any blank cell, and then type an equal sign (=) to start a formula.
2. After the equal sign, type a few numbers separated by a plus sign (+).
For example, 50+10+5+3.
3. Press RETURN .
If you use the example numbers, the result is 68.
JSS Three

Add numbers using cell references
A cell reference combines the column letter and row number, such as A1 or F345. When you use
cell references in a formula instead of the cell value, you can change the value without having to
change the formula.
1. Type a number, such as 5, in cell C1. Then type another number, such as 3, in D1.
2. In cell E1, type an equal sign (=) to start the formula.
3. After the equal sign, type C1+D1.
4. Press RETURN .

If you use the example numbers, the result is 8

Get a quick total from a row or column
1. Type a few numbers in a column, or in a row, and then select the range of cells that you
just filled.
2. On the status bar, look at the value next to Sum. The total is 86.

SUBRACTIONS
Subtract two or more numbers in a cell
1. Click any blank cell, and then type an equal sign (=) to start a formula.
2. After the equal sign, type a few numbers that are separated by a minus sign (-).
For example, 50-10-5-3.
3. Press RETURN .
If you use the example numbers, the result is 32.

MULTIPLICATION
Suppose you want to multiply a column of numbers by the same number in another cell. The trick
to multiplying a column of numbers by one number is adding $ symbols to that number's cell
address in the formula before copying the formula.
In our example table below, we want to multiply all the numbers in column A by the number 3 in
cell C2. The formula =A2*C2 will get the correct result (4500) in cell B2. But copying the
formula down column B won’t work, because the cell reference C2 changes to C3, C4, and so on.
Because there’s no data in those cells, the result in cells B3 through B6 will all be zero.

To multiply all the numbers in column A by cell C2, add $ symbols to the cell reference like
this: $C$2, which you can see in the example below.

Using $ symbols tells Excel that the reference to C2 is “absolute,” so when you copy the formula
to another cell, the reference will always be to cell C2. To create the formula:
1. In cell B2, type an equal (=) sign.
2. Click cell A2 to enter the cell in the formula.
3. Enter an asterisk (*).
4. Click cell C2 to enter the cell in the formula.
5. Now type a $ symbol in front of C, and a $ symbol in front of 2: $C$2.
6. Press Enter.
Tip: Instead of typing the $ symbol, you can place the insertion point either before or after the
cell reference that you want to make “absolute,” and press the F4 key, which adds the $ symbols.
Now we’ll step back a bit to see an easy way to copy the formula down the column after you
press Enter in cell B2.
1. Select cell B2.
2. Double-click the small green square in the lower-right corner of the cell.
The formula automatically copies down through cell B6.

JSS Three
CTAN Curriculum Training and Technical Committee

And with the formula copied, column B returns the correct answers.

How to divide a cell in Excel

To divide two cells in Excel, you use the divide symbol exactly like shown in the above
examples, but supply cell references instead of numbers.
For example:
 To divide cell A2 by 5: =A2/5
 To divide cell A2 by cell B2: =A2/B2
 To divide multiple cells successively, type cell references separated by the division
symbol. For example, to divide the number in A2 by the number in B2, and then divide the result
by the number in C2, use this formula: =A2/B2/C2
